Dictation Hub

What is the Philips speechexec Dictation Hub?
Philips SpeechExec Dictation Hub service enables customers to use all the benefits of a professional Smartphone
dictation solution without spending money on the underlying server infrastructure or investing time and money in
maintenance and support. With minimum effort and definable costs, you can record dictations via iPhone, BlackBerry
or Android Smartphones and transfer them to your SpeechExec solution. SpeechExec Dictation Hub will send the
dictation files to a predefined email address (e.g. to the secretary for transcription) or FTP location. So no matter
where your dictations have to be recorded, they will be sent rapidly to the right destination. Therefore this service is an
extraordinary addition to the classic digital dictation machines with the ergonomic design from Philips. Philips Dictation
Hub is the ideal solution for customers using SpeechExec Standard or Pro software.

Getting started
After the customer downloads the app from the App-, Play- or RIM store, they have to sign up for a free 30 day trial using their
App wizard. Once the trial is over, the customer needs to contact their retailer who can then activate their subscription.

GETTING STARTED
To activate a user please log into the Partner Portal
on: www.philips.com/dictation
and then click on SpeechExec Dictation Hub
1. Activating a new subscriber
For new subscriber activation please fill in following form fields. The
customer number is a number sent to the subscriber in the activation
email after registering via the Philips dictation recorder app. The customer
email address is the same as the one that is used by the customer in the
Philips dictation recorder app to send audio files to the SpeechExec
dictation hub. License codes for 12-month subscriptions are available at the
Speech Processing Solutions local order desk, please contact our local sales
department. You can also decide whether the audio files are delivered by
email or via FTP. When delivery by email is selected, files will be sent to
the email address specified in the Recorder App. For FTP configuration
you need the FTP server address and port, predefined path for delivery,
and username with password.
NOTE: Enter the FTP address without ftp: and the FTP path without / at
the beginning. You can also activate encryption for audio files, the encryption
code must be exactly 16 characters long. Last option is the category routing.
We describe the powerful options later in the chapter – change category
routing.
2. Renew a license
Fill in the customer number, customer email address and new license code
for 12-month period.

3. Change subscriber's personal data
You may change your user information after initial activation, but the
customer number must always be the same. Please do not change the
customer number.
4. Change subscriber's device ID
When a user changes their mobile device, it is necessary to change the
device ID. This is the unique ID of the mobile phone, the device PIN on
BlackBerry devices, the UDID number on iPhones.
5. Change encryption settings
You can change the encryption code. Please remember, the encryption code
must be exactly 16 characters long. To make your code more secure use a
combination of letters, numbers and punctuation marks.
6. Change delivery mode
From the beginning you can send the dictation via email, later you can change
the delivery option from email to FTP server.

beginning.

7. Change category routing
The category routing is a very powerful option for fully automated distribution of the dictation files. You can predefine
routings depending on the keyword. You can predefine as many category keyword routings as needed, however it is only possible
to configure 5 routings at a time. For every route you can also decide between email or FTP delivery. Here are some examples
of advanced category routing.
Example 1:
Send every dictation with keyword: 'meeting' to an FTP server and save
it to external_meeting folder.
Example 2:
Send every message with keyword: 'private' only to a private email
account.
Example 3:
Send a dictation for transcription to the secretary's office.
Example 4:
Publish your private experiences as a podcast live on the internet.

8. Schematic diagram for the category keyword routing
Every category routing consists of a keyword and a delivery method. If you
wish to define more than five keywords, please fill out another form. Once
you have entered the category, you can then decide whether to use email
or FTP as your dispatching method for your audio files. If you choose FTP,
please make sure you get all the info on the FTP server infrastructure of the
customers (e.g. their FTP address).
