2014 Team. We wish you to have a purposeful and growth oriented participation at the show.
This manual provides you with an overview of the exhibition. It also provides you with information to
facilitate a well organized participation for you at the show.
The manual has been designed to provide you with all the details about the organizer, the show
team, official services and facilities available at the show venue, schedule of official functions &
events, on-site arrangements and the checklist for the show.

PART - A: SCHEDULES FOR ON-SITE OPERATIONS

RULES & REGULATIONS

RULES & REGULATIONS:
The formulation and execution of the rules and regulations and all other matters
regarding the Exhibition will be carried out by CII (Northern Region), Chandigarh
(hereinafter referred to as the Organiser) or their authorized representatives, with the
assistance of the Special Organising Committee.
The Organiser is vested with full authority to enforce all the rules and regulations
pertaining to the Exhibition. Its decision will be final and binding in all respect and to all
concerned.

DISMANTLING:
Dismantling of the stalls will start at 9:00 pm on Monday, 20 October 2014 and
exhibitors must remove unwanted material by 12:00 pm on 20 October 2014.

RIGHT OF ENTRY TO VISITORS:
The organizers reserve the right of admission to visitors and may prescribe registration
procedure and recover registration charges/secretarial costs from the visitors. The
decision of organizers in this matter would be final.

ALLOCATION OF SPACE:
The exhibitor can communicate their preference of a stall; however space will be
allocated on first-cum-first-serve basis. Allocation of the position and dimensions of the
stall will be decided by the Organisers. The details of stall allotment will be
communicated to the Exhibitors appropriately.
The decision of the Organisers in regard to stall/space allocation will be final.
The organizers reserve the right, should circumstances necessitate, altering the
position or dimensions or area of the stall(s).

POSSESSION OF STALLS / INSTALLATION PERIOD:
Possession of the stalls will only be given after receiving the full and final
payment to CII along with all necessary documents such as clearance from the
Excise & Sales Tax Department, Chandigarh and Authorization Letter to the stall
fabricator or designer.



ELECTRICITY CHARGES:
Electricity provided at the stall is sufficient to run equipment/machinery/appliances only up
to 1KW. Any extra power load will be charged at the rate of INR 500 per KW per day
(subject to service tax).

VAT/ SALES TAX FORMALITIES:
Participation/Sale of Exhibits is subject to mandatory clearance from Excise & Sales
Tax Department, Chandigarh. All Exhibitors are required to produce necessary
clearance before taking possession of the stall and also submit this clearance certificate to
the organizers before Tuesday, 07 October 2014 in any condition.
NOTE:CII will not be held responsible for any violation of Sales Tax rules & regulations.
Your cooperation in this matter will be highly appreciated. Please note that possession will
only be given to exhibitors on production of the requisite permission from the Excise &
Taxation Department, Chandigarh.

DESIGN AND CONSTRUCTION:
The Organisers have the right to decide on the fulfillment of the rules, and the authority
to demand removal/change of anything that is not in accordance with the rules. The
decision of the Organisers in this regard would be final and binding.

APPROVAL OF LAYOUT PLANS OF STALLS:
The Exhibitors have to submit the design and drawing of their stall/space before
Thursday, 01 October 2014 for approval of the Fair Architect along with the front
elevation. The approved copy of the design drawing should also be available at site
during the construction period for inspection.

RESTRICTIONS:
The following are strictly prohibited

Exhibitors will have to maintain the stand type of their stall. They can however
have an entry/exit point to facilitate the movement of visitors to their stall.

Nailing, digging or cutting the floor / ground;

Holes, nails, screws on panels, furniture, carpet and floor;

Wall paper, glue or paint or other easily non-erasable material on panels;

Carrying out any type of welding work using naked flames;

Use of Plastic Bags;

Loud noise or music;

Smoking within the stall/hall area during construction as well as the exhibition period
and consumption of hard liquor at public area.

Any changes/alterations to the fascia of the stall without the consent of the
Organisers.

Use of any banner or tent house furniture/structure in the stall will not be
allowed under any circumstances

Carrying out any welding work using naked flame or a LPG Cylinder.


Height of any display/hoarding or any kind of construction in the stall should not go
beyond 2.5 mtrs.
STAND INTERIORS:
While the Exhibitors are free to decorate their stands to the best of their ability for
projecting the right image of their products and company, they should take care not to
cause any damage to the walls, pillars and floors or any other such facility. BANNERS
ARE NOT ALLOWED TO BE USED EITHER INSIDE OR OUTSIDE THE STALL.
STAND MANNING:

No stand should be left unattended during the exhibition hours. Staff manning the stand
must be present at least fifteen minutes before the opening of the Exhibition and till the
closing of the Exhibition.
Exhibits must not obstruct passages. Fire extinguishers, cable terminals and outlets for
electricity must not be obstructed.
EQUIPMENT INTERFERENCE:
No equipment, which emits excessive noise or causes electrical interference or any other
annoyance, can be operated. In this matter, the decision of the Organizers shall be final.
Audio-Visual films, television, video, slide presentations/ demonstration shall be
permitted within the confines of the Exhibitor's stall. However, the volume should be
controlled so as not to disturb neighboring stalls. This condition is binding on exhibitors.

VERBAL AGREEMENT:
Any verbal agreement concerning any aspect of the contract or the exhibition is not
valued unless confirmed in writing.

ENCROACHMENT:
The exhibitors should confine their exhibits as well as personal furniture etc. to the area
allocated to them. They should not encroach upon corridors, passages, vacant space or
other facilities provided by the Organisers.

SPACE NOT OCCUPIED:
1)
Every exhibitor shall occupy the full area booked by them.
2)
In the event of an exhibitor not taking possession of their stall, the Organisers
reserve the right to use the stand so unoccupied, as they think fit and the exhibitor
shall have no claims.
CANCELLATION:
The prospective Exhibitor is liable to forfeit 100% Space rental in case of cancellation of
participation.

REMOVAL OF EXHIBITS:
Exhibitors are allowed to remove the exhibits from the Stalls only after 9:00 p.m. on
Monday, 20 October 2014. The work of removing the exhibits must be completed by
12:00 PM. Organisers will not be responsible, if the exhibitors fail to comply with these
dates.

DAMAGE CAUSED TO ANY STRUCTURE BY THE EXHIBITOR:
On the closure of the exhibition, the stall/area must be restored to its original condition.
Exhibitor will be required to make good all damages, (or make payment adjustable
against Security Deposit in lieu thereof) to the Fair facilities incurred during the
Installation/ Dismantling/ Fair period. Exit passes will be issued only after all dues
are cleared.

FORCE MAJEURE:
Under the conditions of force majeure which also include strike, lock-out, closure, riot,
natural calamities, the Organisers reserve the right to alter the opening dates and
duration or even cancel the entire Exhibition. In case of change in dates and duration of
the Exhibition, the rules and regulations and the agreement between the Exhibitors and
the Organisers will remain unaffected.

LIMIT OF LIABILITY:
Organisers are not liable in any form for any loss or damage to exhibitor’s property on
the exhibition site or injury to their personnel and visitors. By confirming participation in
the exhibition, the Exhibitors also agree to refrain from making any claim on the
organizers and to indemnify them against any claim by their party arising out of
exhibitors’ conduct. All disputes will be subject to Chandigarh Jurisdiction.

LOCAL AND SITE REGULATIONS:
Exhibitors must agree to abide by the local and site regulations with respect to law and
order, parking, safety, etc. The Organisers will take necessary action against those who
do not comply with the regulations.

PUBLICITY:
The Organisers will undertake general publicity of the Exhibition. Posters and other
publicity material to be prepared by organizers would be made available to all exhibitors
for their use. Exhibitors are at liberty to carry out their own publicity independently at
their own cost. Exhibitors are not allowed to put up publicity material / posters etc. in
any other area except within their stalls in the Exhibition Area.
Distribution of Printed Pamphlets outside the stall and publicity by/of nonexhibitor is prohibited.

PHOTOGRAPHS/FILMS:
The organizers reserve exclusive right to take photographs and film the Exhibition stalls.
Prior permission of the Organisers will be essential for taking photographs and films by
the Exhibitors and others. The exhibitors can, however, take photographs of their stall
and visitors to their stall.

SECURITY:
General security at the venue will be provided by organisers. For specific security needs,
exhibitors are requested to contact the organizers.
CONSERVANCY SERVICES:
The Organisers will arrange the general cleaning of the aisles and booths prior to the
opening of the Show. However, it is the responsibility of the exhibitor to keep its booth
tidy at all times.
As per the venue rules, exhibitors are requested to move any rubbish or discarded
materials in the aisles at the end of each day.
ENVIRONMENT POLICY, SAFETY & SECURITY CONCERNS:
Please note that CII NR believes in ISO 14001:2004. Kindly ensure that all eco-friendly
norms and safety measures are followed during the exhibition period. Important points to
be followed:
o To use only licensed contractors for electrical and other exhibition work.
o To use only fire retardant material in the exhibition as per rules of the government.
o To strictly follow the guidelines of Chandigarh Fire Services.
o Don’t use plastic bags.
o Don’t overdraw power as it can be a fire hazard & also lead to stiff penalties.
o Don’t use green areas as only earmarked open paved areas are available for display
outside the halls.
o Don’t use inflammable material for construction decoration in the exhibition.
o To use & dispose oil, lubricants, batteries & related products as per manufacturer’s
guidelines.
o Ensure optimum utilization of water. Running taps, leakages in water pipes, if any, must
be avoided.
PART – B: ADDITIONAL INFORMATION
B1
ADMINISTRATION OF EXHIBITION HALLS:
The Organisers will control the administration of Exhibition from the Exhibition Office at
the site. Participants should contact CII staff at the CII Office for taking possession of
their stall and for information on various exhibition services.

STALL ERECTION AND DISPLAY:
Exhibitors are advised to follow guidelines specified by organizers. The organizers
would particularly like to emphasize on the following points.
a) There is no restriction on the size of machinery and equipment except that imposed
by the load bearing capacity of the floor for indoor areas. The height clearance of
entry doors & the halls must be checked with the Organisers.
b) Woodwork in the Halls is prohibited. Platforms/panels and other decoration for
the interior must be brought in pre- fabricated condition for assembly and finishing
inside the Hall. Use of systems will be encouraged to result in timely completion of
stalls. Passage area is to be kept clear of packing cases, construction material etc.
c) The Exhibitors should leave a minimum of 30% of the stall area free for movement of
visitors, especially in the Raw Space category.
d) Stalls should be completed in every respect by 10:00 p.m. on Thursday, 17
October 2014 with all exhibits in position. Please note that general security will
be placed from 10:00 a.m. on 17 October 2014.
e) The exhibitor, who has booked raw space, can construct an office/cabin provided the
area covered is 25% of the total booked area and the balance space should be kept
open. Height of the sidewalls that open onto the passage area must not exceed 1.5
meters. The wall touching the adjacent exhibitor has to be of 2.5 meters in height.
f) Exhibitors must note that the partition wall between the Two Stalls/Space in the
Indoor/Outdoor Raw Space Category will not be provided by the Organisers.
Exhibitors will have to do up the partition walls from both the sides in this category so
that the quality and get up of the exhibition is maintained. Exhibitor is requested to
adhere to the condition.
g) It is mandatory for exhibitors in all categories to maintain the stand types in
terms of openings of a stall/space. Exhibitor may like to have an entry/exit
point on the sides.
h) Organiser can ask exhibitors to follow the above guidelines. Organiser’s decision in
this regard would be final and binding.
i) Use of any kind of cloth banners and tent structure/ furniture at the
exhibition site is prohibited.
j) Exhibitors should advise their display and advertising agents about the rules and
guidelines for stall decoration, permissible size of display material/partition/side/back
wall height restrictions, load bearing capacity, wall finish from sides, panels, office
cabins etc. Organisers would not correspond with the advertising agents
engaged by the Company/Exhibitor. However, if the Exhibitors themselves require
any information or clarification, the same can be obtained from the Organisers.

SUPPLY OF ELECTRIC POWER:
a) The electric power supply available at the exhibition.
b) CII personnel responsible for supply of power will be entrusted with the authority of
regulating and controlling the power supply to the Exhibition Halls and individual
stalls.
c) Each stall will be provided with electric power at one point depending on the total
load requirement. Exhibitors should use Distribution Boards for feeding power to
their machines. Individual isolation switches should be provided for each
machine. Exhibitors should use either armored cables or metal conduits for
connecting power supply to machines.
d) The work of drawing power from main point to machines/exhibits is to be carried out
by the Exhibitors, at their own cost. Exhibitors may engage the services of their own
personnel or authorized electrical contractors for cabling work inside their stall,
subject to the condition that they are duly licensed to undertake electrical work and
their names and addresses are intimated to the Organisers before the
commencement of work. The service charges of electrical contractors are to be
borne by the exhibitors and are payable directly to the contractors.
e) THE EXHIBITORS SHOULD CONNECT POWER TO MACHINES AND EXHIBITS
AS PER THE REQUIREMENT GIVEN IN THEIR APPLICATIONS. CONNECTING
POWER TO THE EXHIBITS OTHER THAN THOSE MENTIONED IN THE ELECTRICITY
REQUISITION FORM OR MORE THAN THE SPECIFIED LOAD OR THE LOAD ALLOTTED
BY THE ELECTRICAL DEPARTMENT WILL NOT BE PERMITTED.
f) Exhibitors must install separate and independent switch connections for their
machines/exhibits. Alternate connections or throw-over switches are not
allowed.
g) In case power is supplied to the stall from two or more main points, exhibitors must
distribute the load as per the capacity of the respective switchboards in consultation
with the Exhibition Electrical Department.
h) After the electric wiring work is completed, the exhibitors must obtain a completion
report from their electricians or contractors engaged by them and file the same with
Exhibition Electrical Department. Actual connected load for the individual
machines/exhibits is to be mentioned in the report.
i) All the main electrical supply points must be kept easily accessible for operation and
repairs in the event of emergency. Main Electrical Supply Points should not be
concealed or covered.
j) Power will be released only after the wiring work is carried out to the satisfaction of
the Exhibition Electrical Department and approved by the CII Inspectors.
k) Exhibitors are advised to install equipment like voltage stabilizers/UPS for their
sophisticated machines/exhibits. If the machines are sensitive to the alignment of
the floor, placement of steel plates underneath is recommended.
l) Exhibitors are advised to exercise highest level of safety precautions and engage
services of only qualified personnel for electrical wiring and installations.
This is extremely important from safety point of view.

B.
Additional Furniture on Hire: Exhibitors who book space under the Shell Scheme
(Built up) are advised to contact the Organisers for their requirement of Additional
Furniture. All such requirements must be registered by Thursday, 01 October
2014. The additional furniture is strictly subject to availability. However, all
other Exhibitors would need to make their own arrangements for additional
furniture. Organisers will make arrangements with the concerned contractor to
deliver additional furniture directly at their stalls. All payments to be made directly
to the contractor. It is advisable to tie up with the contractor in advance.
Exhibitors are advised to contact the official contractor directly.
C.
Electrical Fittings on Hire:
Exhibitors are at liberty to hire electrical fittings from outside agencies. However,
those Exhibitors who have booked built-up shell scheme space are advised to hire
electrical fittings from the official contractor.
D.
Official Security Agency:
Organisers will arrange for general security of the fair. Organiser is in no way
responsible for the security of the equipment/material in the stalls during
installation as also the exhibition period. The Exhibitors are advised to hire
security personnel for their stall from the approved agency only. No other
security or personnel of the exhibitor will be allowed to stay inside the
stall/hall once the hall has been closed for the night. CII's decision would be
final.

It would be desirable for the Exhibitors to take Insurance Policy covering the
following:

The organizers will not be responsible for any damage/loss to the property of
Exhibitors and injury to their personnel or visitors.
G.
Fire Safety Measures:
Although general fire protection equipment will be provided at various points in
the Exhibition Halls, exhibitors are, however, advised to take due precaution and
provide portable equipment in their own stalls. Exhibitors should also install
Guards or Protectors on Machine/Exhibits during the demonstrations to avoid
injury to visitors. Exhibitors are requested to acquaint themselves with the
position of the nearest fire hydrants and telephones.
Exhibitors are advised to ensure that first aid kits are provided in their stalls for
emergencies.
H.
Storage of Empty Cases:
No empty cases or packing material will be allowed to be kept in and around the
hall/stall. Exhibitors are responsible for arranging the disposal and storage of
crates and other material at least one-day before the opening of the Fair.

OCTROI DUTY:
Exhibits can be brought into the Union Territory of Chandigarh without paying any Octroi
charges. (As not applicable in Chandigarh)

SETTLEMENT OF DUES:
The Exhibition will close on Monday, 20 October 2014. It is mandatory that clearance
of all dues in respect of Electricity, Extra Furniture and Fittings etc. be taken from the
Organisers before the start of the event. This would help exhibitors in obtaining Final
Exit Gate Pass without delay. Respective Hall Director may be contacted for any
assistance/clarifications in this regard.
Payment will be received by Cash/DD only. D/draft will be made in the name of

EXIT PASS:
There is no Entry Pass Procedure during installation period while entering Fair Site.
However for taking out the exhibition material and exhibits after the closure of the
Exhibition, participants would need to follow a standard Final Exit Pass Procedure. To
obtain the Exit Pass from the Organisers, the following procedure would be observed The Exhibitor should contact their respective Hall Director for obtaining No Dues
Certificate and approach the Secretariat for Exit Pass in writing. The copy of the Exit Pass
will be provided by the Organiser on the last day of the Fair.
Please Note:
Exit Passes will be given to Exhibitors only on the condition that
all Dues towards their participation in the exhibition are clear.

STALL HOSTESS:
Exhibitors requiring Hostesses for their stands are free to make their own arrangements.
Final terms of remuneration should be mutually settled between Exhibitor and the
Hostess.

EXHIBITOR BADGES:
Exhibitor badges can be procured on Thursday, 16 October 2014 from the CII
Exhibitor Relations Office. EXHIBITORS SHOULD INFORM THEIR REQUIREMENT OF
BADGES IN ADVANCE. PLEASE NOTE THAT BADGES WILL BE GIVEN IN
ACCORDANCE TO THE SPACE BOOKED.

or the Organiser's Office directly.
