Describe steps taken to ensure that the PPG and/or PRG is representative of the practice population in terms of gender, age and
ethnic background and other members of the practice population:
During the year we have engaged the services of an independent contractor who has in the past worked for Bristol City
Council. Her brief (and based on her previous experience) is to identify and engage with the ‘hard to reach’ sections of our
community so as to try grow and maintain a balanced representation across the PPG.
Also the Practice Business Manager has been to some local Secondary Schools promoting both what Primary Care does
as well as seeking volunteers to form a Young People PPG – this continues to be work in progress.
Are there any specific characteristics of your practice population which means that other groups should be included in the PPG
and/or PRG?
e.g. a large student population, significant number of jobseekers, large numbers of nursing homes, or a LGBT community? YES
If you have answered yes, please outline measures taken to include those specific groups and whether those measures were
successful:
We have a large young population and as mentioned above, the Practice Business Manager has been attending local
schools with the aim of developing a Young People PPG. He also is working with a local charity (Off the Record) who
supports young people with the aim of seeking their support in this area too.

Review of patient feedback
Outline the sources of feedback that were reviewed during the year:
We have received feedback from two sources during the past year:
Flu Clinic – in October 2014 two members of the Practice Team attended a Flu Clinic with the sole aim of promoting the
PPG and seeking new volunteers to join it. This went well with a number of new contacts made for both the face to face
group and an emerging virtual group.
Friends & Family Test – ongoing review of patient feedback with summaries placed onto our web site.
External support – as mentioned above we have engaged external support to develop the PPG. As part of the initial
research ‘best practice’ has been sought from other local Practices with successful PPGs so as help the growth of ours.
Also local community contacts have been developed.
How frequently were these reviewed with the PPG and/or PRG?
Bi-monthly.

Promoting patient participation in the PPG
What actions were taken to address the priority?
Publicising the PPG at various clinics, promotion of it on the new website and creation of new publicity materials. Also the
engagement of a 3rd party to support.
Host an Open Evening in June 2015 to coincide with the national Patient Participation week.
Result of actions and impact on patients and carers (including how publicised):
Little impact at this time – see below. The PPG continues to be actively promoted via our web sites and twitter feeds.

Reducing the number of unattended appointments (Did not arrive – DNAs)
What actions were taken to address the priority?
This is a new area of activity that the PPG are about to embark on. They have been fully briefed on the challenges faced with the
high number of DNAs and will soon be agreeing a plan of action to address this.
Result of actions and impact on patients and carers (including how publicised)
Too soon to say at this time but the aim is to reduce the numbers so as to ensure that there are no wasted appointments noting
the pressures on the Health Centre to provide

Support the establishment of the PPG
What actions were taken to address the priority?
The new Chair and Secretary have drawn up the groups Terms of Reference and are currently working on other appropriate
documents to ensure sound governance.
Result of actions and impact on patients and carers (including how publicised)
A well established and formalised group where roles and responsibilities are clear. This will aid the growth of the group as we/they
seek new members.

During this year we have:

Upgraded and remodelled all our web sites
We are now on twitter
Continued to liaise with schools and other community based providers so as to promote a Young Peoples PPG

How has the practice engaged with the PPG and/or PRG? Meeting regularly (minimum quarterly) face to face and regular
email updates.
How has the practice made efforts to engage with seldom heard groups in the practice population? Attending community
meetings/seminars and by proactively promoting the PPG at appropriate times and places (see above).
Has the practice received patient and carer feedback from a variety of sources? Yes and this will be developed further.
Was the PPG involved in the agreement of priority areas and the resulting action plan? Yes.
How has the service offered to patients and carers improved as a result of the implementation of the action plan? Too early to
say at this time but this will be reviewed quarterly going forward.
Do you have any other comments about the PPG or practice in relation to this area of work? The development of an active PPG
at Montpelier has been a challenge in the past. However with the ongoing enthusiasm of the Practice Team and the plans
in place we are confident that this key area will develop further in 2015/16.
