6. SHOW OFFICE
The on-site Show Office will operate from 10:00 am Thursday April 30, to 7:00 pm
Sunday, May 3, 2015. The office is located at the East Entrance to the show floor,
and during the event is staffed two hours prior to daily public opening.
ALL EXHIBITORS are requested to check-in at the Show Office during move-in to
pick up their pre-ordered Exhibitor Badges.

7. SHOW HOURS – EXHIBITORS
The BC Place Stadium facility will be open to exhibitors, via the Exhibitors Entrance
TWO HOURS before daily Show opening. Security will be in effect at all times and
exhibitor badges must be worn. Exhibitors may also enter via Gate A off the Terry
Fox Plaza during show hours providing they are wearing an exhibitor badge.

9. GUEST TICKETS FOR EXHIBITORS
Each exhibitor is provided with complimentary guest tickets based on the size of
their exhibit space. Additional Guest tickets are available for purchase by exhibitors
on a pre-ordered basis at a reduced rate of $10.00 + HST per ticket. The order form

10. PARKING
Parking is available in public parking lots all around BC Place Stadium.
For your convenience, parking passes for the Show are available for purchase
through Imperial Parking.
The ONLY advantage of a parking pass is that you receive in and out privileges with
a pass, which you would not receive if parked in one of the other lots. Order forms

To prevent delays, be sure to complete the Exhibitor Badge ONLINE Order Form no
later than April 10th, 2015. Exhibitor badges are prepared in advance according to
the list provided on the form. Badges will NOT be mailed, but will be ready for pickup at the Show Office at BC Place after 11:00 am Thursday, April 30th, 2015.
Exhibit Services
12. ELECTRICAL/ PLUMBING
Electrical is not included in the exhibit space. All electrical services are provided by
BC Place Stadium and must be ordered in advance. Plumbing (Sinks, hot & cold
water) are also provided by BC Place Stadium. (Exhibitors please note that Show
Management has provided a number of wash-up stations on the show floor. Please
check with Show Management for the nearest sink to your booth before ordering
plumbing services.) The electrical & plumbing order forms from BC Place Stadium

13. BANK MACHINE
BC Place will have three bank machines for the convenience of the visitors. One of
the bank machines will be situated near the main visitor entrance and the other two
are located in the food court.
14. INTERNET ACCESS
Exhibitors requiring hardwired internet access must pre-order using the BC Place
Stadium form found on-line at http://eat-vancouver.com/exhibitors-manual/
15. CLEANING / JANITORIAL
Aisles and common areas will be cleaned each day prior to Show opening.
Exhibitors who do not arrange for booth cleaning service MAY NOT place debris or
garbage from their exhibit area into the aisle. Exhibitors will be responsible for the
removal of such material to a garbage disposal area in the building. Cleaning
service / janitorial may be arranged through BC Place Stadium. The form is provided

16. FURNISHINGS / DÉCOR & COLOUR SCHEME
Each booth includes back wall and side drapes. The “Deluxe Booth Packages” and
smaller 6 x 6 booths are already carpeted and include one skirted table.

The drape colour panels are black. Aisle carpeting is blue.
For all other booths it is the responsibility of the exhibitor to provide floor covering in

b). EXHIBIT RESTRICTIONS
Show Management reserves the right to restrict those displays that unduly hamper
visibility to other displays. Show Management reserves the right to make final
decisions in this regard.
c). EXHIBIT BOUNDARIES
Business must be conducted within contracted exhibit space. Aisle space may not
be used for exhibit purposes, or for general solicitation of business. Distribution of
literature, food and beverage samples or other exhibit material is forbidden outside
the immediate exhibit area. Exhibitors wishing to enter another exhibitor's booth
may do so only if invited. Mascots may not wander down the aisles and must stay
within the exhibit space.

d). HEIGHT LIMITATIONS AND APPEARANCES
Backdrops / signage must not exceed eight feet (8’) in height. Any exception must
be approved in advance by Show Management.
e). STAFFING OF EXHIBITS
Exhibitors shall staff their exhibits at all times during the hours of the Show. Security
can be a problem when booths are not staffed. Exhibitors are reminded that Show
Management does NOT assume any responsibility for losses; therefore, exhibitors
should take all reasonable precautions to protect their own property. See

f). PRODUCTS EXHIBITED
Products exhibited are restricted to those products identified and approved on the
exhibit space contract. Show Management reserves the right to refuse any product
not relating to the show’s mandate.
g). SOUND LEVELS
Any attention-arousing devices, such as noisemakers, flashing lights, movies,
music, broadcasting, television, contest games, etc. must be approved in advance
by Show Management.
h). BALLOONS AND INFLATABLES
Balloons are acceptable, but must be approved by the facility. Large inflatables may
be acceptable, but must be approved in writing, by Show Management prior to the
Show. A balloon waiver form must be signed.
i). CONTESTS, COMPETITIONS, AND DRAWS
Sales promotions and competitions conducted by exhibitors in conjunction with their
display must be free of any obligation on the part of the winner. Prize winners must
not be required to place an order before collecting the prize offered. The schedule of
prizes and terms of the competitions must be approved by Show Management at
least six weeks before the Show and comply with all existing government
regulations. A list of winners of exhibitor's prizes must be submitted to Show
Management no later than ten days after the Show closes.
NOTE: No PA announcements will be made of contest winner's names.
k). SOLICITING, SAMPLES AND SOUVENIRS
Exhibitor personnel or representatives distributing samples, souvenirs, promotional
material or soliciting business must do so from inside their exhibit space and are not
permitted in show aisles, feature areas, lounges or other exhibits.
Only participating exhibitors and sponsors have the right to sell goods and
services at the EAT Vancouver Show. All other parties who attempt to make
sales solicitations in the aisles or lobby and entrance ways will be removed

from the BC Place Stadium facility. Should you notice such conduct, it is in
your best interest to report it to the show office immediately.
18. FACILITY – CARE OF FLOORS, WALLS, CEILING
With the new renovations BC Place has permanently installed the astro-turf that
covers the entire floor for the football and soccer games. To accommodate shows
they cover the astro-turf with heavy plastic panels that interlock to form a solid
immovable floor that even the largest trucks can drive over. However they have new
regulations on adhesives that can be used on the floor:
The only acceptable tape for securing carpeting and other floor coverings is
Shurtape # PC-618 Cloth Tape or # DF-642 Double Sided Tape. Plastic type
double-sided tape, used to secure many types of floor coverings is not permitted for
use in BC Place. It cannot be removed properly and leaves tape residue on the
floors.
Other Products
Staples, nails and fasteners which cause damage may not be used on any wall
surface, equipment or furniture owned by BC Place unless prior permission is
granted by your Event Manager.
Signs
No “stick on” decals, badges, signs or similar promotional items may be placed on
any ceilings, interior or exterior walls, windows, or painted surfaces in BC Place
without prior approval from your Event Manager.
Removal of Adhesives
It is the Client’s responsibility to remove all adhesives from all surfaces at the close
of the event.
Charges for tape removal and other damage may be charged on a time and
materials basis.
Safety & Security Regulations
19. PUBLIC SAFETY STAFF
Uniformed public safety staff will be on duty during move-in, show hours, and moveout. Move-in commences 11:00 am Thursday April 30th, 2015 and move-out ends at
11:00pm Sunday, May 3rd, 2015.
NOTE: Security is most important during the activities of move-in and move-out.
Watch your display and merchandise accordingly. Report any loss immediately to
the Show Office.
Show Management cannot guarantee against loss or damage of any kind, but will
endeavour to protect Exhibitors by providing general security.

Each Exhibitor is solely responsible for their exhibit property, and should insure
these exhibit materials against loss or damage during the convention. Please put all
small valuable items out of sight each night. All Exhibitor Property is understood to
remain within the Exhibitor's care, custody and control in transit to or from or within
the Exhibit Hall. SHOW MANAGEMENT STRONGLY ADVISES YOU NOT TO
LEAVE YOUR VALUEABLES UNATTENDED AT ANY TIME DURING MOVEIN/SET-UP OR MOVE-OUT/TEAR DOWN. Should you require secure storage,
security cages may be ordered IN ADVANCE from Lange Transportation.
20. FIRST AID
BC Place Stadium is equipped with a First-Aid Dispensary and Industrial First Aid.
IFA attendants will be located in the building. Report all accidents and / or injuries to
Security, First Aid or BC Place Stadium staff personnel and Show Management.
21. INSURANCE / LIABILITY
The exhibitor assumes all responsibility for its property, including any and all loss,
theft, or damage to Exhibitor’s displays, equipment and other property while on the
premises of BC Place Stadium and hereby waives any demand or claim it may have
against BC Place Stadium, BC Pavilion Corporation, Fulcrum Events Inc., all service
contractors, including its staff members and officers.
All property will remain under the custody and control of the Exhibitor whether in
transit to and from BC Place Stadium, within BC Place Stadium or within the
confines of its booth space. In addition the Exhibitor agrees to defend, if requested,
indemnify and hold harmless BC Place Stadium, BC Pavilion Corp, Fulcrum Events
Inc., all service contractors and their respective parent, subsidiary and other related
or affiliated companies from and against any liabilities, claims, damages, suits, costs
and expenses, including without limitation legal fees and costs, arising from or in
connection with the exhibitor’s occupancy and use of the exhibition premises or any
part thereof or any negligent act, error or omission of the exhibitor or its employees,
subcontractors or agents.
EXHIBITORS ARE ADVISED TO OBTAIN ADEQUATE INSURANCE AGAINST
LIABILITY, LOSS OR DAMAGE. In most instances, exhibitors may request, at no
charge, an insurance rider from their current insurance provider, or see on-line

Food & Beverage
22. COLD STORAGE & ICE ORDER FORM
Refrigerated space will be available for rent. The refrigeration unit will be located at
the east end of the facility.

opening of the show. Friday before 2pm, Saturday and Sunday before 10am. We
can’t guarantee quantities unless order placed in advance to move in day of the
show.

23. FOOD PREPARATION
FOOD PREPARATION There is no central kitchen available for us at the facility.
Any exhibitor wishing to have food prepared on-site can contact Centerplate to

24. HEALTH REGULATIONS
Any exhibitor who wishes to serve food or beverage for sampling or sale
MUST submit a Health Permit Application Form. Forward completed
applications to Show Management by Fax: 877-560-1445. DO NOT send
applications directly to the Health Authority.

There is no cost for the Health Permit if submitted by March 31st, 2015 to Show
Management at [email protected]. The application can be found on-line at:

Important:
Please note that Show Management has installed wash-up stations in various parts
of the show for the purpose of satisfying the Health Regulations’ requirement for
food handlers to have access to sinks with hot and cold water. Please check with
Show Management as to the proximity of a sink to your booth if you are handling
food products. If you choose to locate in an exhibit that is not within range of one of
these sinks, it will be your responsibility to install your own sinks if requested by the
Health Department.
Basic Food Handling Rules for Exhibitors:
a). Unwrapped food samples that are put on trays must be placed in a single layer.
Small trays should be used to ensure a quick turnover time. Samples must be
spaced on the tray in order to prevent the public from touching several samples,
when one is picked up.

b). Single portion Dixie cup style containers, or plates must be used for items such
as nuts, taco chips, popcorn, unwrapped candies, etc. All dips and sauces must be
placed in single service containers. Do not use common dipping bowls.
c). All open sample products must be discarded at the end of the day.
d). Perishable food products, i.e. meats, fish, fowl, dairy products and cooked
vegetables must be mechanically refrigerated.
e). Exposed food on display must be shielded with a sneeze guard.
f). A Foodsafe certified food handler shall be involved with food preparation and
be present at the booth at all times.
25. TASTING TICKET PROGRAM
All exhibitors may provide free samples of their food or beverage products to show
visitors. Exhibitors may sell sealed, retail packaged goods to be taken off-premises
by the customer.
However, if an exhibitor chooses to sell food and/or beverage products to be
consumed on-site by visitors, the exhibitor must conduct those sales through the
EAT! Vancouver Tasting Ticket Program. The order form can be found online at

NOTE: Workers' Compensation Board (WCB) has ruled that all employees must
wear a safety vest during move-in and move-out. If you do not have your own,
safety vests will be available for rent on site at BC Place Stadium. WCB has also
ruled that no one under the age of 16 will be allowed on the show floor (even
within your vehicle).
Move-in takes place at the EAST entrance to BC Place which is located off of
Griffiths Way. Griffiths Way is the small road situated between BC Place and
Rogers’ Arena (formally known as GM Place). For a detailed map of the road,

Vehicles may drive in, unload vehicle and drive out (park) and then return to set up.
27. MOVE-OUT
Move – Out Hours:

5:00pm to 11:00pm
Exhibitors will not dismantle, pack, or remove any part of their display until after the
5:00pm show closing.
NOTE: Your vehicle will not be allowed into the building until your booth is
dismantled and ready for loading. Everything MUST be removed from the premises
by 11:00pm on Sunday May 3rd, 2015. Any materials left on the show floor will be
removed and shipped for a fee to the exhibitor.
Materials Handling
28. MATERIALS HANDLING / DOLLIES
Dollies and carts will be available on-site, on a limited, first-come basis. Contact the
Decorator (GOODKEY SHOW SERVICES) during move-in.
29. MATERIALS HANDLING / FORKLIFT SERVICE
A complimentary forklift service will be available on a first come basis during movein and move-out.
30. STORAGE – CRATES
Limited crate storage is available on-site on a first come basis. Otherwise, crate
removal and return is the responsibility of the exhibitor. Containers should be well
identified with Company name and booth number(s).

Goods delivered by common carrier will be received at BC Place Stadium
commencing Thursday April 30th, 2015 from 11:00am – 8:00pm during move-in and
9:00am – 1:00pm on Fri/Sat and 9:00am – 1:00pm on Sunday. Any goods delivered
prior to April 30th, 2015 will NOT be accepted and will be turned away.
C.O.D. shipments will not be accepted by Show Management. All freight must
be prepaid. Exhibitors must be present to sign for their shipment.

General Information
32. FLOOR PLAN ADJUSTMENTS
Management reserves the right, at any time, without prior notification, to alter
exhibits, aisles, common carpet, feature sizes and locations in an effort to best
serve the interests of the Show. Show Management's decision in this regard will be
final.
33. PAYMENT OF ACCOUNT
Exhibit space payment is due 90 days and payable in full prior to the first day of the
show. Show Management will refuse entry to any exhibitor whose account has not
been paid in full.
34. LATE COMERS / NO SHOWS
Any space not claimed or occupied, or for which no special arrangement has been
made prior to 10:00am Friday, May 1st, 2015 may be resold or reassigned by Show
Management without any obligation.
NO REFUNDS WILL BE GRANTED FOR UNOCCUPIED DISPLAY SPACE.
35. SUBLETTING
No exhibitor may sublet any portion of his booth or space to another supplier without
the express written consent of Show Management.
36. UNIONS / LABOUR
Exhibitors may set up, operate, and dismantle their own displays using their own
staff and employees. For additional general labour requirements during move-in and
move-out, or for additional labour for booth construction and set-up, contact the
Show Decorator - GOODKEY SHOW SERVICES.
In the event that any person or persons employed by the exhibitor cause, or in the
opinion of Show Management, will cause labour difficulties, the exhibitor must
immediately remove such employees.
37. DRAPE COLOUR

39. PA ANNOUNCEMENTS DURING THE SHOW
Out of respect for our exhibitors and the various presentations and demonstrations,
no PA announcements will be made during the Show. This includes the
announcements of prize winners, demonstrations and presentations. Exceptions will
be emergencies and Show Management’s stage announcements.
40. MECHANICAL CONVEYANCES
Electric carts, scooters or bicycles, will not be allowed in aisles during Show hours.
The only exceptions will be handicapped persons visiting the Show and authorized
Show duty personnel.
41. ENTRY TO SHOW – CONDUCT
Show Management reserves the right to refuse admission to the Show to any visitor,
exhibitor or any exhibitor's employee who, in the opinion of Show Management, is
unfit, intoxicated, or in any way likely to cause a disruption to the Show.
42. SMOKING
Under City of Vancouver By-Law, smoking is prohibited in BC Place Stadium.
43. CHILDREN
For safety reasons, Workers’ Compensation Board rules require that during the
move-in and move out, NO children under 16 years of age (including infants) will be
allowed in BC Place Stadium.
44. ANIMALS
No animals are permitted in the facility. Seeing Eye and Ability Assistance dogs are
permitted.

46. GENERAL LIABILITY

Show Management acts for the Exhibitors and their representatives in the capacity
of an agent, not as a principal. Fulcrum Events Inc. assumes no liability for any act
of omission with this agency.
Exhibitors and their representatives hereby agree to indemnify and hold harmless
Fulcrum Events Inc. and The Vancouver Convention Centre, the employees thereof
and their representatives and agents, against any and all claims for loss, damage,
theft or injury. Indemnification includes the period of storage prior to and
immediately following the Trade Show. The Exhibitor, on signing the contract,
releases the foregoing from any and all claims for loss, theft, damage or injury.
Before any exhibit may be removed from the building, Exhibitors must make
arrangements satisfactory to Show Management, The Vancouver Convention
Centre and Show Management's official suppliers, for the payment of any charges
incurred by the Exhibitor in connection with representing his/her exhibit.
47. FIRE REGULATIONS
FIRE DEPARTMENT REGULATIONS
Aisles, exits and ramp access or egress as designated on approved show plans
shall be kept clean,clear and free from obstructions.
Easels, signs, etc. cannot be placed in aisles beyond booth area.
Combustibles
- Any internal combustion engines, vehicles or equipment must not contain more
than one quarter (1/4) tank of gasoline or fuel and must be inoperable; e.g. battery
and/or ignition disconnected. Fuel caps must be locked shut.
- Exhibitor display literature must be limited to reasonable quantities. Reserve
supplies should be kept in closed containers and stored in a neat and compact
manner.
- Client shall be responsible for ensuring combustible rubbish is removed from
exhibit booths on a daily basis.
- All decorations, drapes, signs, banners, acoustical materials, hay, straw, moss,
split bamboo, plastic, cloth and similar decorative materials must be flame retardant
to the satisfaction of the Fire Marshall’s office.
- Oilcloth, tarpaper, sisal paper, nylon, orlon and certain other plastic materials that
cannot be made flame retardant, are prohibited.
- Table coverings must be flame treated unless they lie flat, with an overhang of no
greater than six (6) inches (15 cm).
Fire Lanes
Fire lanes must be kept clean and unobstructed; vehicular traffic should be
controlled by BC Place Security during move-in/move-out.
Fireworks/Pyrotechnics
BC Place must be advised, in writing, of your intention to use special effects and/or
pyrotechnics.The Client must obtain BC Place approval before such special effects
and/or pyrotechnics is allowed. A demonstration may be required in order for
approval to be given by your Event Manager or Fire Marshall. In all cases, the Client
must provide adequate insurance including extra coverage to be provided by the
pyrotechnics company.
