PROSPECTUS
Dear Friends and Colleagues,
I am proud to announce the 9th Congress of the European Pain Federation EFIC®.
This will be held in Vienna, Austria from 2nd- 5th September 2015.
On behalf of the Federation, it gives me great pleasure to invite you to participate in this
innovative and informative event that will once again be the leading pain congress in Europe.
EFIC has developed into Europe´s most important multidisciplinary and multi-professional
organization in the field of pain medicine, representing 36 constituent National Pain Societies
with over 20.000 scientists, physicians, nurses, psychologists, physiotherapists and other
healthcare professionals. EFIC was formed in 1993, and has grown in numbers and scope over
the last 21 years. It has become established as the European voice of all those who study and
treat pain.
During the 9th Congress, we will explore the scientific application of clinical pain
management and look ahead and highlight how best we can apply pain treatment in the
future. We have an excellent and broad Scientific Programme Committee, chaired by Chris
Eccleston. They are working on an attractive and ambitious program that covers all the
different multidisciplinary aspects of research and medical practice in our field. Refresher
Courses, Plenary Lectures, Topical Seminars and workshops, and daily poster presentations
will encourage interaction and inspire exchange between participants. A comprehensive
Industrial Exhibition and sponsored Satellite Symposia will perfectly complement the scientific
content. The spacious Congress Center will provide ample room for all congress activities. On
behalf of EFIC, I would like to encourage you to join us at this outstanding pain congress in

EFIC is a multidisciplinary professional organisation in the field of pain science and pain medicine, made up of 35 European
chapters of IASP (International Association for the Study of Pain). Established in 1993, EFIC's 35 constituent chapters represent
nearly 20,000 scientists, physicians, nurses, physiotherapists, psychologists and other healthcare professionals across Europe
who study pain and treat patients in pain. The majority are clinicians practicing in clinical management of pain. EFIC will serve
to advance research, education, clinical management and professional practice related to pain, and function as an authoritative,
scientifically based resource concerning policy issues related to pain and its management.
EFIC® AIMS
Promotion of “Pain” as applied to all three categories: Research, Education and Clinical Management.
The specific aim is to create a forum for European collaboration on pain issues and to encourage communication at a European
level between IASP Chapters, and also with other bodies interested or involved in the fields of pain research and therapy such
as the European societies or federations of medical specialties (anaesthesiology, neurology, headache, palliative care etc.),
institutions of the European Community, European and national educators and legislators.
Examples of pain issues that may be dealt with by EFIC:
» The epidemiology of acute and chronic pain in Europe.» The availability of pain treatment facilities.» The interface between patient needs and treatment facilities.
» The recognition of differences in therapeutic strategies and pain education within Europe.
» The harmonization of such differences.
» Review of existing curricula and plans for training of pain specialists (it might be desirable to develop a European academy to
accredit pain specialists, possibly by examination).
» Setting standards for diagnosis and treatment of chronic pains of different types and mechanisms.

For the above Satellite Symposium packages, the following applies:
» Special time slots will be designated and will be allocated on a “first come, first served” basis.
» The sponsoring company for the Satellite Symposia may select speakers and topics.
» The sponsoring company, in addition to the sponsorship fee, must cover all speakers’ expenses, including registration fees,
accommodation and travel expenses. This also applies in the case where the Symposium speakers have already been invited
by the Congress.
» Satellite Symposia programs are subject to approval by the Scientific Committee of the Congress. In case where the scientific
committee will disapprove the Satellite Symposia program, each party will be entitled cancel the Satellite Symposia booking
without paying any penalty for the cancellation or for any damages caused by the cancellation to the other party. Accordingly
upon such cancellation neither of the parties will have any claims, demands, suits, towards the other.

EXHIBITION OPPORTUNITIES
The commercial/technical Exhibition will be held at the Reed Messe Congress Center. The floor plan will be designed to
maximize Exhibitors’ exposure to the delegates.
The Exhibition Floor Plan will be posted online shortly. In the meantime, as companies are expressing an interest in securing
their preferred exhibition spaces, we are pleased to receive your preliminary bookings. All spaces will then be allocated based
on the reservations received, on a first come, first served basis.
Space Only Rental (Minimum of 12 SQM)
The price for space only is € 600 (+VAT*) per square meter. This includes:

ALLOCATION OF EXHIBITION SPACE
Space Allocation will be made on a “first come, first served" basis. A completed Exhibition Booking Form and Contract should
be faxed / emailed to ensure reservation of a desired location. Upon receipt of the Exhibition Booking Form and Contract, space
will be confirmed and an invoice will be mailed. Please note that three alternative choices should be clearly indicated on the
application form. Space allocations will be made in the order in which application forms with payment are received.

EXHIBITOR BADGE
All exhibitors are required to be registered and will receive a badge displaying the exhibiting company name. Two exhibitor
badges will be given for the first 9 SQM booked and one additional for each 9 SQM after. Any additional exhibitors will
be charged an exhibitor registration fee of €95 including VAT. Companies can purchase a maximum number of exhibitor
registrations as follows:
Booths of up to 60 SQM – 15 exhibitor registrations
Booths larger than 60 SQM – 25 exhibitor registrations
Exhibitor registrations allow access to the exhibition area only and shall be used by company staff only. An exhibitor registration
form will be included in the Exhibitor’s Manual.
REDUCED REGISTRATION FOR EXHIBITORS
Exhibitors will be entitled to “upgrade” their Exhibitor Badge to a Full Registration badge at a reduced fee of €190 including VAT
(applicable only for the free exhibitors’ badges each company is entitled to with their booth).
EXHIBITORS’ TECHNICAL MANUAL
An Exhibitors’ Technical Manual outlining all technical aspects of exhibiting will be circulated 3 months prior to the Congress. It
will include the following:

SITE INSPECTIONS
Exhibitors and Sponsors are free to visit the Congress venue at their convenience. Please contact the venue directly to arrange

EXHIBITOR PROFILE
Upon receipt of the booking form, you will be asked to please upload a 100-word Exhibitor Company/Product profile to a
provided link. This will be published in the list of exhibitors in the Final Program.

Applications for Sponsorship and/or Exhibition must be made in writing with the enclosed booking enquiry form.
CONTRACTS AND CONFIRMATION
SPONSORSHIP TERMS & CONDITIONS
Terms and Conditions of Sponsorship are included in this Prospectus and will be included in the Sponsorship agreement. Once a
Sponsorship Booking Form is received a contract will be sent to you for signature with an accompanying invoice. This contract
should be signed and returned with a 60% deposit payment to the Sponsorship. Upon receipt of the Sponsorship Booking
Form the organiser will reserve the items listed in it. Completion of the Booking Form by the Sponsor shall be considered as a
commitment to purchase the items.
EXHIBITION TERMS & CONDITIONS
The Terms and Conditions of exhibiting are included in this Prospectus. Please note that signing of the EXHIBITION BOOKING
FORM AND CONTRACT indicates acceptance of these Terms and Conditions. The Exhibition Booking Form will be held as a valid

All payments must be received before the start date of the Congress. Should the Sponsor fail to complete payments prior to the
commencement of the Congress, the Organizer will be entitled to cancel the reservation while cancellation will be subject to
cancellation fees as determined below.

CANCELLATION / MODIFICATION POLICY:
Cancellation or reduction of sponsorship items must be made in writing to the Industry and Liaison Sales Associate (Contact
information can be found in the “General Information” Section, above.)
The organizers shall retain:
» 10% of the agreed package amount if the cancellation/ modification is made before January 10th 2015, inclusive
» 50% of the agreed package amount if the cancellation/ modification is made between January 11th, 2014 – April 10th, 2015

TERMS AND CONDITIONS
These terms are the contractual agreement between the Organizer and the Exhibiting / Supporting Firm (Exhibitor/s /
Supporter/s).
Application to Participate
Application to participate will be considered only if submitted on the appropriate forms, duly completed. Registration will be
confirmed insofar as space is available. Applicants will be informed in writing of the acceptance or refusal of their application.
In case of refusal, all payments shall be fully refunded. In case of acceptance Supporter/Exhibitor will be bound by the Terms and
Conditions listed in the prospectus and/or contractual agreement.
Obligations and Rights of the Exhibitor/Supporter
Registration implies full acceptance by the Exhibitors/Supporter of the exhibition / Support regulations. Any infringement of
these regulations may lead to immediate withdrawal of the right to participate in the Conference without compensation or
refund of sums already paid, and without prejudice to the Exhibitor/Supporter.
By submitting an application to participate, the Exhibitor /Supporter make a final and irrevocable commitment to occupy the
space /items allocated and to maintain his/her installation until the date and time fixed for closure of the event.
The Exhibitor/Supporter may only present on his/her stand or space the materials, products or services described in the
application to participate.
No advertising on behalf of firms not exhibiting is permitted in any form whatsoever. Transfer or sub-letting of all or part of the
allocated spaces is prohibited.
Obligation and Rights of Organizer
The Organiser undertakes to allocate exhibition space/Support items space as far as possible on the basis of the preference
expressed by applicants. Application will be considered in order of receipt of application forms accompanied by payment.
The Organiser reserves the right, in case of absolute necessity, to modify the positioning of stands, with no obligation to provide
compensation to Exhibitors/Supporter. The Organiser reserves the right to offer to a different firm any stand, space or Support
item that has not been occupied by the event of the opening of the Conference, with no obligation to provide compensation to
the defaulting Exhibitor / Supporter.
Liability Insurance
Equipment and all related display materials installed by Exhibitors / Supporter are not insured by the Organizer, and the
Organizer under no circumstances be liable for any loss, damage or destruction caused to equipment, goods or property
belonging to Exhibitors / Supporter. The Exhibitor / Supporter agrees to be responsible for his property and person and for
the property and persons of his employees and agents and for any third party who may visit his space through full and
comprehensive insurance, and shall hold harmless the Organizer for any and all damage claims arising from theft and those
perils usually covered by a fire and extended-coverage policy.
Exhibition Regulations
The Exhibition Manager, acting under direction of the Organizing Committee, has the final decision as to the acceptability of
displays. Exhibitors are not to share with others any space allotted to them without prior written consent by the Exhibition
Manager.
The Organizer reserves the right to alter the general layout or limit the space allotted to each Exhibitor / Supporter, postpone
the exhibition or transfer it to another site if unforeseen circumstances warrant such action. Should any contingency prevent
the holding of the exhibition, the Organizer will not be held liable for expenses incurred other than the cost of exhibit space
rental fees.
