Seven days a week, 24-hours a day, tenants enjoy the security of having guards on duty who monitor all building entry and access points including the garage via closed circuit televisions. Your build-out can also be designed and programmed so that employees use one security access card for the One Nashville Place garage, the building entrance, and elevators to your suite and offices. Building Security: After Hours Access The building is open weekdays from 7:00 a.m. to 6:00 p.m. and Saturdays from 8:00 a.m. to 1:00 p.m. Access during these times is unrestricted. Access to the building other than the above times and on Sunday is limited to entry by security cards, which are available through the Management Office. It is important to immediately notify the Management Office when employees are terminated so their access cards can be cancelled. Your security card is also required to activate the elevators for access to your floor. In leaving the building after hours, you will need to depress the exit button on the right side of the lobby doors. Building security officers are not permitted to admit anyone without an access card into the building or onto a floor without first receiving written authorization from the tenant. In case of activation of the building's Fire Safety System, the security system is designed to deactivate all door locks and card readers allowing access in and out of the building. Building Security: Building Access The building is open Monday to Friday from 7:00 a.m. to 6:00 p.m. and Saturdays from 8:00 a.m. to 1:00 p.m. Access during these times is unrestricted. Building Security: Deliveries The Loading Dock and Freight Elevator is available from 8:00 AM until 5:00 PM Monday thru Friday for all normal deliveries such as office supplies, vending products and small quantities of furnishings and equipment. All large deliveries or move-out of furniture, equipment, etc., must be scheduled with the Management Office to take place after 5:00 PM weekdays or on Saturday or Sunday. Please encourage all of your vendors to deliver in vehicles no longer than 30 feet or higher than 12 feet due to the compact size of our loading facility. Building Security: General Office Security Security Checklist The following is a list of general office security suggestions, which are offered to you as an aid in establishing your internal security procedures: Restrict office keys to those who actually need them. Keep complete, up-to-date records of the distribution of all office keys. Establish uniform procedures for collecting keys prior to the termination of employees. Establish a rule that keys must never be left unguarded on desks or cabinets. Require that filing cabinet keys be removed from locks and placed in a secure location after opening cabinets. Prevent unauthorized personnel from reporting a lost key and receiving a replacement. Ensure that a responsible person is in charge of issuing all keys. Store keys systematically in a secured wall cabinet of either your own design or one that conforms to a commercial key control system. Insist on identification from repairmen who come to work in your office. Clear all desks of important papers. When working alone in the office at night, lock the front door to prevent anyone else from entering. Keep the police, fire department, and building security telephone numbers posted. Double check to see that all doors are securely locked before you leave. Suspicious Persons If you see suspicious or offensive persons in the building, please call the Management Office immediately. If possible, make note of appearance, clothing, etc. in order to assist building security in locating them. Please be aware of strangers in your Tenant areas and halls. Quite often a question such as “May I help you locate someone?” will be enough to deter a potential thief. Suspicious encounters of this type should be reported to the Office of the Building immediately. Building Security: Key and Lock Policy Prior to move-in, you will be provided keys for your suite, mailbox, and interior locks along with security access cards. Additional keys may be obtained by contacting the Management Office for a list of locksmiths who are authorized to work with the building keying system. Should you require changes in the locks for your suite in the future, the Management Office must be notified in writing and the work performed under our direction. This will ensure proper janitorial coverage and provide a uniform master key for emergency situations. This procedure must be followed to assure Fire Department access to all areas of the building. All changes will be made at the expense of the tenant. Those tenants in buildings with card access controls will need to contact the Management Office in order to determine the number of cards that will be needed. If a card is lost or stolen, please notify the Management Office immediately so we can delete the card to ensure building security. There will be a replacement charge for a lost, stolen or damaged card. Telephone and Electrical room keys are not distributed to tenants. Due to the nature of these rooms, the Management Office will need to be contacted in order to gain access. Building Security: Lost and Found Please contact the Management Office at 615.313.1425 to claim items that have been lost or found in the building. Building Security: Property Removal Removal of equipment, files and business machines from the building is permitted only upon presentation of a removal pass or letter on tenant’s letterhead, signed by an individual of your firm who has an authorized signature on file with the Management Office. Arrangements for removal of furniture should be made in advance through the Management Office to ensure the availability of the freight elevator and loading dock. Building Security: Security Desk Security Desk Operations OBJECTIVE: TO PROVIDE PERSONNEL ON DUTY AT THE SECURITY DESK WITH GENERAL DUTY INSTRUCTIONS, GUIDANCE IN EMERGENCY SITUATIONS, AND PROVIDE SPECIFIC INSTRUCTIONS ON REACTION TO ALARMS, ALARM RESET, AND ELEVATOR CONTROLS. GENERAL: The security desk personnel are to assist in maintaining a secure environment in a professional manner, provide information, be alert for unusual or emergency situations, respond to these situations and make appropriate notifications as required. PROCEDURES General Duty Instructions: 1. The security desk is your duty location. 2. Position yourself so you may observe all persons who enter the building either by direct observation or on the television monitors. 3. Provide information to visitors. 4. The security officer will assume that most neatly dressed adults are on legitimate business. However, if such person behaves in a suspicious manner or seems unsure,they should be approached and asked "May I help you?". The resulting conversation will provide the information necessary to deal with the situation. 5. Persons who have no specific business on the premises, peddlers, and solicitors for charities are not allowed in the building. 6. Clearly undesirables, intoxicated persons, and unaccompanied children should not be allowed to enter the elevators. Be polite but firm in requesting the party to leave. Advise the party you will have to call the police if they do not leave. Call Metro for assistance if necessary. 7. Unless known to you by sight, stop all messengers or delivery persons and ascertain their destination. 8. If anyone calls the desk and reports trouble in the building, obtain as much information as possible and report it to the appropriate party. 9. All after-hour access should be appropriately noted either on a sign-in sheet or recorded by security card usage. 10. Anytime you must leave the desk after-hours, doors should be properly secured. 11. If it is necessary to issue keys for any reason, be certain it is recorded and that they are returned. Emergency Situations: 1. Consult the appropriate section in this guide. 2. Make necessary notifications. Reaction to Alarms: 1. In event of medical emergency, capture the freight elevator for use by medical "First Responder" team. Building Security: Solicitation Solicitation is not permitted. If someone is soliciting in your suite, please notify the Management Office at 615.313.1425, and we will send appropriate personnel to escort them off of the premises. Building Services: Building Signage and Directory Please enter a service request for any changes to the building Directory. All signage must be approved by the building owner prior to installation. Contact the building manager at 313.1425. Building Services: Cleaning Janitorial service is provided Sunday through Thursday after normal business hours. Routine office cleaning includes vacuuming, dusting, and emptying wastebaskets. Do not place any object near or against trash receptacles if material is not to be thrown away. Should you require any special cleaning or other services of this nature, please notify the Management Office at least one day in advance. Special services provided other than normal cleaning will be at the expense of the tenant. Any problems concerning the nightly janitorial service should be directed to the Management Office. A day porter is on duty Monday through Friday, from 7:00 a.m. until 4:30 p.m. If you observe a janitorial problem in the surrounding grounds, lobby, corridors or restrooms, please call the Management Office so that we may immediately dispatch the day porter. The windows of your suite are cleaned inside semi-annually. A schedule is available upon request. The windows in your suite have been specially coated and should not be cleaned by anyone other than the window cleaning service. If you require additional interior service, please contact the Management Office. Building Services: Elevators All elevators contain an emergency telephone directly connected to the One Nashville Place Security Desk. For major problems, just lift the phone and it will automatically dial for you. If the elevator is stalled between floors, STAY CALM. Security will dispatch an engineer to your location and get you out of the elevator as quickly as possible. Report minor problems to the Management Office. Contact the Management Office to arrange for use of the service elevator. Large deliveries and those requiring the use of hand carts and dollies must be made through the service entrance and elevator. The loading dock must be reserved in advance for all large deliveries. Thermostats are set and calibrated to maintain a reasonable comfort level in all areas of the building. Tenant adjustment of individual thermostats will result in inconsistent temperature control in the adjusted area as well as the adjoining areas. If an engineer responds to an air conditioning call as the result of such adjustments, a service charge will be assessed to the tenant. There is an additional charge for after-hours air conditioning. The rates for this service are available through the Management Office. Draperies or blinds have been installed as a building standard item for your convenience. These window coverings must remain closed during periods of direct sun to allow adequate temperature control. Building Services: Mail Service Incoming mail will be delivered by the United States Postal Service to the locked mailboxes in the mailroom located on the ground floor. The Management Office will notify the Postmaster of your future tenancy and will assign and distribute keys on your initial move-in. Mail at this location may be picked up at your convenience. There will be no personal delivery to the suites other than special deliveries, certified mail, large packages and similar items. Mail receptacles for outgoing mail will be found adjacent to the mailboxes. Building Services: Maintenance Requests Please notify the Management Office when building or building equipment repairs are necessary. A building engineer will assist you with any routine maintenance such as air conditioning problems, lights, plumbing problems, etc. Notification can be made by authorized tenant employees by clicking on the 'Service Request' quicklink. Emergency Procedures: Overview This section has been prepared to provide guidance for staff members, security personnel, and tenants of One Nashville Place in the event that emergency situations arise that may affect the property and inhabitants of the property. The following sections contain the information necessary to insure prompt and appropriate actions are taken in a variety of circumstances caused by accident, weather, acts of God, or the illegal acts of other persons. Care has been taken to establish priorities to preserve life, minimize property damage, and provide rapid restoration of normal services. In preparing this guide coordination was conducted with the following agencies: Metro Fire and Police Departments Nashville Electric Service Tennessee Emergency Management Agency Emergency Procedures: Bomb Threat BOMB THREAT PROCEDURES OBJECTIVE: TO ESTABLISH PROCEDURES FOR HANDLING BOMB THREATS TO MINIMIZE DANGER TO PERSONNEL, PROPERTY DAMAGE, AND DISRUPTION OF NORMAL BUSINESS ROUTINES. GENERAL: Bombings and bomb threats are an increasing cause for concern. Bombs and the threat of bombs have long been the tools of those who seek to cause damage and create havoc. As the actual use of bombs has increased in recent years, bomb threats, as a means of disruption have multiplied. Statistically, hoaxes occur with much greater frequency than actual bombings, but all threats received must be evaluated and acted on. Evaluation of threats and decisions i.e., disregard, evacuation, search, search and evacuate must be made by senior management after careful consideration of all known circumstances. PROCEDURES Receipt of Threat: 1. The vast majority of threats are received by phone. The party receiving the call should remain calm, obtain as much information as possible using the format as described in "The Search and Evacuation" Section, and alert others in the area if possible during the conversation. Immediately following the call, report all information to Daymark Realty Advisors personnel at 313-1425. 2. In the rare circumstance of a written threat follow the reporting procedure above and protect the document and envelope, allowing it to be handled as little as possible to preserve possible evidence for evaluation by police personnel. REMAIN CALM, do not contribute to a panic situation. Threat Evaluation: Daymark Realty Advisors management personnel when notified must quickly obtain and evaluate all known information and should consider the following: 1. Is the threat specific? A specific threat will contain information relating to a tenant, a location, a time, a type of device, a reason for the threat or a combination of several of these factors and others. Past experiences indicate a specific threat is more likely to be valid. 2. The non-specific threat such as "there's a bomb in your building" is less likely to be valid, but could be. 3. If the caller claimed credit by a "named" group, have they been active in the past? 4. Have other bombings or threats occurred recently? If so, has there been publicity? 5. Was there urgency or desperation conveyed by the caller. Direct contact with the receiver of the call is necessary to make a determination. 6. Bombers, especially terrorists, normally are not random attackers. Terrorists most often select a political or psychological gain that might be achieved by a bombing. Generally, terrorist bombings are meant to destroy property, but not endanger lives; however, this generalization has not always held true and should not be accepted as routine guideline. Criminal bombers, other than terrorists, select targets for a variety of reasons; revenge, extortion, and intimidation being among the most prominent. 7. The bomb threat must now be evaluated for its potential authenticity. Factors involved in such an evaluation are formidable, and any subsequent decision is often based on little reliable information. During this decision making process, until proven otherwise, each threat should be treated as though it involved an actual explosive device; even though bomb threats in which a device is present comprise a small percentage. After Evaluation: 1. Begin documentation of situation. 2. If evaluated as a hoax call, document incident and notify police (not 911, but 862-8600). 3. When in doubt, implement the Search and Evacuation Plan. 4. Follow through with Search and Evacuation Plan. 5. After all clear, document the incident, maintain a file, and coordinate with the Metro Bomb Squad. Return to Normal Operation: 1. As soon as considered safe to do so (the purpose of a threat is to disrupt.) 2. Attempt to control rumor and gossip regarding the incident ("copy cats" often emerge following these incidents.) 3. Review procedures for possible update based on actual performance. SEARCH AND EVACUATION PLANS SITUATION: EVALUATION OF THE CREDIBILITY OF A BOMB THREAT HAS INDICATED ONE OF THE THREE FOLLOWING COURSES OF ACTION BE TAKEN: 1. Search without evacuation. Covertly Overtly 2. Initiate a partial evacuation and search. 3. Conduct a complete evacuation and search. PREPARATION: 1. Assemble the search teams. Notification should be made rapidly in person, by phone and by portable radio. CAUTION: Under certain circumstances radio transmitters can cause the activation of electrical detonators. Radio message should be simple, i.e., "base to all special team members, report to Daymark Realty Advisors, DO NOT ACKNOWLEDGE THIS TRANSMISSION." 2. Brief the teams on the situation and confirm their search areas. 3. Dispatch the teams. ACTIONS: 1. By the Emergency Manager: Activate the Control Center and alert search teams (Security Desk is the Control Center). Decide on search and/or evacuation parameters. 2. A "low level, but check it out threat" may dictate a covert search with no announcements. This search is conducted by selected personnel in an unobtrusive fashion in the suspect areas. A covert search requires a great deal of time as it is conducted by only a few personnel. 3. An overt search utilizes the search teams with other personnel checking their own areas. The best searcher is the person most familiar with a work area as they know immediately if there is something there that should not be. 4. If a location is given, guidance published by the FBI Bomb Data Center in "The Bomb Threat Challenge" indicates that evacuation of the target floor and two floors above and below should be sufficient. Remember if a multi-floor tenant is targeted; include all their floors plus two above and below. 5. In a general evacuation situation, have tenants use the stairwells assigned in the fire evacuation plan, after they have been checked. 6. Notify police and fire agencies, call 911. 7. Operate the Control Center. 8. Maintain search/evacuation check list. 9. Declare "all clear" after search is completed and consultation with public safety officials. 10. Document the incident. 11. Evaluate effectiveness of actions. By Search Teams: 1. Report to Control Center for briefing. 2. Conduct Search. Search stairwells in search area first. They may be needed for evacuation. Be quick, but thorough. If anything suspicious is located, do not touch it; report it to the Control Center for handling by professionals. Report progress on search/evacuation by phone. Do not use portable radio to transmit unless you are sure you are in a clear area of at least 10 feet radius. Information contained in Institute of Makers of Explosives; Publication No. 20 indicates a 5 watt portable radio should not cause a detonation in this range. Complete search of assigned area and report it. Be prepared for other areas. If evacuation has been ordered, check each area for occupants. 3. Return to other duties when directed. 4. Provide data for report of incident. By Tenants: 1. Coordinate with Emergency Manager. 2. Have your personnel check/search their immediate work areas. If anything suspicious is located, it is not to be touched, but reported to the Control Center (313-1420). Report to Control Center when check/search is completed. 3. If evacuation is ordered, all personnel should take their personal property, i.e., bags, brief cases, lunch containers with them to minimize items to be examined. 4. Use assigned stairwells to exit building. 5. Request assistance from Control Center as required for orderly evacuation or assistance for handicapped workers. 6. Assemble in protected area (parking deck) at a distance great enough to preclude injury from glass or propelled debris. Emergency Procedures: Civil Disturbance OBJECTIVE: TO MINIMIZE PROPERTY DAMAGE AND AVOID INJURIES THAT COULD OCCUR IN THE EVENT A CIVIL DISTURBANCE SHOULD OCCUR IN THE VICINITY OF ONE NASHVILLE PLACE. GENERAL: The likelihood of a civil disturbance occurring in the vicinity of One Nashville Place is remote, but must be planned for. A disorder large enough to be classified as a civil disturbance does not occur without ample time to prepare for it. Conditions must be right or these incidents cannot happen. There must be a cause, hostility, and a crowd in order for an outburst of vandalism and violence to start. While many of these situations are orchestrated, the basic mix must be present. Advance publicity of marches and rallies is used in order to gather a crowd, management must use this same information to prepare for trouble. Contact with the Metro Police will provide planning information. Civil Disturbances generally are fast paced and do not linger in business districts very long, but can be very dangerous. PROCEDURES 1. When conditions are right for a disturbance to occur, management should take the following actions: Check fire-fighting equipment. Gain intelligence information from the Police Department. Contact Security Service Contractor for additional support. Brief the staff. Make arrangements for emergency repairs and plywood on an "on call basis". 2. If circumstances indicate that problems are probable, these steps should be taken: Secure all exterior doors and garage entrances. Request Police assistance (in a large disturbance they may be unable to respond). Deploy additional Security Officers. Notify Tenants and advise that for their safety they should remain in the building and away from windows. Prepare for broken windows and the possibility of fire. Disable elevators to limit intruder access to upper levels, if necessary. 3. When the situation has abated: Inform the Tenants. Have necessary repairs performed. Make a complete report of the incident. Emergency Procedures: Electrical Emergency ELECTRICAL EMERGENCY PROCEDURES OBJECTIVE: TO ESTABLISH PROCEDURES TO RAPIDLY RESTORE A PROPERTY TO NORMAL OPERATIONS SHOULD ELECTRICAL SERVICE BE INTERRUPTED. GENERAL: Power failures are an inconvenience that can result in major disruption and expense if not dealt with quickly. Proper response will protect the property and the Tenants electronic equipment. A prolonged power failure can result in complete disruption of business. PROCEDURES During normal operations: 1. Maintain contact with NES to insure that "Brownout" warnings will be issued during periods of overload consumption. 2. Have internal electrical distribution system kept in proper order. 3. Routinely remind Tenants of the hazards to electronic equipment when power failures or surges occur. The Tenants should provide for "spike" protection for their computer equipment. If a failure occurs: 1. Determine if the failure is internal or external. 2. If external, call Nashville Electric Service (listed in Section I). 3. If internal, call the Management Office during normal work hours, or the stand-by person or the appropriate contractor (all listed in Section I). The emergency lighting system will provide adequate lighting to assist evacuation even if the main power system should fail. Occupants should enter the stairwell nearest their location and proceed in an orderly fashion. DO NOT PANIC. The stairwells are pressurized for your safety. One person acting in a reckless fashion can place many others in danger. One person who falls or is pushed down on a crowded stairwell can cause a pile up and injuries that need not occur. Orders to evacuate will be given by Wardens, the automated alarm system, staff members using the speaker system, or fire officials. Follow the instructions given as the evacuation is planned and systematic to preclude congestion in the stairwells. The Fire Marshall's Office recommends that in a fully sprinkled building, the affected floor, the one below, and the two above, be evacuated when any evacuation is indicated. After moving in an orderly fashion to the exit level at the base of the building, persons should move into the adjacent parking decks for protection from the elements, safety from the situation and to preclude congesting the areas where fire equipment will be deployed. Personnel accounting should be conducted to insure that everyone has been evacuated. Await instructions before returning to the building. Emergency Procedures: Fire & Life Safety FIRE EMERGENCY PROCEDURES OBJECTIVE: TO IDENTIFY PROCEDURES AND PRACTICES WHICH WILL MINIMIZE THE POSSIBILITY OF FIRES AND PROVIDE FOR EQUIPMENT, PROCEDURES, AND INSTRUCTIONS TO LESSEN EXPOSURE TO PERSONAL INJURY AND PROPERTY DAMAGE SHOULD A FIRE OCCUR. GENERAL: Most fires are not accidents, but the result of carelessness on the part of someone. Most injuries and deaths from fire are the result of not being properly prepared when fire occurs. While prevention is the best way to deal with this situation, being prepared is the next best. Elimination of panic and the unnecessary injuries caused by panic can be handled by proper preparation for emergency. Duties and actions to be taken will be outlined in the procedures following: PROCEDURES 1. Daymark Realty Advisors, in publishing this guide, establishes duties and participation required by all concerned. 2. Inspections and training will be conducted and recorded as required. 3. Current lists of Wardens and handicapped personnel will be maintained. 5. Emergency drills will be scheduled and conducted. 6. Drills will include: Test of Alarm Systems Evacuation Drill Fire Department Coordination Operation of Control Center Evaluate and Report RESPONSIBILITIES EMERGENCY MANAGER 1. Organize and Chair a Fire Safety Committee. 2. Administer the Fire Safety Program established by this Section of the Emergency Actions Guide. 3. Insure required training is conducted. 4. Cause Fire Prevention Inspections to be conducted. 5. Monitor reports of training and inspections. 6. Observe operation of the Control Center during drills and other emergencies. 7. Supervise all drills and emergencies. 8. Review and update this guide as required. 9. Exchange information with fire officials and others to maintain awareness on pertinent information. 10. Have all reported fire incidents investigated to learn the causes and preventative steps to be taken to preclude a reoccurrence. MAINTENANCE DIRECTOR 1. In the absence of the Emergency Manager, perform all duties above. 2. Assign staff to emergency teams and duties. 3. Monitor training of staff. 4. Require staff and custodial personnel to be aware of fire hazards and report them. 5. Monitor contract support of fire-fighting equipment. 6. Monitor contract support of alarm systems. 7. Monitor contract support of sprinkler systems. SECURITY DESK PERSONNEL 1. Call 911 in the event the alarm panel indicates fire. 2. Call 911 in the event the alarm panel indicates water flow and relay that information. 3. Insure that the elevators are in fire emergency mode. 4. Report all known information to the first reporting fire official. 5. Assist the Emergency Manager as required. TENANTS 1. Appoint Wardens. 2. Allow Wardens to attend training sessions. 3. Allow Wardens to attend Fire Safety Committee meetings. 4. Report handicapped employees to the Emergency Manager. 5. Encourage all employees to practice good housekeeping which is the first step in fire prevention. WARDENS 1. Attend training sessions. 2. Brief all personnel in your area on evacuation routes. 3. Report all fires. 4. Attempt to extinguish small fires with equipment on hand if it does not endanger you. 5. Participate in the Fire Safety Committee's actions. 6. Account for personnel in your areas and report to the Emergency Manager at the Control Center. 7. Help maintain calm during drills and emergencies. CUSTODIAL PERSONNEL 1. While performing duties, be alert for fire hazards such as paper accumulation and improperly stored flammable materials. 2. Be alert for improperly stored items that would impede evacuation. 3. Immediately report the above incidents to the Maintenance Director. 4. Be prepared to assist during emergencies. 5. Be prepared to conduct clean-up following a fire to include water removal. ALL OCCUPANTS 1. Be familiar with the Fire Safety Program. 2. Willingly participate in drills. 3. Know your evacuation route. 4. Practice Fire Prevention. 5. DO NOT PANIC. 6. DO NOT USE ELEVATORS. 7. DO NOT BLOCK ENTRANCES TO THE BUILDING. 8. DO NOT RETURN TO THE BUILDING UNTIL FIRE OFFICIALS GIVE THE "ALL CLEAR". OPERATIONS DURING DRILLS AND EMERGENCIES THE COMMAND CENTER The Command Center is located on the Plaza Level adjacent to the elevator lobby. During drills and emergencies the Emergency Director shall use this location to conduct operations. Pending arrival of Fire Officials he will use all means of communications available to assess the situation, receive reports, and give instructions. The automated alarm and control system, when activated, will capture the elevators and they will be released only by Fire Officials during the emergency. The system will also automatically make certain announcements to affected floors. To prevent the spread of smoke via the air conditioning systems, the control system is programmed to shut down the fans on the affected floors. Upon arrival of the first reporting Fire Unit, the person in charge at the Command Center will brief the Fire Officer and turn the Center over to the Fire Officer. Following this exchange, the individual management representative, will coordinate actions between Fire Department personnel, Staff, and Wardens to insure all representative, will coordinate actions between Fire Department personnel, Staff, and Wardens to insure all appropriate steps are being taken. In the event fire sprinklers are activated, maintenance personnel will immediately proceed to the main fire pump location and to the sprinkler valve location where water flow is indicated by the fire alarm annunciator panel. Their duties will be to insure the fire pump remains in operation and the sprinkler valves remain open until the Fire Chief approves stopping of the fire pump and closing of sprinkler valves in order to begin clean-up and systems restoration. A primary duty during this phase is to insure evacuated areas are cleared and that all handicapped occupants are located and assisted during evacuation. Following the emergency the appropriate management representative will direct clean up and restoration activities. Appropriate notations will be made on the various rosters and, as soon as possible, while details are still fresh, a detailed report will be prepared. FIRE FIGHTING AND EVACUATION Discovery and Reporting: The discovery of a fire or the indication of a fire on the alarm panel should be acted on immediately by the person making the discovery. If an actual fire is discovered and the alarm has not been activated, the manual alarm located adjacent to the stairwells on either side of the building should be activated. Following this, and remaining calm, the tenant or floor warden should be notified. Depending on the nature of the situation, the immediate evacuation of that area should be initiated. If the fire is small and can be controlled without placing oneself in danger, it should be brought under control with the portable hand extinguisher, which is located in a red trimmed enclosure immediately inside the stairwell entrance. This building, as a safety and security measure, has pressurized stairwells. The doors to the stairwells lock on closing and the exit is on the ground level. If you open the door to obtain the extinguisher and have not activated the alarm system, DO NOT RELEASE THE DOOR OR YOU WILL BE LOCKED IN THE STAIRWELL. Fire Fighting: If the fire is small and can be controlled with the portable extinguisher, secure the extinguisher from its enclosure, it is an extinguisher that may be used on all types of fires. Remove the safety pin, carry the extinguisher as close as practical to the fire, direct the hose toward the base of the fire and release the extinguishing agent. If this fails to extinguish the fire, abandon the efforts and evacuate the area. Emergency Procedures: Medical Emergency OBJECTIVE: TO PROVIDE INFORMATION AND INSTRUCTIONS FOR HANDLING MEDICAL EMERGENCIES THAT WILL FACILITATE OBTAINING PROFESSIONAL ASSISTANCE FOR ILL OR INJURED PERSONS. GENERAL: The initial minutes of a genuine medical emergency are most critical. It is essential that trained, professional personnel reach the affected party as quickly as possible. While the property owners are not responsible for the physical well being of tenants or visitors, the staff may be in the best position to insure that appropriate aid is rendered as soon as possible. PROCEDURES 1. Call 911, Rescue Unit and request aid. Provide the following information: Nature of illness or injury. Number of persons needing aid. Describe Condition. Give location, building, floor, suite number. Caller's name and phone number. 2. Notify Daymark Realty Advisors Management Office. 3. Security Control Desk personnel will: Capture an elevator that will reach the appropriate floor. Direct the "First Responder" team to the location of the victim. Insure that the elevator remains available until the emergency has been dealt with. 4. On arrival of "First Responder" team: Provide information to assist the team. Be sure their work is not impeded by the curious or well meaning but "in the way" on lookers. 5. Staff personnel should file the necessary incident reports. Emergency Procedures: Severe Weather TORNADO / HURRICANE / EARTHQUAKE PROCEDURES OBJECTIVE: TO PROVIDE INFORMATION AND INSTRUCTIONS TO LESSEN EXPOSURE OF PERSONNEL TO DANGER AND MINIMIZE DISRUPTION OF SERVICES CAUSED BY ADVERSE WEATHER CONDITIONS. GENERAL: Severe weather conditions contribute both directly and indirectly to circumstances that disrupt and create hazards. Indirect: Thunderstorms with their lighting can cause power failures and heavy wind and rain, and their damaging effects. Snow, ice and sub-freezing temperatures limit movement, bring down power lines, rupture water lines and create an overload demand situation on the electrical system. Direct: The greatest danger to the occupants and buildings is from tornadic type winds accompanied by wind driven rain. These winds hurl objects picked up in their passage, with enough force to shatter heavy plate glass, and in some circumstances can create a pressure differential sufficient to shatter glass during the equalization process. PROCEDURES 1. Advance Preparation. Obtain de-icing materials. Obtain non-slip mats. Arrange for emergency supply of plywood. Update Emergency Notification Roster. 2. Keep Informed. Monitor local broadcasts. Monitor official weather broadcasts. Staff members provide "on the job" site observations. If severe weather is anticipated overnight, discuss procedures prior to departure. 3. Actions to be taken by Maintenance In the event tornado conditions or hurricane type winds are present, dispatch available personnel to an upper level floor to visually watch for funnel clouds or threatening winds. If these conditions are observed, relay via two way radio, instructions for security to announce to all floors the necessity for tenants to calmly and quickly move to the interior stairwells. Ice, snow, and wet conditions - place mats to prevent slipping and to protect floor covering-use de-icing material as situation dictates - arrive early. High winds - If time permits, protect glass, emplace plywood, lock appropriate doors and close overhead dock door. 4. Actions to be taken by Security Personnel Provide reports to management and maintenance on actual conditions. This is particularly important if the conditions are not forecast or expected. In the event security is aware a tornado is sighted or hurricane type winds are present, notify all floors via the public address system, for tenants to move calmly quickly to the interior stairwells. 5. Actions to be taken by Management Monitor situation. Notify tenant contacts by telephone or e-mail, of potentially threatening weather. Direct announcements as appropriate. 6. Actions to be taken by Tenants Exercise caution - remain calm. In the event tornadic conditions are observed by tenant's appointed floor warden or the local tornado warning siren sounds, move to the interior stairwells. Tenants should not wait for an announcement by Building Management or Security to seek shelter in the stairwells during threatening weather conditions. Building Management will make reasonable efforts to make such announcements; however, certain conditions may prevent an announcement from being made. Tornadoes have been known to develop suddenly from cloud formations which do not appear threatening. Whenever high wind conditions exist, move away from exterior windows to avoid shattered glass which can result from objects being blown into the exterior of the building. If outdoors during a tornado or hurricane type winds, seek shelter in a low lying area. If in a vehicle, pull over to a safe spot and seek shelter in a building or low lying area. In the event of an earthquake seek shelter in a doorway, under a desk or move to the interior stairwells. Emergency Procedures: Water Emergency WATER EMERGENCY PROCEDURES OBJECTIVE: TO ESTABLISH PROCEDURES TO RAPIDLY RESTORE A PROPERTY TO NORMAL OPERATIONS SHOULD FLOODING OCCUR FROM RISING OR FALLING WATER. GENERAL: Rising and falling water can cause considerable property damage and must be quickly reacted to in order to hold damages to a minimum. Lower level flooding can result from torrential rains or flood conditions that overload the storm drain system or major line breaks on upper levels as the water flows downward. Sprinkler system failures, i.e. feed line breaks, can dump hundreds of gallons of water per minute as the system is fed by high pressure pumps. Normal plumbing overflows and line failures are also a problem but of lesser magnitude. Breaks caused by freezing generally do not begin to flow for a period of time after the severe weather has terminated and the ice block begins to thaw. PROCEDURES During normal business day: 1. Staff, custodial personnel, and tenants should report all occasions when any excess water is noticed to the maintenance office giving the location and cause if known. Telephone 313-1425. 2. If the water flow is heavy, steps should be taken to cover electronic equipment that is under the affected area. Any plastic material will suffice. In a building such as this, the water will collect and run along pipes or support members seeking a gravity path. The water source may be many feet away from a leak point. 3. When the source has been located, the supply to that point should be cut off until the problem is solved. Only in extreme cases should the main flow be shut down as this can cause major work to drain and re-pressurize a high rise water supply. 4. Sprinkler flows caused by breaks in the branch line feeds should be controlled on the floor affected by closing the feed line valve located in the stairwell. 5. The custodial contractor may have to be requested to assist in water pick-up. Any commercial carpet cleaning service is an excellent back-up as their heavy duty shampoo equipment will also remove water. 6. Security Desk personnel will be alert for any indication from the panel of a water release and have it immediately checked. Notification should be made to the alarm monitoring firm. During non-business hours: 1. Security Desk personnel will notify the on-call maintenance person or the appropriate contractor from the Notification Listing in Section One. In the case of a sprinkler line break the floor valves should be closed as soon as possible. 2. The roving Security Officer should be alert for any indication of water leaks as the rounds are made. 3. Management should be notified of all but the most minor incidents in order to assess the situation and make tenant notifications if they are required. During severe weather: 1. Be prepared to emplace sandbags if flooding (including that caused by over-loaded storm sewers) is indicated. Arrange for pumps to be emplaced if required. 2. Be prepared to respond to freeze breaks as the temperature rises following a period of extreme cold. 3. Make adjustments as required to the energy control system to insure adequate heat is maintained. Policies and Procedures: General Rules and Regulations One Nashville Place Rules & Regulations Wherever in these Rules and Regulations the word "Tenant" is used, it shall be taken to apply and include theTenant and his clients, employees, invitees, licensees, visitors, subtenants, and contractors, and shall be deemed of such number and gender as the circumstances require. The word "Landlord" shall be taken to include the employees and agents of Landlord. Construction The streets, sidewalks, entrances, halls, passages, elevators, stairways, and other common areas provided by Landlord shall not be obstructed by Tenant, or used for any other purpose than for ingress or egress. Washrooms Toilet rooms, water-closets, and other water apparatus shall not be used for any purpose other than those for which constructed. Fire Prevention Tenant shall not do anything in the Premises or bring or keep anything therein, which shall in any way increase or tend to increase the risk of fire or the rate of the fire insurance, or which shall conflict with the regulations of the Fire Department or the fire laws or with the rule and regulations of the City of Nashville, or equivalent bodies, or with any insurance policy on the Building or any part thereof, or with any law, ordinance, rule or regulation affecting the occupancy and use of the Premises, now existing or hereafter enacted or promulgated by any public authority or by the City of Nashville or any equivalent body. Tenant's Equipment It is the Tenant's responsibility to properly operate all business equipment, coffee machines, and to service such equipment and machines when not in use. General Prohibitions In order to insure proper use and care of the Premises, Tenant shall not, without the consent of Landlord or unless otherwise permitted in the Lease: Keep or permit animals or birds in the Building except as required for handicapped persons. Use the Premises as sleeping apartments. Allow any sign, advertisement, or notice to be fixed to the Building, inside or outside, without Landlord's written consent. Make improper noise or disturbances of any kind, or otherwise do anything to disturb other tenants or tend to injure the reputation of the Building. Mark or defile elevators, waterclosets, toilet rooms, walls, windows, doors, or any other parts of the Building. Play anything on the outside of the Building, including roof setbacks, window ledges, and other projections; or drop anything from the windows, stairways, or parapets; or place trash or other matter in the halls, stairways, elevators, or light wells of the Building. General Prohibitions (continued) Cover, block, or obstruct any window, skylight, door, transom, or any other surface that admits light, except building standard blinds. Fasten any article, drill holes, drive nails or screws into walls, floors, woodwork, window mullions, or partitions; nor shall the same be painted, papered, or otherwise covered or in any way marked or broken without the consent of Landlord. Interfere with the heating or cooling apparatus. Allow anyone but the Landlord's employees to clean Premises. Leave open doors to the Premises at any time except as otherwise approved by Landlord, and same shall be locked at all times when Premises are not occupied. Install any shades, blinds, or awnings without consent of the Landlord, except building standard blinds. Use any electric heating device without the consent of the Landlord. Install call boxes, or any kind of wire in or on the Building without Landlord's permission and direction. General Prohibitions (continued) Manufacture any commodity, or prepare or dispense any foods, beverages, or alcoholic beverages, tobacco, drugs, flowers, or other commodities or articles without the written consent of Landlord. All food and beverage vending machines will be provided by the Landlord Approved Contractor. Secure duplicate keys for Premises or toilets, except from Landlord, or change the locks of any doors to or in the Premises. Give employees or other persons permission to go upon or erect or place any antennae, tower, or other structure or equipment on the roof of the Building without the written consent of the Landlord. Place door mats in public corridors without consent of Landlord. Use passenger elevators for freight. Schedule, nor shall Landlord receive, deliver, or accept freight for Tenant other than Monday through Friday, excluding holidays, between the hours of 7:30am to 5:00pm. Publicity Tenant shall not use the name of the Building in any way in connection with its business except as the address thereof. Landlord shall have the right to prohibit any advertising by Tenant, which, in its opinion, tends to impair the reputation of the Building or its desirability as a building for offices; and upon written notice from the Landlord, Tenant shall refrain from or discontinue such advertising. Business Machines Business machines and mechanical equipment which cause vibration, noise, cold, or heat that may be transmitted to the Building structure or to any leased space outside Premises shall be placed and maintained by Tenant, at its sole cost and expense, in settings of cork, rubber, or spring type vibration eliminators sufficient to absorb and prevent such vibration, noise, cold, or heat. No business machines or mechanical equipment which require above normal business machine level or high amounts of electricity shall be used or installed in the Premises without Landlord's written consent and if installed, all electricity used shall be metered and paid by Tenant as Additional Rent. Movement of Equipment Landlord reserves the right to designate the time when and the method whereby freight, small office equipment, furniture, safes, and other like articles may be brought into, moved, or removed from the Building or Premises, and to designate the location for temporary disposition of such items. Tenant Moves Landlord's tenant move in/move out policy is as follows: All moves will be conducted between the hours of 6:00pm and 6:00am Monday through Friday, or any time on the weekend. Landlord shall approve the moving contractor and such contractor shall coordinate all aspects of the move with Landlord. Tenant's contractor shall provide a certificate of insurance evidencing liability, property damage, and workmen's compensation insurance in the form and amount as described in our “Sample Insurance Certificate” available under the Insurance Protection section of this Tenant Handbook. Tenant's contractor shall use appropriate padding and masonite floor covering to protect all surfaces including door jams, subject to Landlord's inspection and approval. Tenant will reimburse Landlord for all security provided. Tenant will be responsible for any damages during the move. Public Transfer Landlord reserves the right to exclude the general public from the Building on such days and at such hours as in Landlord's judgment shall be for the best interest of the Building and its tenants. Persons entering the Building after 6:00pm Monday through Friday, after 1:00pm on Saturday, and at all times on Sunday and holidays and before 8:00am Monday through Saturday must sign the register maintained for that purpose. Rights Reserved to Landlord Without abatement or diminution in rent, Landlord reserves and shall have the following additional rights: To install and maintain a sign or signs on the exterior of the building. To designate all sources furnishing sign painting and lettering, ice, drinking water, towels, toilet supplies, and other like services used on the Premises. At any time or times, Landlord either voluntarily or pursuant to governmental requirement, may, at Landlord's own expense, make repairs, alterations, or improvements in or to the Building or any part thereof and during alterations, may close entrances, doors, windows, corridors, elevators, or other facilities, provided that such acts shall not unreasonably interfere with the Tenant's use and occupancy of the Premises as a whole. During the last six (6) months of the term or any part thereof, if during or prior to that time the Tenant vacates the Premises, to decorate, remodel, repair, alter, or otherwise prepare the Premises for re-occupancy. To constantly have pass keys to the Premises. To grant anyone the exclusive right to conduct any particular business or undertaking in the Building. Landlord may reasonably enter Upon the Premises and may exercise any or all of the foregoing rights hereby reserved without being deemed guilty of an eviction or disturbance of Tenant's use or possession and without being liable in any manner to the Tenant. Regulation Charge Landlord shall have the right to make such other and further reasonable rules and regulations as in the judgment of Landlord, may from time to time be needful for the safety, appearance, care, and cleanliness of the Building and for the Preservation of order therein, Landlord shall not be responsible to Tenant for any violation of rules and regulations by other tenants. Smoking Areas Landlord shall have the right, from time to time, to designate smoking and non-smoking areas in, around, or throughout the Building and shall further be permitted to prohibit or limit such activity in order to fully comply with any applicable governmental ordinance, law, or regulation. Plumbing Plumbing fixtures and appliances shall be used only for purposes for which constructed, and no sweepings, rubbish, rags, or other unsuitable material shall be thrown or placed therein. Damage resulting to any such fixtures or appliances from misuse by Tenant shall be repaired and replaced at Tenant's sole cost and expense, and Landlord shall not in any case be responsible therefore.
