On-Line Open Enrollment
Dear OWU Faculty and Staff,
Welcome to our 2015-2016 on-line open enrollment for benefits using OWU’s ADP Pay and Benefits website. Our on-line
enrollment process allows you to select the benefits that best meet the needs of you and your family in an easy,
straightforward and convenient format. You are able to click through your benefit options at any time that works for your
schedule as long as you have an internet connection. You will use the same ADP website that you are now used to accessing
for your pay advices, W-2 information and other pay and benefits information. For reference purposes, it is best to print a
copy of your current benefit statement before you begin your Open Enrollment session. This can be accomplished by logging
into the ADP site, select the “Benefits” button drop down to “Review/Change Benefits”.
Some important notes for the 2015-2016 on-line benefits enrollment:








The data update wizard will be turned on for the open enrollment process, so you will need to verify all your
personal information before proceeding to open enrollment.
You must go through and complete your open enrollment by May 15, 2015. Everyone must go through open
enrollment to continue your current benefit choices and to select new options.
Open enrollment is the one time each year where you can make changes to your benefit elections without needing a
qualifying event as per IRS regulations.
Your current Flexible Spending Account elections will not default into the system since the IRS requires you to make
an election for these plans (Medical and Dependent Care) each year. Again, you can easily view your current
elections within the system.
All your other current benefit elections will default into the system. If something does not appear to be correct,
please notify us immediately.
The only benefit you cannot make changes to within the system are your retirement plan contributions (Please note
that the University’s contribution of 10, 11 or 12% does not show on the benefit side of ADP, but it is actively
working on the payroll side and the contributions are being made.
Dental provider MetLife is back for fy 15-16, and the Ameritas plan benefit will be terminated effective 6-30-2015.
You must actively elect MetLife in order to receive dental coverage as the plan will not carry to the new provider
unless you elect Dental coverage with MetLife through Open Enrollment.
You will note a deductible and rate change to our existing Anthem plan effective July 1, 2015.
The Open Enrollment period will begin on Monday, April 27, 2015 through Friday, May 15, 2015. All changes to your
benefits must be completed by 5 pm on Friday, May 15. The changes will become effective on July 1, 2015, and will remain
in effect through June 30, 2016.
To start the on-line open enrollment process, you will need your user name and password that you set up to access OWU Pay
and Benefits site through ADP.
All the information you need to complete your on-line open enrollment session is set-up in the OWU ADP Pay and Benefits
Website. While you are going through on-line open enrollment, you can open the documents on your screen with just a click
of your mouse. Please take the time to go through each screen of open enrollment. This is an active Open Enrollment
process which means you must actively enroll in each benefit to continue coverage. The following pages will take you step
by step through the process with helpful hints and suggestions.
Should you need assistance, the Human Resources Department is available to help you through this ADP Open Enrollment

On-Line Open Enrollment
1. Log onto the OWU ADP Pay and Benefits website at https://portal.adp.com using your user name and
password. Save this website to your favorites so that you can access your employee benefits information at
anytime throughout the year. You can log onto the system from anywhere that you have internet access and it
is available to you 24/7 throughout the year. You can also access the system from the OWU Human Resources
website.
TIP #1 – Remember your user name is your first initial and complete last name @ owu.edu and not your OWU e-mail
address. If you forgot your password follow the instructions for forgetting your password.
TIP #2 - If you haven’t yet registered for the OWU ADP Pay and Benefits website please use the OWU I-Pay Self Service
Guide available on our HR website on myOWU. The registration code is owu.edu-pays
Tip #3 – You may have to try a different internet browser if you have trouble accessing the ADP site. Internet Explorer
works best. ADP continues to make additional enhancements to their program to allow other browsers to work just as
well and will let us know when those enhancements are released.

2. Data Update Wizard – Once you have logged in successfully, you will be taken to the Data Update Wizard page
where you will need to review and update any of your personal information. It is important that this
information be filled out completely and accurately because this information will be sent directly to our benefit
carriers. This includes address, birth date and social security numbers for you and your covered dependents.
Please click on the OWU Standards to ensure that you are inputting information into the system correctly.
Everyone must follow the approved OWU data entry standards. Click on the OWU Standards on the right side
of the page to view the standards. If the data standards are not followed your updates will be rejected and you
will be asked to update your information again.
TIP #4 – Update all sections of the Data Update Wizard. We want to make sure the information is accurate and up to
date. Click NEXT to move through the system (do not use enter).
TIP #5 – If you add a dependent or make other changes to your information, you will need to wait until your updates
are accepted by HR before you can move to on-line enrollment for benefits. We will be checking and accepting updates
regularly, but there might be a slight delay.
TIP #6 – Be sure your campus location and telephone number are correct. HR has not always received updates on this
information, so we want to make all information as accurate as possible.
TIP #7 – After open enrollment, you will be able to update your personal information at any time through the system.
Some changes such as a name change or dropping or adding dependents to benefits will require further
documentation.

3. Go to Benefits and Click on “Review/Change Benefits” to get started on your On-line Open Enrollment.
At any time, you can review your current benefit elections (2013-2014 benefits elections) by clicking on the
“current pay and benefits” drop down. You can also print off your current benefit elections from the system to
use as you walk through the process.

4. A wizard based Enrollment Tool will open. It is recommended that you select “Walk Me Through This
Process” (1st option) since this is an active benefits enrollment process. An active benefits enrollment
means that you will need to select your benefits for 2014-2015 in order to continue coverage after 7-12014. Click on the Start>> button to begin your On-line Open Enrollment process.

Individual Benefits Choices:
All of the choices for each benefit will be displayed. Elect the benefit that you want and also select and who should be
covered on the plan (yourself, your spouse, or your dependents). If one of your dependents doesn’t come up as choice
to be covered, this means you need to add them to the system. You can do this by clicking on “add dependent”. Once
you have added a dependent, this will generate an “action” in the ADP system that HR will need to accept or reject
before you can add that dependent to your coverages. There is also the option to “Decline” coverages.
You can check your progress while you make changes or stop in the middle to return later and the system will
remember where you stopped. You can make changes as often as you like during the open enrollment period. All final
changes need to be completed by 5 pm on Friday, May 9.
Remember – your benefit elections will not be live in payroll until July 1, 2014. So even if you hit submit and you
need to make further changes, we can still make changes for you.
You can view your current enrollments by clicking on the View/Print Benefits Statement on the Welcome Screen on
HRB Employee Review/Change Benefits screen.

current enrollments to aid you in completing your On-line Open Enrollment.

Now you are ready to start the On-line Open Enrollment process.
1. Review the Anthem PPO options and select the option that best fits your situation. You will need to select
the PPO option where your CURRENT salary falls. If you select Anthem coverage and salary increases
occur for a July 1, 2014 effective date or after, your deduction amount could change. Human
Resources/Payroll will make the deduction change in ADP. After you select your PPO option, you will
need to click on the Continue>> button to move forward in the Open Enrollment process.
2. Click on the sidebars on the right hand side of the screen to access plan summaries, plan changes effective
for July 1, 2014 and other information about your benefits.

3. Select the Ameritas Dental program you wish to enroll in – Basic (Low Plan) or Preferred (High Plan) Dental
Plan or Decline Coverage. Click the Continue>> button to move forward in the process. Remember to click on
the side bar for information about the differences between the two plans.

4. Select the VSP Plan you wish to enroll in – the Core Plan or the Buy Up Plan. Remember, to click on the
sidebar information for plan summaries and differences between your two options.

5. Complete the Same Sex Domestic Partner information, if applicable to your situation. Review the
Domestic Partner Summary for more detail on the tax implication of same sex domestic partner benefits.
Complete the Domestic Partner Affidavit and return to Human Resources.

6. Flexible Spending Account – Medical Reimbursement – Input the annual amount you wish to contribute
to the FSA for the 12 month period beginning July 1, 2015 through June 30, 2016. Remember, the FSA
Medical amount is $2,550 per year. You may enroll in the FSA without enrolling in medical, dental,
and/or vision insurance. For a list of eligible expenses, please click on the FSA quick reference guide on
the right hand side.

7. FSA – Dependent Care – You can contribute up to $5,000 in a dependent care FSA. Please indicate the
amount to withhold or decline the coverage.

10. Employee Voluntary Term Life / AD&D – Your opportunity to purchase additional life insurance or
increase your coverage amount – please review the information on the Sidebar (right side of the screen)
to determine the correct amount of life insurance for you and your family. If you enroll for the first time
or increase your coverage, you will need to complete the Evidence of Medical Insurability form found on
the sidebar (right side of the screen).

11. When you have completed your benefits enrollment, please review the Benefits Summary generated in
the ADP system. Remember, you must actively enroll in benefits to ensure you will have coverage during
the plan year – July 1, 2015 – June 30, 2016.
Remember you do not have to submit your benefits right away. You can print your 2015-2016 benefit elections or
return to review any benefit area before submitting.
Please remember that every time you make a change in the system, you will need to wait for Human Resources
to approve that change. This includes the Data Update Wizard.
For example, if you add a dependent, you will not be able to add that depend to your benefits until HR has
approved adding the dependent.

Submitting your benefit choices to HR. Please remember to hit “Submit to Administrator” when you have
completed the enrollment process. When your changes are complete, the ADP system will display a screen with
Changes Submitted Successfully. Click on View/Print Summary of Changes for a print out of your changes.
You may also get a screen that lists any errors or follow-up documentation that is needed to complete your
benefits enrollment. Examples of documentation required could be Evidence of Insurability form for Life
Insurance.

Congratulations – you have now successfully completed your on-line open enrollment. Your 2015-2016 benefit
elections will be sent to Human Resources, where we will review your choices and approve them in the system.
Once your on-line open enrollment has been approved, you will receive a confirmation email. If you need to make
changes after submitting your benefit elections and it is prior to May 15, 2015, you can log back into the system
and make the necessary changes, then resubmit your benefits to the Administrator. No Changes are allowed after
the Open Enrollment period ends 5-15-15.

It is possible to log back into the ADP Portal at any time during the year to review your benefit elections, update
personal information, or access your paycheck information.
Qualifying Event changes can be made by contacting Human Resoruces.
REMEMBER: Your 2015-2016 Open Enrollment Selections of Benefits will be active on 7/01/2015.
