Winter 2015 Basics Planning Guide for Deans, Associate Deans, Chairs and Schedulers Winter Intersession Overview Management Winter Intersession 2015 is a self-support program and administered by the College of Extended & International Education. Course Approval Courses scheduled in Winter Intersession must be approved by department chair and college dean and received from the dean’s office. Sessions and Dates Winter Term consists of two sessions. (See Attachment B) Session 1 - ONLINE and HYBRID COURSES Wednesday, December 17, 2014 - Thursday, January 15, 2015 Session 2 - FACE-TO-FACE COURSES Friday, January 2, 2015 - Thursday, January 15, 2015 Tuition Fees Winter Intersession 2015 Fees: $266.00 per unit for lecture courses Activity and lab courses may have additional fees Fees are the same for matriculated and nonmatriculated students Campus student fees: None Winter Intersession 2015 website: http://csudh.edu/winter/ Winter Guide & Course Proposals http://www.csudh.edu/ee/faculty.html 3 Course Planning Schedules Winter Intersession offerings from each department and college are planned first and foremost with attention to the academic needs of students. The dean or associate dean of each college works with department chairs and others to consider options and plan the college’s courses for the Winter Term. Online and hybrid courses are suited to the Winter Intersession 2015 since Session 2 schedule is compressed to 10 weekdays. Please refer to department and campus policies for offering online or hybrid courses. We ask that departments and colleges have an accurate schedule by October 10, 2014, in order to allow students time to plan their schedules before Winter Term registration begins and, if applicable, to plan their course selections for Spring term 2015. Approval Each course proposal must be approved and signed by the appropriate college dean and department chair or coordinator before being submitted to Special Sessions in Extended Education. Winter Intersession 2015 Planning Guide and Course Proposal form are available online at http://www.csudh.edu/ee/faculty.html. Course Contact Hours As with all other University terms, courses in the Winter Term must meet Carnegie standard of 15 instructional hours for every one semester credit unit. Session 2 of Winter 2015 is compressed, January 2 -15; 10 instructional week days. A 3unit course might be scheduled four days per week for 2 weeks and require approximately 5.5 hours of class meeting time per scheduled day (this includes breaks) See Table 2, See Attachment C & D for guidelines. Session1 (fully-online and hybrid) courses meeting December 17, 2014, through January 15, 2015 Session 1 classes may remain in session during all or part of the campus closure for holidays. Class schedule may also include Saturdays and Sundays. Blackboard will remain available during the break. For hybrid modality, face to face instruction may be held from December 17 - December 19 and during session 2, complemented by online study to provide an equivalent appropriate number of contact hours per unit. Session 1 accommodates courses with extensive reading and writing requirements. Session 2 (face-to-face) courses meeting January 2 through January 15, 2015 Because of the shortened time frame, Session 2 format is intensive. For example, a three-unit lecture course would require meeting 10 weekdays in Session 2 for about three and a half hours per day – some time must be allowed for breaks. Classes may be scheduled to meet on weekdays, Saturdays and/or Sundays during Winter Intersession. NOTE: Classes starting at 4:00 pm or later are considered evening courses. An evening class must end by 10:00 pm. (Pacific Standard Time) 4 Travel Study Courses A department or college considering a travel study course in Winter should notify special sessions office ([email protected] or Ext 2284) for guidance in planning, budgeting, and required CSUDH approval process. Instructor Workload and Compensation CSUDH Faculty Teaching in Winter Intersession CSUDH regular full-time and part-time faculty members may teach in the Winter Intersession if assigned to do so by their dean and department chair, but are not required to and may decline the assignment. Workload for Instructors The total allowable instructional assignment for Winter Intersession overall is three units. If a college wishes to plan a 3-unit course with a 1-unit lab, a second instructor should be assigned to the 1-unit lab to keep within the 3-unit limit for teaching load in Winter. There is no exception to this guideline for Session 2 of the Winter Intersession because of its condensed schedule Instructor Compensation For Winter Intersession, instructor compensation is based on the CSU negotiated salary scale 2322. Instructors will receive Letters of Appointment from the College of Extended & International Education. Please review, sign and return appointment letter as soon as possible and before first day of your course to Extended Education special sessions office in EE1300. Enrollment counts for instructor pay for Winter 2015 courses (both Sessions 1 and 2) will be taken at close of business on January 5, 2015. Instructors may expect pay 30 days after Winter grades are posted. Posting Grades Instructors teaching Winter courses should post final grades for each course online (using CSUDH online process for posting grades) as soon as possible but no later than 72 hours after end date. If course ends January 15, grades must be posted by January 18, Sunday, 11:59 pm. Instructor Responsibilities Instructional responsibilities for Winter courses are the same as during any other University term. 5 Registration & Payment Registration Overview Because Winter Intersession is self-support, matriculated and nonmatriculated students are eligible to register. Registration appointments are not available. Online and in-person registration will begin on Monday, October 27, 2014. Registration takes place in Extended Education Registration Office, EE 1100, 310-243-3741. Winter Intersession is open to: • All qualified CSUDH students in good standing • Prospective CSUDH students • Students from other colleges and universities ! Qualified community members, including approved high school juniors & seniors Registration Restrictions • Standard enrollment rules apply • No one will be able to register with a hold on his/her registration • Course prerequisites must be met or a permission number must be provided by the department chair or associate dean • Late registration requires a permission number • A student may take a maximum of 4 units during Winter Intersession Enrollment Required Before Attending Class Students must be enrolled before attending class; students should not be permitted to attend class if they are not on the class roster. Any student attending class whose name does not appear on the roster should be sent immediately to the Extended Education Registration Office in EE1100 to clarify enrollment status. Transfer Credit and Degree Applicability For matriculated CSUDH students, Winter course credits are degree-applicable, as in any other term. Nonmatriculated students may apply up to 24 units toward a bachelor’s degree and 9 units toward a master’s degree, with the approval of the relevant department chair, should they matriculate into a CSUDH degree, credential, or credit certificate program. Students who choose to transfer CSUDH credit to another institution should recognize that the receiving institution decides on the applicability of transferred courses to a particular degree program. Grades and GPA Grades received in Winter Intersession become part of a student’s permanent CSUDH academic record and are included in the student’s overall grade point average at CSUDH. Course Payment Full payment is due at the time of registration. Students will be automatically disenrolled at 8 a.m. on the following business day if they have not made full payment. Financial Aid If a student is eligible for spring financial aid, deferment of Winter Intersession course fees may be available. The student must bring a deferment form to Extended Education Registration office. 6 Customized Payment Plan An installment plan for paying course fees is available through Extended Education Registration. Hours of Operation M-T h 8a.m. - 8p.m.; Fri 8a.m. - 5p.m.; Sat 8a.m. - 1:30p.m. Marketing and Website Extended Education will host a comprehensive Winter Intersession 2015 website with information for students on classes, registration, resources and policies. The website will go live in October with preliminary information; the complete website with course listings will be accessible on or before October 27, 2014, when Winter registration opens. Promotion for Winter Intersession will be done through flyers distributed on campus and to local area institutions (e.g., libraries, community colleges, high school counseling offices), email announcements to students, postings on CSUDH, Extended Education and Facebook web pages; print ads in campus and community newspapers; campus video sign announcement. Student Academic Policies Academic Questions and Advising CSUDH matriculated students who have questions about the applicability of a Winter course to a degree requirement will be referred to the appropriate campus academic department or advising unit. Students from other institutions will be referred to their home campuses for guidance. IMPORTANT: January 2 is last day to drop without penalty and full refund (minus $10 processing). January 3 at 1:30 pm is the deadline to drop a course with a partial refund of 65%. If a student discovers after Winter Intersession begins that the wrong course has been selected or that a course is not applicable to the degree in question, this will not be sufficient reason for granting a full refund. Enrollment Limit for Winter Intersession Student is permitted to enroll in a maximum of 4 units. It is possible for a student to exceed 4 units by completing the Permission to Exceed Maximum Units Form, obtaining the required signatures, and submitting the form to Extended Education Registration. http://www.csudh.edu/winter/WinterExceedMaxUnits.pdf Repeating a Course Please see the current campus policy on repeating courses for CSUDH matriculated students: http://www4.csudh.edu/admissions-records/records/repeat-cancel/index Forms are available on the website. Also, refer to CSU Chancellor’s Office Executive Order 1037 for the CSU policy on maximum allowable repeats and incompletes: www.calstate.edu/eo/EO-1037.html 7 Course Prerequisites CSUDH registration system verifies that prerequisites have been met for CSUDH matriculated students who request enrollment in Winter courses which have prerequisites. If a student is enrolled in a fall semester course that is a prerequisite for a Winter course, his or her enrollment may be blocked until a grade for the prerequisite course has been recorded. Extended Education staff will refer the student to the department which may issue a permission number which permits the student to register in the Winter course. Visiting students who wish to take a course with prerequisites in Winter Intersession will be directed to contact the department chair or associate dean to present their academic background and obtain a permission number. Incomplete Grade Contracts Students doing satisfactory work who are unable to complete a small portion of the required coursework may be eligible for a grade of “Incomplete” (I). Credit/No Credit Grading Option Refer to the campus policy on the maximum number of units graded CR/NC allowable. The Credit/No Credit Option form is posted on the web site. http://www3.csudh.edu/studentaffairs/admissions-and-records/docs/credit-no-credit-grade-option-change.pdf. The CR/NC Option form should be submitted to CEE registration by January 3, 2015.
