Housing Registration: All students, whether they plan to reside on

Dear Student –
Housing Registration:
All students, whether they plan to reside on campus, in a Greek house or wish to request off-campus
authorization for the 2015-16 academic year, must register for housing online at
<http://www.vanderbilt.edu/ResEd>, during the period from 12AM, Sunday, January 11 – 6PM, Sunday,
January 18 Central Standard Time. Your VUnetID and password are required for logging in to the
registration.
The housing registration period will end at 6PM, Sunday, January 18 Central Standard Time. Students
may register for housing at any time during the registration period. Students who register after the
deadline of 6PM on Sunday, January 18 will (1) not be allowed to reserve their current spaces; and/or
(2) lose a point of seniority for the housing assignment process. Current first year students residing on
the Ingram Commons are not eligible to reserve their current rooms for the 2015-2016 academic year.
Students residing in designated ADA accessible rooms are not eligible to reserve their current rooms for
the 2015-2016 academic year.
Off-Campus Ballots:
After students have completed their housing registration, any rising 4th year student or greater may
submit an off campus ballot. Rising 2nd year and 3rd year students are not eligible to submit an offcampus ballot. Off-campus ballots must be submitted no later than 6PM, Sunday, January 18. Offcampus ballots will be available online at <http://www.vanderbilt.edu/ResEd/>.
Students may submit ballots as individuals, or as groups of two (2) or three (3) students. The group
ballot allows all students on the ballot to be linked together for the purpose of the off-campus random
selection process. Group ballots will be authorized or denied as a group. Students may only appear on
one (1) off-campus ballot.
For all off-campus ballots, one (1) rising 4th year student or greater must be selected as the contact
person. If submitting a group ballot, the contact person must enter the VUnetID’s and dates of birth of
any additional students listed on the ballot. Any student listed on a ballot must then go online and
accept the ballot. The ballot will go live and be eligible for the random selection with all students that
accept the ballot as of 6PM on Sunday, January 18. The ballot will not be voided if additional group
members do not accept the ballot or if they decline the ballot.
Students authorized to live off-campus for the current academic year (2014-15) MUST register for
housing and re-apply online for off-campus authorization. Students currently residing off-campus are
NOT eligible to submit or appear on a group ballot and may only re-apply as individuals.
For the 2015-2016 academic year, we anticipate authorizing roughly 450 rising 4th year students or
greater to reside off-campus. If you are not authorized to reside off-campus, you must participate in the
on-campus room selection process (the lottery), which will commence in mid-February.
In accordance with recommendations of VSG, off-campus requests will be prioritized as follows:
1. Those students currently living off-campus have 1st priority for authorization to live off campus.
2. Students who will be entering their 4th (or greater) year of study in the Fall Semester of
2015 and who submitted requests by the off-campus application deadline have 2nd priority for
authorization to live off campus.
3. Students who will be entering their 4th (or greater) year of study in the Fall Semester of
2015 and who submitted requests after the off-campus application deadline have 3rd priority for
authorization to live off campus.
Off-campus decisions will be announced via email at 5PM on Friday, January 30th. Students should not
commit themselves in any way to off-campus housing until they have been officially notified of their
approval by the Office of Housing Assignments.
Study Abroad, Internships and Leaves of Absence:
If you hope to study abroad, participate in an internship program, or take a leave of absence next fall
(Fall 2015), but are not certain that you will do so (i.e., you have not yet been accepted or are unsure
that you will participate), then you should register for housing and participate in the housing assignment
process for the 2015-2016 academic year. If and when it becomes clear that you will study abroad,
participate in an internship program, or take a leave of absence, please notify the Office of Housing and
Residential Education in writing of your plans immediately. Emails can be sent to [email protected].
Greek Houses:
Students who plan to live in Greek houses for the fall semester of 2015 must register for the housing
assignment process before the close of the application period at 6PM on Sunday, January 18. Chapter
presidents can pick up Greek Housing Packets beginning Friday, January 23 at 8AM, and are responsible
for distributing all required forms to 2015-2016 house occupants. Chapter presidents are responsible
for submitting all completed forms to the Office of Housing Assignments by 4:30PM on Friday, February
20.
Additional Information:
“A Guide to Housing: Spring 2015” will be available in mid-January in Hustler distribution bins and online
at the Housing website. This guide provides in depth details about the 2015-2016 room selection
process along with a full calendar of events.
Any student requesting reasonable accommodation in housing due to a medical, psychological or
disability impairment must submit full and current documentation to the EAD (Equal Opportunity,
Affirmative Action and Disability Services) Office. The Office of Housing Assignments will not accept any
documentation or housing requests regarding a student’s medical, psychological or disability related
condition. If EAD determines that a student is eligible for reasonable accommodation in housing, the
Office of Housing Assignments will contact the student about his or her assignment. The Office of
Housing Assignments makes every effort to find appropriate and reasonable assignment as
recommended by the EAD. All requests for the 2015-2016 academic year must be submitted to EAD no
later than 4:30PM on Friday, January 9. For more information, please visit
