Position: Title Reports to Location Description Registrar/Administrative Support School Principal Dwight School Canada – Shawnigan Lake, BC Responsible for maintaining all aspects of student academic records; BC Ministry reporting, and compliance; IB Diploma programme support Responsibilities: Academic Data Responsible for all administrative matters having to do with the planning, monitoring, recording, and student reporting of all academic programs offered by the school (i.e. BC Ministry of Education and International Baccalaureate Programs). Works with the Academic team to build, maintain, and process new and returning student records. This includes assisting international students and ensuring any foreign diploma verification Supports the academic team regarding academic planning and creating the yearly calendar Supports the ongoing implementation of MyEducationBC within the school Coordinates and produces students’ interim and term reports Produces student transcripts Assists students to register for on-line studies Assists the IB Coordinator with registering IB students in the IB Diploma Programme as well any other related duties, such as IB exam registration Ministry Liaison Responsible for maintaining clear, timely, and effective communication between the BC Ministry of Education and Dwight School Canada ensuring compliance requirements are understood and met. Coordinates Ministry reporting, interface and compliance with Ministry reporting requirements and programs, such as the ES Audit, Diploma verification, and 1701 submission Liaises with the various branches of the Ministry including MyEdBC, TRAX, and Teacher Regulation Branch Ensures all faculty are certified Informs the Head of School and School Principal of compliance requirements and monitors the progress of compliance Produces and compiles external evaluation for Ministry of Education inspections Submits required compliance information to Teacher Regulation Branch General duties to support the administrative team will include: Answering phones, student inquiries, and other administrative tasks as required Attending weekly office meetings Providing basic first aid assistance to students and staff Acting as the school go-to person with regards to matters related to insurance Being an active participant and representative of the School. We encourage all staff to be involved in the school and attend school events when possible (graduation, open houses, community events held on campus) Other duties as may arise from time to time The ideal candidate has the following skills and attributes: Minimum of two years recent related experience using and supporting a student information system (preference given to those with BCeSIS of MyEdBC experience at either the elementary or secondary level), and is experienced working in a lively office setting Has advanced skills in MS Office – particularly Excel and Word Embraces new technology innovations and changes Agrees to be fully compliant with all BC Privacy laws as they pertain to schools and youth Is willing to embrace a culture of responsibility – when you are wrong, admit it, and try your best to fix it.
