It is our hope that this evening will be both highly successful in raising funds for Rummel Creek Elementary and a very fun night for everyone at the party! Tonight’s event is truly a team effort. So many people have devoted countless hours to making tonight a tremendous success. Rummel Creek has an amazing group of talented and dedicated parents, teachers and staff, and we deeply appreciate the efforts of everyone involved. We especially want to thank the committee chairs and members who gave so freely of their time and energy. Each one is very gifted and shared his or her talents with us so generously. On behalf of the Rummel Creek PTA, we want to thank all of the families and businesses that continue to support our school with such kindness. We thank them for their generous donations, which are essential to the success of this Auction. We encourage you to consider these businesses when making purchasing decisions in the future, and thank them for their patronage to our school. All of the proceeds from tonight’s auction will benefit Rummel Creek Elementary and its students. The funds raised will go towards staff salaries, enhancing the curriculum, providing successful programs and additional educational tools, new technology and supporting the school’s environment for our children’s growth and development for the next two years. Additionally, this auction will help support desired enhancements to our beautiful new building, which will benefet our community for the next 50+ years. Page 95 5 Auction Rules All guests attending the Rummel Creek PTA Auction will be given bid labels with barcodes for use in the silent auction and a bid paddle to be used for the Live Auction in their check-in packet. EACH PERSON IS FINANCIALLY RESPONSIBLE FOR THE USE OF THE BID LABELS AND BID PADDLE. Payment in full is expected at the event. All Guests are encouraged to swipe their credit card when they check in to expedite your checkout process. RCE PTA is accepting Visa, Mastercard, Discover and American Express. Or you may pay by check, payable to RCE PTA. All sales are final. There are no exchanges or refunds. Please do not attempt to exchange merchandise to the business that so generously donated the item. All tangible items and gift certificates will be given to the successful bidders at the end of the auction. All items must be removed at the end of the evening. Please plan accordingly. The Rummel Creek PTA, the Auction Committee and the Norris Center are not responsible for loss or damage to items not collected at the end of the event. Gift certificates are not redeemable for cash. Please refer to the gift certificate for restrictions and expirations that may apply. Gift certificates for meals do not include gratuity, tax or alcoholic beverages, unless specified. Unless otherwise specified, all gift certificates expire April 11, 2016. Group purchases or split bids are welcome and encouraged. In such cases, one member of the group will be responsible for bidding. If you wish to split the purchase of an item with another bidder, both parties must make those arrangements at checkout to receive an itemized invoice. Invoice adjustments are not available after auction night. Reservations for the use of homes, hotels, condos, trips, outings and airline tickets must be mutually arranged between the donor and successful bidder. Reservations should be made as soon as possible. All accomodations and travel are subject to availability and donor restrictions. The “Sweet Soiree” Auction Committee has described all items as accurately as possible and cannot be held liable for any discrepancies that may occur. In most cases, the listed value of the item is a good faith estimate by the donors. The props used to display auction items are not included in the purchase price of the item. In most cases, the props are rented or borrowed and must be returned to the owner. Please do not remove props from the auction. All items are sold “as is.” By his or her purchase, the buyer waives claims for liabilities against Rummel Creek Elementary School, Rummel Creek Elementary School PTA and its volunteers for any personal injury, damage to property or other loss that may result from the use of the item or service sold. The Auction Committee reserves the right to withdraw any item from the auction. The Auction Committee is not responsible for the cancellation of any events or withdrawal of any items by the donor. During the Live Auction, the highest bidder acknowledged by the auctioneer shall be the buyer. In the event of a dispute, the auctioneer shall have the sole and final discretion to determine the successful bidder or to resell the item in dispute. 6 Phone and Touch Pad Bidding - Big Board AuctionStar® Touch Pad Bidding for the Big Board enables bidders to monitor their activity on the Big Board throughout the venue. Like popular online auction bidding, enter your “maximum bid” for one of our amazing Big Board Items and watch the bidding on the Big Board screens. Bid from wherever you are - in line at the bar, mingling with other guests, enjoying dinner. Register your cell phone number at check-in for cell phone bidding. You will receive a text with a link to join the network for bidding. Silent Auction Rules • Guests bid on silent auction items by affixing one of their barcoded bid labels to an item’s bid sheet. The placement of your barcode label on a bid sheet signifies your agreement to pay the corresponding amount for the stated item(s). • Preprinted prices must not be modified, crossed out, or otherwise altered. All bid sheets will be machine read -- any hand-writing will go unnoticed or be ignored. • The majority of the bid sheets are printed on both sides with NO UPPER LIMIT for your bid, unless a “Buy It Now” price has been indicated. • If you wish to bid higher that the bid amounts currently visible on the bidsheet, you may turn the sheet over for higher bids or request the “Next Bid Sheet” from an auction monitor. The current high bid must remain visible on the bid sheet or your bid may be disqualified. • If time is short, staggering bid labels on the final slot on a sheet is legal; each new bid label represents an increase of the fixed raise amount. • For fixed-price “Sign-up” items (Raffles, Games, Parties and Staff Offerings) each bid label affixed constitutes a contract to buy one unit of the item at the price printed in the bid slot. If a party fills up, bids placed below the preprinted boxes will be recorded onto a wait list. • When the Silent Auction has been closed, bid sheets will be collected. Bidding for the item ends when the sheet is picked up from the table. In the event of a dispute, the auction chairs will act as the final authority and will determine the winning bidder and the final price of the item in dispute. Silent Auction “Buy It Now” Many of the silent auction Items will have a “Guaranteed Bid” or “Buy It Now” Price. The Guaranteed Bid amount will appear on the Item Bid sheet near the upper right hand side. To purchase the item for the Guaranteed Bid, affix your bid label by the Guaranteed Bid amount and you win the item without contest. You may not take your item until auction checkout. In most cases, the “Guaranteed Bid” will be more than 200% of the Fair Market Value of the item. Check-Out Check-out will begin approximately 30 minutes after the Live Auction closes. If you wish to pay by credit card, you will have already swiped your credit card when you signed in at the registration table. If you wish to pay by check, please make checks payable to Rummel Creek Elementary PTA. After you sign and receive a copy of the invoice, you may move to the gift certificate check-out area to collect your gift certificates. All class projects and other silent auction tangible items must be taken home the night of the auction. Your invoice will normally itemize item descriptions, prices paid, fair market value assessments, plus a copy of IRS guide lines for tax deduction. It is your responsibility to properly handle all tax deduction issues. Consult your tax advisor if no fair market value is shown. 7 Enhancements for the New RCE Thanks to your support, the RCE PTA is providing many needed enhancements for our new school! • Upgraded surface for track (replacing standard issue asphalt surface with rubberized surface) • Upgraded gymnasium floor surface (replacing standard issue puzzle piece floor with solid, softer, cleaner, non-slip surface) • New playground structure (new structure, foundation surface, and soft landing surface along with the sidewalk approaching the surface) • New swing set (5 standard swings along with one handicap swing, soft landing surface) • 5 water bottle filling stations (providing cold filtered water) • Technology • 10 benches for our playground • Trashcans for our playground (these were not provided!) • Outdoor Learning Center (a garden and seating for the students for an outdoor learning experience) • Art projects (Local artist, Rose Toro is working with our students to permanently display some of their art at our new school.) And hopefully… • An Outdoor Gazebo –we hope you’ll help us raise an additional $50,000 to build this for our community. Help us raise $50,000 during the Live Auction at the Sweet Soiree so we can build an outdoor gazebo for our new school. The paddle levels will be: $5,000 – Platinum Level Donor $2,500 – Gold Level Donor $1,000 – Silver Level Donor $500 – Bronze Level Donor 100% of your donation will be tax deductible to the extent allowed by law. Donors who raise their paddle at the RCE Auction will be recognized on a plaque on the gazebo. The gazebo will be large enough for an entire class to use during the school day and for scout troops and the community to use after school hours.
