Before You Go Live Before you take any courses you have deployed in KP Learner Manager Enterprise ‘live’, it is important to ensure that you have installed in a test environment, tested your installation, and that it operates as expected. Important Upgrade Information KP Learner Manager Enterprise edition is always upgraded with an important fixes and new features. You can upgrade at any time to same major version as you have a license for. To upgrade, if you are eligible, visit http://www.knowledgepresenter.com/support/downloadrelease.html. Reports and Tables Using KP Learner Manager Enterprise, you can run a lot of reports. Almost all of these reports appear in a tabular format, some with graphs, and some without. Below, we’ll look at how you can get these tables into Microsoft Excel, or some other spreadsheet editor for further manipulation. Below are some examples of the tables you can see when running reports. There are many more than this! Page 1 KP Learner Manager Enterprise Exporting to Excel Many of the reports are interactive. You’ll see a range of icons and buttons in these reports – as they allow you to edit accounts, remove users, see more, archive results, and much more. While these allow you to edit, change, customize and get more use from these reports, these buttons and icons are only active when viewing the table in KPLMEX, and are not needed when you want to export a table into Excel. New Generate Excel Version… Feature In earlier versions of KPLMEX, the Export to Excel feature, was, quite frankly, a little cumbersome. It took a long time, and in some versions of IIS, and based on the size of the report, it may not have worked at all. So we’ve come up with a newer, much quicker method. This approach means quicker reports, and no round trip to the server to regenerate the report. The same report can be used for interaction and editing in the LMS, and without having to go back to the server to regenerate the report, the same report can be placed into Excel. Generate Excel Version… At the bottom of almost all reports, you’ll see this button: When you click on this button, the table will be regenerated, minus the unnecessary columns, images, and extra data that are not needed in the Excel version. Selecting Columns Before you do this, have a look at the following set of options. Almost all (but not quite all) reports will display these options at the bottom of the report. Page 2 KP Learner Manager Enterprise Exporting to Excel This set of options (which will look a little different, depending on what report is running) determines what columns from the current table are going to be in the generated Excel version. So, you can remove unnecessary columns before you select the Generate Excel Version button. This allows you to take the following table, for example: So that it looks like: Note that in the above example, we removed some of the columns, simply by deselecting them from the options below the table. Generating the Table in Internet Explorer If the options are available, you can select them first, or leave them exactly as they are. When ready to go, select the Generate Excel Version button. You’ll see this message. This lets you know what is going to happen. The main thing to note is that because the table will be copied to the clipboard automatically, after you click OK (and the table generates, which may take a few moments), you’ll see a message something like this: If you want the table copied to the clipboard automatically (which we suggest you do), click on Allow Access. If you don’t want to do that, that’s fine – we’ll show you how you can manually get the table into Excel. Page 3 KP Learner Manager Enterprise Exporting to Excel Automatic Copy Whether you select Allow Access, or Don’t Allow from the above message, the following message will appear. If you selected Allow Access, then the table was copied to the clipboard, and you can click on OK to close the window that has opened. You can now move to the Getting the Table into Excel section, below. If you selected Don’t Allow, then you should select Cancel from the above message. Once the message disappears, you’ll see the new table in a new window. When you see this window, just use the two keyboard shortcuts, one after the other Ctrl-A (to select the table), and then Ctrl-C (to copy the table to the clipboard). You can now move to the Getting the Table into Excel section, below. Generating the Table in FireFox, Safari, Chrome, etc. The main difference between these browsers and Internet Explorer is that these browsers do not allow data to be automatically copied to the clipboard. So the process is slightly different. If the options discussed above are available, you can select/deselect the columns you want to include first, or leave them exactly as they are. When ready to go, select the Generate Excel Version button. You’ll see this message. This lets you know what is going to happen. It does recommend using Internet Explorer, as it will copy the data to the clipboard automatically for you. But your current browser should still work fine, using instructions below. After you click on OK from the above message, (and the table generates, which may take a few moments), you’ll see a message something like this: Page 4 KP Learner Manager Enterprise Exporting to Excel Click on OK, and you’ll see the new table in a new window. You can now move to the Getting the Table into Excel section, below. Getting the Table into Excel The rest is simple – open Excel with a blank spreadsheet. Then choose Edit/Paste, or Ctrl-V to paste in the data. You can then reformat, or do whatever you need to do with the Excel based table. Page 5
