SUMMER CAMP GUIDELINES

There is no limit to the number of weeks attending but please follow the session schedule and always start a program at the
beginning of a session. You may mix age appropriate programs for a variety of summer experiences.
Please review individual programs to determine location and extended care options. Please note, The Tennis Club does not have
Before Care available. (Earliest drop off is 8:40am)
Children must be toilet trained to attend.
Coppermine reserves the right to change or cancel any program if conditions warrant.
Lunch is not provided. Please pack a bag lunch (it will be refrigerated) and clearly mark it with your child’s name and camp group.
We supply drinks, water, and a morning & afternoon snack. If your child has special diet requirements, please send your own snack.
We are not a peanut free facility.
We do our best to accommodate friend requests within the same age range. Please indicate the name of the camper on your
registration form. Within 48 hours after registering, you will receive an itemized statement via email that will include a link to our Parent Portal
(beginning 2/1/15).
The Parent Portal includes additional information about what your child will need, as well as all required forms. A signed Release and
Indemnification and Acknowledgement of Risk Agreement, along with a fully completed Health History, Emergency Medical & Pickup
Authorization Form must be on file prior to participating in any program. Forms for registrations are due by May 1st or within one
week of registration, if registering after April 24th. All forms must be completed and returned prior to your child’s first day of camp.
After all Health Forms have been submitted, Coppermine reserves the right to request additional camper information. If Coppermine
determines that it cannot reasonably meet the needs of an individual camper, Coppermine reserves the right to accept or deny
admission. If admission is denied, all deposits will be refunded.
SCHOOLS OUT, WINTER & SPRING BREAK GUIDELINES

Full payment must be received at the time of enrollment to secure your child’s place in Camp. Refunds (less a $30/day deposit)
will be granted up to one week prior to the first day of camp. After that day, no refunds will be granted for absences, transportation
delays, inclement weather, withdrawals or dismissals. No make-up sessions are offered for days missed.

Coppermine also reserves the right to dismiss any camper, without reimbursement of tuition, that is unable to adhere to any
announced safety rules and our “Code of Courtesy and Respect,” or is disruptive in any other way.
First offense – child will be removed from the current activity and we call home to the parents
2nd offense – child will be sent home for the day (no refunds)
3rd offense – child will not be allowed to come back to camp for the summer (no refunds)
SCHEDULED CLOSINGS

Coppermine Fieldhouse will be closed, and programming will not be scheduled for the following holidays:
Christmas & New Years Holiday (December 22nd, 2014 - January 2nd, 2015)
Easter Weekend (April 4th - 5th, 2015)
Memorial Day Break (May 23rd - 29th, 2015)
Independence Day Break (July 4th - 10th, 2015)
Labor Day

REGISTRATION POLICY

Register online at www.copperminefieldhouse.com; Complete and return the printed registration form (available from our front desk
or download it at www.copperminefieldhouse.com) together with the deposit; Call 410-337-7781 to register via phone.
CASH or CHECK in person, CHECK by mail, CREDIT CARD (MasterCard, Visa, AmEx, Discover) in person, by mail, online, or by phone.
A $100 non-refundable per week/per child deposit is required at the time of registration. This $100 is applied towards your camp tuition.
To secure your child’s place in camp, the balance of tuition must be paid in full by 5/1/15.
A credit card is required with all applications, including check payments, and will be kept on file to guarantee payment. The credit card on file will be charged for any unpaid balances on 5/1/15.
The camp reserves the right to cancel your enrollment in its entirety if payment is not received per agreement and all deposits will be forfeited.
All campers who register after 5/1/15 must pay the entire tuition at the time of registration.
Due to the nature of our programming, partial sessions and/or pro-rated fees are not available.

Returned Check Fee: $35.00
The deadline for online registration is the Monday before the camp week starts. After Monday, please call the camp office at 410-337-7781 to register your child.
All registrations received after 4pm on Sunday prior to start of desired week incur a $40 walk-up fee.
CANCELLATION & REFUND POLICY

Registrations canceled prior to May 1, 2015 will be refunded in full (minus a 10% processing fee).
For registrations canceled between May 1 and May 31, 2015, families will receive a refund minus the $100 non-refundable deposit
per child per week and a 10% processing fee for any cancellation request.
No refunds will be granted after May 31, 2015 for withdrawals.
No refunds or adjustments will be made for ANY incidental absences including, but not limited to, illness, family vacations, and
change in participant’s schedule.
Full refunds will be processed for programs cancelled by Coppermine Fieldhouse.
Refunds will not be offered if camp is closed due to weather conditions, power outages, or for any reason that would prohibit camp
from operating safely.
If you would like to extend weeks, we cannot guarantee availability. Waiting Lists will occur when specific age groups in specific
weeks are filled. All children are enrolled on a first-come, first-served basis.

SNOW DAY & NATURAL DISASTER POLICY

Coppermine Fieldhouse reserves the right to cancel scheduled programming at any time in cases of inclement weather, natural
disaster, or other “Acts of God” which may prohibit Coppermine Fieldhouse and staff to operate in safe conditions.
Coppermine will make an effort to try and reschedule missed classes, however there are No Refunds or Credits for programming
missed due to Coppermine Fieldhouse closing.
All announcements concerning weather will be posted on our website, www.copperminefieldhouse.com or our Facebook page.

LOST & FOUND POLICY

Coppermine Fieldhouse is not responsible for any theft or lost items at our facility.
All Lost & Found items will be put in our Lost & Found area. Please label all items. Items including clothing, sports equipment,
accessories, etc. will be held for no more than 10 days. Water bottles will be discarded immediately for sanitary reasons.
MEDICAL & HEALTH POLICY

Completed medical forms are required before your child can attend camp.
