How to… Create Castle Press order 9/18/2008 1 9/22/2008 Introduction • BruinBuy Catalog Shopping was released on June 13, 2001 and over the p past six yyears has p provided UCLA,, UCOP and UC Merced with a variety of vendors and items that are purchased from catalogs managed by the Strategic Sourcing Agreements. Agreements • In 2006 with the migration to JAVA BruinBuy was able to take catalog shopping i to the next level called Supplier S i Site Si Orders. In Supplier Site Orders, the buyer is able to go to g their purchase. p When the the vendor’s web site to configure configuration is finished, the shopping cart is returned into BruinBuy to complete the process. • Go to the URL www.bruinbuy.ucla.edu 2 9/22/2008 This is the BruinBuy homepage. Click on “Supplier Supplier Site Orders Orders”. 3 9/22/2008 Once you click on “The Castle Press” Link, you will enter the Supplier Site to create your order, but still be logged into BruinBuy. The following screens will walk you through the creation of your Castle Press order. 4 9/22/2008 Step 1: To start your Castle l Press Order, click on the radio button Step 2: If the address displayed is not the address you would like to have your order shipped to, click on the binocular icon 5 9/22/2008 Step 2A: You can search for the address by typing in the 4-digit 4 digit department code of the ship to address Step 2B: St 2B Click Cli k anywhere h on th the highlighted address line to select your choice. Then click, “Done”. You will be directed back to the previous screen 6 9/22/2008 If the address reflected is correct, Click “Next” 7 9/22/2008 If “Ship “Shi To T Address” Add ” is i changed, h d please l note: t The new address will appear on the Castle Press side as well as the user’s order on the Castle Press Supplier site. However, when the Shopping Cart is pulled back into BruinBuy, the “Ship To Address” will not reflect the changes made. Please disregard the old address displayed. 8 9/22/2008 This page shows all of the Castle Press online Print catalogs available to BruinBuy users. If your department is not among those listed, click “UCLA Staff Online Order Catalog” g 9 9/22/2008 You will now see a page listing Of all the items available for this Catalog. Click on the item you would ld like lik to t order. d For F this thi example, we will select “Department Business Cards”. 10 9/22/2008 Select your choice of design 11 9/22/2008 Step 1: Input the information you would like to have displayed on your Business card order below Step 2: Click on “Submit Data” 12 9/22/2008 Pop-up box (as shown) will appear 13 9/22/2008 Click here to proofread your order. Please note that this is the only proof you will receive. 14 9/22/2008 Your proof will be displayed i a new window in i d (as ( shown) h ) 15 9/22/2008 Click on the drop down box to select your QTY QTY. After Quantity selection is made, click on the “Submit” box. (see arrow) 16 9/22/2008 Total amount of your order To complete your order, order click on “Order Complete: Checkout” 17 9/22/2008 Your order has been added, click on “OK” 18 9/22/2008 Fill in the required fields (marked with * ). You may disregard this section. section If corrections to any of the other information under “Items” are needed, click “Close” and make k necessary changes h on the h Header d Screen (see next slide) 21 9/22/2008 ‘Changes can be made only to information located within the Header section (i.e. FAU, PAN, Requestor’s Name, Requestor’s Phone Number, Number etc.). etc ) Changes to the order (i.e. quantity, unit cost, item description, etc.) are NOT allowed. After yyou verifyy that all information is correct, complete your order by clicking on Save and then “Submit” Submit “Save” 22 9/22/2008 PO number of your order will be provided.
