POSITION OBJECTIVE
The Payroll/HR Officer holds a key position which contributes to the efficient and effective
Financial Management of the School. The Payroll/HR Officer is responsible for coordinating the
payroll function of the School and completing associated administrative Human Resources duties.
KEY CHARACTERISTICS
1) Payroll
 Knowledge and interpretation of awards, Enterprise Bargaining Agreement and legislation
relevant to the School’s payroll function
 Timely and accurate processing of the fortnightly payroll process
 Ensure all timesheets, leave forms and other relevant payroll documentation are
appropriately completed, verified and approved
 Administer payroll deductions for staff as required
 Calculate termination payments and leave entitlements for staff
 Process administrative/payroll duties required for new and terminating employees
 Liaise with external agencies as necessary regarding salary packaging arrangements for
staff
 Prepare and reconcile payment summaries at the end of the Financial Year
 Respond to staff payroll enquiries as required
 Timely and accurate processing and reconciliation of end of month, end of financial year and
end of calendar year payroll and superannuation duties for accounting, audit and legislative
purposes
 Monitor variances between actual and budgeted salary payments and on-costs
 Provide TFN Declarations to the Australian Taxation Office as required
 Preparation of Government reports as they relate to salaries and staffing numbers
 Maintain approved and standardised payroll documentation including timesheets and leave
forms
 Maintain and update the payroll procedures manual
 Maintain employee records, leave records and related information
 Ensure the employee TASS database contains up-to-date information
 Ensure that complete personnel files are maintained and appropriately secured
 Provide the Business Manager and Principal with payroll information as required for
decision-making purposes, including Enterprise Bargaining negotiations
 Assist Business Manager and Accountant with payroll information required for preparation
of the Annual Budget
2) Administrative Human Resources duties
 Ensure that all appropriate employee data is compiled in accordance with statutory
requirements (eg Teacher Registration, Mandatory Notification, First Aid, Fire Training)
 Prepare and update Contracts and Appointment Letters for staff as directed by the Business
Manager and Principal
 Track and advise the expiration of Employment Contracts to the Business Manager and/or
Principal
 Assist with new and returning employee induction processes
 Administrative duties associated with the advertisement, receipt, interview and final
notification regarding vacant positions at Rockhampton Girls Grammar School
 Manage and respond to Expressions of Interests received
 Ensure currency of Blue Card and Teacher Registration for volunteers and staff
 Maintain Position Descriptions for all staff
 Update and maintain School policies
ESSENTIAL COMPETENCIES



Previous Payroll and administrative Human Resources experience:
 Knowledge, application, evaluation and analysis of payroll principles, practices,
regulations and procedures
 Knowledge of basic Human Resources, accounting practices and procedures
Experience in a School environment is preferred but not essential
The ability and commitment to:

and payroll

 Assume additional responsibilities in the absence of other Finance Department staff

 Liaise professionally with staff and external suppliers using excellent communication
skills

 Utilise computer skills and experience to operate accounting systems, payroll systems
and Microsoft Office
 Maintain high degree of initiative and enthusiasm
MANDATORY REQUIREMENTS
You are required to possess a current Blue Card from the Commission for Children and Young
People and Child Guardian.
