There have been many changes over the past twelve months within the hospital, the Health Network, and the broader context in which we operate. The Friends continue to make the necessary adjustments that enable us to maintain support for the hospital’s staff and patients with dedication and commitment. I applaud everyone for their efforts and trust that, with advice and support from staff of the Women’s and Children’s Health Network’s Community Engagement and Media Department, we are able to continue to support ‘our’ hospital through the future changes that will be necessary as the financial and legal requirements under the new Australian Charities and Not For Profit Commission come due. I sincerely thank our Patron, Lady Downer, for her ongoing support and enthusiasm for the Friends of WCH. We appreciate her participation in the Opening Ceremony of our Annual Conference, and her attendance at meetings through the year. We were privileged that Dr Lynn Arnold AO opened our 20th Annual Conference and presented Life Memberships to recipients. I extend congratulations to all of our Friends who have received Life Memberships and Service Awards in 2012. Your many hours and years of dedicated service are valued and appreciated by the Executive and staff of the Health Network. The Coordinating Council plays an advisory and coordination role on behalf of the Friends of WCH and promotes communication and understanding between the divisions and the Women’s and Children’s Health Network. I would like to thank all divisional representatives for their commitment throughout the year and I make special mention of Bev Graham, Vice-Chairman of the Friends Coordinating Council, for her ongoing support. Our total financial contribution to the Women’s and Children’s Hospital this year is a fantastic $567,707. In addition to the purchase of much needed medical equipment, the Friends donated $12,000 to fund two fellowships for the Women’s and Children’s Health Network non-medical staff. These figures are outstanding especially as the current financial climate continues to worsen. A summary of how the donations are utilised by the Women’s and Children’s Health Network is given together later in this Annual Report. In addition, volunteers in the Shops Division and the Volunteers Service Division have given a remarkable 48,270 hours of recorded voluntary service. When these hours are given the monetary value for voluntary work this equates to a gift of a further $1,206,757 to the organisation. The four divisions have once again provided tremendous support to the Health Network both in monetary terms and hours of service. Auxiliaries Division Unfortunately we continue to see the closure of some of our auxiliaries, but in spite of this the Auxiliaries Division members have raised the fantastic total of $171,788 during the past financial year. They are to be commended for their hard work and enthusiasm for the Women’s and Children’s Hospital. It has been encouraging to see the rekindled enthusiasm of a couple of auxiliaries through the young mums who have become members, bringing new and fresh ideas and increased memberships. Shops Auxiliary The members of the Shops Auxiliary are to be commended for their 86 years of dedicated service to the Women’s and Children’s Hospital. Their donation for this financial year is a fantastic $353,977. This total includes $30,000 which has funded the Shops Auxiliary Health Promotion grants. During this financial year shops volunteers gave 28,587 hours of service. 4 Friends of the Women’s and Children’s Hospital Inc. They continue to work hard and enthusiastically, organising and hosting their very popular functions during the year. I give a special thank you to Cynthia Baldwin, Manager of the Volunteer Service and Sonia Davies, Auxiliaries Coordinator for their continuing support of the Friends throughout the year. Their work on our behalf culminates in the wonderful success of our Annual Conference. Women’s and Children’s Hospital Volunteer Service I thank Veronica Maughan, Director, Community Engagement and Media Department, Andrew Wade and Lynne Whitcher for their support and their help in implementing changes so that we can move forward and be more efficient and effective. During the past year the volunteers of the Women’s and Children’s Hospital Volunteer Service have once again provided an invaluable 19,683 hours of service to staff, patients and families within the Women’s and Children’s Hospital and off-site at Helen Mayo House. The volunteers support staff, patients and families in many areas of the hospital and are an integral part of the hospital team. All members of the Friends are to be congratulated for this magnificent effort. Annual Report 2012 – 2013 9 Report on activities Auxiliaries Division State Council President’s Report I would like to present my report to 2012-2013. It has been an honour and a privilege to represent all of you at meetings and functions. Regional Conferences have been held at the Women’s and Children’s Hospital, Crystal Brook, Moonta, Berri, Jervois, Cleve, Balaklava and Auburn. All Conferences were well attended. Associate Professor Elizabeth Thompson, Department of Clinical Genetics, Women’s and Children’s Health Network presented at the Region 1 Conference and was filmed during her presentation. The presentation has been presented as a DVD at some of the Regional Conferences and has been very well received. Region 6 Conference was hosted by the Berri Auxiliary and the guest speaker was Ebonie Cresp. Ebonie gave a very emotional insight into her journey of giving birth to premature twin boys, at the Women’s and Children’s Hospital, who weighed just 365 grams and 380 grams. Now at three and a half years of age the boys are progressing and growing extremely well. Since the last Friends of WCH Annual Conference I have attended and enjoyed Music & Memories at Ardrossan, a Dance Afternoon at Hamley Bridge, Port Adelaide’s Annual Fashion Parade and Luncheon, Cudlee Creek/Kersbrook’s Annual Luncheon, the Shops Auxiliary Division Christmas Dinner and Volunteer Service Division Christmas Luncheon, Wallaroo Auxiliary Annual Morning Tea and the Auburn/Watervale Auxiliary Melbourne Cup Luncheon. Congratulations to all Auxiliaries that have reached a milestone this year. Thank you for your dedication. We currently have 39 Auxiliaries and 5 Liaisons in South Australia with an approximate membership of 800. Congratulations to all Auxiliaries for their commitment in raising the wonderful amount of $171,788 for the 2012/2013 financial year and thank you for a fantastic effort in such difficult economic times. Pauline Arbon President State Council Coordinator’s Report I am delighted to present my annual report for the 2012/2013 financial year. Sonia Davies Auxiliaries Coordinator Women’s and Children’s Health Network Queen Victoria Auxiliary Division President’s Report The Queen Victoria Auxiliary Division has enjoyed another year’s fundraising with 24 active members, however we have recently acquired another two. We have raised $36,397 for the Women’s and Babies’ Division by holding a fashion parade, film night, two bridge days, a morning tea and selling tickets to the Marina Prior concert. Two of our regular function venues were changed this year with the intent to cater for more guests and the outcome was successful. Our film night was moved from the Trak Cinema to the Regal Theatre and our Morning Tea relocated from the Mt Osmond Golf Club to the Belair Park Country Club. Our Annual Christmas Meeting Luncheon was held in the relaxing environment of Margaret Hickinbotham’s home, incidentally Margaret was the founding member of this auxiliary back in 1985. Another enjoyable meeting was spent with a guided tour of the Nurseries to view the recently purchased breast feeding chairs. We look forward to another year of friendship and busy fundraising as we support each other in doing so. Annual Report 2012 – 2013 11 Shops Auxiliary Division President’s Report I am very pleased to present the Shops Auxiliary report for 2012–2013. Once again we have had a very busy year with many changes in Rainbows and Vic’s Coffee Shop. At present our volunteers’ numbers are 148 and we have worked 28,587 hours. Because of this great commitment we are have been able to provide a donation of $353,977 for much needed equipment for this special hospital. This amount is less than the last few years because, as you are all aware, Rainbows has a new kitchen. During January Rainbows remained closed for the refit to be done but Vic’s Coffee Shop continued to fly the flag for the Shops Auxiliary also opening on weekends so a huge thank you to Di Macrae and Daphne Moosha and their staff. Rainbows opened early February with a whole new layout in the kitchen and a new Point of Sale system. I cannot thank everyone enough for your patience and suggestions during the first weeks of operation. After many adjustments the kitchen is working very well and our register operators in both shops have embraced the new system which now includes Eftpos. Andrew Wade and Sonia Davies spent many hours in our shops during this time to give support and training and I thank them both. As every year goes by we lose long serving members of our group due to their retirement but we also welcome many new volunteers and hope you enjoy a long and happy time with us. Volunteering is a great way to meet new friends and find fulfilment in helping others. Maughan, Director, Community Engagement and Media, Cynthia Baldwin, Manager Volunteer Service, Sonia Davies, Auxiliaries Coordinator and all staff in the Haven, also Steve Ward who has left the hospital but still remains a friend of the Shops. I thank the Management Committee for your hard work and support, also to Team Leaders for taking extra responsibility in the daily duties of both Shops. Jenny Brown our Treasurer and her assistant Rosa Shum have again been outstanding handling our finances with great competence. We appreciate the support from hospital staff who visit both Shops for their lunches, also the help from maintenance and Spotless staff. As you all know, filling the daily roster is a challenge and we all like to take a holiday, have family duties and cope with illness but you are so gracious when you hear my voice, or Dorothy Sandland, Sandra Jolly or Di Macrae on the end of the phone, whether you answer yes or no we can’t thank you enough for helping us to keep the Shops running efficiently. In closing I would like on your behalf to thank Andrew for his guidance, support and friendship he so willingly gives us all throughout the year. Annual Report 2012 – 2013 Shops Business Manager’s Report Over the last twelve months the volunteer shops at the Women’s and Children’s Hospital have experienced some of the biggest changes introduced in their 85 years of operation. As with any change, it also brings a variety of challenges. Thanks to the support of all the volunteers and Sonia Davies, Auxiliaries Coordinator, I believe we have met these challenges head on and succeeded. These changes have included the introduction of the new Point of Sale (POS) stock management system, which included new cash registers in both shops and the implementation of Eftpos facilities. As a result greater control of stock has been possible, although only 60 per cent of the system’s capabilities are being utilised. The next twelve months will focus on continuing to develop the POS system to incorporate the majority of stock being ordered via the system – allowing for the linkage of purchasing, sales, stock taking and invoicing. The new kitchen within Rainbows now ensures all Food Safety Standards are being met whilst providing a safe, modern and user friendly work space for volunteers. Sales for the year ending June 2013 are significantly down from those of 2012 to the actual amount of $108,699. Whilst we can apportion some of this to the current financial environment, most is a direct result of the reduction in sales between December 2012 and March 2013. Between these months alone sales were down by $92,437. In January, there was a $39,841 loss of sales due to Rainbows being closed. I would like to take this opportunity to thank Di Macrae with the support of Vic’s Café and some Rainbows volunteers for continuing to trade and provide a service to staff and visitors during this period. Some significant purchases have been made over the last twelve months, including: New kitchen Point of Sale System New equipment Total $97,167.25 $22,627.82 $6,048.19 $125,843.26 As a result of these purchases and the reduction in sales the total amount donated to the hospital by the Shops Auxiliary Division for the financial year ending the June 2013 was $353,977. This is still a fantastic contribution to the hospital and one all volunteers should be extremely proud of. As we move into the next financial year I will continue to focus on the Stock Management functions of the POS system to ensure we maximise its full potential. Some modifications are also being considered for the Vic’s shop during this upcoming Christmas break. Also during the next twelve months I will be supporting the Shops Auxiliary Division which, in conjunction with the Friends of WCH, are working with Adrian Richards, Manager Biomedical Engineering from the Women’s and Children’s Hospital on early identification of the hospital’s equipment needs. This will allow for a more combined and targeted approach to the Friends of WCH fundraising campaign, which will maximise the amount of money raised whilst providing greater satisfaction to all volunteers. The Annual General Meeting will then become a vehicle for hospital staff to demonstrate the benefits achieved as a direct result from the funds raised and donated by the various Friends Divisions. I would like to finish my report by thanking the Director of Community Engagement and Media, Veronica Maughan, the Media team, my colleagues Sonia Davies, Cynthia Baldwin, Lynne Whitcher and Lynda Dyett for their assistance and support. I also thank Jenny Brown (Shops Treasurer), Rosa Shum (Treasurer Assistant), Bev Graham (Shops Auxiliary President), and all the committee members for their unwavering support during the past year. Annual Report 2012 – 2013 13 Volunteer Service Division President’s Report The past year has been another fulfilling and busy one for the Volunteer Service Division. Each and every one of our volunteers has made an enormous contribution within and beyond the walls of this hospital. Each and every volunteer has performed their duties with a kind heart, enthusiasm and good humour. I thank all of our volunteers for their ongoing commitment to their role and the many duties required of them. Our year began with the 2012 Friends of WCH 20th Annual Conference which was again held in the Queen Victoria Lecture Theatre. This conference was opened by Dr Lyn Arnold, former Premier of South Australia and former Chief Executive of both World Vision Australia and Anglicare SA. His talk was both warm and engaging, as Dr Arnold shared some heartwarming stories of his encounters with the Women’s and Children’s Hospital with his children and grandchildren. The morning that followed was a wonderful reflection of the work of the volunteers of the Friends of WCH. Our Volunteer Service Annual General Meeting was held on 3 August. The guest speaker Marilyn Seidel gave an interesting and enlightening talk on nursing education at the Adelaide Children’s Hospital, which left us with much to reflect upon. The Friends of WCH Co-Ordinating Council meetings were attended by Barbara Theobald, Cynthia Baldwin and myself. These meetings enabled the sharing of information and ideas between representatives from the Shops Auxiliary Division, the Queen Victoria Auxiliary Division and the Auxiliaries Division. The 2012 Christmas Lunch for all our volunteers was another well attended event. While enjoying the delicious food and atmosphere, our volunteers were able to catch up with old friends, and make some new ones. The Lunch is a wonderful way to celebrate the season and to acknowledge another year of commitment and hard work. National Volunteer Week was an opportunity for our volunteers to be remembered throughout the hospital for their dedication to their roles. Displays were set up in the hospital foyers depicting the numerous and varied tasks undertaken by the volunteers. This also helped both staff and visitors to the hospital understand that our volunteers represent all facets of our community, men and women, different ages, different nationalities. I wish to thank Margaret Potter for her time as President of the Volunteer Advisory Committee (VAC). Margaret’s contribution was valued and appreciated. As I begin my term as President of the VAC, I thank the members of the Volunteer Advisory Committee for their support during the year and their dedication to attending our meetings. I wish the committee all the best for the year ahead, may the meetings remain supportive, informative and productive. I am forever thankful for the support and guidance I have received from Cynthia Baldwin. Her willingness to give her time and knowledge has been invaluable as I undertake my role with the VAC. I also thank Linda Dyett and everyone else in the Volunteer Haven for their friendship, patience and dedication during the good and the trying times. Congratulations to the volunteers who will receive service awards this year. Thank you very much for your commitment of time and talents to your volunteering roles through your many hours and years of service. I would like to make mention of the passing of one our valued volunteers. Marjorie Paine provided fifteen years of dedicated service to supporting the patients and families in Rose Ward. Marjorie passed away recently, shortly after retiring and after several months of illness. We remember her service to the Women’s and Children’s Hospital and pass on our condolences to her family and friends. Helen Cooper President Volunteer Advisory Committee Manager Volunteer Service report In reflecting on recent discussions with the Volunteer Advisory Committee about the purpose and future direction of the Friends of WCH, it is clear that members share a strong sense of community with other volunteers of the Volunteer Service Division. One of the rewarding aspects of my role is watching this sense of community demonstrated in a number of ways. There are the friendships formed among volunteers and the way our volunteers are included by staff in the daily life of the wards and units. This involvement is evident each year during the service award presentations as staff cheer squads applaud their volunteers. This past year has seen a number of volunteers or their family members fall victim to serious health issues. Other volunteers and hospital staff have been quick to show compassion during these difficult times. Volunteers often comment that the hours they spend within the Women’s and Children’s Hospital supporting patients, families and staff give them a real sense of ‘time out’ which assists them to cope during stressful times in their own lives. Statistics During the 2012/13 financial year volunteers gave 19,683.3 hours of service to the Health Network, which equates to $492,080 in monetary value. The Women’s and Children’s Hospital and Helen Mayo House welcomed 67 new volunteers, filling vacancies left by resignations and taking up new placements. We welcome the energy these new volunteers bring to our service and wish them fulfilment, satisfaction and friendship in their time with us. There were a number of resignations during the year as former volunteers moved into paid work, increased their study commitments or took a well-deserved retirement. Annual Report 2012 – 2013 15 I admire the determination of volunteers who, although they take on part-time paid work, still manage their volunteer commitment because they do not want to lose the satisfaction gained from their hours within the wards and units of the Women’s and Children’s Hospital. Recognition I congratulate every volunteer who has earned a service recognition award in 2012. When I checked through the names of volunteers earning badges for 15 and 20 years, I was inspired by the energy and enthusiasm these people continue to bring to their work within the Health Network. New areas During the past year we expanded volunteer support into new areas. Following the success of the volunteer team which welcomes and screens visitors at the entrance to the neonatal and special care nurseries, Surgical Services requested volunteers to undertake a similar role. This role involves supporting staff in the Surgical Hub at the entrance to the Newland and Campbell Wards. The trial period worked well and at this time 10 volunteers are rostered over seven days a week. Several volunteers have taken on extra placements in areas which interest them and I thank them for increasing their time commitment. The number of administrative support placements has increased during this year and volunteers are now supporting staff in several new areas including Medical Records, Ambulatory Services in Day Surgery/Campbell Ward and the Admin Hub. We are also working toward the recruitment and placement of a visitor support service to be initially based in the Kermode Street foyer and then expanded to become hospital-wide. I have been advised by the Administration Hub that the task of folding and enveloping reminder letters will shortly be taken on by a state of the art machine which will fold, envelope and seal the letters. I cannot let this transition pass without paying tribute to Betty Major who for the past six years, has dealt with a minimum of 600 letters every Wednesday morning with amazing efficiency. At a conservative estimate Betty has stuffed 185,000 letters over this time. I also acknowledge other volunteers, including Jean Tait, Jean Ligertwood, John Wightman and Betty and Ray Rabot, who have dealt with the weekly overflow as the number of letters increased this year to at least 1000 per week. Betty and others who have assisted with this task typify the determination and hard work of all our volunteers. Recruitment Volunteer orientations were well attended through the year and we also made use of staff orientation days to pick up sessions such as fire safety training between the major orientation days. I thank Women’s and Children’s Health Network staff who conduct sessions in their area of expertise and take care to make the material relevant to volunteers. Our applicants come from a mix of age groups and cultural backgrounds and I have appreciated their willingness to be flexible with placement if their first choice is not available. Trading tables A small but dedicated group of volunteers has organised and run several trading tables during the year. I thank everyone involved, whether it’s helping to price and sort goods in preparation, or assistance on the day itself by setting up, handling sales and packing everything tidily away afterwards. I also thank the volunteers who have made and donated items for sale, often with a seasonal slant at Christmas and Easter. Your creativity and generosity play a large part in the success of our trading tables. Volunteer Advisory Committee I acknowledge and thank the eight members of the Volunteer Advisory Committee, who were announced at the 2012 AGM. Margaret Potter was elected President of the new committee and I thank her for her work during the first part of the financial year. After Margaret’s resignation as President, due to increased family commitments, 16 Friends of the Women’s and Children’s Hospital Inc. Annual Report 2012 – 2013 Helen Cooper was elected unopposed to the position. Helen settled in to her role very quickly and with Barb Theobald, represents the Volunteer Service Division on the Co-Ordinating Council of the Friends of WCH. I appreciate the dedication committee members have shown by their regular attendance at meetings and thank everyone for their thoughtful feedback and advice on matters involving the Volunteer Service Division. This has included discussion on the divisional constitution which is in the process of being updated. I look forward to working with the committee through the last twelve months of their term. Appreciation The Volunteer Service is part of Consumer and Community Participation Unit under Community Engagement and Media Department and I thank all staff of the unit who provide expert advice when needed. I thank Director Veronica Maughan for her understanding and support during the past year. I give special thanks to Linda Dyett for her hard work during the year. I really appreciate Linda’s willingness to take on whatever is asked of her and do it well. Whether they are just starting on their journey with us or have given many hours and years of service to the hospital, all of our volunteers have one thing in common: a desire to support patients, families and staff of the Women’s and Children’s Hospital.
