PSA System (Mandatory)
Deadline for making appointments through PSA online is on 10 September, 5:00 PM Vietnam Time.
The link with username and password for online access to the Pre-Scheduled Appointment was sent to all Hosted Buyers
who sent confirmation of attendance. If you have not received yours please do drop us an email:

2. International Buyers can make appointments with ALL Sellers on 10 & 11 September.
3. All Hosted Buyers should fulfill 25 appointments with Sellers through the PSA System.
Actual Buyer-Seller meetings will happen on 10 & 11 September.
4. The printed PSA Meeting Diary and Buyer’s Badge is included in the Buyer’s Kit (Buyer’s Bag) that will be handed to
you by your respective volunteers assisting you throughout the event.
5. For Hosted Buyers in the PSA: you will still be able to Log-In and View Profiles of Sellers and use the Messaging tool to
contact them.
6. For Hosted Buyers who were not able to submit Online Buyer Registration and did not make it to the PSA, please do
not worry. We will prepare the Vacant Meeting Diary Schedule and you can find Sellers during the Speed Trade Dating
to complete your appointments.
Buyer-Seller Speed Business Matching Session / Speed Trade Dating (Mandatory)
9September (10:00 AM – 11:45 AM), SECC Conference Hall, 2nd Floor
All international FIT & GIT Hosted Buyers are expected to attend this session. For buyers who have full appointments, you
will still meet other sellers who would want to network with you. This is also an opportunity to know more products from
our sellers. The session is also a chance for buyers who don’t have complete appointments to set schedule with available
sellers and meet them at their booths on 10 and 11 September for the 20 minutes buyer-seller meetings.
Buyer Seller Meetings (Mandatory)
Hosted Buyers must meet sellers on time as pre-schedule and reflected in the PSA Meeting Diary. It is compulsory for all
buyers and sellers to follow the pre-scheduled appointments.
The PSA Meeting Diary contains the details of pre-scheduled appointments(Time, Company Name of Seller, and Booth
Number). Buyers must fulfill minimum 25appointments happening on 10 and 11 September. There will be complimentary
morning tea break, luncheon and afternoon tea break intervals for all Hosted Buyers.
The Meeting Diary of Buyers must be signed by the Sellers after each appointment. Sellers will rate the Buyers(Buyer No
show, Poor, Average, Good, or Excellent) after each meeting and will be reported to the Advisory Committee. This will
matter for the Buyer’s potential hosting in the future. This is to ensure that Buyers perform potential trade and business
which is the main objective of the Hosted Buyer Programme and its free entitlements.
Mandatory: PSA Meeting Diaries should be returned for Sign-off to Informa at the Show Management Office (Right Side of
the Exhibition Hall Exit), 5:PM, 11 September 2015.
Attire
Business Attire.All Hosted Buyers and Sellers are expected to bring business cards for the various meetings and networking
activities happening as part of the hosting programme.
Flights and Transfers (Important)
Air tickets for Cat A – Fully Hosted Buyers will be subject to the Vietnam Airlines operating routes.
Please keep your Arrival Plane Boarding Passes. This is required and will be collected by the event volunteers assigned to
assist you before they hand your Buyer Kit. Flight Transfers as requested in the Summary Form shall be done upon arrival
of Hosted Buyers. There will be identifiable ITE HCMC Personnel welcoming you before / after the immigration for your
transfer.
Taxis and Shuttle Buses
Taxis in Vietnam are metered. You could take the most popular ones which are Vinasun Taxi and Mai Linh Taxi. From the
airport to downtown Ho Chi Minh costs around 100,000 VND to 150,000VND(USD5 to USD7). It will take you around 25 to
30 minutes to reach downtown.
From downtown HCMC to SECC Exhibition Hall is around 20 minutes and costs roughly the same.
A complimentary 2-way airport transfer will be provided by ITEHCMC 2015 for the Hosted Buyers by the Vietnam tourism
authorities which more details on how to make booking will be released upon confirmation of your categories.
No transfer shall be arranged for any revised flight itinerary received on or after 15 Autust 2015. In which case, you are
required to arrange for own ground transfers and you shall bear the necessary transfer changes.
ITEHCMC 2015 will provide complimentary 2-way airport transfer (Airport-Hotel-Airport) for buyers on the following dates
9, 12 and 13 September 2015 only. Please look out for ITEHCMC 2015 signage at the arrival hall.
If you are travelling with your family or friends, please make separate arrangements for them at your own expenses.
ITEHCMC 2015 is not responsible for transferring your family or friends.
Visa
Visa is required for certain countries for entering Vietnam and it is Buyer’s own responsibility to arrange for their visa
before the trip.
Hotel Accommodation
Hotel allocation is random and buyers are distributed evenly among the hotel sponsors. The allocation of the hotel is at the
discretion of the sponsors and partners and changes are not allowed.
As indicated in your confirmation email after your application, Hosted Buyers will be provided with complimentary hotel
accommodation at one of the official hotels – a maximum stay of four (4) consecutive nights (for buyers from outside
Mekong Sub region) and three (3) nights (for buyers from Mekong Sub Region) in a single room with daily breakfast for one
person from 9 September 2015 (check-in from 1400 hours).
Any extra night outside the hosting entitlement and room upgrading shall be arranged and borne by the buyer.
Hosted Buyers from Asia who arrive before 9 September 2015 (or check-in before 1400hrs on 9 September 2015) and/or
depart after 11 September 2015 (or check-out after 12 noon on 12 September 2015) will be responsible for their own
hotel accommodation charges unless otherwise informed by the Organizer.
Hosted Buyers from outside Asia (including Australia and New Zealand) who arrive before 9 September 2015 (or check-in
before 1400hrs on 9 September 2015) and/or depart after 13 September 2015 (or check-out after 12 noon on 13
September 2015) will be responsible for their own hotel accommodation charges unless otherwise informed by the
Organizer.
Meals and Cocktails
Breakfast: Inclusive at your allocated hotel
Lunch: Please refer to the programme. Meal Coupon must be presented for entry.
Dinner: Please refer to the programme for venue of dinners. Invitation Cards are required before entry for the Gala Dinner
and Cambodia Night.
Cocktail Night: Please refer to the programme for cocktail venues. Cocktail Vouchers must be presented before entry.
Taxi Coupon
Each buyer will receive a single trip taxi coupon found in the kit, this is a free-use-as-you-desire coupon that hosted buyers
could use in lieu of cash, the coupon could only be redeemed through sponsored taxi companies, the sponsored taxi
companies ’ name will be indicated on the coupon. You may use this when you require transport after the post tour
drop-off.
Post Show Tours
The destination management companies handling your post show tours will have an enquiry section on 11:30 AM to 2:00
PM, 9September 2015, SECC Foyer – 2nd Floor (near the luncheon foyer and speed dating venue).
All post-tours have been booked and finalized . No replacement and no exchange, and it will be based on first come first
served.

All post-show tours drop-off will be 5:00 PM at Tan Son Nhat International Airport (except the post tours by air)
Additional costs to be bored by Hosted Buyers
Extra costs and incidental expenses are to be borne by the Hosted Buyer. Please note that the following items are not
included in the Hosted Buyers Package:
Visa application fees
Private and additional transfers for family members
Hotel rooms upgrades
Accommodation for additional nights and additional breakfast (early check-in , late check-out and extension of stay In
Vietnam)

2. Local sightseeing or regional tours

4. All other personal expenses and food & beverage consumptions

All cancellations must be sent to the Hosted Buyers’ Secretariat in writing via email to [email protected]
An additional fee of USD 1,200.00 will be charged if a Hosted Buyer is to cancel his participation after 31 July, 2015.
In the event of “No Show” on arrival date, an additional fee of USD 1,200.00 will apply.
Hosted Buyers who are not present at any of the Hosted Buyer activities; including appointments, official ITE HCMC
2015 functions (including the invitation to social and networking functions) will be deemed as “No Show”.
5. Hosted Buyers who are unable to attend the exhibition may send a substitute. The substitute attendee must be from
the same organization/companyof the registered Hosted Buyerand higher level of position and has to be approved by
informa exhibitions beforehand.
Disclosure
1. ITEHCMC 2015 is organised by informa exhibitions.
2. Individuals who are allowed to participate in the Hosted Buyers Programme must be travel agents, travel managers,
MICE planners and industry professionals who are responsible for making or influencing buying decisions within the
global travel market.
3. Should you cancel your trip to ITEHCMC 2015 on or after 31 July 2015, or fail to attend any of the Hosted Buyers
Programmesand ITEHCMC 2015’s official evening events, or fail to fulfill your required scheduled appointments, you
will be liable to pay the FULL penalty equivalence of 100% hotel charges and cost of evening functions incurred by
the informa exhibitions, a sum of USD 1200.00.
4. By accepting the above terms and conditions, you agree to all relevant data protection legislation to informa
exhibitions and its partners commissioned as part of the Hosted Buyers Programme communicating with you by phone,
fax and e-mail. Your personal information (except credit card details) can be used for internal processing and for
disclosure to third parties such as exhibitors, hotels and transport providers in connection with your ITE HCMC 2015
attendance as a Hosted Buyer. In addition, we may use your details to invite you to other events organised by informa
exhibitions or to offer you other relevant products and services supplied by informa exhibitions or third parties.
5. The hotels, transportation companies and other service providers are independent contractors and are not agents or
employees of informa exhibitions or its affiliates. Therefore informa exhibitions and its affiliates shall not be held liable
for any act resulting thereof and beyond its direct control, including but not limited to overbooking, cancellation delay
and force majeure. Furthermore the participant shall indemnify informa exhibitions and its affiliates of any damage or
loss generated or caused by the participant which informa exhibitions and its affiliates have to bear in relation to third
parties.
6. These terms and conditions shall be governed by and constructed in accordance with Vietnam law.
