COLA-2015 brings together Australian
and international scientific leaders in
academia, government and industry.
COLA-2015 will further highlight forefront
application areas in pulsed laser
deposition,
nanoscience,

methods, materials, and micro-processing
applications.
International Conference On Laser
Ablation (COLA), established more than
20 years ago, serves as a platform to
bring together researchers, applied
scientists, engineers and students for
exchanging ideas and results on the
fundamentals and applications of intense
laser-matter interactions. Its major focus
is on the process of laser ablation,
material processing by an intense laser
beam focused on a sample surface, and
on the applications of this effect in
science, industry and medicine.

General Information for Sponsors and Exhibitors
Follow Up
To secure sponsorship or exhibition opportunities, please complete and return the form at the end of this
document. As sponsorship packages and exhibition booths will be sold on a ‘first come, first served’ basis,
please secure your package by making a 50% payment of fees to the Conference Secretariat as this will
generate a confirmation letter and tax invoice. The Conference Secretariat will be in touch with you in order
to ensure that your benefits are delivered. All amounts include GST.
Accommodation
Sponsors and Exhibitors will be able to book accommodation at Conference hotels where competitive room
rates have been negotiated. Further details will be provided with registration information.
Delegate Details
Provision of delegate details is subject to privacy laws—participants can choose not to be listed. Listed
delegate details will include name, organisation and state.
Cancellation Policy
Please read the sponsorship and exhibition conditions below, which outline the payments terms and
cancellation policy. By submitting the attached exhibition or sponsorship application form you acknowledge
and accept the terms and conditions.

If your sponsorship package includes complimentary Conference registrations, this entitles you to morning
tea, lunch and afternoon teas every day as well as entrance to all Conference sessions, the exhibition and
all poster sessions. Attendance at the Welcome Reception and the Conference Dinner is also included. It
is most important that you nominate the recipient(s) of all complimentary registrations.
Artwork for Advertisements
If your sponsorship package entails a complimentary advertisement, or if you are purchasing an
advertisement space in the Conference Handbook, you will be expected to provide the necessary artwork.
You will be advised in due course of artwork production specifications.
Banners
All banners to be supplied by the Sponsor/Exhibitor. Banner size will be 1m wide x 2m high.
Sponsorship Conditions
■ The organisers reserve the right to change the venue and duration if exceptional circumstances demand.
In the event of change of venue and/or duration, the agreement to participate will remain in force so long as
the sponsor is informed at least one month before the Conference.
■ In the case of cancellation by the Sponsor, notification in writing should be sent to the Conference
Secretariat. A refund of fees paid (less a cancellation fee of 50% of the value of the sponsorship) will be
made to any Sponsor cancelling before or on 30 April 2015. After that date refunds may not be possible.
■ 50% payment of fees must be made within seven (7) days of receipt of invoice.
Full payment must be made before 30 April 2015
■ Sponsors must obtain the permission of the Local Organising Committee (contact the Conference
Secretariat) when planning to promote the Sponsor’s involvement in the Conference.
Important Information for Exhibitors
Each Exhibitor must keep their display within the dimensions of the exhibition booth. Should your display or
exhibit require space or a layout other than that indicated above, we would welcome discussion to facilitate
your requirements. Please note that all custom design exhibition booths must be approved by the Local
Organising Committee. Exhibitors will be required to submit a plan to the Conference office no later than 30
April 2015 indicating the dimensions of the proposed booth for the Local Organising Committee’s
consideration.
Exhibitor Manual
Closer to the Conference date you will receive details of setup and venue information. The Exhibitor
Manual, including the final floor plan and details regarding bump-in and bump-out arrangements will be
forwarded approximately three months prior to the Conference.
Exhibitor Registrations
The Conference is an integrated event and all staff in attendance at your booth must be registered for the
Conference. Each paid booth or space entitles your organisation to one complimentary full Conference
registration. This entitles you to morning tea, lunch and afternoon tea on Monday to Thursday, morning tea
on Friday, entrance to Conference sessions and poster sessions plus attendance at the Welcome
Reception and Conference Dinner.

Extra Exhibition Staff
Additional exhibition staff must register by completing the registration form in the registration brochure. This
entitles registered staff to morning tea, lunch and afternoon tea on Monday to Thursday, morning tea on
Friday, entrance to Conference sessions and poster sessions plus attendance at the Welcome
Reception and Conference Dinner. If additional exhibitor registrations are required, these will be charged at
$350 per person.
Floor plans for exhibition
The floor plan for the exhibition has not yet been finalised. Please see attached for a proposed plan, but
please note that this is subject to change.
Booth allocation
Booths will be allocated on a ‘first come, first served’ basis.
Public Liability Insurance
Exhibitors are required to ensure that they are adequately covered for public liability insurance. This refers
to damage or injury caused to third parties/visitors on or in the vicinity of an exhibition stand. The Exhibitor
will indemnify the organisers in respect of any claim and demands in respect thereof.
