Stand breakdown prior to 17:00 on Saturday 18 October is prohibited for health and safety reasons.
Exhibition breakdown
You must ensure that all exhibits, stand materials, and other items relating to the exhibition are removed by 20.00 on Saturday
18 October. Please ensure that your couriers know that they must pick up on Saturday evening. The BDC accepts no
responsibility for anything left on the premises and has no storage facilities for late collections.
Anything that is left behind will be disposed of and the cost charged to the exhibitor. If you need a local courier, you can
contact Reflex +44 (0) 20 8588 6972, for international couriers visit www.dhl.co.uk.
Storage of items during the event
Storage of items during the event is not available; therefore all clients must store materials and packaging on their stands or
arrange for off-site storage.
Common parts of exhibition must be kept clear
All common parts must be kept unobstructed at all times. Exhibitors must keep all common parts clear while building or
dismantling stands. All exhibits must be kept within the confines of the stand space and demonstrations must not cause undue
congestion and/or obstruction of common areas.

How to get there
By bus: The following bus routes all stop near to the Business Design Centre in Upper Street: 4, 19, 30, 73, 43, 38,
56 and 341.
By car: Easy access from the City and West End. Upper Street
forms part of the A1. There is a paying car park adjacent to the Centre
with approximately 200 spaces. Please note there is a 1.9m height
restriction. There are further car parks within walking distance of the
Business Design Centre.
By rail: Euston, St Pancras and King’s Cross stations are a short
distance away. (www.tfl.gov.uk; www.thetrainline.com)
By underground: A regular underground train service
(Northern line) runs to and from the Angel station,
which is a two minute walk from the Centre. Alternatively, Highbury
& Islington station (Victoria Line and London Overground) is a
fifteen minute walk from the Centre.

Deliveries
Deliveries will be accepted by the BDC from 8.00am Friday 17 October, but not before. Deliveries should be clearly marked with
the following:

Trolleys
The Business Design Centre is not able to supply trolleys for loading. Please make your own arrangements if you require a trolley.
Access
Exhibitors must follow the following regulations on access and egress to and from the loading bay on Liverpool Road. All
exhibitors must pay particular respect and consideration to local residents especially during set-up and breakdown periods.
There is only vehicular access to the loading bay from Liverpool Road.
• Under no circumstances will pedestrian access be allowed at the entrance to the Loading Bay from Liverpool Road.
• Drivers must make themselves aware and observe local traffic restrictions. (Be aware that penalties are likely to be vigorously enforced by the police and traffic wardens.)
• There is substantial provision for vehicles under two metres in height to load and unload from the car park at the front of the BDC.
• For the breakdown on Saturday, exhibitors will be given access to the loading bay from 17.00 hours on a first come, first served basis. Entry to the halls will not be given until the event is officially closed.
• There will be no access to the loading bay in the last 30 minutes of a set-up or breakdown period. The BDC reserves the right to extend this ‘cut off’ period. All exhibitors must comply with the reasonable requests of the traffic marshals. Failure to do so may result in access to the BDC being denied or vehicles, if within the loading bay, being clamped (release fee £35.00) or removed (retrieval fee £220.00).
There are two goods lifts in the Loading Bay for the delivery of stand materials and exhibits.

Your stand package
If you have booked a shell scheme stand, the package includes:
• Octanorm shell scheme
• A table 1200 x 600cm (TA416 in Freeman catalogue) and two chairs (SC34)
• An electrical socket
• Two spot lights
• Carpeted stand area
• Your organisation’s name on the fascia board
• Daily cleaning
• Entry in event guide.
Stands
Standard shell scheme hire includes back and side free standing partition walls, carpeted floor and daily cleaning.
The shell scheme is the Octanorm system (diagrams on request). This is a modular system of aluminium poles and beams
holding 4mm infill panels. These form the walls of the stands. The fascia is formed of the same system, 175mm deep. The wall
panels are finished with white foamex. There is an open grid ceiling of 70mm beams fixed diagonally over the stand, 2430mm
and the underside of the fascia panel 2325mm.
The aluminium components are finished in white using a powder coating system. The wall panel 2500mm high x 990mm wide is
the overall size of panels when fitted with poles and beams. The face size of the panels is 950mm wide x 2340mm high. The poles
are 40mm in diameter projecting forward 18mm.
You cannot fix anything to the wall panels using nails, staples or screws. Lightweight polyboard or card panels can be fixed with
doubled sided Velcro, twinstick pads or Blu-tac. Support brackets and chain packs must be used to hang heavier items.
Additional information for bespoke build stands
Contractors will not be allowed to commence their set-up until they have complied with all the requirements of the Health and
Safety at Work Regulations 1992.
All structures, materials, special designs, unusual constructions and all signs must conform to British Safety Standards and Codes
of Practice and comply with local council regulations or those of any other statutory authority.
Any bespoke bulid stand must provide Chamberlain Dunn with the following before the event:
a. A copy of a scale drawing including plans and elevations
b. Construction timetable
c. Method statement
d. Risk assessment
e. Full details of fabrics and materials being used
f. Third Party Insurance Certificate showing minimum cover of £5 million
g. Additional structures on space only stands incur a charge
The venue reserves the right to submit any plans to a structural engineer who will charge a fee which is not
pre-determinable and must be paid by the Exhibitor or their Contractor prior to commencement of the works.
Bespoke build stands are not permitted to attach any material to the shell scheme walls. Bespoke build stand booked between
shell scheme sites must take into consideration the size of the allocated space. Failure to take care over internal measurements
could mean that the stand will not fit in the allotted space. All partition surfaces built above the standard 2.5 metre shell scheme
height must be decorated. Each bespoke build stand must run its own mains electricity supply. The cost will be quoted once your
requirements are known.
In addition, all stands must be finished both front and back. This is especially important on the exterior sides of stands on the
Village Green area.

Height limits
Exhibitors wishing to build above 2.5m must check with Chamberlain Dunn. For any structures that exceed four metres in height,
please consult Chamberlain Dunn as it could affect the service feeds at the venue. Structural calculations will also be required via
an approved structural engineer. All relevant costs for these are to be met by the exhibitor.
Cleaning of bespoke build stands must be arranged by individual exhibitors direct with the BDC project manager, Jemma Roddis

We have a contract with Freeman to provide furniture for exhibitors. Please order this direct through the catalogue on

Internet access - see order form on page 20
High bandwidth internet access is available throughout the exhibition. The network is made up of over 20 Wireless Access Points
located throughout the exhibition areas providing exhibitors with up to 11MB per second LAN network speeds. Access to the
network is charged depending on stand bandwidth requirements. Please refer to the order form at the back of this manual for
tariffs and further technical information.
Please note – the use of Wireless Access points, Wireless phones (not including mobile phones), Bluetooth devices or any other
such device that may operate around the 2.4 GHz frequency is prohibited. Any such device that could interfere with the BDC
in-house wireless network will be disabled if found to be in operation. The aforementioned devices can be sold on stands but not
demonstrated.
Electrical and lighting services - see order form on page 16-17
The BDC has a comprehensive range of electrical services for hire and installation, and offers an extensive range of light fittings
and flexible power supplies including three phase if required. The in-house team of electricians can provide a professional and
competitive service to Exhibitors for all electrical installations and connections to mains. Please contact Chamberlain Dunn for
full details.
All/any electrical wiring and equipment not supplied by the BDC will be tested to ensure conformity with the Electricity at Work
Regulations Act 1989. Any items failing such a test will NOT be connected to the BDC’s supply. In addition all installations must
conform to the current issue of the Exhibition Venues Association Regulations for Stand Electrical Installations. Copies are
available on request.
It is not permitted to hang, suspend or attach any item to the overhead catenary wires under any circumstances.
Exhibitors who bring portable electrical appliances on site should ensure that they have been regularly PAT tested (Portable
Appliance Tested) and bear a recent PAT test pass certificate.
Signs involving the use of neon or similar gases are permitted with fireman switches and written confirmation from the BDC.
Electro flashing signs of low intensity are permitted providing specifications for their use are approved in writing in advance by
the BDC. During the open period of the exhibition, stand mains supply will normally be switched on no later than half an hour
before the show opens and switched off no later than half an hour after
it closes.

Barcode scanner
All visitors are provided with barcoded badges. For ease of capturing visitors’ contact details, a scanner can be hired at £250 plus

Catering
The Good Eating Company are the exclusive caterers for the venue and all food and drink should be ordered via them. Contact
Jean Betts, BDC conference and events manager, on +44 (0) 20 7288 6351.
There is a stand ordering service available where beverages and food can be delivered to your stand. Contact Chamberlain Dunn
for details.
The ‘FOOD’ Restaurant on the Gallery level is open throughout the Fair.
Sale and/or distribution of alcohol anywhere in the Business Design Centre is subject to the venue’s liquor licence. Please discuss
your requirements with Chamberlain Dunn.
Telephones - see order form on page 19
Individual telephone lines for stands are available. These are routed through the BDC switchboard and you must dial ‘9’ for an
outside line.
They are individually numbered direct dial lines for exclusive use during the exhibition period. The telephone system is
compatible for most modern modem and card swipe machines. Swipe machines should be programmed by the supplier for
operation through a switchboard. Please note the BDC telephone system does not transmit ‘Caller ID’. Please refer to order form
at rear of the manual.
Cleaning and waste disposal
Large items of waste materials to be disposed of before the exhibition opening must be placed in skips located in the loading bay.
The BDC cleaning teams only clean recyclable rubbish eg cardboard from the aisles. Everything else needs to be removed from
site by the exhibitor/contractor. You need to ensure that gangways, public circulation areas are kept clean of all rubbish and
removed from site if it is non recyclable. If you do not do this the BDC will charge you for the removal.
Balloons/inflatables
Use of helium or gas filled balloons must be agreed in advance so contact us well in advance and we will clear it with the Centre
Project Manager. A £100 refundable deposit will be required for their use at the venue.
Carpets
Carpet tiles can only be removed with the written permission of the BDC at a charge of £6.00 + VAT per tile. Any damage caused
during the Fair will be charged to the exhibitor at a cost of £25.00 + VAT per tile.
Exhibitors wishing to build stands must ensure that adequate precautions are taken to protect the carpet from damage. You will
be required to lay a wooden floor/platform before any additional floor covering is used. This must also be finished with metal/
plastic edging trim. Stand carpet must not be laid or fixed directly to the BDC fitted carpet. Please contact Chamberlain Dunn if
you need to order a suitable floor and floor covering should the hall tiles not be suitable for your stand area.
Licences
Licences may be required for the following activities:
Entertainment: Music: PPL/PRS; Video: VPL; Cinema (or public viewing of films); smoke machines; lasers; special treatments
(i.e. therapy treatments etc).
Exhibitors who play music whether recorded (i.e. from records, cassettes, compact discs, TV, video, slide/tape presentation etc.)
or live music in public, are required by law to apply for a licence to prevent infringement of copyright.

Your event guide entry
Each visitor to the Fair receives a plan of the exhibition and details of each organisation exhibiting. Please ensure that you supply
us with 50 words about your organisation together with contact details by the deadline of Friday 22 August 2014. This should
be emailed to [email protected]. No entries can be accepted after this time. If we have not received any details, only your
organisation’s name will appear in the guide. Please refer to page 15 for the format.
Exhibitor badges
Please let us have the names of all the people who will be staffing your stand throughout the Fair so that we can prepare the
badges. The names should be emailed to [email protected] by 19 September 2014. Please refer to page 14.
Health and safety
The BDC needs your health and safety declaration by Friday 19 September 2014. Please fill out the form on page 13.
Risk assessment
The BDC needs your risk assessment forms on pages 11-12 by Friday 19 September 2014.
It is the responsibility of the organisers to control and monitor all activities and hazards associated with the event. All exhibitors,
both shell scheme and space only, are required to carry out their own risk assessment and provide a copy of it to
[email protected].
In addition all exhibitors with space only stands must ask their contractors to provide Chamberlain Dunn with the following, in
addition to scale drawings:
• general policy statement on Health and Safety
• method statement for the project
• construction timetable
• copy of third party liability insurance certificate showing £5 million cover.

What the BDC needs from you
Order forms
All order forms should be returned to the BDC by Friday 26 September 2014. Please refer to pages 16-22.
All orders received later than seven working days before an event will be subject to a 20% surcharge.
Fire regulations
Exhibitors must adhere to the local authority and fire brigade regulations. All materials used on exhibition stands or stored within
the exhibition area must be Class 1 (B.S. 476) fire retardant.
The BDC is committed to complying with all the relevant legislation and guidelines covering Health and Safety at Work and the
requirement of the BDC is that all exhibitors follow the regulations of the venue at all times. Anyone infringing any relevant
legislation and/or any venue regulations will be asked to desist forthwith and for serious and continuing breaches may be banned
from the premises.
You hold an obligation to ensure the safety of everyone associated with your exhibition stand and those persons who may be
affected by your activities.

Exhibitor Responsibilities
An exhibition stand is a workplace covered by health and safety legislation. As the exhibitor it is
your responsibility to ensure that a suitable and sufficient risk assessment is completed.
Failure to do so could lead to delays or ultimately the closure of your stand.
This template is for simple shell scheme exhibition stand which does not require and structural
approval from the organiser or the venue. More complex stands will require a more detailed risk
assessment and if you are in any doubt you should contact the organiser.

Terms & conditions
1. Definition – In these Terms and Conditions the term ‘Exhibitor’ shall mean any
company, partnership, firm, oganisation or individual to whom stand space has
been allocated for the purposes of exhibiting, advertising and promotion and shall
include their employees, contractors, suppliers and agents. The term “Sponsor”
shall mean any company, partnership, firm, oganisation or individual who pays a
fee to sponsor and badge event activities for the purposes of promotion and shall
include their employees, contractors, suppliers and agents. The term “Event”
shall mean any exhibition or event run by the BMJ Publishing Group Limited (“BMJ
Group”) and in particular shall mean the event detailed on the Exhibition Space &
Sponsorship Form. The term ‘Venue’ shall mean any exhibition hall, conference
facility, hotel or other such building and in particular shall mean the Venue listed
in the Exhibition Space & Sponsorship Form and anywhere within the precincts of
such location under the control of the BMJ Group for the purposes and duration of
the Event. The term ‘Contract’ shall mean the agreement which is formed by the
acceptance of the booking in accordance with clause 3.
2. Venue terms and conditions – Exhibitors/ Sponsors must at all times adhere to
the Venue’s terms and conditions and follow any reasonable instructions provided
by the Venue and/or the BMJ Group. The Venue’s terms and conditions will be sent
to the Exhibitor/ Sponsor as part of the booking pack and the Exhibitor/Sponsor
agrees that any booking they make is subject to the Venue’s terms and conditions
being agreed; in the event that the Exhibitor/ Sponsor does not receive the
Venue’s terms and conditions with the booking pack the Exhibitor/Sponsor will
not book themselves into the Event until such terms and conditions are received
from the BMJ Group and agreed by the Exhibitor/ Sponsor.
3. Stand bookings & contracting – Bookings for stand space must be in writing on
an Exhibition Space & Sponsorship Form. No application will be considered valid
until such a signed document is received. On completion and submission of the
Exhibition Space & Sponsorship Form and subsequent notification of aceptance
by the BMJ Groups, a binding contract arises. The BMJ Group reserves the right to
refuse any application without assigning any reason.
4. Stand charges and payment – All Stand rental charges and sponsorship
opportunities and services are based on the cost to the BMJ Group of goods,
materials, labour and transport, including the cost of conforming with obligations
imposed by statute or government order ruling at the time when such prices were
quoted. While every efort will be made to contain costs, in the Event of excessive
increases in such costs before completion of work, the right is reserved by the
BMJ Group to make corresponding increases in charges. Payment is due 30 days
from the date of the invoice, or by Friday 15th August 2014, whichever is the
earliest. Failure to settle the invoice within these terms will leave your booking
liable to cancellation, in order that the BMJ Group has the opportunity to reassign
the space or sponsorship opportunity to another party. No organisation will be
permitted to attend the BMJ Careers Fair as an Exhibitor/ Sponsor if these terms
are not fully adhered to.
5. Duration of Event – Exhibitors/Sponsor must refer to their exhibitor pack for
confirmed opening, set up and beakdown times.
6. Subletting and sharing of stands – Exhibitors shall neither share nor sublet the
whole or part of the stand allocated to them with another organisation without
the written consent of the BMJ Group.
7. Amendment of site plan and venue – Whilst every endeavour is made to
preserve the published plan of the Exhibition or the location of the Venue, the
BMJ Group shall be entitled to, vary the layout or change the Venue if it is believed
by the BMJ Group to be in the general best interests of the Exhibition, or for any
reason beyond their control.
8. BMJ Group and Exhibitor/ Sponsor cancellation – In addition to any rights
contained within Clause 9, the BMJ Group may terminate an Exhibitors/ Sponsors
booking upon 2 days written notice to the Exhibitor/ Sponsor in the event that a)
the Exhibitor/ Sponsor materially breaches the terms of the Contract or b) that in
the BMJ Group’s sole discretion, it becomes aware that the Exhibitors/Sponsors
attendance at the Event or the BMJ Group’s association with the Exhibitor/
Sponsor may: i) bring it into disrepute, ii) require (or it being reasonably prudent
to require) the BMJ Group to incur additional costs by virtue of the Exhibitor’s/
Sponsor’s attendance (which the BMJ Group may alternatively opt to ofer for the
Exhibitor / Sponsor to pay in consideration for not terminating this Contract) , iii)
has or is likely to have the consequence of causing a demonstration or other form
of unrest at or in close proximity to the Event or any BMJ Group premises before
or after the Event . In the foregoing circumstances set out in b) of this clause 8,
the BMJ Group shall refund the fees paid by the Exhibitor/Sponsor to the BMJ
Group but shall not otherwise be liable for any costs, charges , fees or any losses
howsoever the Exhibitor/Sponsor may sufer or incur as a direct or indirect result
of the BMJ Group’s termination. An Exhibitor/ Sponsor cancelling or reducing its
booking after an official applicatiohas been accepted will be liable for payment of
the total fee for the original booking.

9. Event postponement or abandonment – The BMJ Group expressly excludes
any liability in respect of any actions, claims, losses (including without limitation
consequential losses), damages, costs or expenses whatsoever which may be
brought, sufered or incurred by the Exhibitor/ Sponsor or its employees, subcontractors or agents as a result of the prevention, postponement or cancellation
of an Event or the Venue becoming wholly or partially unavailable for the running
of the Event. The BMJ Group will repay any fee paid by an Exhibitor/ Sponsor in
respect of a cancelled Event , and the BMJ Group will repay any rental paid if a
postponement to the Event means that it will no longer take place on the date
envisaged and the Exhibitor/ Sponsor doesn’t wish to attend the rescheduled
Event. Save as detailed herein the BMJ Group shall be under no liability to
the Exhibitor/ Sponsor in respect of any actions, claims, losses (including
consequential loss), costs or expenses whatsoever which may be brought against
or sufered or incurred by the Exhibitor/ Sponsor as the result of the happening
of any such events. If, at the sole discretion of the BMJ Group, rearrangement
or postponement of the period of the Event or by substitution of another hall
or building or by any other reasonable manner the Event can be carried out,
this Contract shall be binding upon the parties, except as to size and position of
stands and sponsored workshops (and related activities), as the BMJ Group may
(as it considers necessary) make modifications, substitutions orrearrangements
thereto. For the avoidance of doubt nothing within this clause limits or excludes
the BMJ Group’s liability for death or personal injury or any other matter for which
liability cannot be limited at law.
10. Insurance and liability – The Exhibitor/ Sponsor agrees and acknowledges that
it is responsible for safeguarding its possessions, materials and property during
the Event. The Exhibitor/ Sponsor shall be responsible and liable for all losses
(including direct and consequential losses), damage, claims proceedings and
demands arising out of injury to any person or damage to any property, materials
or possessions by reason of the works, acts or omissions of the Exhibitor/
Sponsor, its employees, servants or agents and for any loss or damage (including
without limitation consequential losses) caused to the Venue, fittings supplied
within the ost of participation and to any third parties howsoever arising as a result
of the acts or omissions (or failure to act) of the Exhibitor/ Sponsor his employees,
sub-contractors or agents. The BMJ Group expressly declines any responsibility
for the safety of possessions, materials or property of the Exhibitor/Sponsor
or their employees, contractors, suppliers and agents or any other person, for
loss, damage, destruction by theft, fie or any other cause, save and except in all
cases in this clause 10 for any death or personal injury caused by the BMJ Group’s
negligence or as otherwise unable to be excluded by law. The BMJ Group and its
contractors exclude any liability by reason of a force majeure event including fie,
storm, lightning, explosion, national emergency, war, terrorism, or threats of war or
terrorism, labour disputes, strikes, lockouts, civil disturbance, inevitable accident,
or for any other cause not within the control of the BMJ Group whether of the
same kind or not. As the BMJ Group and its contractors will accept no responsibility
for any of the foregoing matters, Exhibitor/ Sponsors should efect their own
insurance against any risk of any loss, damage, injury or liability relating thereto.
11. Indemnity – The Exhibitor/ Sponsor hereby indemnifies the BMJ Goup against
any loss, damages or expenses incurred or sufered by the BMJ Group (including
consequential loss which shall include but not be limited to loss of profit, loss
ofanticipated savings and other economic loss) as a direct result of an act or
omission on the part of the Exhibitor/ Sponsor in relation to the Contract.
12. Health and safety – It is the responsibility of the Exhibitor/ Sponsor to ensure
that its contractors, employees and agents, comply with the latest legislation
regarding the Health and Safety at Work requirements.
13. Promotional matter – All printed matter or advertisements of any kind
intended for distribution in the Exhibition may only be distributed from the
Exhibitor/ Sponsor’s stand and workshop space and shall not be distributed in
any other location including within the building or in the neighbourhood of the
entrance or exits. Exhibitor/ Sponsors must not station any attendant in the
gangways or place anything in or over them or upon any space other than that
allocated to them. Attendants must not circulate through the Exhibition halls for
promotional or delegate scanning purposes or use audible means of attracting
the attention of visitors to the annoyance or inconvenience of other Exhibitor/
Sponsors. Any promotional matter related to competitions, prizes, awards, gifts
must fist have been submitted to the BMJ Group for approval. The BMJ Group has
the right to request withdrawal of any promotional material in any media or any
promotional activity should this cause disturbance or annoyance or is objected to
on the grounds of legality, decency or honesty.
14. Fitting regulations – Under no circumstances may Exhibitors/Sponsors
alter or add to the external structure of the stands. Further interior design,
fittings, lighting,decorations may be added at the Exhibitors’ expense subject
to the compliance with these regulations and any requirements of the local
or other authority at the time. Exhibitors are deemed to have knowledge of
such requirements and regulations and are bound thereby and are required to
indemnify the BMJ Group and its contractors against any claim, action, loss or
liability occasioned by any breach thereof. The total enclosure of any stand shall
not be permitted. Exhibitors and their contractors may not interfere with the
Venue building in anyway whatsoever and any damage caused by their acts will
be the responsibility of the Exhibitor, who will be required to indemnify the BMJ
Group and its contractors against any claim arising from such damage. In addition
all work carried out by or on behalf of the Exhibitor including stand interior,
construction, stand fittings, electrical ork and decoration must be by members of
the appropriate trade unions in accordance with the construction and working rule
or other property of any Exhibitor or of any person, or for the agreements issued by
and under the authority of the National Joint Councils of the Exhibition Industry.
Any Exhibitor or Exhibitor’s contractor who obstructs the BMJ Group’s Exhibition
contractor will be liable to a fee of not less than the price of a 9sqm stand, and the
Exhibitor will indemnify the BMJ Group against any cost that may arise as a result
of the exhibition build up, and/or breakdown schedule. In all cases the BMJ Group
reserves the right to remove any stand where the BMJ Group becomes aware that
it is a risk and the Exhibitor fails to adhere to its reasonable requests. Exhibitors/
Sponsors must keep all materials and furniture within the boundaries of their own
stand and not obstruct aisles for reasons of health and safety.
15. Stand design – In the instance of an Exhibitor not requiring the use of a shell
scheme provided by the BMJ Group’s contractors and wishing to erect his or her
own construction in the space allotted, plans must be submitted in full to the BMJ
Group not later than 30 days before the opening of the intended Exhibition. The
BMJ Group retains the right to refuse, amend or otherwise deal with any plan as
deemed necessary.
16. Special hazards – Any exhibit which may be regarded as constituting a special
risk or hazard or dangers must be notified o the BMJ Group at least one month in
advance of the opening of the Exhibition. The Exhibitor/ Sponsor must at his or
her own expense comply with any conditions or safety precaution the BMJ Group,
Venue licensor or local authority may impose. The BMJ Group reserve the right to
reject any exhibit that it regards as a risk, which has not been notified o the BMJ
Group and approved by it in accordance with this clause.
17. Disposal of waste – It is the responsibility of the Exhibitor to ensure that all
debris and waste material arising from his or her own stand fitting is ompletely
removed from the Exhibition area prior to the opening of the Exhibition. Failure
to comply with this procedure shall render the Exhibitor liable for the cost of
clearance by the BMJ Group.
18. Staffing and stand displs – Exhibitors must ensure that their stand is ready at
least one hour prior to the opening of the Exhibition each day. Stands must be fully
stafed and stocked at all times. Exhibits are not to be removed until the exhibition
has closed and any Exhibitor closing their stand before that time without the
permission of the BMJ Group will be liable to an early closing fee of 25% of the total
stand cost + VAT. There is a limit of three persons per 3mx3m stand or six persons
per 5mx6m stand. Additional persons may be permitted at the BMJ Group’s sole
discretion and subject to the payment of additional charges.
19. Hospitality – Exhibitors/ sponsors are not permitted to ofer or distribute
refreshments including alcoholic or non-alcoholic drinks or food without the
permission of the BMJ Group.
20. Security – Security will be provided at the absolute discretion of the BMJ Group
or its contractors but they cannot accept liability for any loss or damage that may
occur. Lapel badges must be worn at all times by the Exhibitor/sponsor and his
staff whilstin the Venue and in all other areas within the full control of the BMJ
Group for the duration of the Event.
21. Smoking – Smoking is not permitted in the Venue or any other area under the
control of the BMJ Group.
22. Variations – Variations from any of these Terms and Conditions may be granted
at the BMJ Group’s discretion. No variation will be efective unless it is given in
writing.
23. Waiver – Failure or neglect by the BMJ Groups to enforce at any time any of the
provisions hereof shall not be construed nor shall it be deemed to be a waiver of
their rights hereunder nor in any way afect the validity of the whole or any part of
the Contract nor prejudice the BMJ Group’s rights to take subsequent action.
24. Enforceability – If any term or provision in this Agreement shall in whole or in
part be held to any extent to be illegal or unenforceable under any enactment or
rule of law that term or provision or part shall to that extent be deemed not to form
part of this Agreement and the enforceability of the remainder of this Agreement
shall not be afected.

25. Third parties – The parties agree that no third party shall be entitled to
enforce any rights under the Contract. The parties hereby exclude the operation
of the Contracts (Rights of Third Parties) Act 1999. Nothing in the Contract shall
be deemed to constitute a partnership between the parties.
26. Notices – Any notices to be served on either of the Exhibitor/ Sponsor or the
BMJ Group by the other shall be sent by pre-paid recorded delivery post, facsimile
or electronic mail to the address of the other, and shall be deemed to be received
by the addressee within 72 hours of posting or 24 hours if sent by facsimile or
on sending it by electronic mail to the correct facsimile number or electronic
mail address provided that no message is received by the sender in the case of
electronic mail that such message was not delivered.
27. Law – Each Contract concluded under these Terms and Conditions shall be
governed by and construed in accordance with English Law and the parties agree
to submit to the exclusive jurisdiction of the English Courts.
