Learn More About Aparan DEFINE YOUR DRIVERS Set start address, end destination, working time availability, skills, load capacity, navigation devices… How are Drivers defined? Drivers are defined by a number of different fields. Remember that if you change a Driver’s settings from under the tab My Fleet, the new settings will be applied to all future Route Plans whenever this Driver is utilized. If you only need to modify settings only for a specific Route Plan, you need to do it from under the tab Route Plans. Here you find a description of all the fields you can use to define settings and constraints. Start Address: type the Address from which you want the Driver to start his/her Routes. You can select the tab Review Start Position for fine-tuning the actual position on the map. Choose an option for the End Destination: if you select Roundtrip the Route will end at the Start Address; if you select Open Route the route will end wherever is more convenient; if you select Specify End Destination a new field where to enter the End Destination address will appear. Please note that you can also adjust the position of this address by selecting the tab Review Destination. The tab Assign to a region (beside the above-mentioned tabs for reviewing positions) allows you to draw a region on the map. All Orders included within its borders will be forcedly assigned to this Driver. Note that Orders outside of regions, on borders or in overlapping regions will be assigned automatically (this means you do not need to stress too much about drawing superaccurate regions). The Driver will anyway be eligible for service even outside his/her region. Other Drivers' regions are shown concurrently and each region has the Driver's color code to distinguish it from others. Regions can be deactivated by pressing the on/off button. When they are not active, only their borders are shown. All other Settings are accessible by clicking on different tabs. Working Hours Start work at: while building the optimal Schedule for this Driver, the Aparan Route Planner suggests a Route which will start not earlier than the time you set here. Choose one of the times from the dropdown menu or type in your own setting. Finish by: while building the optimal Schedule for this Driver, the Aparan Route Planner suggests a Route which will finish not later than the time you set here. Thanks to the optimization process, hopefully the suggested Route will be completed earlier. Choose one of the times from the dropdown menu or type in your own setting. Important Note: if your Driver is supposed to drive overnight and complete the Route the day after, the time set here should refer to the following day: add (+1) to the time definition. Flexible Start Time: When the Flexible Start Time option is ticked, the Route Planner postpones the actual departure time if that helps minimize the Driver's Total Working Time. If you prefer a Fixed Start Time, do NOT tick this option and the Route Planner will force the Driver to start as early as the "Start work at" setting. This leads to routes that, on average, are completed earlier. Rest Break: this optional field allows you to define the length of a Driver's break (for example for lunch) Starting between: if the Driver has a break, these two fields will define the Time Window within which you would like the Driver to start his/her break. The starting time of the break will be an output of the optimization process, with the Route Planner suggesting the best moment (within limits of a User-set Time Window) for taking the break, thus minimizing its impact on the level of service. Work up to (hrs): This field allows you to specify a maximum number of Working Hours for your Driver, independently of his/her Start and End Time. Drive up to (hrs): This field allows you to set the maximum number of Driving Hours for your Driver. Useful for when your governments has restrictions on how long drivers can be on the road for. Vehicle Load Capacity: this optional field applies if Drivers transport goods or passengers and consequently the Load Capacity of a Driver's Vehicle must be taken into consideration in the routing process. You can set up to three Loaf Factors. Leaving it blank will set the capacity to unlimited. Please note that by pressing the green button you can add a second Load Capacity: this is useful in case you want to define weight and volume, for instance. Neither of the set values will ever be exceeded. You can choose the Load Unit which best matches your own operations among the options in the list or enter a new one. By moving the Driver's Speed Factor slider, you can modify the speed coefficient used for calculating this Driver's driving time: to the left = slower, to the right = faster. Skills Special Skills: this optional field applies if Orders require (or ban) Skills that only subsets of Drivers claim. You can leave the field blank, or add one or more skills separated by a comma. Make sure you press “enter” after entering new Skills. For a better insight on the use of skills, read how Orders are defined. Costs The field Fixed Cost allows you to define a cost incurred if this Driver/Vehicle is utilized, regardless of the duration of service. The field Hourly Cost defines costs incurred on a hourly basis when using this Driver/Vehicle. The field Per Mile Cost is how much it costs to run this Driver/Vehicle per mile. Copy Settings By clicking on Copy Settings you can in fact speed up the process of creating/amending Drivers and copy all settings FROM an existing profile or TO new ones. Multiday With the Aparan Route Planner it is possible to create plans with a 1-day planning horizon, or to have your deliveries/work calls automatically distributed and scheduled over multiple days. Please note that when planning over multiple days, for each Driver you can either use the same settings for all days, or you can customize them for each single day. This may be useful in case your Drivers leave from different addresses on different days, or if working hours vary during the week. IMPORT YOUR WORK ORDERS How are Orders defined? Orders are defined by a number of parameters and constraints. Here below you find a description of all the fields that can be used for this definition. Address and Time Window Field Required Description Customer Name Optional This field is provided solely to help you identify the Order. It does not affect the optimization process. Address Required This field defines the address of the Order. The route for the Driver will include a stopover at this point. Note for CSV/Excel imports: if addresses in your source data are split into subfields, you may also replace this field with the following fields: Street, ZIP, City, State, Country Service Time Required This numeric field indicates the time IN MINUTES that the Driver is expected to spend at the Order's address to provide the service. "0" value is accepted (it means that the Driver will drive by the address of that Order without stopping). Time Window Start Optional Earliest time allowed to begin service at this Order. If the Driver arrives too early, he/she will be forced to wait (Idle Time). Both the 12-hour (am/pm) and 24-hour (military) clock formats are supported. For values greater than midnight, add a (+1) at the end. Examples of valid time formats are: 12:23am, 00:23, 3:56pm, 15:56, 3:56pm (+1), 15:56 (+1). Defaults to 00:00. Time Window End Optional Latest time allowed to begin service at this Order. Both the 12-hour (am/pm) and 24-hour (military) clock formats are supported. For values greater than midnight, add a (+1) at the end. Examples of valid time formats are: 12:23am, 00:23, 3:56pm, 15:56, 3:56pm (+1), 15:56 (+1). Defaults to empty value (open time window). Time Window 2 Start Optional You can set a second Time Window for Orders which can be served, for example, in the morning and in the afternoon but not during lunch break. Here you set the earliest possible time allowed for service to begin during the second Time Window Time Window 2 End Optional You define here the latest possible time allowed for service to begin during the second Time Window Days When planning over multiple days, all days of the selected planning horizon are by default eligible for service. You can anyway specify if an Order can only be served on specific days by clicking on the tab Days. Click on This Order is eligible for service --> on selected days only and select/deselect days (white = not eligible; light blue = eligible). Requirements Field Required Description Required Driver Optional The Driver that this Order must be forcefully assigned to. Setting this field forces this Order to be served by the Driver with the indicated ID. Note: If set, this field overrides both Required Skills and Banned Skills. Required Skills Optional This field contains a comma-separated list of mandatory Driver skills. If set, only Drivers defining *all* the Skills in this list can serve the Order. Banned Skills Optional This field contains a comma-separated list of banned Driver skills. If set, Drivers defining one or more of the Skills listed here will *not* serve the Order. In case of conflicts, Banned Skills take precedence over Required Skills. Importance Optional Importance is only taken into account when resources/drivers are low and some Orders cannot be served: under such circumstances Orders with higher importance are preferred over lower-importance ones. Accepted values are: lowest lower normal higher highest Any other value will be treated as "normal". Load Field Required Description Order Type Optional You can define here if this Order is a Pick up or a Delivery Default is Delivery. Load Optional* This numeric field indicates the load requirements for the Order, i.e. how many Load Units (Goods, Kgs, Pounds, Liters, Passengers, etc) should be delivered or picked up at the address. * It is mandatory if one or more of your Drivers define a Maximum Load Capacity that is less than "unlimited". Defaults to 0. Load 2 Optional* You can set a second value if there are multiple Load constraints * It is mandatory if one or more of your Drivers define a Maximum Load Capacity 2 that is less than "unlimited". Defaults to 0. Load 3 Optional* You can set a third value if there are multiple Load constraints * It is mandatory if one or more of your Drivers define a Maximum Load Capacity 3 that is less than "unlimited". Defaults to 0. Notes Field Required Description Notes Optional You can add notes to your Orders which will also show in your Drivers' manifest. Notes do not affect the optimization process. Custom Field Required Description Tab Custom Optional You can add Custom Fields to your Orders, such as invoice numbers or job specifications. Custom Fields do not affect the optimization process. Export and Share your Routes After Defining your Drivers, selecting Drivers and Orders to serve and Optimizing your Routes, you are ready for performance! Right under Add Orders, three buttons give you different options for exporting and sharing your optimized Routes. Choose the option that better suits your needs: Print Directions (All Routes -map or directions- or one Route at a time) Export Routes (Excel/CSV, files for GPS devices, Route Links) Send Routes via email (Route Links and files for GPS devices) Print Directions By clicking this button you can visualize and print Route Directions and a Map. You can decide to print only a map by choosing "Map" (one Route at a time or all Routes at once), or the Directions (one Route at a time or all Routes at once). When printing Directions, by ticking/unticking the options at the top of the generated page, you can incluse/exclude map/turn-by-turn directions/step details/custom fields. Export Routes By clicking the button Export Routes you can download Routes in several different formats: An Excel or CSV file that lists all the Scheduled Orders, complete with information about the Drivers who will serve them, Scheduled Times, Total Driving Times, etc. The option Export as GPS files allows you to download files ready to be uploaded to GPS devices. Please note that here you can choose directly the format you prefer (.itn, .gpx) , regardless of the file type you set for your Drivers (see How to set your Driver 's Details).
