November 26, 2012 • First date that 2013/2014 application data will be sent to colleges. • Earliest date that colleges may acknowledge applications. February 1, 2013 • Applications received and paid for on or before this date will be given equal consideration by the colleges. Note: Applicants are encouraged to apply before this date as website volumes are at their highest at this time. This is not a deadline for submitting applications. After this date, applications are still processed, but are considered by the colleges on a firstcome, first-served basis. 2 | ontariocolleges.ca Offer February 1, 2013 • Earliest release of offers by the colleges to all applicants. Offers will continue to be issued until programs are filled or wait-lists are established. Accept February 1, 2013 • Earliest date that applicants may confirm an offer of admission. Note: Students who do not have the entrance requirements may be notified that they do not qualify for admission at any time during the application process. May 1, 2013 • Applicants must confirm their acceptance of an offer of admission to their chosen program through ontariocolleges.ca by this date. Each college will determine the due date to confirm offers made after May 1, 2013. Check your offer letter for details. June 17, 2013 • Earliest date that colleges may require payment of tuition fees. Online Application Information New Users (Account has never been created at ontariocolleges.ca) • To begin an application, go to ontariocolleges.ca/apply • Click the “Sign Up Today” button and complete all required fields • Click “I Agree to the Terms and Conditions” button • Check your email account for a message with your account activation link and complete the required steps OR click on the “Click here to activate your account” link • Login, review and accept the privacy statement • Begin your college application Existing Users (Accounts created between September 28, 2009 and May 17, 2011) that have NOT yet migrated account) • Go to ontariocolleges.ca/apply • Click the “Migrate Account” button and complete all required fields • Click “Verify” • Check your email account for a message with your account activation link and complete the required steps • Login and review your application Note: You will only have to do this once. Subsequent logins should be done using the “Sign In Here” button. Existing/Migrated Users • Go to ontariocolleges.ca/apply • Click the “Sign In Here” button • Login and continue with your application 4 | ontariocolleges.ca Your Email Address – It’s Required! ontariocolleges.ca and many of the colleges communicate with applicants via email. It is very important that the email address you provide on your application is valid and checked often as we use this email address to communicate with you for important information regarding your application, account activation and recovering your username and/or password. Not getting emails? Check your junk and/or spam inboxes for messages, and add the ontariocolleges.ca email address to your safe senders list to ensure future emails are not considered spam. Online Help Click on the “Help” icon located in the top, right of the application for help at any time. Required Fields Fields marked with an asterisk (*) are required. You will not be able to submit the page unless these fields are completed. Required fields include: personal information, such as your name, address, date of birth, citizenship, etc. Your ontariocolleges.ca Application Number – It’s Important! An application number is assigned to you electronically. This unique identifier helps us track your application through the application process. Keep this application number handy so that you can provide it if you need to call the Customer Contact Centre or the colleges. Application Processing Fee ($95) The $95 application processing fee applies to your application. The fee covers all college and program choice changes made to the original application for programs beginning August 1, 2013 through to July 31, 2014. This fee also covers secure online service, email notifications, imaging of paper documents, infrastructure for the online transcript request services, new systems development, staffing, and contact centre support, including extended hours during the peak application period. Your payment must accompany your application. Applications submitted without the application processing fee will not be forwarded to your college choice(s). The date payment is received is considered the date your application is received. There are no exemptions from this fee. Other fees may apply depending upon the type of applicant you are. All fees are NON refundable. Admission Requirements For program-specific admission requirements, applicants should refer directly to college websites and calendars. Links to colleges can be found at: ontariocolleges.ca/find. College and Program Selection Select up to five programs with no more than three program choices at any one college. Colleges will give equal consideration to all program choices listed. List your choices in order of preference. The order of preference can be changed at any time by returning to your online application. 6 | ontariocolleges.ca Processing Your Application ontariocolleges.ca processes college applications but has no part in admission decisions. Returning to a College Program If you previously attended a college program and have been away for a period of time, and now wish to return to the same program at the same college, contact the college admissions office for details on how to apply. Making Changes to Your Application Make changes or check the status of your application online or by calling the Customer Contact Centre at 519 763.4725 or toll-free within Canada at 1 888 892.2228. Any program choice changes made will show the date they are received at ontariocolleges.ca. If changes are received after February 1, 2013 for fall 2013 programs, this may affect the “equal consideration” of your application. Do not submit more than one application for programs with start dates between August 1, 2013 and July 31, 2014. Application fees paid on duplicate applications are NON-REFUNDABLE, so be sure to select and pay for the correct application cycle. Applicants With Special Needs Colleges attempt to provide reasonable support services for students with special needs (for example, learning disability, physical disability). Contact the Special Needs Office at the individual college(s) to explore the services available to you. Early identification of your needs will help make the transition to college a smooth one. Privacy Statement OCAS Application Services, Inc. (“Ontario College Application Service” or “OCAS” or “ontariocolleges.ca” or “ocas.ca”) is committed to protecting the privacy of your personal and academic information and other school records (“Personal Information”). It is important that you read the Privacy Statement provided as part of the online application. Accept the Privacy Statement to continue. Note: If you do not accept the Privacy Statement you will be logged out of the secure online college application and will not be able to complete your application to college. The full privacy statement and privacy code are available online at ontariocolleges.ca. For more information about the collection, use, disclosure and protection of your Personal Information at OCAS, review the Privacy Code or call the Privacy Officer at 519 763.2363, ext. 6816 or email the privacy Officer at [email protected]. It is your responsibility to make sure that the information submitted is truthful, complete and correct, failing which your application may be delayed or invalidated. You must also take appropriate measures to safeguard login information and any printed copies of the completed application. 8 | ontariocolleges.ca Transcripts and Supporting Documents Important Information for All Applicants • All applicants are responsible for ensuring that complete transcripts and/or supporting documents arrive at ontariocolleges.ca. • All academic records (transcripts), that cannot be submitted electronically, must be mailed in a sealed envelope directly from the issuing school, to be considered official. • If you cannot request a required document through one of our electronic services, mail your documents to ontariocolleges.ca. Include your application number and/or account number with your documents. (The number may be written on the outside of the sealed envelope). Current Ontario High School Students If you are currently attending or have graduated and returned to high school (either on a full- or part-time basis), your high school will send your transcripts to ontariocolleges.ca for you. After your application processing fee has been received and processed, you will be able to view your grades through your application in the “Education” section. Check your grades in early March, mid-May and mid-July. See your guidance counselor if your grades are missing and/or incorrect. Attending Ontario Night School, Summer School, or Taking Correspondence Courses? You are responsible for contacting your school to request that proof of registration and all subsequent interim reports and final transcripts for these courses are forwarded to ontariocolleges.ca. Former High School Students If your high school participates in the electronic transcript process (eTMS), you will be prompted to request your high school transcripts as part of your online application (A fee may apply). For a list of participating high schools, click here. If your school does not participate in eTMS, contact the high school you last attended and request that one official transcript be mailed to ontariocolleges.ca. (Applicable transcript fees are set by individual schools. General Education Diploma (GED) holders Arrange to have your GED results forwarded to ontariocolleges.ca. Mature Students Mature students are those applicants who are 19 years of age or older by the first day of college and do not have a high school diploma (OSSD or OSSC) or General Education Diploma (GED). Mature students are still required to complete course prerequisites and are encouraged to contact the college regarding the mature student admission process. NOTE: If you completed high school, even decades ago, you are considered a high school graduate. Academic Upgrading If you are currently studying or have studied courses up to grade 12 level (or equivalent) at a college, in preparation for admission to a college program, request your transcripts online as part of your application. If this option is not available, contact the college which you attended to obtain your transcripts. 10 | ontariocolleges.ca Ontario College or University Graduates / Students If you have attended a publicly-funded Ontario postsecondary institution, you are required to provide this information in your application. Based on the education information you provide, a transcript request will be created as part of your online application. Follow the screen prompts to send your transcript information to the college(s) to which you have applied. Request the appropriate number of official college and/or university transcripts. (One official transcript for each college destination). Transcripts are not required if you are applying ONLY to a college you have previously attended. Paper Ontario college/university transcripts are not accepted. A college and/or university transcript request fee applies for each transcript you request. There is no charge to request transcripts from a college or university with a lifetime transcript fee agreement. Lifetime Transcript Fee The following colleges and universities do not have transcript request fees. Colleges: Algonquin Boréal Cambrian Canadore Confederation Fanshawe Humber La Cité collégiale Universities: Carleton McMaster Loyalist Mohawk Niagara St. Clair St. Lawrence Sheridan Private Ontario postsecondary institution transcripts should be mailed to ontariocolleges.ca directly by the institution. Note: Some colleges may still require your high school transcripts in addition to your college/university transcripts to ensure that prerequisites have been met. Out-of-Province Students (Outside of Ontario – Within Canada) It is your responsibility to request that your out-of-province high school, college, university or other transcripts be forwarded to ontariocolleges.ca by your previous school. Out-of-Canada / Internationally Trained Immigrants Depending upon the program to which you apply, an international document evaluation may be required. Further details will be sent to you once your application is received at ontariocolleges.ca. Check your online applicant dashboard for additional information. 12 | ontariocolleges.ca Proof of Residency Status Also required, is a photocopy of your Record of Landing or other immigration document that shows proof of your residency status. English Language Proficiency If you are applying to a program taught in English, and if English is not your first language, proof of English proficiency is required. English Language Assessment The following are four services that evaluate English language skills of people whose first language is not English. If you have taken language tests not listed, contact the college directly to determine whether they will meet language testing requirements. TOEFL: The Test of English as a Foreign Language – www.ets.org/toefl or call 1 877 863.3546 (Use Institution Code 0211 when taking the TOEFL test) IELTS: The International English Language Testing Service – www.ielts.org. MELAB: Michigan English Language Assessment Battery – www.lsa.umich.edu/eli or call 1 866 696.3522 CAEL: Canadian Academic English Language Assessment – www.cael.ca or call 1 613 520.2600, ext. 2271 Offers of Admission Admission Decisions The earliest offer date for programs beginning fall 2013 is February 1, 2013. Admission decisions for programs that start at other times of the year will be sent out throughout the year. Log back into your account regularly to check your offers of admission. Click the “View Offers” tab on the Applicant Dashboard. Confirmation of Acceptance You may receive more than one Offer of Admission depending on the number of colleges and programs to which you have applied. Confirm the offer to the college of your choice, on or before the expiry date indicated by the college. Each college will determine the due date to confirm offers made after May 1, 2013. You may accept only one offer at a time. Not all colleges will acknowledge receipt of your Confirmation of Acceptance. The other college(s) to which you have applied receive notification of your accepted offer. Wait List Status Accepting an offer does not affect your wait list status for other programs. 14 | ontariocolleges.ca How to Confirm Your Acceptance of an Offer • Go to ontariocolleges.ca/confirm • Click “Confirm Now” • Login to your application • From the Applicant Dashboard select “View Offers” • Select the Offer of Admission you would like to confirm • Click on the “Confirm” button for the offer you wish to accept You will receive an email from ontariocolleges.ca with your confirmation details. Note: not all colleges will confirm receipt of your accepted offer. Offer Status REVOKED - The offer has been withdrawn by the college and is no longer available to you. SUSPENDED - The offer has been suspended by the college because the program is no longer being offered. EXPIRED - The expiry date has passed and this offer is no longer valid. Contact the college(s) directly for more information about the status of offers. Alternate Offers Alternate offer(s) may be made by the college to which you applied, if the college does not offer you an acceptance to your original program choice(s). Contact the college(s) directly for more information about any alternate offers you may receive. Changes to Your Confirmation of Acceptance If after accepting an Offer of Admission, you change your mind or receive another offer that you prefer, you may accept the new offer (after one business day has passed) as long as you confirm the offer through ontariocolleges.ca by the expiry date stated by the college. ontariocolleges.ca will inform the college that you have accepted its offer and your current acceptance will automatically cancel your previous acceptance. Applicants Who Have Not Been Offered Admission If you were not accepted into a program, use the Find feature on our website (ontariocolleges.ca/find) to search for up-to-date information about other programs offered across the province and their availability (open, wait-list or closed). 16 | ontariocolleges.ca What’s Next? Once you have confirmed your Offer of Admission, the college will communicate with you directly about tuition fees and everything you need to know to begin your program.
