All regulations of the Fairfax County Public Schools, West
Springfield High School, and the West Springfield Music Department are in full force during the entire trip.
You are representing Fairfax County, West Springfield High School, your parents and Mr. Hoang, on this trip.
Think about that when you are making decisions about what you are going to do, or not do.
BE ON TIME FOR EVERYTHING.
The student may not have any current disciplinary action in force. No students under school suspension during
the date of the trip will be allowed to participate.
In order to go on the trip the student must attend ALL of the after school and evening rehearsals.
Students must obey the instructions given to them by the teachers and chaperones on the trip. No disrespect
or insubordination will be tolerated for any reason. If students are disrespectful or insubordinate to a
chaperone, they can still be referred for discipline. Remember that the Chaperones are all Fairfax County
employees as well and they have all the same legal authority that your regular teachers do regarding student
conduct and discipline.
Each student is to bring a watch that is in proper working order. YOU are responsible to be on time. When a
time is given to gather at a certain location students must be at the gathering point on time.
We will be gathering ALL student cell phone numbers before the trip. If you are called by a chaperone you
must answer your phone.
You must NEVER be in a group of less than four. This is for your safety, security and protection. We would
prefer that the groups are at least five people, but when you are in groups of four or more, certain problems
are less likely to occur.
If a student breaks the law, they will be handed over to the local authorities and will become their
responsibility. This will be between the student and the local authorities. Students will be held accountable for
any local laws violated, and may be detained by the local police. Any school policies that are violated in
conjunction with a violation of the law will be handled once the student returns to West Springfield.
If you violate school policy, your parent or guardian will have to make arrangements to pick you up and get you
home. The decision on whether or not to send a student home will be made by your teachers. In any case,
disciplinary action will be initiated according to school policy upon return to Fairfax County.
THINK BEFORE YOU ACT.
If a student is uncooperative or insubordinate they will be given a warning, which will include a call to their
parents and Mr. Mukai. If a student still refuses to cooperate after the call home, the student will either be sent
home or turned over to the local police until their parents can make arrangements to come and get them.
If you take any medications, you must turn those over to the chaperones, along with the proper forms and
dosage schedule, prior to the trip. You may not self-medicate.
If you use an inhaler we must have a copy of the form you have on file at school OR a new inhaler
authorization.
You may not bring your own over-the-counter medications on the trip. This includes pain relievers. There is a
Fairfax County medical release (in the forms packet) form that gives permission for the chaperones to give you
certain types of medications during the trip. The chaperones MUST hold on to all of your medications. You
may not self-medicate.
All students must properly complete and submit all forms and the acknowledgement of these rules by
Wednesday March 25, 2015. Without the proper forms, the student will not be permitted to go on the trip. BEHAVIORAL EXPECTATIONS Bus Rules Once bus assignments are made, there will be no trading of buses.
No open music on the bus. Headphones are required. No video or personal DVD players (this includes video
on an iPods/tablet/laptop).
Keep the area around your seat clean and free from trash and food.
NO SMELLY FOOD.
Use the bus restroom for dire emergencies only. It will not be serviced during the trip – the smell stays with
us. If you have a restroom need or emergency, let the chaperones know so that we can stop at a rest area.
All students are to be doubled in rows. No student is entitled to more than one seat.
There shall be no more than one student per seat. You may not put three people in two seats. You may not
sit on the arms or backs of the seats. If your seat ends up broken, the bus company will send your family the
bill to repair it.
No lying (asleep or awake) in the aisles or overhead racks of the bus. This is a safety violation and against the
law on a charter bus.
No “Truth” or “Dare” or similar games are to be played at any time on the trip.
On Wednesday night/Thursday morning, students are expected to courteous and quiet enough that everyone
around them can sleep. No loud talking, no reading lights, no toys or games that make noise. You may
continue to listen to music with headphones. Bring movies from home and your chargers on the bus.
No sharing of blankets, clothing or any other “covering” with anyone but an immediate family member. If we
catch a “couple” (M-F, M-M, or F-F) under a common blanket, or hiding their actions in any way, they will be
separated for the duration of the trip. Keep your body parts to yourself. Don’t start something that would be
inappropriate for public display. If you wouldn’t do it in front of Mr. Mukai, or your parents, don’t do it on the
bus, in the hotel, OR AT ANY TIME ON THE TRIP. After dark, students may be required to sit with a seat
partner of the same sex at the discretion of the chaperones.
You may bring one suitcase (goes under the bus) and one carry-on bag. You may not block the aisle of the
bus with coolers, boxes or bags of any kind.
All movies shown on the bus must be G, PG or PG-13. The head chaperone on each bus has the final say.
No flashlights, laser pointers, or extra lights that might distract the driver.
YOUR TRIP T-SHIRT IS MEANT TO BE UNIFORM FOR PURPOSES OF IDENTIFYING THE GROUP AND
YOU WILL NOT ALTER IT IN ANY FASHION UNTIL AFTER YOU ARE HOME FROM THE TRIP.
All bags, suitcases, instruments, boxes, persons, and anything else brought on the trip are subject to
inspection before the trip or at any time during the trip. If we find ANYTHING that should not be there, we will
send the offending party home.
During Events You must NEVER be in a group of less than four students. This is for your safety, security and protection. We

problems are less likely to occur. Don’t visit the restroom alone. Make sure your group is at least waiting for
you outside the restroom.
Even when you are not on stage, or in concert clothes, you are still representing the West Springfield Music
Department and Mr. Hoang. We have expectations of personal integrity, courtesy and good character
regarding music students. It is your responsibility to live up to these standards.
BEHAVIORAL EXPECTATIONS Hotel Rules You may not trade rooms once the assignments are made.
Only the students assigned to the room are allowed in the room. The hotel has ample public areas for
you to socialize with your friends.
You are to be in your room at the designated room check time.
Once we have lights out you are expected to be quiet and go to sleep. The purpose of this trip is to have
our groups evaluated for our most outstanding performances. You can't do that without rest.
The phones in the rooms will be turned off for outgoing calls. You may call home from the payphones at
the hotel or your cell phone. If there is an abuse of room-to-room calls, we will physically remove the
phone from your room.
No cell phone calling or texting after lights out.
The hotel will disable the in-room movies and video games. If for some reason they are not blocked, do
not purchase in-room movies or video games. All of the details will appear on the hotel bill, so if you try
to order a movie (especially an inappropriate type of movie) it will be on our printout, and you will be
disciplined accordingly.
Nobody from outside our group (our group = the people on the rooming list) is permitted in ANY of our
hotel rooms at any time. This includes friends, relatives, and people you just met.
You will not be permitted to leave the trip early or "visit" family apart from the trip without explicit
written permission from your parents. We must have the request by April 1 so that Fairfax County
Risk Management can approve your early departure. All letters need to be given to Mr. Hoang.
There will be a security guard in the hall from lights out until breakfast. If you attempt to leave your room
after lights out you will be stopped and questioned by the guard. If you have an emergency you will be
taken to a teacher's room. That is the only way you can leave your room after lights out. It is the policy of
the Fairfax County Public Schools that once you are told to be in your rooms you must remain there. It is
a violation of school policy to leave your rooms after the designated lights out time. YOU WILL BE HELD
ACCOUNTABLE.
The hotel may have rules for us once we arrive. We must honor their rules as well.
You are to keep the curtains and drapes drawn while you are in your room. You will be reminded of this
during room checks.
Even if your parent is a chaperone, you must obey all rules and remain in your room after lights out. The
schedule is the same for all students regardless of whether your parent is a chaperone or not.
During room check on Wednesday you will be given a list of the teacher and chaperone room numbers.
Make sure to put those phone numbers in your cell phones. In an emergency please call your
chaperone assigned to your room or Mr. Hoang. In addition you will be told the evacuation plan in case
of an emergency. We will identify a rally point outside the hotel. Stay with your roommates in case of an
emergency evacuation.
When we are in the park, you MUST stay with your group and you must check in with your chaperone at
the required intervals.
THINGS TO BRING A GOOD attitude, a spirit of teamwork, a great deal of patience, a forgiving heart, flexibility, and a
good sense of humor. Stuff happens! We will deal with it, we always do.
Performance attire (Concert Attire for Wind Symphony, Everyone else Trip T-shirt, good pair of
jeans (no holes), comfortable walking shoes). NO Flip Flops! FLIP FLOPS ARE NOT
APPROPRAITE CONCERT SHOES. YOU WILL NOT PLAY.
YOUR INSTRUMENT (label it in some way), mouthpieces, reeds, equipment, and music.
A hat.
Sun block.
Extra pair of comfortable shoes.
Money for food/other stuff.
A working watch and/or cell phone and charger.
Deodorant, PLEASE!
Homework.
Common sense.
THINGS NOT TO BRING Negativity, bad attitudes, selfishness, and childish outbursts.
ANYTHING that can/would/could/did get you into trouble at school.
Anything that can by any stretch of the insane imagination be considered a weapon, or considered
a replica of a weapon. This includes water pistols/water guns of any kind. Do not purchase these
items at the park either.
Any media or reading material, publication, or periodical that would not be appropriate in the
classroom. This includes DVD and personal video devices. If you have any question or doubt,
don’t bring it.
Don’t bring anything that would just break your heart if it were lost or stolen. Things get lost on
rides and in big crowds. Things sometimes get stolen from hotel rooms. If you cherish it, leave it at
home.
Inappropriate clothing. You will be told to change.

Emergency Return Home Form WSHS Band Spring Trip – Disney World April 15-­‐19, 2015 Although infrequent, there have been occasions when it becomes necessary to send a student home from a school sponsored trip. In the event of an emergency, or if a student chooses to not abide by the rules of this trip, the need for an immediate return trip may be necessary. Please indicate the mode of transportation you would like for us to pursue in sending your student home from this event. If your student will need any medication during this time period, it is your responsibility to give us complete and detailed information as well as providing the medication when appropriate. Over The Counter Medication (OTC) _________ My student will need to take Over the Counter Medication (OTC). If there is ANY possibility that your student will need to take OTC (e.g. Tylenol, Motrin, Pepto-­‐Bismol) for headaches, stomachaches, cramps, etc., please complete the Medication Authorization Form. Teachers and chaperones are not allowed to dispense any form of medication to students without proper authorization. You must provide the non-­‐expired medication in its original container, labeled with the student’s name, dosage, and time between dosages. Medication will be carried by a chaperone.
