Students must submit their online application, CV, and all
supporting documentation, if needed, by the deadline of
05 Jan 2015 at 17:00 (5pm).
Students with any type of application difficulties MUST
approach our offices before 17:00 (5pm) on 05 Jan.
Late and/or incomplete applications will NOT be
entertained.

Our automated system will match students to a
university based on your total score and your top
choice of university in order of priority which has
availability. You must also meet the host university’s
requirements such as TOEFL/IELTS and any other
specified conditions. The scoring of any particular
applicant is confidential and will not be disclosed.
Breakdown of Selection Formula

NEW – Clearing Round
•
•
•
If there are any universities with quota available which
students have NOT chosen at all for exchange, then
SBM will allow students who meet a minimum score
mark (TBC), who did not get an offer in the 1st round
to choose from these schools in a final ‘clearing round’.
This will not include schools which students have
rejected or withdrawn from exchange. More details of
this arrangement will be released at a later date to the
eligible ‘no offer’ students.
Students who are eligible for the clearing round, will
have the option not to participate with no penalty.
Students who participate but decline offers in the
clearing round will be treated with the same penalty.
Interview Period
• Students who apply must also attend an interview to be
considered for exchange. Hence, students must be
available for interviews during the below periods:
End January – Mid February (TBC)
• Interview dates depends on the date when ARRO
releases students grades.
• Only students meeting the 2.65 CGA requirement who
have submitted a completed application for exchange will
be short-listed for interviews.
• Please note that a student may be interviewed for
exchange but there is no guarantee that they will go on
exchange. This will depend on the applicant’s total score
ranking, host university requirements, and availability of
spaces.
Interview Format
• The interview format will be conducted in English
and consists of 3 parts including:
• Part A: Self-Introduction (1 min)
• Part B: English Communication Skills &
Group Interaction (4 min)
• Part C: Follow-up Questions for Applicants
• Usually, the interviews are conducted with 2
interviewers in groups of 4-5 students and lasts
around 30 minutes.

Language Requirements
• Most schools in our exchange program have
exempted HKUST nominated students from
English requirements. There are exceptions to
this and those schools are as follows:
Indiana University’s English Requirement (TOEFL)
Tulane University’s English Requirement (TOEFL)

Language Requirements
• In addition, several other exchange partners also
have English requirements, which most of our
students will meet:

• For these 3 above universities, TOEFL/IELTS is
waived, but a reference letter which outlines your
English Language Proficiency is needed.
• University of Amsterdam: Students need to have
TOEFL/IELTS to select their SOSC/HUMA courses.
Students can only select one HSS course.
Language Requirements Con’t
• Australian and Netherlands Universities:
Students born in Mainland or holding PRC
passport, must obtain a NUFFIC certificate to
study in the Netherlands. A requirement for this
certificate is either TOEFL IBT 80 or above OR
IELTS 6.0 or above. These test scores must also
be valid. Scores that are EXPIRED or EXPRING
within the next 6 months during the application
process will NOT be accepted. No other tests or
scores will be accepted.
If you are a Mainland student and do not meet
this requirement, please do not apply for Schools
in the Netherlands.

conditions before choosing the universities
• We will only allocate students to universities within
their list of choices, except in the Clearing Round.
• Students who decline offers without an extenuating
reason and proof, but wish to apply for exchange in
the future, 20% of the total marks will be
deducted from future exchange applications
(including Mainland exchange).
• There is no waiting list for declined or withdrawn
spots in the exchange program. Declined/Withdrawn
offers will not be transferred or used in the Clearing
Round.
• Students should bear their own risk of deferring
their studies after the exchange
• The host university has final authority on accepting
students. Students nominations which are rejected
from our partners will not be placed at another
university.

• Scoring on any particular applicant is confidential and
will not be disclosed to any student.
• SBM reserved the right for final selection of students
for exchange. Once the exchange result is released,
no changes will be considered at the request of a
student
• Students cannot contact host universities during the
application and selection process or they will be
disqualified from the exchange program
• Students must attend the ORIENTATION event
organized by your host institution before your
exchange semester. Students who skip the orientation
will be withdrawn from the exchange program
immediately.

Health Insurance
• All exchange students are required to purchase the
insurance plan as recommended by SFAO.
• The cost for the insurance plan is around HKD100.
• In case if the insurance plan recommended by SAO
cannot meet the requirement as set by your host
institution, you also need to purchase the one
provided by your host institution before or upon
your arrival. You can check with the exchange
coordinator for details if you do not know how and
where to purchase the insurance after arriving.
• You should also note that if you travel to other
countries before arriving at the destination country,
or before returning to Hong Kong, you will also need
to arrange for your own insurance.
• More information regarding the insurance will be
sent to students after the offer is confirmed.
Exchange Sponsorship Scheme
• The scheme has 2 parts:
– Basic sponsorship
– Means-Tested sponsorship
• Local students can apply for the Basic
sponsorship ($6,000) before going on exchange.
Students who have satisfactorily completed the
exchange program, submitted a qualified
exchange report and return to HKUST to complete
the degree will be eligible to get the Sponsorship.
• Students who need more financial assistance
should apply for Means-Tested sponsorship
through SFAO.

• The Scholarships & Financial Aid Office (SFAO) makes all
scholarship decisions based on the list of successful
exchange-out applicants.

exchange and what type of students are eligible, please

Buddy Program
• SBM has established an one-on-one Exchange
Buddy Program, where a local student will be paired
up with an exchange-in student and act as a Buddy
ambassador.
• Successful exchange-out students will automatically
opt into this buddy program. If you don’t wish to
participate have a valid reason, you can apply to opt
out with the SBM Office.
• As a Buddy, you will receive the exchange-in
student from the airport, help him/her to settle into
HKUST, and actively assist him/her where possible
during the semester. SBM office will notify
exchange-out students of their assigned buddies.
• Through active interaction in this program, we hope
to help students’ foster greater international
friendships. As well, international students will be
able to understand more about Asian hospitality,
culture, and traditions.
• Students can meet students from their host
institution and get better prepared for exchange.
• More information on the Buddy Program will be
given out NEXT YEAR.
