Sponsorship Package for OUCC 2015
Since 1970, the Ontario Universities Computing Conference (OUCC) has brought together computer technology
professionals from academic institutions across Ontario and has focused on IT initiatives in higher education. In
2015, OUCC is being co-hosted by Trent University and the University of Ontario Institute of Technology (UOIT).
In what will be its 43rd edition, OUCC 2015 is shaping up to be an exciting conference for the Ontario Universities’
IT community. Planning is still underway, and additional details will be posted on our conference website as they
are finalized. A future communication regarding the launch of our website will be distributed in the upcoming
weeks.
This year’s theme is: "Inspiring Innovation”. By fostering active partnerships between Ontario’s universities,
sharing ideas and working together, there are no limits to what we can achieve. As we move forward into 2015, it
is imperative that post-secondary institutions in Ontario partner together to meet tomorrow’s information
technology challenges.

Application/Acceptance/Confirmation
Sponsorships
Acceptance of this contract by OUCC 2015 is effective when a copy of
this contract is signed by an authorized representative of your
organization and when it is countersigned by OUCC 2015. Once the
contract is accepted, the application will constitute a binding
agreement upon the applicant, subject to the terms, rules and
regulations set forth in this contract.
Sponsorships will be reserved on a “first-come, first-served” basis,
based on the receipt of a properly executed application requesting
sponsorship. Sponsors will not be advertised in OUCC 2015 materials
or venues unless full funds are received.
Fees & payments
Sponsors
Sponsorship costs are listed in the OUCC 2015 sponsorship package.
Payment is due within 30 days of the issue date of the invoice. If
payment is not received within 30 days, OUCC will not guarantee the
availability of the booth location and sponsorship opportunity
assigned beyond this date. Applications received less than 45 days
prior to the event must be accompanied by 100% payment of fees.
OUCC 2015 reserves the right to change a space assignment after the
assignment is made should it become necessary to do so. Sponsors
will be notified immediately should this be the case.
Applications will be accepted in order of receipt. In the case of
conflicting simultaneous submissions, OUCC 2015 reserves the right
to determine the final assignment.
Neither OUCC 2015, nor Trent University, nor UOIT shall be liable for
loss damage to any Sponsor property and/or the property of
Sponsor’s subcontractors in storage, in transit to or from the
exhibition building. All property of the Sponsor and/or its
subcontractors shall be deemed to remain under the Sponsor’s
custody and control in storage, in transit to or from, and within the
confines of the exhibition space even though it may at times be under
the temporary control or direction of OUCC 2015 or Trent University.
All outstanding debts owed to OUCC 2015 by Sponsors must be paid
prior to participation in the exhibition and conference. If such debts
remain unpaid at the time of the conference, OUCC 2015 reserves the
right to exclude the Sponsor and its subcontractors from the
conference without liability and without forgoing right to full
collection.
Sponsors with an outstanding balance at the time of their assigned
event may be prohibited from participation until payment is made.
Said prohibition does not constitute cancellation for either party and
advance fees will not be refunded.
If the requested sponsorship is unavailable, the applicant will be
advised of alternative selections available.
Liabilities and restrictions
Sponsor assumes full responsibility for the acts, omissions, and
conduct of its representatives, agents, and contractors and agrees to
indemnify, hold harmless, and defend OUCC 2015, Trent University,
UOIT and its members against any and all claims, losses, damages,
governmental fines or penalties, and costs or expenses (including
court costs, interest, and attorney fees) of any kind whatsoever
arising from such acts, omissions, and conduct except to the extent
that such claims, losses, and damages are the direct result of OUCC
2015’s gross negligence or intentional acts. In any event, OUCC
2015’s, Trent University’s, and UOIT’s liability to Sponsor under this
Contract shall be limited and not exceed the amount of fees paid by
the Sponsor.
Signature
The undersigned has agreed to participate as a Sponsor of OUCC 2015. The applicant agrees to pay the designated amount as stated in this
contract.
Once the contract is accepted, the application will constitute a binding contract upon the applicant, subject to the terms, rules and regulations
set forth in this agreement.
