Emergency Procedures: Overview Emergencies happen - the Chicago Fire, the Oklahoma City bombing, the San Francisco earthquake, are all evidence that emergencies can and do impact the workplace. Although they are unplanned and unwanted, it is everyone’s responsibility to be prepared for them. These Emergency Procedures contain the information you need to be prepared for an emergency. Everyone who works in this building must read and be familiar with these procedures. We recommend that these procedures be distributed to all employees and posted in a lunchroom or other common area. In some cities, the local code requires specific fire life safety training, and may provide a time frame in which the training must be received. This guide does not supersede local code. Please adhere to local code requirements and in the absence of code, follow these guidelines. All suspicious individuals, activities, articles, packages or situations should be reported to the Management Office immediately. We depend on your eyes and ears to help keep the building safe. Generally most bomb threats are false, they are intended to disrupt operations and cause confusion. If a bomb is intended to kill, injure, and destroy there is typically no advance warning, as that would defeat the purpose. Regardless, every threat should be taken seriously until proven otherwise. Procedure If you receive a bomb threat over the telephone: 1. Keep the person talking as long as possible. 2. As you are speaking with the caller, record the information received on the attached Bomb Threat Report Form, located at the end of this section. Note the characteristics of the caller such as gender, tone of voice, age, accents, and background noises. Keep a copy of the report form in the main reception / telephone area for easy access. Review the form with your staff and ask them to use it, if necessary. 3. At the end of the call, dial *69 and record any number provided by the service. 4. Call 911 or the local emergency number. 5. Listen to the dispatcher for any additional instructions before hanging up. 7. Call the Management Office. Conducting a Search 1. If the caller states or implies that a bomb is in a particular suite, be aware that the individuals working in that suite will be called upon to conduct a search of their area. These individuals are the best people to determine whether something doesn’t belong or if something has been moved, or is out of place. 2. Each tenant should develop and maintain a search plan for their office suite. There should be two Searchers per team. If the suite is large, divide it into quadrants and permanently assign searchers to a specific quadrant. 3. Conduct your search by assessing the room utilizing the following method: Search from floor to waist level Then search from waist to chin level Then search from chin to ceiling level 4. Keep a written record of the rooms searched and the results. 5. If a device is found, do not touch it: Isolation - isolate the object Evacuation - evacuate the area Notification - notify the authorities 6. If the caller states or implies that a bomb is in a common area of the building, the property team will conduct the search. 7. The local authorities generally respond to the building to simply take a report if an unidentified or suspicious article is not found. In turn, if an article is found, the bomb squad is generally called by the police department. Click here to download a Bomb Threat Report Form Top of Page Emergency Procedures: Chemical, Biological, Or Radiological (CBR) Event There is a heightened awareness of the emerging threat of terrorism by unconventional weapons. The most dangerous forms of these weapons are often the most difficult to manufacture, transport, and weaponries because they are volatile, difficult to produce and employ. The response to an incident involving CBR agents is similar to any other incident involving hazardous materials. Procedure If you discover a CBR incident: 1. Call 911 or the local emergency number. 2. Provide the dispatcher with the following information: Name Type of Emergency Company Name Physical Building Address [not building name] Floor and Suite Number Telephone Number 3. Listen to the dispatcher for any additional instructions before hanging up. 4. Call the Management Office. 5. Remain calm. Isolate the CBR object, area, and those exposed. Evacuate the area, move occupants up wind at least 300 feet away from the contaminated site, closing doors as you move away. Notify 911 and the Management Office. 6. A partial or full evacuation may be ordered if the incident is deemed credible, or if mandated by the local authorities. The Management Office will call each tenant’s primary contact to inform him or her of the incident. 7. If danger is unsubstantiated, the building may remain open for business, The Management Office will call each tenant’s primary contact to inform him or her of the incident. It is up to each tenant, to decide whether to evacuate the building or remain open for business. If the building remains open and your company chooses to close and evacuate the building, please notify the Management Office so there is a record that your suite is empty. This information will be important if the incident escalates. Emergency Procedures: Civil Disturbance We rely on the police and civil defense authorities to advise us of protective actions that will be taken during a local civil disturbance in or around our premises. In an emergency situation, listen to your radio for instructions. Limit the use of your telephone to personal emergencies. This will keep vital lines open. Most demonstrations are peaceful, but be on the alert for any quick mood changes. Emergency Procedures: Earthquake In the event of an earthquake, DO NOT ATTEMPT TO LEAVE THE BUILDING. Reports indicate that you are safer within a building until the tremors subside to avoid falling debris and downed power lines. If evacuation is necessary, know where the locations of possible safe refuge areas are located outside and away from the building. Have a plan for reuniting with your family. Have a predetermined out-of-state person for your family members to contact. Procedure During 1. Remain calm. Do not exit the building. DO NOT USE ELEVATORS. 2. Move away from the perimeter of the building. Stay away from windows, bookcases, filing cabinets and any objects that may fall or shatter. 3. Take cover under a desk or another sturdy object, in a corner or against the wall in the core of the building. Protect your head and body with your arms and legs. DROP, COVER and HOLD. After 1. Be prepared for aftershocks. 2. Check for injured and assist if possible. Do not move a seriously injured person unless they are in immediate danger. Call 911 and notify the Property Management Office of injuries. [See the Medical Emergencies section of this Guide]. 3. Check for fires, gas and water leaks and electrical shorts. DO NOT use matches, cigarette lighters or turn on electrical switches or appliances. If you smell gas, call 911 immediately, and then call the Management Office. 4. Open doors carefully. Watch for falling debris. 5. Stay away from windows/glassed areas. 6. Replace telephone receivers, in case the telephone system works. Use telephones for emergency calls ONLY. 7. Listen to the radio for emergency reports. 8. Do not spread rumors regarding the building condition, extent of damage and injuries. This may cause a panic. 9. Report all damage to the Management Office as soon as possible. 10. Notify the Management Office if your company chooses to close and leave the building. Emergency Procedures: Elevator Emergency In case of power failure or any other elevator malfunctions, use the two-way intercom, which is located in each elevator cab. What To Do: 1. Press the alarm button. The alarm bell is monitored at the Security Console just for these types of emergencies 2. When Security responds, tell who you are and which floor the elevator has stalled. 3. Security will contact the elevator service repair company, the Building Engineer and the Building Manager. 4. DO NOT PANIC!!!.....SOMEONE WILL BE THERE TO GET YOU OUT! Knowing and following the evacuation plan is one of the most important things you can do to ensure your own safety and that of your co-workers. It is your firm’s responsibility to assign responsible personnel to assist the property team, and be responsible for controlling the movement of your employees and visitors during a full or partial evacuation of the building. Nightingale Realty will adhere to Federal, State and local codes and statues. Emergency Response Team Positions and Responsibilities Each tenant should establish an Emergency Response (ER) Team based on the positions described below. We understand that no two buildings are alike, therefore, positions can be added to your Evacuation Team, if necessary, to provide ample coverage. In some cases, tenants may want to share responsibilities in common areas on the floor. Additionally, each tenant is encouraged to establish an after hours calling tree for contacting its’ employees in the event of an emergency. The Emergency Response Team consists of Floor Wardens, Searchers, Special Assistants, and Alternates. It is each Emergency Response Team member’s responsibility to be familiar with the Plan, the emergency exits, and the location and operation of any available fire alarm system, equipment, and extinguishers. See Roles and Responsibilities of Emergency Response Team members Alternates Sufficient alternates for each Emergency Response Team position must be assigned so that a principal or alternate is in the building at all times during working hours to supply leadership under the Plan. Coverage during vacation, sick leave, etc. must be taken into account. Initial Assembly Area In the event of a full building evacuation, the property team will direct evacuees out of the building toward an initial assembly area. This procedure accomplishes two goals. 1) Helps provide a safe direction of travel that does not interfere with the emergency, emergency equipment, and responding emergency vehicles. 2) Helps prevent a back up of evacuees in the building’s lobby and stairwells. The initial assembly area is located far enough away from the building to allow all occupants to evacuate out of the building and relocate to an assembly area away from the emergency. Once the initial assembly area is reached, tenants may move to the tenant designated meeting location and wait for instructions from the Floor Warden or Suite Monitor. Tenant Designated Meeting Location Each tenant is responsible for designating its own company meeting location for employees to congregate, in the event of a full building evacuation. The meeting place should be located well away from the building (300ft. minimum), and provide safe refuge. After the evacuation, the Suite Monitor is responsible for taking attendance to ensure that all of their company’s suite occupants and visitors are accounted for, and should report missing individuals to the local authorities. Nightingale Realty Partial Relocation and Full Evacuation Standards Nightingale Realty will adhere to Federal, State, and local codes and statutes. Emergency Response TEAM Training Each tenant must establish an Emergency Response Team based on the positions described above. The names of team members must be kept up to date and communicated to the property manager. All members of the tenant’s Emergency Response team will be asked to attend training sessions conducted by the fire department, police department and Nightingale Realty. Training is essential to the readiness of the Emergency Response Team, and will be scheduled by the property manager. Cross training is recommended to enable knowledge and role sharing among team members. This is especially important if one or more team members are unexpectedly out of the office when an emergency occurs. Cross training helps to ensure a seamless evacuation in a minimally staffed environment. Evacuation Drills The property team, often with the assistance of the fire department, conducts periodic emergency The property team, often with the assistance of the fire department, conducts periodic emergency evacuation drills in accordance with the approved Plan. Nightingale Realty’s evacuation drill standard includes following local code or in the absence of code at minimum, drill each tenant on each floor once per year as defined locally by fire department officials. Conducting drills will help tenants and property teams prepare for the unlikely event of a true emergency. Building occupants are urged to participate in drills and in some jurisdictions, participation is required by code. Written records of the drills and compliance results are kept on the premises readily available for inspection by the fire department. Evacuation Procedure The following process outlines the procedures that the Evacuation Team will follow during an evacuation. 1. Evacuation Team receives notification of an emergency and relocation/evacuation. 2. Floor Warden ensures that the Evacuation Team reports to assigned posts and begins duties. Suite Monitors - direct the evacuation of the assigned suite. Searchers - search and evacuate persons from all rooms and common areas. Stairwell Monitors - direct evacuees down a safe stairwell, ask them to discontinue talking and to stay on the right side of the stairwell. Elevator Monitors - redirect evacuees to a safe stairwell. Special Assistants - Assist those with special needs to evacuate safely. 3. Follow relocation/evacuation instructions provided by the local authorities or the Nightingale Realty Person in Charge. 4. Evacuation Team members report the status of the evacuation, the names and locations of persons needing assistance and other issues to the Floor Warden/Suite Monitor. 5. Evacuation Team members may leave the floor when duties have been completed, or if a life threatening conditions exist. 6. Floor Wardens/ Suite Monitors report the names and locations of persons needing assistance and other issues to the local authorities. 7. If a full building evacuation is required, move to the Initial Assembly Area, and then relocate to the Tenant Designated Meeting Location. 8. Suite Monitors take attendance of employees and visitors at the Tenant Designated Meeting Location and report all absentees to the local authorities. 9. Return to the building when authorized by the local authorities. Evacuation Map Top of Page Emergency Procedures: Explosive Devices and Threats 1. Obtain the following information from the caller, if possible: a. Time set for detonation b. Exact location of the device c. Description of the device d. Reason for the threat e. Exact words by the caller f. Any noteworthy background noises 2. Notify the Philadelphia Police Department (911). 3. Notify your Office Manager or Firm Administrator. 4. Notify the Management Office at 215-563-6770. After hours your call will be forwarded to Lobby Security at the front desk. 5. Visually search the immediate area for any strange or unusual objects. 6. Follow instructions of the Local Authorities. NOTE: NEVER DISTURB A SUSPICIOUS DEVICE. IF A SUSPICIOUS DEVICE IS LOCATED, EVACUATE THE AREA IMMEDIATELY. Emergency Procedures: Fire Drills Fire safety in an office building requires that all tenants be well informed as to the proper steps to take in the event of a fire emergency. Studies have shown that panic in an emergency is almost the only cause of injuries or death. In order that everyone who works in the building should be properly prepared, routine fire drills will be held on a quarterly basis in conjunction with the Philadelphia Fire Department. Each tenant is asked to designate a Fire Marshall and Assistant Fire Marshall to serve in the event of the Fire Marshall’s absence. In addition, Monitors should be appointed to assist the Fire Marshall if you are a larger tenant. The persons appointed should have the respect of their fellow employees and the authority to give directions in an emergency situation. Please select the number of people you feel will be necessary to give adequate supervision to all employees. Fire Drill Procedure The date and time of fire drills will always be announced in advance. If you hear a fire alarm and there has been no prior announcement, you must assume there is a real fire emergency. Please DO NOT CALL THE MANAGEMENT OFFICE!! If it is an unannounced fire alarm, the Management Office is doing their job in locating the problem and communicating with the Building Staff and Fire Department. The Philadelphia Fire Department requires that all tenants participate in regularly scheduled fire drills. At the sound of the fire alarm, please listen carefully as the announcement will instruct tenants how to proceed: either enter nearest fire tower or stay at your work area and await further instructions. Drills will be as brief as possible and your Fire Marshall will inform you when to return to your offices. The entire drill should take no longer than five (5) minutes. ATTENTION FIRE MARSHALL AND ALTERNATES A. After a drill, you are asked to report any potential hazards or difficulties experienced during the drill to the Management Office. B. You are also expected to discuss with your company ways to improve the efficiency of Fire Drill Procedures. Please NOTE: DO NOT USE THE ELEVATORS - If power fails, the elevators will stop immediately causing the occupants to become trapped in the shaft. Since the elevator shaft ways act like chimneys, smoke could enter the elevator shaft, thereby asphyxiating the occupants who are trying to evacuate the building. DISABLED PERSONS - A responsible person or persons that work in the same area as the disabled should be assigned to assist in the event of fire. These disabled are to be taken to the fire tower and remain on the landing until assisted by the fire department. The tenant should make known to the Building Management Office the names and locations of disabled employees. PHILADELPHIA FIRE CODE - Building personal are not permitted to give the all clear announcement without the authorization of fire department personnel, regardless of the situation. RECOMMENDATIONS BY THE FIRE DEPARTMENT - If you discover fire or smoke begin to exit your office. First, feel the door that leads from your office to the corridor before opening it. If it is hot or smoke is seeping in, do not open. Return to your office if you cannot reach the fire tower, and keep the door closed. Seal off any cracks, i.e. under or above the door. Use your phone to call the fire department by dialing 911 and give the address of the building, the floor you are on and the office number. If the door feels cool, open cautiously. Be prepared to close it quickly if the hall is filled with smoke or if you feel heat pressure against the door. If the hall is clear, precede with the building evacuation instructions. If caught in smoke or heat, stay low where the air is better. Take short breaths (through your nose) until you reach an area of refuge. Top of Page Emergency Procedures: Flooding Sudden, Severe Flooding Evacuate all affected office spaces immediately and relocate to a safe place on an upper floor. If you have a portable radio, take it with you. Know your general public information stations. The greatest flood danger in most buildings is in the basement. In case of flood or potential flood, the utilities officer and building engineers may disconnect electricity in the basement. If this is necessary, as much advance notice as possible will be given via the public address system. Computer room emergency staff will be notified if electrical power may be disrupted after hours and on weekends and holidays. In case of severe flooding, the elevators should not be used. The Property Management Office will seek direction from the local authorities and further instruction via the public address system. Slow Flooding The local authorities should be able to tell the Property Management Office about the timing and estimated depth of the flooding. The Property Management Office will evaluate the expected results of the flooding and recommend actions with the advice of emergency response authorities. Services to the public may be suspended long enough to resolve problems caused by the flooding. Computer room emergency staff will be notified if electrical power may be disrupted after hours and on weekends and holidays. Damage Prevention The Property Management Office and emergency personnel must take immediate action to prevent or reduce damage. This may include: Shutting down all power and utilities as soon as possible. When possible, computer room emergency staff will be notified if electrical power may be disrupted. Removing records and supplies from danger areas. Cooperating with local law enforcement, coworkers and emergency authorities. Emergency Procedures: Homeland Security Terrorist Activities If we experience what we believe to be a credible threat in this building, we will alert our customer contacts. Unless authorities dictate, the decision to evacuate the premises will remain with each tenant. Ultimately, security is everyone’s responsibility, and no security measure can completely prevent terrorist attacks. By working together, however, we hope to create a more secure environment. Nightingale Realty has established a Threat Level Matrix, based on the Department of Homeland Security (DHS) threat advisory color code system. This Matrix provides a list of actionable security options available at each DHS level related to operating procedures that would restrict free and open access to the building. Some of these options include restrictions on the use of the loading dock, the parking areas, lobby control for tenants and visitors, delivery services, etc. Nightingale Realty trains its staff and the Tenant Emergency Response Team to react to emergencies to help guide tenants to safe areas in the event of a terrorist incident. If you encounter a suspicious package or substance, please remember these keys to guide your response: Isolation, Notification, and Evacuation. Isolate- Do not attempt to move or pickup the suspicious package/substance, restrict access to the area if safe to do so. Evacuate- Evacuate if danger is obvious, otherwise await direction from authorities. Notify- Call 911 and contact the Management Office. Nightingale Realty will request all tenants to secure their offices and leave the premises. When a hurricane warning has been issued, it is of the utmost importance that all precautionary measures and actions are taken immediately for the protection of life and property. Procedure 1. Keep abreast of weather conditions via radio or television. 2. Remove all papers, pictures, plaques, hanging objects, desktop items, and other loose objects from perimeter offices and store in interior rooms. 3. Close all doors of perimeter offices. If time permits, close all drapes and blinds. 4. LEAVE ALL INTERIOR DOORS OPEN in order to prevent atmospheric pressure problems. 5. Move all expensive equipment and important documents to interior rooms. 6. Notify the alarm company (if your company has one) of the probability of a power outage during the storm. 7. Report all flooding, leaks, fires and structural damage to the Management Office as soon as possible. Emergency Procedures: Incident Command System The Incident Command System is widely used throughout the United States by fire agencies, and is increasingly used by law enforcement, first responders, and other public safety applications, for emergencies and event management. The system was designed to provide clear lines of authority, clear objectives and clear communication. Nightingale Realty has incorporated the clear chain-of-command principle from the ICS in the role of the Nightingale Realty Person in Charge (NRPIC). The NRPIC provides a single point of contact for those handling the emergency. The Nightingale Realty Person In Charge (NRPIC) is responsible for making decisions and issuing commands on behalf of Nightingale Realty during the event. The most senior member of the Nightingale Realty team on site during the emergency is the Nightingale Realty Person In Charge (NRPIC). If there is no Nightingale Realty team member on site, then the most senior contact security officer on site is temporarily the Nightingale Realty Person In Charge (NRPIC), until an Nightingale Realty team member arrives on site. The Nightingale Realty Person In Charge (NRPIC) role is fluid and shifts to more senior personnel as they arrive on the scene during the course of an emergency. The NRPIC is subordinate to any local authorities upon their arrival, but he or she remains in charge of all Nightingale Realty activities. Above all, the Nightingale Realty Person In Charge (NRPIC) has the responsibility to protect life and property. Emergency Procedures: Life Safety Procedures 1835 Market is a fully sprinklered building. A diesel driven emergency generator has been installed to provide emergency lighting in all premises and exit stairs, fire/life safety systems and equipment as well as elevator recall to the ground floor during power outage situations. FIRE ALARM SYSTEM - There are pull box stations outside of each fire tower on each floor. Familiarize yourself with their location. If you discover a fire or smell smoke, sound the building alarm by using these pull stations. The alarm is transmitted to a Central Monitoring Station, which will notify the fire department. The attendant at the lobby desk will also be alerted and call the fire department. At the sound of the fire alarm, please listen carefully as the announcement will instruct tenants how to proceed: either enter nearest fire tower or stay at your work area and await further instructions. Fire Emergency Safety Tips 1. Smoke is the number one killer in a fire, stay low to the ground; move on your hands and knees. Smoke and noxious gases rise, staying low can save your life. 2. Know where all emergency stairwells are located, practice exiting and count the number of doorways and hallways between your location and the fire exits. It is nearly impossible to see in a fire because of the smoke. This information helps to ensure that you will find an emergency stairwell and evacuate safely. 3. Be certain that all coffee pots, hot plates, extension cords and other electrical appliances have the UL (Underwriters Laboratories) label. It is always a good practice to replace any extension cord that has been in use for more than three (3) years. 4. Be sure that coffee pots, hot plates and other electrical equipment and devices are turned off when leaving each day. 5. Avoid electrical overloading; never use multiple plug adapters and exercise care in the use of extension cords. 6. If a fluorescent light fixture becomes overheated (characterized by a pungent, burning odor), report the problem at once. 7. Alert a supervisor to any failure of electrical equipment; never use an electrical cord or outlet that appears to be defective. 8. Store all flammable liquids in secure metal cabinets. 9. Practice good housekeeping; prevent litter accumulation in your work area. Emergency Procedures: Medical Emergency Time is extremely important in the case of a medical emergency. Nightingale Realty recommends that all tenants keep a first aid kit and emergency supplies available. The person who discover the emergency should: 1. Call 911 or the local emergency number. 2. The property team will open doors, and hold elevators for the paramedics in order to expedite treatment. NOTE: It is crucial that the injured person is not moved. Try to keep the injured person comfortable without moving, unless a life-threatening hazard exists. First Aid / Emergency Supplies The more supplies you have on hand when an emergency occurs, the better prepared you are to deal with injuries. It is recommended that, at a minimum, you have the following available in your tenant space: First aid kit Cell phone Flashlights and fresh batteries Transistor radio Latex gloves for blood borne pathogen protection Heavy gloves in case of broken glass Emergency Analog Telephone to connect to a facsimile line that will operate in the case of a power failure Whistles to get the attention of those around you Walking shoes to help you evacuate quickly Bottled water Light sticks (8 hour) Emergency Procedures: Power Failure General Information In the event the building sustains a power failure, emergency lighting should be available in the stairwells. Stairwell emergency lighting is powered by either a battery-back up system or emergency generator. Generally, HVAC equipment, lights, outlets, most elevators and telephone equipment will not be operational, however, check with the property team to become familiar with the systems that are in place at your building. Procedure 1. The property team will contact the electric company to attempt to find out the cause of the outage and the anticipated duration of the outage. 2. Turn off all appliances, computers and other equipment. If equipment is turned on and a power surge occurs, the surge may damage the equipment. 3. Floor Wardens and the Emergency Response Team meet in the elevator lobby to determine if any people are trapped in the elevators. If so, ask the occupants to remain calm and determine if anyone is injured. Let them know that you are requesting assistance. Call 911 if people are injured or in danger. Floor Wardens contact the Management Office and inform them of the entrapment, status and location of the elevator car. 4. Elevator Monitors stay in contact with the trapped individuals until assistance arrives. Reassure them that assistance is on the way. 5. If the power outage becomes lengthy (an hour or more) and the electric company does not know how long the power will be out, the property team will provide information and direction to the tenants. The building may close for business. [ See the Evacuation section]. 6. The Emergency Response Team reports to their posts and prepares to evacuate the floor according to the Evacuation Plan when notified by the Floor Warden. Emergency Procedures: Severe Weather The U.S. Weather Service reports the movement of severe weather that may present a threat to metropolitan areas. Severe weather includes but is not limited to thunderstorms, tornados, windstorms, snowstorms, etc. If a tornado warning has been issued by the weather service, a tornado siren may sound in your area to notify you that a tornado warning is in effect. Public warning will come over the radio, TV or five (5) steady blasts of sirens by the Civil Defense Warning System. Action to Take: 1. Get away from exterior glass, move to building core. Take cover in core areas of the building such as interior offices, hallways, corridors, or restrooms away from glass doors and windows 2. Close door. 3. Call 911 and notify the Management Office of injuries. [See the Medical Emergencies section] 4. Do not go outside until clearance has been given. 5. Sit down and protect yourself by putting your head as close to your lap as possible, or kneel protecting your head. 6. Immediately after such an occurrence, Nightingale Realty Management Office 215-563-6770 should be advised of conditions and personnel status. 7. The Emergency Response Team should move all occupants away from the perimeter of the building instructing tenants to close perimeter doors when exiting. 8. If time permits, close all drapes and blinds. 9. When the all clear is announced, the Emergency Response Team will direct employees to return to regularly scheduled duties 10. Report any damage such as broken windows, leaks, or fire to the Management Office. 11. Tenants should maintain an inventory of first aid and emergency supplies to be used during severe weather. [See the Medical Emergencies section] NOTE: Even in the event of extremely high winds, employees and visitors should move to areas of the building offering the greatest protection such as an inner hallway, or stairwell. Under no circumstance should anyone be allowed to remain near outer walls containing windows. Emergency Procedures: Workplace Violence Violence in the workplace is a serious safety and health issue. Its most extreme form, homicide, is the third-leading cause of fatal occupational injury in the United States. Workplace violence can strike anywhere. However, some workers are at increased risk, such as those who: Work with cash. Deliver passengers, goods, or services. Work alone or in small groups. Work during late night or early morning hours. Work in high-crime areas. Work in community settings and homes where they have extensive contact with the public. If you observe an incident of workplace violence: Do not attempt to confront or stop the perpetrator. Quietly move out of the area and signal others to follow. Call 911 from a safe area. Call the Management Office from a safe area. Alert supervisors and individuals working on the floor, and ask them to move out of the office to a safe location until the local authorities have the situation under control. Except as otherwise provided in the Lease or any exhibits thereto, no sign, placard, picture, advertisement, name or notice shall be inscribed, displayed or printed or affixed on or to any part of the outside or inside of the Building without the prior written consent of Landlord. Landlord shall have the right to remove any such sign, placard, picture, advertisement, name, or notice, unless Landlord has given written consent, without notice to and at the expense of Tenant. Landlord shall not be liable in damages for such removal unless the written consent of Landlord had been obtained. All approved signs or lettering on doors and walls to the Premises shall be printed, painted, affixed or inscribed at the expense of Tenant by Landlord or by a person approved by Landlord in a manner and style acceptable to Landlord. Tenant shall not use any blinds, shades, awnings or screens in connection with any window or door of the Premises unless approved in writing by Landlord. Tenant shall use the building standard window covering specified by Landlord and Landlord reserves the right to disapprove interior improvements visible from the ground level outside the Building on wholly esthetic grounds. Such improvements must be submitted for Landlord’s written approval prior to installation, or Landlord may remove or replace such items at Tenant’s expense. 2. Smoking is prohibited anywhere in the Building. 3. Except as otherwise provided in the Lease or any exhibits thereto, Tenant shall not obtain for use upon the Premises, food, milk, soft drinks, bottled water, plant maintenance or any other services, except from persons authorized by Landlord and at the hours and under regulations fixed by Landlord. No vending machines shall be installed, maintained or operated upon the Premises without the prior written consent of Landlord. 4. The bulletin board or directory of the Building shall be provided exclusively for the display of the name and location of tenants only and Landlord reserves the right to exclude any other names there from. 5. The sidewalks, halls, passages, exits, entrances, elevators and stairways shall not be obstructed by any tenants nor used by them for any purpose other than for ingress to and egress from their respective premises. The halls, passages, exits, entrances, elevators, stairways, balconies and roof are not for the use of the general public and Landlord shall in all cases retain the right to control and prevent access thereto by all persons whose presence in the judgment of Landlord shall be prejudicial to the safety, character, reputation and interests of the Building and its tenants, provided that nothing herein contained shall be construed to prevent such access to persons with whom Tenant normally deals in the ordinary course of Tenant’s business unless such persons are engaged in illegal activities. No tenant and no employees or invitees of any tenant shall go upon the roof of the Building. 6. Tenant, upon the termination of its tenancy, shall deliver to Landlord the parking and Security Access Cards issued to Tenant and all keys of offices, rooms and toilet rooms which shall have been furnished to Tenant or which Tenant shall have made, and in the event of loss of any Access Cards or keys so furnished, shall pay Landlord therefore. Tenant shall not alter any lock or install any new or additional locks or any bolts on any door of the Premises without the written consent of Landlord. 7. The toilet rooms, toilets, urinals, wash bowls and other apparatus shall not be used for any purpose other than that for which they were constructed and no foreign substance of any kind whatsoever shall be thrown therein and the expense of any breakage, stoppage or damage resulting from the violation of this rule shall be borne by Tenant who, or whose employees or invitees, shall have caused it. 8. Tenant shall not use the Premises in any manner which exceeds the floor load capacity of the floor on which the Premises are located or mark, drive nails, screw or drill into the partitions, woodwork or plaster or in any way deface the Premises or any part thereof. 9. No furniture, packages, supplies, merchandise, freight or equipment which cannot be hand carried shall be brought into the Building without the consent of Landlord. All moving of the same into or out of the Building shall be via the Building’s freight-handling facilities, unless otherwise directed by Landlord, at such time and in such manner as Landlord shall prescribe. No hand trucks or vehicles (other than a wheelchair for an individual) shall be used in passenger elevators. Any hand trucks permitted in the Building must be equipped with soft rubber tires and side guards. 10. Landlord shall have the right to prescribe the weight, size and position of all safes and other heavy equipment brought into the Building and also the times and manner of moving the same in and out of the Building. Safes or other heavy objects shall, if considered necessary by Landlord, stand on a platform of such thickness as is necessary to properly distribute the weight. Landlord will not be responsible for loss of or damage to any such safe or property from any cause, and all damage done to the Building by moving or maintaining any such safe or other property shall be repaired at the expense of Tenant. Tenant’s business machines and mechanical equipment shall be installed, maintained and used so as to minimize vibration and noise that may be transmitted to the Building structure or beyond the Premises. 11. Tenant shall not use the Premises in any manner which would injure or annoy, or obstruct or interfere with the rights of other tenants or occupants of the Building. 12. Tenant shall not employ any person or persons other than the janitor of Landlord for the purpose of cleaning the Premises unless otherwise agreed to by Landlord. Except with the written consent of Landlord no person or persons other than those approved by Landlord shall be permitted to enter the Building for the purpose of cleaning the same. Tenant shall not cause any unnecessary labor by reason of Tenant’s carelessness or indifference in the preservation of good order and cleanliness. Landlord shall not be responsible to any tenant for any loss of property on the Premises, however occurring, or for any damage done to the effects of any tenant by the janitor or any other employee or other person. Janitor service shall include ordinary dusting and cleaning by the janitor assigned to such work and shall not include shampooing of carpets or rugs or moving of furniture or other special services. Janitor service will not be furnished on nights when rooms are occupied after 6:30 PM. Window cleaning shall be done only by Landlord. 13. Tenant shall not use, keep or permit to be used or kept any foul or noxious gas or substance in the Premises, or permit or suffer the Premises to be occupied or used in any manner offensive or objectionable to Landlord or other occupants of the Building by reason of noise, odors and/or vibrations, or interfere in any way with other tenants or those having business therein, nor shall any animals (other than as required for handicapped persons) or birds be brought in or kept in or about the Premises or the Building. 14. Other than heating and reheating in areas designed for such use, no cooking shall be done or permitted by Tenant on the Premises, nor shall the Premises be used for the manufacture or storage of merchandise, for washing clothes, for lodging, or for any improper, objectionable or immoral purpose. 15. Tenant shall not use or keep in the Premises or the Building any kerosene, gasoline or flammable, explosive or combustible fluid or material, or use any method of heating or air-conditioning other than that supplied by Landlord. 16. Landlord will direct electricians as to where and how telephone and telegraph wires are to be introduced. No boring or cutting for wires or stringing of wires will be allowed without written consent of Landlord. The location of telephones, call boxes and other office equipment affixed to the Premises shall be subject to the approval of Landlord. 17. Tenant shall not lay linoleum, tile, carpet or other similar floor covering so that the same shall be affixed to the floor of the Premises in any manner except as approved by Landlord. The expenses of repairing any damage resulting from a violation of this rule or removal of any floor covering shall be borne by Tenant. 18. Landlord reserves the right to close and keep locked all entrance and exit doors and otherwise regulate access of all persons to the halls, corridors, elevators and stairways in the Building on Saturdays, Sundays and legal holidays and on other days between the hours of 6:30 PM and 7:00 AM, and at such other times as Landlord may deem advisable for the adequate protection and safety of the Building, its tenants and property in the Building. Access to the Premises may be refused unless the person seeking access is known to the employee of the Building in charge and has a pass or is otherwise properly identified. Landlord shall in no case be liable for damages for any error with regard to the admission or exclusion from the Building of any person. 19. Tenant shall see that the doors of the Premises are closed and securely locked before leaving the Building and must observe strict care and caution that all water apparatus are entirely shut off before Tenant or Tenant’s employees leave the Building, and that all electricity, gas or air shall likewise be carefully shut off, so as to prevent waste or damage. 20. Tenant shall not use the Premises in any manner which would increase the amount of water typically furnished for office use, nor connect any appliance directly to the water pipes. 21. Landlord may refuse admission to the Building outside of ordinary business hours to any person not known to the watchman in charge or not having a pass issued by Landlord or not properly identified, and may require all persons admitted to or leaving the Building outside of ordinary business hours to register. Any person whose presence in the Building at any time shall, in the sole judgment of Landlord, be prejudicial to the safety, character, reputation and interests of the Building or its tenants may be denied access to the Building or may be ejected there from. Landlord may require any person leaving the Building with any package or other object to exhibit a pass from the tenant from whose premises the package or object is being removed, but the establishment and enforcement of such requirement shall not impose any responsibility on Landlord for the protection of any tenant against the removal of property from the premises of any tenant. 22. The requirements of Tenant shall be attended to only upon application at the office of the Building. Employees of Landlord shall not perform any work or do anything outside of their regular duties unless under special instructions from the Landlord. 23. No person shall be allowed to transport or carry (except for individual, personal consumption) beverages, food, food containers, etc., on any passenger elevators. The transportation of such items shall be via the service elevators in such manner as prescribed by Landlord. 24. Tenant shall cooperate with Landlord in obtaining maximum effectiveness of the cooling system by closing the window coverings when the sun’s rays fall directly on windows of the Premises. Tenant shall not obstruct, alter or in any way impair the efficient operation of Landlord’s heating, ventilating and air-conditioning system and shall not place bottles, machines, parcels or other articles on the induction unit enclosure, intake or other vents so as to interfere with airflow. Tenant shall not tamper with or change the setting of any thermostats or temperature control valves. 25. Landlord shall have the right to prohibit any advertising by any tenant which, in Landlord’s opinion, tends to impair the reputation of the Building or its desirability as a location for offices, and upon written notice from Landlord, any tenant shall refrain from or discontinue such advertising. 26. Canvassing, soliciting and peddling within the entire Property is prohibited unless specifically approved by Landlord and each tenant shall cooperate to prevent such activity. 27. All parking ramps and areas plus other public areas forming a part of the Property shall be under the sole and absolute control of Landlord with the exclusive right to regulate and control these areas. Tenant agrees to conform to the reasonable rules and regulations that may be established by Landlord for these areas from time to time. 28. The Premises shall not be used for manufacturing or the storage of merchandise except as such storage may be incidental to the use of the Premises for general office purposes. No tenant shall occupy nor permit any portion of its premises to be occupied for the manufacture or sale of narcotics, liquor, or tobacco in any form, or as a barber or manicure shop. No tenant shall engage or pay any employees on its premises except those actually working for such tenant on the Premises nor advertise for laborers giving an address at the Premises or Property. The Premises shall not be used for lodging or sleeping or for any immoral or illegal purposes. 29. Tenant shall not conduct any auction, fire, bankruptcy, going out of business, liquidation or similar sales at the Property. 30. Tenant shall not place any radio or television antennae on the roof of the Property or on any exterior part of the Premises or the Property Top of Page Policies and Procedures: General Rules and Regulations For Construction Please refer to Exhibit C located in the Forms section. Policies and Procedures: Insurance Protection A copy of the Tenant’s updated Certificate of Insurance should be on file with the Management Office. This is a requirement, which is stated in the Tenant’s Lease. To the extent that a certificate does not cover the full lease term, periodic updates are required in accordance with the lease. All certificates of insurance submitted to the Management Office must name NG 1835 Market Street Mezz LP; Nightingale Realty, LLC; Nightingale Group; and Nightingale Properties as the Additional Insured. Proper proof of insurance applies both to Tenant’s and to all “Visitor’s” who are on the premises for the purpose of performing work/services, i.e. vendors, movers, and contractors not including standard “deliveries”. These certificates need to be sent to the Management Office at least 24 hours in advance. Visitors’ access will be denied if proper insurance has not been received. Click here for the Insurance Requirements Policies and Procedures: Moving Procedures All tenant moves—into, out of, or within the building—must be coordinated with the Management Office. Please notify the Property Manager of your proposed moving date and to schedule the freight elevator. The Management Office must be notified a minimum of four weeks in advance of any scheduled move. The moving company must provide a certificate of insurance to the Management Office at least five days prior to the day of the move. Nightingale Realty also requires that the moving company provide protection for building floors, walls and elevators during loading and unloading. If you are not using a moving company, please call the Management Office for assistance in coordinating the use of the elevator and protection of floors, walls and elevators. In general, moves must be undertaken during non-business hours to simplify access to the building and minimize any disturbance to other tenants. If this is inconvenient, the Management Office will attempt to accommodate your schedule in every way possible. The following rules pertain to moving furniture, equipment and supplies in and out of 1835 Market. ANY MOVERS THAT DO NOT ADHERE TO THE FOLLOWING RULES WILL NOT BE ALLOWED TO ENTER THE PREMISES OR WILL BE REQUIRED TO DISCONTINUE THEIR MOVE. 1. Tenant move-ins and move-outs are permitted on weekdays from 4:30 p.m. to 9:30 p.m. and on weekends. We will provide an operator for the freight elevator and a security person at the loading dock at the hourly rate of $60.00 for the freight operator and $46.00 for a security officer. On weekends, there is a minimum of four (4) hours each, which is required by the union. 2. Contact our office as soon as possible on the availability of the freight elevator and loading dock and to reserve a date. You must advise our office, in writing, of the specific date and time when it has been determined. 3. Your movers must be union labor since our building employees are union members. 4. Clean masonite sections will be used as runners on all finished floor areas where heavy furniture or equipment is being moved with wheel or skid type dollies. The masonite must be at least one-quarter inch thick. If 32" wide sheets of masonite are used, they must be taped together to inhibit sliding. Only rubber wheeled dollies are permitted. 5. All walls, door facing, elevator cabs and other areas along the route to be followed will be inspected by the movers in conjunction with Building Security before and after the move. The mover must provide and install protective coverings on all walls, door facing, and other areas along the route to be followed during the move. 6. Any damage to the building or fixtures caused by the move will be repaired by the building and paid for by the tenant/moving company. 7. Only the freight elevator will be used for moves. 8. 1835 Market has a loading dock located on Commerce Street. There is a thirty (30) minute limit at the loading area. All deliveries made during working hours must be less than thirty (30) minutes. The loading dock area and freight elevatorCANNOT BE SCHEDULED during the day. It is used on a first come, first serve basis. Moves that require more time or will take place after 4:30 p.m. weeknights or on a weekend, must be scheduled in advance with the Building Management Office. 9. A firm arrival time for the movers must be established in advance. All costs will be charged to the tenant. 10. Any and all trash or refuse generated as a result of the move shall be removed from the property by the moving company during the same day of the move. 11. The moving company must carry the insurance coverage listed below and provide us with a Certificate of Insurance naming California State Teachers’ Retirement System, Clarion Partners and Nightingale Realty as additional insured prior to the move: a. Workman’s compensation in statutory limit for the State of Pennsylvania with employee’s liability limit of $1,000,000. b. Comprehensive General Liability insurance policy shall include coverage for hazards of b. Such insurance to carry the following limits of liability (I) coverage for a personal injury to or death occurrence with a combined single limit of $3,000,000 per occurrence. Property damage insurance shall be in broad form, including completed operations. Bodily injury, comprehensive general liability form. c. The limits set forth are minimum. If higher coverages are carried by the moving company, claims may be filed for those higher amounts. 12. In addition, the moving company must agree to protect, indemnify and save Landlord harmless from and against all claims, demands and causes of action of every kind in character arising in favor of moving company’s employees, Landlord’s employees or other third parties on account of bodily injury, personal injury death or damage to the property in any way resulting from willful or negligent acts or omissions of moving company, its agents, employees or representatives or subcontractors. The moving company shall be responsible for all damages and losses sustained by them to their tools and equipment utilized in the performance of all work there under. Top of Page Policies and Procedures: Pet Policy Guide dogs for the visually impaired are the only pets permitted on the property. Policies and Procedures: Smoking NO SMOKING POLICY In order to promote the general safety, health, comfort and convenience of all tenants at 1835 Market and their invites, smoking is not permitted in the common areas of 1835 Market including the restrooms, ground floor, lobby floors, and fire towers. This does not apply to the premises leased to you. This policy applies to the building, parking garage and loading dock. 1. There is no smoking allowed in the front plaza of the building. 2. There is no smoking allowed 25 feet from each entrance/exit doors as per the City of Philadelphia. 3. No smoking is allowed within the building or loading dock. 4. Ash urns will be placed near the front entrance of each building, to allow visitors to extinguish cigarettes in the receptacle prior to entering the building. However, these urns are not intended for general use by smokers and do not signify that smoking is allowed beside these receptacles. They are for convenience only. 5. Please remember to place cigarette butts in an appropriate container and not extinguish them on the ground or in any landscaping features. 6. Persons violating these rules and procedures will be approached by security officers and asked to move to the designated smoking areas or to leave the area. 7. Further rules and restrictions may be made depending on conditions or building activities. Policies and Procedures: Tenant Alterations and Remodeling Alterations to tenant suites require the approval of the Management Office. Requests to make alterations should be sent in writing to the Property Manager. Only contractors approved by the Management Office can perform alterations. All construction contractors including general, electrical, plumbing and phone contractors must register with the Management Office at least one week prior to performing any work in the building. Installing or maintaining systems that affect the building’s infrastructure, such as HVAC equipment, electrical, or communication equipment, computer or alarm systems, power or fire protection, must also be coordinated with and approved by the Management Office. Policies and Procedures: Tenant Functions and Guidelines If you are planning a function (e.g., party, reception), please notify the Management Office at least two weeks in advance. The Management Office maintains certain policies and procedures that assist in coordinating events and limiting liability of the building. The Management Office may ask for the following: date and time of event, number of guests, presence of alcohol, parking requirements, overtime HVAC requirements, service elevator use, janitorial needs, electrical requirements (for sound equipment), security requirements, and certificates of insurance. A function may not be held in the common areas or on the building grounds without prior management approval. Security: After Hours Access After normal business hours, please make sure that all entry doors to your suite are closed and locked. Do not allow anyone to follow you into the building after normal business hours. If you encounter someone having problems gaining entrance into the building, do not let them in. Instead, contact the Management Office. The Management Office recommends that you keep all valuables and personal property locked up during non-business hours. After normal business hours, the services for the freight elevator, loading dock, security, and HVAC must be scheduled in advance with the Management Office. Security: Building Access Please provide the Management Office with a list of the names and phone numbers of at least three individuals who may be called to authorize admittance into the building for an employee or visitor who does not have appropriate security access identification. These individuals would also be contacted in the event of an emergency. You may choose to unlock or lock your suite entrances during normal business hours. Although we try to maintain a secure working environment, many people enter the building every day and we cannot guarantee complete safety. You can take several preventive measures to keep your area more secure. For example: Lock all doors when leaving your suite unattended. Instruct employees to keep valuables and personal property in secured areas (locked desks, file cabinets or closets) when leaving their areas unattended. Always keep safes, vaults, strongboxes or similar devices locked, particularly when unattended. Do not divulge combinations of safes or vaults or leave combinations where they can be found or easily deciphered. Record serial numbers of all valuable office equipment. If anything is stolen or missing, a record of serial numbers will aid in the recovery of the items. Building Employees All tenant employees will be issued a building access card. All access card requests, whether additions or deletions shall be submitted to the building Management Office in writing on tenant’s letterhead. The tenant shall be responsible for maintaining an accurate list of all their employees who have been issued an access card and for immediate notification regarding lost or stolen access cards. Cost for replacement a photo access card is $10.00. Each access card is issued on condition that the holder agrees to release Nightingale Realty together with the ownership of the building, its agents and employees from any responsibility as a result of the issuance of the access card and/or its use. Nightingale Realty has no control over the issuance of building access cards, nor the confiscation of same following termination of the holder’s employment. It is the responsibility of each tenant to collect the access cards and notify the building management if necessary. The following are the procedure in the lobby: Upon entering the security console area, swipe your photo ID by the proximity card reader. The card reader has the capability to read your card through wallets, purses, etc. You will no longer be required to show your card to our security guards. Our guards check to make sure everyone is utilizing their individual cards by comparing faces with the photos that appear on the monitors. Persons will be stopped by our guards if there is a discrepancy. The elevators are access controlled. Upon entering the elevator, you are to place the access card in front of the reader to activate the elevator floor button. Each time a person comes back into the building, whether they have gone to the newsstand, to the bank in the lobby, or out front to smoke, you MUST swipe the card reader before entering the elevator bank. Swiping out of the building is NOT required during normal business hours (7:00 a.m. until 6:00 p.m.). Swiping out of the building after business hours is required (6:00 p.m. to 7:00 a.m., weekends and building holidays). It is not necessary to sign out of the building. However, your guests/visitors are required to sign in and out in the lobby. Visitors, Tenant Guests, and Clients All tenants shall submit a visitor’s guest list on their letterhead via e-mail to the Security Console by the end of each day for the next business day. All visitors shall check in at the security console. The guard shall verify that the individual is on the tenant’s guest list and if so, the visitor shall be given elevator access to the tenant’s floor. In the event the tenant has not previously provided the visitor’s name, the security guard shall attempt to place a call to the tenant to announce the visitor’s arrival. Upon authorization by the tenant, the visitor will be given a visitor badge and elevator access to the tenant’s floor. The authorization must be on the tenant’s letterhead and signed by a person in authority. Building management will retain it for a period of time. Top of Page Security: Construction And/Or Tenant Improvements The Management Office must be notified prior to any Tenant Construction or repair work. This work must be approved, in writing, by the Management Office. Please refer to the Construction Rules and Regulations section. Security: Deliveries All large deliveries must be scheduled in advance through the Management Office. All vendors must provide a certificate of insurance meeting all the insurance requirements of Nightingale Realty before access to the building can be granted. Small deliveries not requiring carts and/or dollies may access the building lobby during normal business hours. Larger deliveries (size and/or quantity) must use the freight elevator and be scheduled in advance with the Management Office. All deliveries are to be made weekdays from 8:00 a.m. to 4:30 p.m. All service and delivery people are to use the loading dock entrance on Commerce Street, using the freight elevator. If you expect deliveries of files, furniture, etc., you are to notify the Management Office in writing prior to the delivery. Security: Directory There is a building directory located in the main lobby. The Management Office will be responsible for providing updated information by Tenant request in the directory. Please contact the Management Office with any changes or additions. Security: Engineering Services A staff of qualified engineers and maintenance personnel supervise building operations. Requests for repairs and maintenance should be directed via Angus at: http://www.NG1.ANGUSANYWHERE.com/aaweb/ Your login information is the first initial, last name with the password: 1835 – which should be changed by user. Example: Name: Login User Name: Password: Mary Smith msmith 1835 Security: General Office Security Security Checklist The following is a list of general office security suggestions, which are offered to you as an aid in establishing your internal security procedures: Restrict office keys to those who actually need them. Keep complete, up-to-date records of the distribution of all office keys. Establish uniform procedures for collecting keys prior to the termination of employees. Establish a rule that keys must never be left unguarded on desks or cabinets. Require that filing cabinet keys be removed from locks and placed in a secure location after opening cabinets. Prevent unauthorized personnel from reporting a lost key and receiving a replacement. Ensure that a responsible person is in charge of issuing all keys. Store keys systematically in a secured wall cabinet of either your own design or one that conforms to a commercial key control system. Insist on identification from repairmen who come to work in your office. Clear all desks of important papers. When working alone in the office at night, lock the front door to prevent anyone else from entering. Keep the police, fire department, and building security telephone numbers posted. Double check to see that all doors are securely locked before you leave. Suspicious Persons If you see suspicious or offensive persons in the building or garage, please call the Management Office immediately. If possible, make note of appearance, clothing, etc. in order to assist building personnel in locating them. Please be aware of strangers in your Tenant areas and halls. Quite often a question such as “May I help you locate someone?” will be enough to deter a potential thief. Suspicious encounters of this type should be reported to the Management Office immediately. Security: Key and Lock Policy Keys Two weeks prior to move-in, Tenants should contact the Management Office and specify the number of keys required for company personnel. Two keys for each locking door in your office will be provided. If necessary, additional will be provided at the Tenant’s expense. Tenants will receive keys from the Property Management Office when the suite is available for occupancy. If necessary, additional keys will be provided at the tenant’s expense. Additional keys should be ordered via the Angus online work order system. Security: Lost and Found Lost and found is located in the Management Office. Should you have any inquires as to a lost or found item, please come to the office. It will be necessary to present identification to the guard on duty to retrieve lost property. Security: Prevention To reduce crime, emphasis should be placed on preventive rather than reactive measures. Preventive measures against office thefts and crimes against persons can best be achieved through the individual efforts of each employee. All suspicious or criminal activities should be reported immediately, first to the police department and then to the Management Office. Security: Property Removal Property Removal Pass A Property Removal Pass is required when individuals depart from your floor any time via the freight elevator and/or the building lobby with property belonging to your firm. Document on your company letterhead the quantity and content being removed, dated with, an authorized officer's signature. Security: Solicitation Soliciting and Loitering Canvassing, soliciting, peddling and loitering are not allowed anywhere on the property. If you are approached by a solicitor of any kind, or if you observe an individual engaged in such activities, contact the Management Office as soon as possible. Services: Overview Providing excellent service to you is our primary goal. Through frequent inspection of the property and careful management of the building's resources and personnel, our intent is to promptly and courteously respond to your needs and operate the building in a manner that exceeds your expectations. Therefore, we request your assistance by notifying us of any situation or condition that you feel requires attention. Services: Building Maintenance A service request may be submitted through any of the following channels: 1. Submit an electronic request through the web address: http://www.ng1.angusanywhere.com/tenant/143632/Main/default.aspx 2. Contact the Management Office at (215) 563-6770. Note: Submitting a request on-line is the most efficient method, and will allow self-service work order entry, status checking and the ability to review work order history on-line. We strongly encourage you to submit requests electronically. If you would like to learn more about how to make and manage your service requests electronically, please contact your Property Manager for details. Once a service request has been received, the Management Office will address the problem as soon as possible and, if applicable, send an invoice for the completed service request. If the situation warrants external assistance, the Management Office will obtain pricing approval prior to performing the work. Please direct all service requests to the Management Office rather than maintenance personnel. This procedure helps the Management Office keep track of your requests and ensure that they are resolved in a timely fashion. Services: Building Signage and Directory Signs, Lettering and Notices All signage being displayed outside your suite must be coordinated through the Management Office. If you wish to display a sign or notice in any public area of the building, prior written approval from the Management Office is required. Except as otherwise provided in your lease, no sign, placard, picture, advertisement, name or notice shall be inscribed, displayed, printed, or affixed on or to any part of the outside or inside of the building or premises. The Management Office shall have the right to remove any such sign without notice and at the Tenant’s expenses. Only those signs that have subsequent Landlord approval, in writing, may be displayed in public view. Services: Cleaning Janitorial Services Janitorial services are typically provided 5 days a week. If you have any special cleaning requests, please contact your Property Manager. Weekdays 1. All desks and other furniture will be dusted nightly with specially treated dust cloths. 2. All windows sills, chair rails, baseboards, moldings, partitions, and picture frames under six feet in height will be hand dusted and wiped clean. 3. All floors will be dust mopped nightly with specially treated dust mops. 4. All bright metalwork will be maintained and kept in a clean, polished condition. 5. All drinking fountains will be thoroughly cleaned and sanitized. 6. All stairways will be swept with a chemically treated dust mop and wet mopped as needed. 7. Light bulbs will be replaced as needed (subject to reimbursement of cost by tenant as provided in the Lease). 8. All elevators will be wet mopped, one coat of finish applied to floor and machine buffed. Interior of cabs will be wiped clean and all metal hardware polished. 9. Empty, clean and dust all wastepaper baskets, ashtrays, receptacles, etc. 10. Remove trash and wastepaper to designated areas. 11. Vacuum carpeted areas and rugs nightly. 12. All tile floors in all areas will maintain a satin finish. Trafficked areas are to receive regularly programmed floor maintenance to insure luster and remove black marks and scuffs. 13. Spot clean carpet as needed. Lavatories 1. Floors will be wet mopped nightly using germicidal detergent. 2. Bowls, urinals and basins will be cleaned nightly. A safe antiseptic and deodorant bowl cleaner will be used. 3. All metal and mirrors will be cleaned and polished. 4. Fill and maintain mechanical operations of all tissue, towel, soap and sanitary napkin dispensers. 5. Remove wastepaper and refuse. Weekly 1. Spot clean all interior partition glass as required. 2. Remove fingerprints, smudges and scuff marks from all vertical and horizontal surfaces (doors, walls, sills) under six feet in height. 3. Wash and refinish resilient floors in tenant areas as needed. Monthly 1. Polish and buff (no wax) resilient floors in tenant areas as needed. 2. Dust all louvers, grills and other than flush light fixtures. Quarterly 1. Dust clean all vertical surfaces; such as, walls, partitions, doors, etc. not reached in nightly cleaning. 2. Dust and wipe clean all venetian blinds. 3. Wax and buff all resilient flooring in tenant areas, or as needed. Floors shall be stripped, re-waxed and buffed when required. Unusual traffic conditions will receive special attention. Every Six Months 1. Dust and damp wipe all ceiling vents. 2. Wash windows, inside and outside. Annually 1. Wash light fixtures and lenses. Trash Removal Normal building trash removal is provided as a standard building service. Large-scale debris, such as that following construction or minor renovations is your responsibility as the tenant. For disposal of debris and boxes, please contact the Management Office. In addition, you as the tenant are responsible for the removal of medical, infectious or hazardous waste from the premises, including any needles, syringes and other articles or substances classified as medical, infectious or hazardous waste by law. Any such removal must be approved by Nightingale Realty and performed in compliance with applicable law. Furniture, computer equipment and metal debris will incur additional costs. These type of items require special trash removal from our daily trash provider in compliance with the City of Philadelphia. Top of Page Services: Energy Conservation 1835 Market takes extreme pride in continuing their efforts in the recognition and earning an Energy Star award year after year. Tenants can assist in our efforts to reduce building operating costs through energy conservation. Please make a special effort to educate your employees about the importance of using energy wisely. Following are examples of how your employees can help in our efforts to reduce energy costs: Window treatments should be closed during those times when there is direct sun (including weekends). Employees should be reminded to turn off all lights, computers, copiers, etc., when not in use or before leaving for the evening or weekend. Services: Forms For your convenience, we have included downloadable and printable PDF document forms that will expedite various building management service requests. Hard copies of all forms are available from the Property Management Office as well. To view and print PDF files, you need the Adobe Acrobat Reader software. If not already installed on your computer, it can be obtained for free at www.adobe.com. Tenant Information Form General Rules and Regulations for Construction Form (Exhibit C) Bomb Threat Form Services: HVAC Heating, Ventilation and Air Conditioning (HVAC) systems in the building typically operate Monday through Friday during normal business hours. If at any time during working hours, you desire adjustment to the temperature within your suite, electronically submit a work order or contact the Management Office for assistance. To avoid damage and minimize delays, please do not adjust thermostats. In addition, we suggest that you keep blinds closed when in direct sunlight. Keeping blinds closed at night and over the weekend will help maintain a more constant temperature in your suite. HVAC services after business hours are available upon request and can be scheduled by submitting a service request on-line or by contacting the Management Office. There will be a charge for after-hours HVAC service. Services: Mail Service Location: Incoming Mail Ground Level - adjacent to the freight elevator, before approaching the loading dock area. Outgoing Mail Ground Level - low-rise elevator bank side of lobby which includes express mail courier service bins. Services: Recycling Program Please contact the Management Office to receive information on the recycling program. Services: Storage If you require additional storage space, please contact the Management Office.
