The! anecdotes!of!inaccurate,!disparate,!untimely,!and!unavailable!data!were!numerous.!! In!the!“visioning”!session,!as! well!as!many!of!the!focus!groups,!a!desire!for!a!“data$driven*environment"that"provides"intuitive"reporting"capabilities" with" native" business" intelligence," which" will" give" UGA" constituents" drill9down" functionality," the" ability" to" run" queries," perform"trend"analyses"and"access"historical"data"for"reporting"purposes”!was!articulated.!! As!a!result!of!this!feedback!UGA!is!embarking!on!establishing!a!formal!reporting!strategy!that!looks!at!the!collective! needs!of!the!UGA!community,!provides!tools!and!solutions!to!facilitate!data!access,!and!sets!expectations!for!data! usage!and!consistency.!UGA!has!enlisted!CPS!to!conduct!an!“intermediate”!discovery!and!options!study!to!address! the!reporting!issues!in!the!interim!as!a!full!Financials!and!Human!Resource/Payroll!ERP!direction!is!determined.! The!following!report!provides!the!results!of!this!evaluation.! The! data! for! this! evaluation! was! collected! using! a! variety! of! methods.! These! included:! (1)! information! gathered! during!the!original!Options!Assessment!interviews!and!focus!groups;!(2)!a!survey!across!the!institution!to!gather! current!and!desired!reporting!needs!and!activities,!as!well!as!data!sources;!(3)!interviews!with!selected!UGA!power! users!to!review!survey!results!and!further!discuss!reporting!needs;!(4)!interviews!with!peer!institutions!who!are! considered! strong! in! their! approach! to! institution! reporting;! and! (5)! high! level! information! gathered! regarding! solution!providers!in!relation!to!this!project.!!!! The! information! collected! to! support! this! effort! has! continued! consistent! in! its! findings.! ! Reporting! includes! stakeholder! needs! around! data! access,! improved! accuracy,! and! increased! transparency.! ! Reporting! needs! are! various!and!greatly!depend!on!the!type!of!user,!but!generally!fall!into!the!following!categories:! ! ! ! • Easy3to3use!and!comprehensive!reporting!tools!I!EasyItoIuse!and!comprehensive!reporting!tools!I!The! definition! of! "easyItoIuse"! varies! by! user,! but! most! stakeholders! are! looking! for! a! reporting! tool! that! exceeds!the!usability!of!Arrow,!combined!with!the!power!of!QMF.!!Currently,!no!such!solution!exists!within! UGA.!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!! • Self3service! for! functional! users!I!Knowledge!workers!from!both!central!Finance/HR!and!departmental! offices!expressed!the!need!to!develop!their!own!adIhoc!reports,!without!requiring!the!assistance!of!the!IT! team.!!This!was!supported!by!central!leadership!and!EITS!personnel.!! • Increased!historical!data!–!The!current!systems!are!limited!to!25!months!of!financial!data!and!36!months! of! HR! data,! which! is! viewed! as! insufficient.! ! Limited! historical! data! makes! it! difficult! to! create! multiIyear! analytical!reports.! • Data! warehouse! or! data! marts! –! Users! demonstrated! the! need! for! both! pointIinItime! and! realItime! reporting,!which!may!require!the!use!of!a!data!warehouse!or!multiple!data!marts.!!A!data!warehouse!will! provide!added!depth!of!reporting!as!well!as!snapshot!capability!for!analytics.! • Increased! reliability! and! trust!–!Users!mentioned!that!it!was!difficult!to!trust!the!data!in!their!reports,! because! there! was! not! generally! one! “authoritative! source”! that! met! both! centralized! and! decentralized! reporting!demands.! ! UGA! to! compile! a! list! of! reporting! requirements,! including:! 1. Background!information!(names,!origin!and!sources!of!existing!reports!campus!uses!today)! 2. Common!reports!compiled!by!various!units! 3. Technical! and! functional! reporting! requirements! which! will! enable! design! and! implementation! of! data! warehousing!and!new!reports!in!the!immediate!timeframe.! 4. Future!desired!requirements!for!financial!and!human!resource!reporting!needs.! This! Reporting! Requirements! List! will! enable! UGA! to! understand! data! reporting/analysis! needs,! the! current! manner!in!which!the!requirements!are!being!satisfied,!and!how!to!implement!immediate!improvements!in!a!userI friendly!context!and!meet!the!needs!of!nonIfinancial!as!well!as!financial!users.!Desired!future!state!requirements! will!also!be!of!benefit!in!the!larger!assessment!and!readiness!project.! Many! modern!systems!have!control!alerts!and!warning!built!in,!which!would!likely!reduce!the!total!number!of!reports! needed!in!these!areas.! Benefits! accounting! (20! reports),! Facilities! (14! reports),! Fixed! Assets! (4! reports)! and! Grants! and! Contracts! (21! reports)!may!have!an!underIreported!number!of!reporting!requirements.! The*Largest*number*of*reports*(42%)*are*used*once*a*month*or*less.* ! Most!of!the!identified!reports!were!pointIinItime!reports!(73%)!used!for!control!purposes,!generated!monthly!(or! less).! Of!reports!generated!monthly!or!less,!47%!were!Payroll!focused!(121!reports).! ! ! ! ! ! FI/HR!Reporting!Analysis!for!University!of!Georgia!|!Page!4! ! ! ! Most*Power*Users*require*Point$in$time*data*(84%),*Most*Casual*Users*require*Real$time* data*(72%).* ! PointIinItime!data!is!high!for!Power!Users!due!to!the!high!number!or!formal!reports!and!reports!used!for!control! purposes.!! Most*reports*are*needed*for*Power*Users*(83%).* ! High!percentage!of!reports!for!staff/administrative!users!may!be!due!to!lack!of!system!control/alert!functionality! and!overall!perceived!reliability!of!numbers.!!This!percentage!may!be!decreased!with!the!implementation!of!a!new! system,!since!less!reports!will!likely!be!required!for!compliance!monitoring!and!reconciliation.!! Lack!of!external!reports!indicates!that!report!listing!is!incomplete!for!external!reporting!requirements.! ! ! ! ! ! FI/HR!Reporting!Analysis!for!University!of!Georgia!|!Page!5! ! ! ! Most*reports*are*available*today*(93%).* ! The! survey! revealed! that! a! majority! of! reports! were! “available! today”! (93%)! which! is! contrary! to! what! CPS! discovered!in!the!Options!Assessment!Report.!!In!the!Options!Assessment!Report,!13%!of!stakeholders!identified! “Reporting”!as!the!biggest!opportunity!for!improvement.!!The!inconsistency!suggests!that!UGA!users!want!better! reporting,!but!may!have!focused!more!on!the!status!quo!for!the!Reporting!Listing.!! ! Conclusions* A!few!high!level!conclusions!from!the!above!insights:! • • • A!large!portion!of!current!reporting!efforts!is!directed!to!control!and!compliance!due!to!the!current!Finance! and!HR/Payroll!computing!environments.!!This!should!see!a!dramatic!decrease!with!a!new!system!that!will! automate!and!integrate!much!of!this!process.! There!was!little!use!of!reporting!submitted!in!what!would!be!considered!“business!intelligence”!use!or! planning!purposes,!and!this!is!most!likely!due!to!limitations!of!the!current!environment,!as!well!as!lack!of! trust!in!overall!data.! There!also!was!little!submitted!in!the!form!of!future!desired!reports.!!As!stated!above,!this!may!have! represented!a!focus!on!the!status!quo!in!the!completing!of!the!survey.!!However,!the!interviews!also!led!us! to!the!belief!that!with!a!new!reporting!environment!it!is!imperative!that!training!be!required!to!assist!staff! to!understand!the!capabilities!and!environment!now!available!to!them.!!The!options!considered!later!in!this! report!truly!will!present!a!new!world!to!UGA!in!the!area!of!reporting!access!and!capabilities.!
