Oktoberfest 2009
William Reid is a great school in a great community. “Oktoberfest” is a testament to this
fact. For the last 5 months the Oktoberfest committee has been meeting and organizing
for this grand occasion. We have received donations from students, former students,
local community businesses, our fantastic teachers and of course you!!
Primarily Oktoberfest is a fundraiser that adds to the annual budget of our School
Council. Monies collected go to extra items for the school that make it unique. In the
past, this money has been used to purchase additional library materials, to advance our
computer lab, to support the artist in residence programs and add new musical
instruments to the music program.
However Oktoberfest is also a meet and greet! William Reid has a very social
community and we hope to add to this by meeting parents new to the school. We
welcome you and hope that you feel included in this community.
Thanks again to all teachers, staff, students and parents who have very generously
contributed their time for this fundraiser. Without you this event would not be what it is a success!

Silent Auction Procedure
1. Print your name legibly onto the bid sheet of the item you would like to bid on.
2. Beside your name, write the amount you are willing to pay for the item.
3. Some of the items have a Reserve Bid price that is lowest amount that the item
can be purchased for. Check the bid sheet for this information.
4. The bids must increase by the increments indicated on the bid sheet. ($1.00,
$5.00 or $10.00 increments)
5. Areas have color coded bid sheets with color matching balloons. An
announcement will be made 5 minutes prior to the closure of an area. The
closures will happen at 9:15, 9:30 and 9:45. When you hear or see balloons being
popped that means that specific silent auction area is now closed and the bid
sheets will be collected.
6. The bid sheet will be marked off and the purchaser’s name and amount will be
highlighted when the 5 minute limit is over.
7. Bring your bid sheet to the cashout area. Cash, cheque and Visa are accepted.
8. If the bid item includes a gift certificate, the cashier will give it to the purchaser at
the same time as payment is made.
9. A written receipt will be provided.
10. Purchasers can wait until the end of the night and accumulate their items if they
wish OR pay for them as the night progresses. Cashier opens at 9:15.
11. Items are the responsibility of the purchaser once they are paid for.
12. All purchased items must be taken at the end of the evening.
Live Auction Procedure
1. Auction items for the Live Auction are located in a designated area for prior
viewing.
2. The Live Auction begins at 8:30.
3. The auctioneer will start with Item #1 and proceed chronologically.
4. The auctioneer will ask for a specific bid to begin the bidding process.
5. A person willing to pay that amount will raise their orange bid card to let the
auctioneer know they want to bid.
6. The auctioneer will acknowledge that the person’s bid has been accepted and will
ask for further bids.
7. The item will go to the highest bidder. That person will be acknowledged and
their name recorded by the auctioneer assistant onto the bid sheet.
8. The purchaser of the item takes the bid sheet t the cashier and pays for it. (Same
process as the Silent Auction)
General Auction Rules
All sales are final and items are sold as is. There will be no exchanges unless otherwise noted.
Payment in full must be made to night of the auction. Please bring your cheque book, cash or
Visa. We would prefer to take cheques or cash and their is an ATM at Belgo.
In the event of a dispute involving an auction item, the decision by the Fund-raising Committee
Chairperson will be final.
Every effort is made to properly catalogue and describe all auction items, however, William Reid
School Oktoberfest Fundraising Committee and/or William Reid School Council will not be
responsible for the correctness of the description, genuineness, authorship or condition of the
auction item purchased.
Due to production deadlines, some of the auction items may not be listed in the auction brochure.
