Looking forward to seeing y’all there! Christopher Powell Jones Chair, Annual Conference Planning Task Group P.S. Don’t forget your cowboy boots! My first PRISM Annual Conference, 5 years ago, was the reason I joined my father in business. Networking with folks who are passionate in our field—particularly those driven to innovate—led me to the realization that our industry has a lot more depth than my early years of carting boxes around led me to believe. This year, our Annual Conference Planning Task Group has made a commitment to use the trends inspiring us in our individual businesses to create a framework for the annual conference in Hill Country with the theme “Broadening Opportunities for Innovation.” We know you’ll be inspired by the trends we’ve identified and the speakers who begin the conversation May 17–20, 2015. Our conference has a lot of great sessions and events, but I would like to point out a few highlights. Our opening keynote speaker Kaihan Krippendorff will address Innovating Across Eight Dimensions, which will set the stage for our six educational tracks, including the new track of information governance (IG). Legendary records and information management (RIM) consultant and author Dr. Bill Saffady will return to define IG and will stick around for the conference as a resource to our members. Beyond Message from the President It gives me great pleasure to invite you to attend the 2015 PRISM International Annual Conference. This year, our conference will take place at the Hyatt Regency Hill Country Resort and Spa in San Antonio, TX. I’m appreciative of the time and effort our Annual Conference Planning Task Group dedicated to producing a solid and well-rounded educational program. Using feedback from attendees of the 2014 conference, the task group developed new and innovative learning opportunities, such as an information governance session track. The Annual Conference Planning Task Group continues to raise the bar of our educational offerings, ensuring there is something for every records and information management professional. This year’s conference will again offer an unparalleled opportunity to learn from the brightest minds in our industry, exchange knowledge, and network with our peers. I am excited to learn from our keynote speakers Kaihan Krippendorff, William Saffady, and Elaine and Norm Brodsky. As always, our exhibit hall will feature the latest and greatest products and services offered by our corporate partners as well as a number of fun activities. Be sure to clear your calendar on Tuesday to attend our annual business meeting, conference dinner, and enjoyable Last-Call Reception in the exhibit hall (which will include our prize drawing). This presentation will explain what information governance is, why it’s important, and how our customers are using it. Innovating Across Eight Dimensions (001) Kaihan Krippendorff, best-selling author, popular Fastcompany blogger, and renowned business strategist By innovation we almost always mean product innovation. We typically talk about research and development and new solutions to meet unmet needs. Yet dissect the most innovative companies of the last decade, and you will see that great innovators disrupt their markets by reaching beyond product. Indeed, often their success rests on choices that have little to do with new products. Companies that outperform their competition seek disruptive innovation across eight dimensions (8Ps): product, price, place, promotion, positioning, processes, physical experience, and people. From this session, you will walk away with an understanding of the 8P framework, gain tips on how you can use it to create disruptive strategies, and build the confidence to apply it every day to generate new opportunities. Connecting with WBENC—Leveraging Your Certification (101) OPS Bethany Bassett, Rasky Baerlin Learn how you can leverage participation in the Women’s Business Enterprise National Council and your regional partner organization to add value for future business growth. Make the most of your certification by understanding all of the benefits it can bring to growing your business. This session will include an overview of the new certification toolkit and a table discussion on best practices in getting to a contract, creating a marketing plan, and building relationships with supplier diversity professionals. Profitably Delivering Workflow and Imaging Projects (102) I 10–10:30 am Break in Exhibit Hall Mike Levin, Corodata When your customers’ information is important enough to be shared or preserved, capturing that information must be done with care. It must also be done efficiently, however, or you stand a good chance of losing your shirt on an inaccurate or underestimated bid. Join Mike Levin as he reviews the latest trends and technologies in imaging workflow and processes. 10 am–4 pm Exhibits Open 4 Session Descriptions 11:45 am–1 pm Networking Lunch with Exhibitors (LUN1) E-Discovery (107) I Andy Sokol, CopyScan With the overwhelming growth of digital information, the scope of electronic records management has expanded exponentially and is an increasingly critical issue, particularly as it relates to providing secure storage, access, and retrieval of this information. Join Andy Sokol, a records and information management professional and certified e-discovery specialist, as he walks us through this digital evolution. 1:15–2:15 pm Tips and Tricks for a Successful Shredding Business (103) D Chris Harris, Access Join Chris Harris as he shares his tips on how to operate a successful destruction operation. Topics will range from choice of the right equipment, lessons learned to increase revenue, and tools available to educate your clients. Marketing Innovations: New, Exciting, and Successful (108) OPS The Keys to Leveraging Diversity in the Workplace (104) OPS Thomas J. Seibert, Business Records Management From traditional advertising to digital, social media, and mobile technologies, the landscape and techniques for records and information management companies to connect with their customers has changed radically during the past few years. How do successful entrepreneurs and marketers cope with these exciting changes, and more importantly, how do you stay ahead of the curve? What will the customer journey look like 5 years from now? Hear how four leading marketing professionals in the records and information management (RIM) industry answer questions like these in this powerful panel discussion about the future of marketing in the RIM industry. Ty Ondatje, Iron Mountain Recognize the business opportunity and engagement value of a workplace that ventures beyond mere tolerance and deems each employee, regardless of race, ethnicity, or gender, as able to pursue his or her potential and make an irreplaceable contribution. Join Ty Ondatje, chief diversity officer at Iron Mountain, as he discusses how best to seek out, embrace, celebrate, and leverage diversity among your employees. This panel will share stories of how this certification has helped them to successfully leverage their companies and increase their chances of landing contracts. Todd also will provide an overview of the process and explain the cost benefits of becoming Privacy+ Certified and the return on your investment. 3:30–4 pm Break in Exhibit Hall 4:15–5:15 pm Build Your Business to Sell It: You Just Might Keep It (109) PRM Greg Bullard, IG2; Greg Stangle, IG2 Whether you plan to sell your business next year or next decade or pass it down to family members, one thing is clear: You should build your business to sell it. The “buildit-to-sell-it” approach provides critical business benefits and creates long-term value no matter which direction the business takes. Unfortunately, many business owners fail to properly plan for the sale of their businesses and address key issues only after making the decision to sell. The result is often additional stress and reduced valuation. The presenters will discuss key business and legal issues that all business owners should consider as they are building their businesses and that become vital during the sales process. The presenters will share war stories that highlight the importance of these issues to records and information management business owners. 2:30–3:30 pm The Dark Clouds and Silver Linings of Cloud Computing (106) DP Eileen Sweeney, Iron Mountain Cloud computing is evolving, and companies of all shapes and sizes are taking notice and adapting to this relatively new technology. Industry experts believe this trend will only continue to grow and develop in the coming years. Although cloud computing can be beneficial for companies of different sizes, it is not without its downsides. During this session, we will discuss the advantages and disadvantages of cloud computing to help attendees fully understand the concept. Session Key OPS = Business Operations D =Destruction DP = Data Protection I =Imaging 5 PRM = Physical Records Management IG = Information Governance Session Descriptions Innovation Clinic: Destruction (110) Winning the Paper Wars—Capture the Content and Mobilize the Process Troops (111) I D In response to popular demand, we will host five innovation clinics covering five basic pillars of the industry: data protection, destruction, physical records management, information governance, and imaging. These innovation clinics are open forums during which attendees are encouraged to discuss any issues, trends, or questions they may have about the pillars. Bring your questions, ideas, issues, and advice! Ian Thomas, PRISM International Board of Directors In this presentation (based on global research of the Association for Information and Image Management’s 80,000-member community), we report on the progress toward paper-free business processes and the use of capture and business process management platforms across multiple processes and departments. This session also will provide insight into the drivers and issues behind the movement of scanning and capture toward the periphery of the business through digital mailrooms, branch-capture, outsource, consumer self-service, and capture on mobile devices. Tuesday, May 19 8:30–9:30 am Continental Breakfast in Exhibit Hall Best Practices for Destruction of Electronic Media (201) D Mitzi Ott, Recall We all know the problem with destruction of electronic media. Commands such as “delete” and “remove” do not erase data, they simply remove the directory pointers to the data’s location. Similarly, “fdisk” and “format” commands modify the file system but do not actually remove data from the disk. What do your customers do with their old PCs, flash drives, or other electronic media once they’re no longer needed? The answer is that they need to come to you to get them securely destroyed. Join us in this important session to learn about the proper destruction of electronic media, tape, and hard drives, as well as file management practices to help avoid the problem before destruction is even an issue. 8:30–11:30 am Exhibits Open 9:30–10:30 am Keynote Address II Trends and Developments in Information Governance and Records Management (002) William Saffady, PhD Information governance is an increasingly common multidisciplinary initiative in a growing number of companies, government agencies, not-for-profit entities, and other organizations that use commercial storage services. Although records management is a key facet of information governance plans and programs, the two fields are not identical. This session will review the scope and objectives of information governance and explain how it compares with traditional records management. The presentation will emphasize aspects of information governance that impact and create business opportunities for commercial storage providers. How to Help Your Clients with Their Information Governance Initiatives (202) IG Donna Houk, Iron Mountain We all know the growing importance of information governance. Do your clients? Have you helped your clients conduct a business impact assessment, privacy impact assessment, or security assessment that allows them to better use the services you offer? Join Donna as she reviews how we should best position ourselves to help with this growing need and market. Donna will provide real-world examples to help you leverage your expertise and help your customers. 10:45–11:45 am Boost Your Bottom Line: Financial Education (200) PRM TBD Financial statements are a report of either a company’s financial position at a specific point in time or its operations over a period of time. During this session, we will discuss the four basic statements and gain an understanding of how to read them. Knowing when to generate these statements and what information they contain and knowing how to interpret the data are an essential part of running a healthy and successful business. 11:45 am–1:15 pm Annual Business Meeting Lunch (BUS) 1:30–3:30 pm Exhibits Open 1:30–2:30 pm Break in Exhibit Hall 6 Session Descriptions 2:45–3:45 pm Document Scanning Sales—Defining Who, What, When, Where, and How (203) I Creating an Effective Sales Hiring and Training Program (205) OPS Andrew Ysasi, Kent Record Management Finding salespeople to represent your brand, products, and business is not easy. If you own a business, then you are familiar with risk. There was risk involved in starting your company—putting your assets and reputation on the line in pursuit of the vision you had, and have, for your company. There is also builtin risk involved in managing and growing your company. From protected health information (PHI) and personally identifiable information (PII) to company vehicles on the road, each RIM operator must deal with several different kinds of liability exposure on a daily basis. This session will help explain those exposures and the potential losses/ claims that exist with each. Join one of the authors of PRISM’s new white paper on risk transfer in the RIM industry as he reviews some of the risk-management solutions available to RIM operators. During this session, we will discuss the step-by-step process that an end user needs to follow when responding to a real or suspected breach of information, address the six major axes and the multijurisdictional considerations, and review the penalties for failure including civil and criminal. Session Key OPS = Business Operations D =Destruction DP = Data Protection I =Imaging 7 PRM = Physical Records Management IG = Information Governance Session Descriptions Fundamentals of Cost Analysis for Records Management Projects (302) IG Innovation Clinic: Information Governance (305) William Saffady, PhD A favorable cost profile is critical for customer acceptance of record storage projects and proposals. This session will explain the three major approaches that customers use to evaluate and justify costs: cost-benefit analysis, cost-effectiveness analysis, and return on investment. These cost justification concepts will be illustrated using familiar record storage problems: in-house warehousing versus commercial storage services, precise determination of retention periods versus commercial storage for a reasonable period of time, and scanning versus commercial storage for record retention.
