DELIVERIES OF SUPPLIES Hand-carried parcels may be delivered during normal working hours in the passenger elevators. FURNITURE & EQUIPMENT MOVES AND DELIVERIES Prior notification to the Building Management Office is required for coordination of freight elevator availability. Moves must be accomplished after normal building business hours after scheduling through the Building Management Office. Lessor reserves the right to prescribe the weight and positioning of , files, filing systems and other heavy equipment and written approval must be obtained from the Building Management Office before work begins. Any damage done to the Building by the movement of property of the Lessee, or done by the Lessee's property while in the Building, will be repaired at the Lessee's expense. Building Security: General Office Security Security Checklist The following is a list of general office security suggestions, which are offered to you as an aid in establishing your internal security procedures: Restrict office keys to those who actually need them. Keep complete, up-to-date records of the distribution of all office keys. Establish uniform procedures for collecting keys prior to the termination of employees. Establish a rule that keys must never be left unguarded on desks or cabinets. Require that filing cabinet keys be removed from locks and placed in a secure location after opening cabinets. Prevent unauthorized personnel from reporting a lost key and receiving a replacement. Ensure that a responsible person is in charge of issuing all keys. Store keys systematically in a secured wall cabinet of either your own design or one that conforms to a commercial key control system. Insist on identification from repairmen who come to work in your office. Clear all desks of important papers. When working alone in the office at night, lock the front door to prevent anyone else from entering. Keep the police, fire department, and building security telephone numbers posted. Double check to see that all doors are securely locked before you leave. Suspicious Persons If you see suspicious or offensive persons in the building, please call the Management immediately. If possible, make note of appearance, clothing, etc. in order to assist building security in locating them. Please be aware of strangers in your Tenant areas and halls. Quite often a question such as “May I help you locate someone?” will be enough to deter a potential thief. Suspicious encounters of this type should be reported to the Office of the Building immediately. Building Security: Key and Lock Policy KEYS Prior to your move-in, please provide the Property Management Office with information regarding the number of keys for your suite. Two mailbox keys will be provided upon move-in. A form for your initial key order has been included. To order keys at any time after your initial move-in, contact the Property Management Office at (713) 236-9120. Please allow at least two (2) days for key orders to be processed. An additional charge may be incurred for rush key orders. Additional keys may be requested, in writing, to the Building Management Office, at the expense of the lessee. No alterations are to be made to the locks or mechanisms without prior permission of the Building Manager. Such alterations will be made by the Lessor and paid for by the Lessee. Building Security: Lost and Found Contact Security through the Management Office at (713) 236-9120. The Lessor is not responsible for lost or stolen property, equipment, money or articles taken from the Lessee's premises. If you discover items of value missing from your premises, it should be reported first to the Houston Police Department, then to the Building Management Office. Building Security: Property Removal Please notify the Property Management Office at (713) 236-9120, when removing any equipment. Building Security: Reporting Suspicious Persons Any person exhibiting suspicious behavior, in the building or the parking areas, should be reported immediately to the Property Management Office or the police if necessary. Building Security: Reporting Thefts Criminal activity should be reported directly to the Police Department: Emergencies 911, Non-emergencies (713) 884-3131. Please also notify the Property Management Office at (713) 236-9120. In most instances, a courtesy officer will complete an incident report for our records. Building Security: Solicitation SOLICITING Canvassing, soliciting and peddling in the building are prohibited. Please report solicitors to the Building Management Office. SOLICITORS Solicitation by door-to-door salespersons is prohibited throughout this building. All violations of this policy should be reported to the Property Management Office at (713) 236-9120 at the time of the occurrence. An effort will be made to locate solicitors and escort them out of the building. Building Services: Building Signage Standard signs are required and ordered through the Building Management Office. All signs must be requested in writing and approved by the Building Manager. Building Services: Cleaning JANITORIAL SERVICES Janitorial service will be provided five (5) days per week except those days designated as Holidays. The janitor will remove trash, vacuum carpeted floors, sweep tile floors, and dust desks, cabinets and other furniture. Window washing and door/wall cleaning will be done on a scheduled basis. Please call the Property Management Office at (713) 236-9120 if you have any requests or questions concerning janitorial service. Excessive trash should be placed in boxes marked "trash" and kept in your office. At the close of the business day, the janitorial service will remove the trash. If you have large boxes, crates, boxes of obsolete files, etc., you will need to contact someone to remove these items from the premises. This is not the responsibility of janitorial or building personnel. Building Services: Elevators & Freight Dock Freight Dock The freight dock is open from 6:00 a.m. to 6:00 p.m. Monday through Friday on an appointment-only basis. The freight dock and freight elevator are available after these proscribed hours and on Saturday or Sunday on a fee basis after scheduling through the Building Management Office. Building Services: Lighting The building standard light fixture is a 2' x 4' 3 tube fluorescent fixture with "cool white" tubes. Any down lights, high hats, or wall washers must be fluorescent or low heat, low voltage bulbs, and must be approved by Lessor prior to installation. Building Services: Mail Service POSTAL SERVICE For our tenant's convenience, a U.S. Postal Service mail box is located in the basement level of the building. Delivery, distribution and pickup times are determined by the Post Office and are subject to change. The times are posted at the mail box location. The Property Management Office will assign a mailbox to each tenant and will be responsible for notifying the postal carrier of the box assignment. Each tenant will receive two (2) mailbox keys free of charge. Should additional mailbox keys be required, please contact the Property Management Office. Pick up: The mail room is on the B-1 level of the Building. Lock boxes are available and assigned through the Building Management Office. Building Services: Stairwells Stairwells are reserved for emergency use only, or as approved in writing by Lessor. Emergency Procedures: Bomb Threat Telephone Threat When a bomb threat is made over the telephone, obtain the following information from the caller: Exact location of the device. Time set for explosion; Description of the device; Reason the caller has placed the bomb; Exact words used by the caller. Keep this information as confidential as possible. Notify the Police Department. Call 911. Notify the Management Office at (713) 236-9120 Once the Management Office has been notified of a bomb threat, it is our policy to advise your firm’s manager or senior officer. It is up to the manager or senior officer to decide whether it is appropriate to evacuate the office. In the event that you are asked to evacuate the Building, please move away from the Building so as to allow unfettered access to emergency personnel. Do not re-enter the Building until the Management Office, the Police, or the Fire Department have given clearance. Suspicious Packages or Mail Bombs Letter bombs are usually sent through the mail addressed to a specific individual in the company, usually disguised to look like some sort of gift or a small package. Letter bombs have the power to kill or seriously maim anyone in close proximity. Letter bombs are usually contained within a large size manila envelope ¼” to ½” thick and are fairly rigid. However, the technology used in letter bombs has become increasingly sophisticated, and can be difficult to detect visually. Letter bombs have been mailed from cities or small towns in the United States, as well as from foreign countries. Be especially wary of letters that are mailed to titles -- Chairman, President, Manager, Security Officer, etc. – rather than directly to named individuals. If you suspect a parcel contains a letter bomb: Clear everyone out of the immediate area; establish at least a 25 foot radius around the package. Notify the police at 911 and Building Management. DO NOT HANDLE IT UNDER ANY CIRCUMSTANCES. DO NOT ATTEMPT TO DEACTIVATE IT YOURSELF. Emergency Procedures: Civil Disturbance Should a riot or civil disturbance start outside the Building, the security guards will immediately lock all entrances to the building. The police will be notified. We will keep you informed. If a disturbance should occur in the main lobby, all elevators will be turned off at the first floor and the police will be summoned. Emergency Procedures: Elevator Malfunction If you are in the elevator and it stops for no apparent reason, remember to remain calm. Pressing the emergency button within the cab will alert an off site monitoring company that the elevator is malfunctioning. The cab number will be identified, and so too, the specific floor on which it is stuck. The Guard will establish two-way communication with elevators occupants until help has arrived. In the event of a power outage, elevators will continue to operate using our emergency power generator. Should an outage occur, elevator lights will remain on, but the car itself will temporarily cease moving. Each elevator will automatically return to the lobby, their doors will open, and they will remain inoperable until the power has been restored. IN THE EVENT OF A FIRE, ELEVATORS MUST NOT BE USED FOR EVACUATION. USE THE STAIRWELLS. If you have not received this information, please contact the Property Management Office. It is important to assign Fire Wardens or floor monitors for your suite. These people will be given additional information regarding the fire and life safety systems in the building. Important notes If you call 911 as a result of a medical emergency, please be sure also to notify building management with your name, callback number, and location so that security may swiftly guide the paramedics to your exact location. If the audible alarm within the building sounds, please do not call the Management Office, unless you have something specific to report. Building Management is aware of the noise, as well as the source of the alarm, whether it’s false or a legitimate emergency. Please keep the telephone lines clear so that Management may to attend to the situation as quickly and efficiently as possible. Emergency Procedures: Evacuation Click here to download a Building Evacuation Plan Emergency Procedures: Fire and Life Safety Fire Prevention Do not accumulate quantities of discarded files or other paper trash in your office or storage area. Pay special attention to housekeeping in those departments that produce quantities of debris, such as duplication machines, mailing and receiving rooms. Do not store large quantities of flammable solvents, duplicating fluids, or other combustible fluids. Keep electrical appliances in good repair. Report unsafe conditions to the building office. When furnishing an office, consider the fire potential of materials used in large amounts, like overstuffed chairs, settees, couches or anything that could become a combustible item. Such furnishings should be flame-proofed. Where potential for fire is especially high, such as supply rooms, tenants may wish to consider installing additional fire extinguishers. Fire Emergency IF YOU DISCOVER A FIRE, you should remain calm and: 1. Pull the nearest fire alarm. Alarms are located in the corridors adjacent to the stairwells. 2. Call 911 from a safe location. 3. Evacuate or relocate and assist all others in the immediate area. 4. Close doors behind you to isolate fire. 5. Proceed to stairwells and listen for instructions. NEVER use the elevators. 6. Be cautious when opening doors so as not to spread the fire. Touch any door to see if it is hot before opening. 7. If smoke is present, stay low and crawl with your body against the floor. The clearest air is near the floor. If forced to make a dash through smoke or flame, hold your breath and cover your nose and mouth with an article of clothing. Emergency Procedures: Flooding In the event of a flood that may cause damage to tenant property or affect the normal operation of the building, designated tenant representatives will be contacted by Building Management personnel, regardless of the time of day. The first priority is to ensure that no personal injury occurs as the result of a flood. The second priority is to discover the cause and prevent or minimize additional flooding. Once the flooding has been contained, clean-up operations will be commenced. Tenants will need to contact their insurance carrier for any damage to their property. Inform management that you have called 911 and briefly describe the nature of the emergency. 6. The emergency unit will be with you shortly and will administer all necessary medical assistance. 7. A local doctor Emergency Procedures: Pandemic Preparedness What you Need to Know An influenza (flu) pandemic is a worldwide outbreak of flu disease that occurs when a new type of influenza virus appears that people have not been exposed to before (or have not been exposed to in a long time). The pandemic virus can cause serious illness because people do not have immunity to the new virus. Pandemics are different from seasonal outbreaks of influenza that we see every year. Seasonal influenza is caused by influenza virus types to which people have already been exposed. Its impact on society is less severe than a pandemic, and influenza vaccines (flu shots and nasal-spray vaccine) are available to help prevent widespread illness from seasonal flu. Influenza pandemics are different from many of the other major public health and health care threats facing our country and the world. A pandemic will last much longer than most flu outbreaks and may include "waves" of influenza activity that last 6-8 weeks separated by months. The number of health care workers and first responders able to work may be reduced. Public health officials will not know how severe a pandemic will be until it begins. Importance and Benefits of Being Prepared The effects of a pandemic can be lessened if you prepare ahead of time. Preparing for a disaster will help bring peace of mind and confidence to deal with a pandemic. When a pandemic starts, everyone around the world could be at risk. Emergency Procedures: Power Failure All 801 Travis Street Office Buildings and Common areas are served by emergency generators. In the event of power failure, these generators will provide emergency power for certain basic building functions. Those functions include: 1. Activating emergency lights on each floor throughout the building, including all Exit signs. 2. Activating all stairwell lighting. 3. Activating the building’s emergency Fire, Life and Safety Systems as well as the building’s communication systems. 4. Recalling all elevators to the ground floor lobby. (One elevator will remain operative for use by security to assist handicapped persons or to take service crews and equipment into the building, as needed.) It is seldom necessary to evacuate the building during a power failure. Unless you are directed to do so through the emergency communication system, please remain in your offices. Emergency Procedures: Severe Weather When severe weather conditions become apparent, the U.S. Weather Bureau describes conditions by two (2) classifications, a Watch or a Warning. This applies to the reporting of severe thunderstorms, the approach of weather conditions favoring the formation of tornadoes, a hurricane condition, a winter storm condition, etc. A Watch becomes effective when atmospheric conditions are present that can produce the particular weather phenomenon. A Warning means that the weather condition has been spotted and prompt action must be taken to enhance safety. Except in very rare circumstances, the decision to evacuate the building based on the above weather reports will not be made by Building Management, but rather by each Tenant Company. However, in the event these conditions do exist, the following guidelines should adhered to: Move away from outside windows. If the windows in your offices are supplied with blinds, close the blinds (this will provide protection from broken glass). Do not panic. If evacuated, lock all desk drawers and take all items of value with you. If evacuated, use a route that is in the building interior and stay away from large expanses of glass and windows. Use the stairwells rather than the elevators. If evacuated, do not return to your office until advised to do so. Emergency Procedures: Toxic Hazards If there is a toxic spill or exposure, proceed immediately to an area where you are no longer exposed. Call 911. Provide the building’s address, your floor and phone number, and also what type of spill has occurred. Take appropriate action to contain the hazard; close doors behind you, and always follow all safety procedures when working with toxic materials. Updates The Electronic Tenant® Handbook is updated on a regular basis, so please be sure to periodically check for updates and new information. If you are having trouble accessing the Electronic Tenant® Handbook or need assistance, please e-mail or call the Management Office. Policies and Procedures: Contractors REMODELING AND REPAIRS Only contractors and consultants approved by Building Management will be allowed to perform work in and for the Building. Complete plans and specifications for all repairs and construction must be submitted to the Building Management Office for review and approval. All work requiring above ceiling access or floor coring must be accomplished after hours and scheduled through the Building Management office. Should a lessee require telegraphic, telephonic, annunciator or other communication service, Lessor will direct the electricians where and how wires are able to be introduced and placed and none shall be introduced or placed except as Lessor shall direct. Subsequent to the completion and occupancy of your new office, all alterations and improvements to the premises must be approved by the Landlord. This approval is necessary to make certain that the proposed work not only meets the same standards of original construction, but also complies with all building codes and regulations. Any request of this nature should be directed to the Property Management Office at (713) 236-9120. REMODELING AND REPAIRS (Continued) Depending on the scope of work, a construction coordinator will work closely with you in formulating your ideas, providing you with detailed plans if the proposal requires, and will be responsible for coordinating all the work. Examples of items that will be directed to the construction coordinator are any alternations to the fixed walls within the premises, door changes and any major electrical changes. Minor alternations, such as additional telephone outlets, lock re-keys, and additional electrical outlets should be directed to the Property Management Office at (713) 236-9120. A tenant authorization/work order will be provided to you with the breakdown of charges for your approval prior to any work being done. Policies and Procedures: General Rules and Regulations FIRE HAZARDS No flammable or explosive fluids or materials shall be kept or used within the Building except in areas approved by the Lessor, and tenants shall comply with all applicable building and fire codes relating therto. ANIMALS No animals (other than seeing-eye-dogs) shall be brought into or kept in, on or about the Building. REVISIONS OF BUILDING RULES These Building Rules may be revised from time to time to update information and improve or clarify procedures. GENERAL 1. The operating hours for the Building shall be as follows: a. Monday - Friday (except Federal holidays) 7:00 am - 6:00 pm b. Saturdays 7:00 am - 1:00 pm 2. Landlord agrees to furnish to Tenant suite keys and after-hours building access card keys in accordance with the Lease Agreement. Additional keys will be furnished at a nominal charge. 3. Tenant will refer all contractors, contractors’ representatives and installation technicians rendering any service on or to the Premises for Tenant to Landlord for Landlord’s approval and supervision before performance of any contractual service. This provision shall apply to all work performed in the Building including installation of telephones, telegraph equipment, electrical devices and attachments and installations of any nature affecting floors, walls, woodwork, trim, windows, ceilings, equipment or any other physical portion of the building. GENERAL (Continued) 4. No Tenant shall at any time occupy any part of the building as sleeping or lodging quarters. 5. Tenant shall not place, install or operate on Premises or in any part of the Building any engine, stove or machinery or conduct mechanical operations or cook thereon or therein, or place or use in or about Premises any explosives, gasoline, kerosene, oil, acids, caustics, or any other inflammable, explosive, or hazardous material without prior written consent of Landlord. 6. Landlord will not be responsible for lost or stolen personal property, equipment, money or jewelry from Tenant’s area or public rooms regardless of whether such loss occurs when area is locked against entry or not. 7. No birds, fowl, dogs, animals or pets of any kind shall be brought into or kept in or about the Premises. 8. Landlord shall not permit entrance to Tenant’s offices by use of pass key controlled by Landlord to any person at any time without permission by Tenant, except employees, contractors, or service personnel directly supervised by Landlord. 9. None of the entries, passages, doors, hallways or stairways shall be blocked or obstructed, or any rubbish, litter, trash or material of any nature placed, emptied or thrown into these areas, nor shall such areas be used at any time except for ingress or egress by Tenant, Tenant’s agents, employees or invitees. GENERAL (Continued) 10. The water closets, restrooms and other water fixtures shall not be used for any purpose other than those for which they were constructed. No person shall waste water by interfering with the faucets or otherwise. 11. No person shall disturb the occupants of the Building by the use of any musical instruments, the making of noxious odors or raucous noises, or other unreasonable use. 12. Nothing shall be thrown out of the windows of the Building or down the stairways or other passages. 13. Tenant shall not store any materials, equipment, products, by-products, rubbish, refuse, etc., outside the Premises. 14. Tenant shall comply with all local and federal codes and ordinances. 15. Tenant and its agents, employees and invitees shall observe and comply with the driving and parking signs and markers on the Building grounds and surrounding areas. 16. Corridor and passage doors, when not in use, shall be kept closed. GENERAL (Continued) 17. All deliveries of other than hand-carried items must be made via the service entrances and service elevators. Any deliveries of an abnormally large, bulky or voluminous nature, such as furniture, office machinery, file cabinets, etc., can only be made after obtaining approval from Landlord and at those times specified by Landlord, before 7:30 am and after 5:00 pm on weekdays or on Saturday or Sunday. A certificate of insurance from the moving company showing that the movers have workman’s compensation and have named the building owner as additionally insured must be delivered to the Property Management Office 24 hours prior to the delivery. Policies and Procedures: Insurance Protection INSURANCE CERTIFICATE The moving company must provide a certificate of insurance prior to the move, showing General Liability and Auto Liability coverages of at least $1,000,000 and Worker's Compensation (Statutory Limits). TR 801 Travis LLC, LPC Realty Advisors and LPC Commercial Services, Inc. need to be listed as Additional Named Insureds on the certificate. Policies and Procedures: Moving Procedures MOVE COORDINATION All moves and major deliveries must be coordinated in advance through the Property Management Office. The Property Management Office requests that you engage a reputable moving company and provide us with your sales representative's name and company address. MOVING POLICIES Moving in or out of the building must be done after 5:30 pm Monday through Friday, or any time on the weekends. Once again, it is important that the move be scheduled through the Property Management Office so that a courtesy officer will have authorization to allow you or your movers access to the building after hours. If after-hours air conditioning will be required during the move, this also will need to be coordinated in advance through the Property Management Office. The moving company will be responsible for protective coverings for the walls and floors along the path of the move. A courtesy officer will be available to walk the path of the move with a representative of the moving company and the tenant to determine general conditions. Any damages will be the responsibility of the tenant. MOVING POLICIES (Continued) The freight elevator to be utilized during a move. Any difficulties involving the elevator or operation of the building should be reported to the Property Management Office at (713) 236-9120. The janitorial crew is not equipped to handle the volume of trash created during a move. Therefore, please make arrangements to break down your own moving boxes and have your moving company return to the building to remove them from the premises. Most boxes are reusable and most moving companies are happy to get them back. INSTRUCTIONS FOR MOVING COMPANIES The Property Management office for 801 Travis may be contacted at the following address: Lincoln Property Company 801 Travis Suite 1802 Houston, TX 77002 (713) 236-9120 (713) 223-9238 fax INSTRUCTIONS FOR MOVING COMPANIES (Continued) The following rules pertain to moving furniture, equipment and supplies in and out of the building: ANY MOVERS WHO DO NOT ADHERE TO THE FOLLOWING RULES WILL NOT BE ALLOWED TO ENTER THE PREMISES OR WILL BE REQUIRED TO DISCONTINUE THE MOVE. 1. Clean masonite sections will be used as runners on all finished floor areas where heavy furniture or equipment is being moved with wheel or skid type dollies. Clean plywood sections will also be required when moving over "sensitive" floors (i.e. stone or tile floors). The masonite must be at least 1/4" thick, 4' x 8' sheets in elevator lobbies and corridors and 32" sheets through doors in tenant space. All glass doors and elevators will be padded to protect exposed areas. 2. All walls, door facings, and other areas along the route to be followed during the move will be inspected by the Property Management Office and moving company personnel before and after the move. The mover must provide and install protective coverings on all walls, door facings, and other areas along the route to be followed during the move. INSTRUCTIONS FOR MOVING COMPANIES (Continued) 3. Any damage to the building or fixtures caused by the move will be repaired or paid by the moving company, and will be the ultimate responsibility of the tenant. 4. Move-ins of large quantities of furniture, equipment or supplies will be accomplished after 5:30 pm on weekdays or on weekends or holidays with prior consent of the Property Manager. 5. The moving company must make arrangements with the Property Management Office for use of the freight elevator for each move. A firm arrival time will be established. INSTRUCTIONS FOR MOVING COMPANIES (Continued) 6. The moving company must carry insurance including, but not to be less than, the following: a. Worker's Compensation in statutory limit for the State of Texas with employer's liability limit of $500,000; bodily injury; personal injury and property damage liability insurance in comprehensive general liability form and certificate evidencing same shall be furnished to the Property Management Office before moving any item into the building. In addition, Tenant and Moving Company will indemnify and save landlord harmless from and against all claims, demands and causes of action of every kind in character arising in favor of moving company's employees, Landlord's employees or other third parties as a result of bodily injury, personal injury, death or damage to property in any way resulting from willful or negligent acts or omissions of moving company, its agents, employees, representatives or subcontractors. The moving company shall be responsible for all damages and losses sustained be them to their tools and equipment utilized in the performance of all work thereunder. INSTRUCTIONS FOR MOVING COMPANIES (Continued) b. Comprehensive General Liability insurance policy shall include coverage for hazards of premises, operation, elevators, products and completed operations and including personal injury coverage part and contractual liability under performance of the act of moving. Such insurance shall be in limits no less than one million dollars ($1,000,000) for any one occurrence, Personal Injury Coverage, and contractual liability. c. Comprehensive Automobile Liability covering all owned, non-owned, and hired vehicles, with a combined single limit of not less than one million dollars ($1,000,000). d. Contractor shall furnish client a Certificate of Insurance for all coverages listed above prior to commencement of operations under this contract. Each moving company moving supplies, furniture and/or equipment through this building shall secure and present to the Property Management Office a certificate reflecting these coverages 24 hours before the move takes place. f. Employees of the moving company will not be permitted to access any part of the building other than the predetermined moving route. MOVE-OUT PROCEDURE Upon termination or expiration of lease, when vacating the premises, the Property Manager will request a walk-through of the suite with a representative of your company. At this time, all keys should be returned to the Property Manager, including mailbox keys. Any damages to the suite, beyond reasonable wear and tear, will be noted for billing purposes. The new mailing address will be obtained for final reconciliation of any outstanding balances and security deposit refund. All moving policies and procedures, including obtaining adequate insurance information and scheduling moves after hours and weekends, will be enforced for move outs. Policies and Procedures: Receptions Approval and coordination from the Building Management Office is required for all "Open Houses" or receptions. Policies and Procedures: Smoking Smoking is prohibited inside the building. Designated smoking areas are outside. Your cooperation in utilizing these areas for smoking breaks is appreciated. Lessees, their agents, employees and invitees shall observe no smoking, as per Houston City Ordinance, in all public areas including elevators, rest rooms, Building Entrances and other areas utilized by the general public and/or lessee's of the Building, etc.
