Background!
One! of! the! prominent! outcomes! of! the! Financial! and! Human! Resources/Payroll! ERP! Options! Assessment! report!
that! CPS! delivered! in! May! 2014! was! the! need! for! upgraded! campusIwide! reporting! tools! and! capabilities.! ! The!
anecdotes!of!inaccurate,!disparate,!untimely,!and!unavailable!data!were!numerous.!! In!the!“visioning”!session,!as!
well!as!many!of!the!focus!groups,!a!desire!for!a!“data$driven*environment"that"provides"intuitive"reporting"capabilities"
with" native" business" intelligence," which" will" give" UGA" constituents" drill9down" functionality," the" ability" to" run" queries,"
perform"trend"analyses"and"access"historical"data"for"reporting"purposes”!was!articulated.!!
As!a!result!of!this!feedback!UGA!is!embarking!on!establishing!a!formal!reporting!strategy!that!looks!at!the!collective!
needs!of!the!UGA!community,!provides!tools!and!solutions!to!facilitate!data!access,!and!sets!expectations!for!data!
usage!and!consistency.!UGA!has!enlisted!CPS!to!conduct!an!“intermediate”!discovery!and!options!study!to!address!
the!reporting!issues!in!the!interim!as!a!full!Financials!and!Human!Resource/Payroll!ERP!direction!is!determined.!
The!following!report!provides!the!results!of!this!evaluation.!
The! data! for! this! evaluation! was! collected! using! a! variety! of! methods.! These! included:! (1)! information! gathered!
during!the!original!Options!Assessment!interviews!and!focus!groups;!(2)!a!survey!across!the!institution!to!gather!
current!and!desired!reporting!needs!and!activities,!as!well!as!data!sources;!(3)!interviews!with!selected!UGA!power!
users!to!review!survey!results!and!further!discuss!reporting!needs;!(4)!interviews!with!peer!institutions!who!are!
considered! strong! in! their! approach! to! institution! reporting;! and! (5)! high! level! information! gathered! regarding!
solution!providers!in!relation!to!this!project.!!!!
The! information! collected! to! support! this! effort! has! continued! consistent! in! its! findings.! ! Reporting! includes!
stakeholder! needs! around! data! access,! improved! accuracy,! and! increased! transparency.! ! Reporting! needs! are!
various!and!greatly!depend!on!the!type!of!user,!but!generally!fall!into!the!following!categories:!

Easy3to3use!and!comprehensive!reporting!tools!I!EasyItoIuse!and!comprehensive!reporting!tools!I!The!
definition! of! "easyItoIuse"! varies! by! user,! but! most! stakeholders! are! looking! for! a! reporting! tool! that!
exceeds!the!usability!of!Arrow,!combined!with!the!power!of!QMF.!!Currently,!no!such!solution!exists!within!
UGA.!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!

Self3service! for! functional! users!I!Knowledge!workers!from!both!central!Finance/HR!and!departmental!
offices!expressed!the!need!to!develop!their!own!adIhoc!reports,!without!requiring!the!assistance!of!the!IT!

A!few!high!level!conclusions!from!the!above!insights:!

A!large!portion!of!current!reporting!efforts!is!directed!to!control!and!compliance!due!to!the!current!Finance!
and!HR/Payroll!computing!environments.!!This!should!see!a!dramatic!decrease!with!a!new!system!that!will!
automate!and!integrate!much!of!this!process.!
There!was!little!use!of!reporting!submitted!in!what!would!be!considered!“business!intelligence”!use!or!
planning!purposes,!and!this!is!most!likely!due!to!limitations!of!the!current!environment,!as!well!as!lack!of!
trust!in!overall!data.!
There!also!was!little!submitted!in!the!form!of!future!desired!reports.!!As!stated!above,!this!may!have!
represented!a!focus!on!the!status!quo!in!the!completing!of!the!survey.!!However,!the!interviews!also!led!us!
to!the!belief!that!with!a!new!reporting!environment!it!is!imperative!that!training!be!required!to!assist!staff!
to!understand!the!capabilities!and!environment!now!available!to!them.!!The!options!considered!later!in!this!
report!truly!will!present!a!new!world!to!UGA!in!the!area!of!reporting!access!and!capabilities.!
