Info Packet – Gus and Farris Stadiums
Area G UIL Marching Contest
Saturday, October 25, 2014
Welcome to San Antonio and to Northside Independent School District. To facilitate a successful event for all involved, please review
the enclosed items. If you have any questions, please call me at (work) 210 397 8649 or (cell) 210 259 3774.
Stadium Parking / Check-In (refer to stadium maps)
Gus Stadium: Buses and equipment trucks will only be allowed to enter the stadium parking lot from Culebra Rd. District police will
direct vehicles into the parking lot.
Farris Stadium: Buses and equipment trucks should plan to enter the athletic complex from Interstate 1604 (heading north). From the
access road adjacent to Interstate 1604, turn right onto Champion’s Gate Road. At Skyhawk Road, turn left and district police will direct
buses to parking area. Equipment trucks that contain large props will be positioned as close to the stadium unloading area as possible.
AT BOTH SITES:
We will have district personnel located at “equipment unload gate” to assign your band a holding area for equipment. Equipment
trucks that contain large props will be positioned as close to the stadium “equipment unload gate” as possible. Prepare to have
sufficient band workers to move items into the stadium compound in order to extend this courtesy to other incoming groups.
Equipment vehicles carrying band instruments will be parked with their band buses.
Inform your bus drivers that once buses are parked, ALL ENGINES WILL BE TURNED OFF. District police will direct spectators to patron
parking areas. At both sites, the movement of vehicles and bands is almost identical. We will have bright yellow signs along the route
that should assist all with logistics. The stadium map should assist with visual reference.
Check-in / Contest Office
Upon arrival, prepare to have one of your directors hand-carry all necessary paperwork to the UIL contest office located in the south
end of the press box, level 1. Again, signs will assist you along the way.
Contest Monitor
Each band will be assigned a monitor. They will locate you and the band in the parking lot at the appropriate time. The monitor will
remain with you until your band exits the performance field.
Band Warm Up
Warm up areas are identified on each stadium map. As we all know, this area becomes quite busy in the course of a large contest. Your
monitor will instruct the band when you begin walking toward the warm up area. On cue from monitors, directors need to prepare
their bands and staff to move promptly into and out of the warm up area. This will ensure the contest runs on time. Should we
encounter inclement weather that prevents use of grass warm up areas, asphalt areas nearby will be used for warm up of bands.
Bands will have access to watering tables while “in move” from warm up to the stadium. If you want your band hydrated before they
enter the warm up area, directors are responsible to coordinate as such in an area other than the parking lot or the designated warm up
area. If you keep your band in motion, a large ensemble can move from warm up areas to either stadium in 7-10 mins. Monitor duties
include reminding directors when it is time to move. Directors are responsible to make sure the band makes the “gate” on time.
Frontline Warm Up
Frontline warm up areas are identified on the stadium maps. No amplification will be used in this area during the warm up time.
Metronomes, if used, will be kept at a reasonable volume as instructed by the Frontline monitor. Battery, cymbals, and color guard
units will move to band warm up area for their preparation along with the band. Frontline monitors will be on site to communicate
“move” time. Please note that the frontline schedule IS NOT THE SAME AS FOR THE BAND. Time is altered to allow for movement of
large items into the stadium to prepare for “band field entry.”
P. 2 (Area Director Packet)
Band Announcer Script
Complete the template enclosed for announcing the band and send it to our office as soon as possible at: [email protected]
Stadium Procedures – Timing Reminder
On cue from monitor, band/frontline percussion/color guard/ drum major platforms will move to the goal line. The public address
announcer will signal when the band may take the field for set up. At conclusion of the performance, ALL equipment and personnel will
exit to the north end of the stadium and out the north VISITOR SIDE gate. Your monitor will assist with exit directions. Only those
parents assisting bands will be allowed in the performance field area. All other patrons will be directed to the HOME side of field via
sidewalks located outside the stadium. See map for details.
Band Performance Show Timing
Please review carefully the enclosed timing sheet that will be used for PRELIMS and FINALS.
Marching Band Performance Video
A high quality DVD video will be provided each performing band. This video will be placed in your director’s “drop box” to be set up by
our staff early in the week. Adjudication tapes will also be placed in the drop box.
NISD accepts no responsibility for copyright infringements or other issues that may arise from the filming of a band’s show during the
contest and the distribution or broadcast thereof. Be encouraged to outline copyright laws with your students and patrons. All filming
or photography of band shows by spectators will occur from the spectator seating area only.
Stadium Seating – Etiquette
The Press box or HOME side of stadium is reserved for spectator viewing. All bands will sit on the VISITOR side of the stadium. Only
personnel assisting bands will be allowed on the stadium track.
Once a band has been introduced onto the field, all entrances into the HOME SIDE seating area will be closed pending completion of the
show on the field. This will ensure a quiet and receptive environment for our students to have during their performance. Please inform
your patrons accordingly.
Stadium Concessions
Delicious, healthy, and a diverse array of concessions will be available on both HOME and VISITOR side of field at both stadiums during
both PRELIMS and FINALS Competition.
Band Photos
No band photos will be taken during the event.
Pep Wear
Pep Wear will have a vendor trailer located on the HOME side of field for patrons and students desiring to purchase souvenir items that
promote your band’s participation in Area G UIL marching.
Tickets
Admission “wrist bands” can be purchased for $5.00 each. As long as the wrist band remains on the wrist, this wrist band ticket allows
for entrance to either Gus or Farris Stadium during all PRELIM performances AND to the FINALS at Gus Stadium. Admission is free for
pre-school aged children.
Parking
Parking is free. District police officers will assist patrons on site.
P. 3 (Area Director Packet)
Weather Alert – Safety System
“Thor-guard” Inclement Weather Safety Procedures will be in place and description is attached for your reference.
Pressbox
Lower level of both Gus and Farris Stadium Press boxes, South End will be site for contest check-in. Yellow signs will assist directors.
Only contest officials and adjudicators will be permitted in Press box levels 2 and 3.
At Conclusion of Prelims and Final:
Upon conclusion of PRELIMS at both Gus and Farris Stadium, the public address announcer will instruct band directors when to report
to the HOME SIDE player’s dressing room, field level, south end of stadium .
Upon conclusion of FINALS at Gus Stadium, the public address announcer will once again instruct head directors when to report to the
player’s dressing room, field level, at the south end of stadium.
Please do not hesitate to call our office with any questions that might arise. It is our intent to provide your staff, students, and patrons
a great venue in which to celebrate great music education.
Best wishes to all,
James Miculka

TIMING PROCEDURE
6A AREA G CONTEST
2014
BACKGROUND: The C&CR states that each school has 5 minutes of warm-up/set-up time
for their show, and you can do ANYTHING you wish during that 5 minutes, including an unjudged “pre-show” if you desire.
The C&CR also states that each band WILL be announced after the first four minutes of the
5-minute set-up time. Those first four minutes are not only for the band to get ready, but also
for the judges to complete their comments and properly score the previous band. Therefore,
your judged show may NOT begin during those first four minutes.
With more schools adding pre-shows and extended warm-ups, contest officials are often
guessing when the show actually begins. Therefore, the following timing procedure will be
used during the 5-minute set up time before the show clock begins.
After the first four minutes of set-up time, the scoreboard clock will be turned off for the final
minute and your introduction will begin.
The 8-minute contest clock will begin EITHER at the conclusion of the final minute of set-up
time OR at a point designated by the band director, WHICHEVER COMES FIRST.
To designate an early starting time, the band director, or an assistant band director
designated by the head director, must be with the sideline timing monitor and cue that
monitor at the time the show timing should begin. The sideline monitor will then inform the
press box timekeeper to begin the scoreboard clock.
REMINDER: Once the 5-minute set-up time expires, the 8-minute show clock and the
judging WILL start whether the group is ready or not!
The same announcement format will be followed for every group that performs. The
Announcer’s Form is a pdf document with “active” fields so you can type directly on it. After it
is completed, you should save the form to your computer and then send it as an email
attachment to [email protected] .
Also, print a hard copy and take with you to submit at contest check-in just in case the
electronic submission does not go through.
If you have questions, contact me.

Northside ISD Stadium Inclement Weather Plan
The following information is applicable to Farris and Gus Stadiums / Northside ISD. Should the UIL Area
G Marching Contest experience weather that endangers the safety of participants and audience, be
apprised of the following:
Gus and Farris Stadiums are equipped with THORGUARD. Thorguard is a lightening “prediction”
instrument, not a lightning “detection” instrument. This instrument eliminates the human element
totally in determining the safety for continued outside activity. Thorguard measures the electrostatic
condition of the atmosphere continually and predicts the possibility of a lightning strike.
Should Thorguard sound ONE SINGLE BEEP during an event, all participants will be required to exit the
field area and stadium seating immediately. Participants can move under the stadium, providing space
is accessible. They may also move to cars and buses. No one will be allowed to re-enter the field or
stadium bleachers until Thorguard sounds THREE LOUD BEEPS that indicate that it is safe to return to
outdoor activities.
It is important for all participants to understand that the time lapse between the single beep indicating
the possibility of a lightning strike (at which point we move under cover) and the safety signal (three
successive beeps) may be a matter of minutes, an hour, or several hours.
Area G participants need to be prepared for a contest delay should THORGUARD indicate as such. This
fall has been rather unpredictable in various parts of the state, and NISD has experienced a few delays
and one cancellation due to such conditions. Contest hosts will effectively communicate any delays in
the performance schedule via the stadium announcement system should this procedure be required.
Thorguard is also used to communicate instructions to spectators regarding a natural disaster or other
emergencies that may occur.
Both stadiums used for this event are included the district venues thoroughly inspected by the NISD
Police Department and their incredible “fleet of four legged friends” to ensure clearance from bombs or
other harmful devices.
