Position Description
Title:
Year Level Coordinator (COD)
Reports To:
Head of School / Deputy Head of School
Roles and responsibilities
Oversee the social, emotional and developmental needs of students in the nominated year level by:
 Maintaining an overview of the wellbeing of the students in the year level.
 Support CARE staff in their daily management of students in their CARE group.
 Support CARE staff in their interaction with parents.
 Be a source of referral for CARE teachers where students need assistance beyond the scope of CARE
teacher role.
 Provide counselling and support to students beyond the scope of the CARE teacher.
 Monitor the ongoing welfare of students and year level as a collective and consult with the Director of
Student Wellbeing.
 Liaise with the Director of Student Wellbeing to ascertain referrals to appropriate support personnel.
 Discuss student academic progress, social and emotional wellbeing, behaviour management and
disciplinary matters with parents and teachers when issues persist beyond significant CARE teacher
intervention (inclusive of parental and subject teacher contact).
 Consult with the Head of School and other personnel as required.
 Support CARE teachers in the induction and transition process of students into the year level.
 Contribute to the induction of new teachers to the School.

It is expected that all full time teachers will take responsibility for a CARE group of students.
Engaging in collaborative policy and program development and implementation by:
 monitoring student adherence and high standards of conduct consistent with school policy
 contributing to the development and evaluation of relevant curriculum initiatives and reviews
 playing a proactive role in the development and enactment of student policies, programs and procedures in
accordance with the principles established by the School
 overseeing the annual development and ongoing improvement of school diaries in collaboration with other
relevant COD
 supporting students and staff during outdoor education programs, ensuring duty of care is maintained
 assisting in the organisation of year level conferences, outdoor education experiences and curriculum camps
in conjunction with specialist staff and external organisations
 seeking to strengthen the school’s leadership program as a developmental process.
Ensure all relevant year level curriculum initiatives, House and co-curricular information is effectively collated,
stored and disseminated to students, families and House tutors by:
 running regular year level meetings and relevant assemblies in conjunction with other year level coordinators
 maintaining an overview of the delivery of the CARE curriculum by CARE teachers
 drafting, coordinating and disseminating information to parents regarding year level activities and individual
student issues
 collating year level information for CARE staff to disseminate at Year Level Information Nights
 conducting regular year level staff meetings for CARE teachers to plan and review the CARE program
 liaising with members of the Student Office as required
 maintaining up-to-date information, forms, letters, program outlines on the Teacher Kiosk of the school’s
intranet.
Ensure the appropriate administration of information by:
 monitoring student records relating to attendance, discipline, academic results and participation in school
activities
 maintaining a record of contact with students and parents, stored on Teacher Kiosk
 coordinating and reviewing the preparation, timeliness and quality of student reports and testimonials
Conduct other duties pertaining to the role such as:
 organising activities and events unique to each year level (see Additional Year Level Duties listed below for
relevant year level)
 supporting students in year level by attending co-curricular / enrichment activities (E.g. debating etc)
 coordinating major year level activities in conjunction with other specialist staff (E.g. formal, year level
conferences etc)
 representing and speaking on behalf of the year level at assemblies, parent information nights, staff
meetings etc
 attending relevant professional development as required
 being in attendance at school from 8.00 am to 5.00 pm as rostered to ensure a smooth before school and
after school transition and to manage student related concerns that may arise during this time
 leading student involvement in events as relevant
 undertaking additional duties as required.
Contribute to the organisation of programs such as:
 CARE
 House
 Student leadership
 Community and social service
 Camps and special year level experiences (E.g. city cite).
Document management
Ensure documentation relevant for each year level is consulted on, reviewed and updated regularly/annually by
the COD and CARE teachers.
Some of these documents include:
 student diary for relevant school sector including school policies, information, presentation and academic
material
 first day procedures
 induction and transition material
 parent information booklets
Marketing
Through ‘owning their year level’, CODs, together with their CARE teams, serve as ambassadors and marketers
for their year level. They are responsible for promoting the opportunities afforded to students through the year
level by defining the distinctive nature and special developmental stage of their year level. This sort of promotion
could include Open Day, information in publications and many other opportunities that arise throughout the year.
Memberships
Year Level Coordinators are required to:
 participate in regular Year Level Coordinator meetings
 represent the role and school sector in parent information evenings and seminars and in strategic leadership
groups and other cross-campus committees as required
 liaise with CODs cross-campus to nurture opportunities for purposeful collaboration and interaction.
Skills and experience
Requirements of the position include:
 excellent interpersonal skills to enable effective communication at all levels
 teaching experience at a secondary level
 considerable experience, appreciation and knowledge of pastoral care and developmental needs of children
and young adults
 excellent interpersonal skills for consultation and communication with a range of stakeholders
 general counseling and ability to manage personal issues confidentially and sensitively
 well-developed organisational, time management and record keeping skills
 demonstrated willingness to attend relevant professional development seminars and/or courses in
adolescent development and pastoral care themes
 ability to lead students in individual learning and development and in group activities
 ability to lead teaching colleagues in the provision of pastoral care for students
 flexibility and adaptability in dealing with a diversity of student issues and problems.
Other duties from time-to-time as may be required by the Principal and Head of School.
Additional Year Level Coordinator (COD) Duties
as defined by Year Level
Year 7
Discovery
The Year 7 COD is required to:
 liaise with the Business Development Manager, Registrar, Head of Senior School and
Head of Junior School in preparation for Orientation Day
 liaise with Head of Outdoor Education re- Year 7 Outdoor Ed camp. Support in the
dissemination of information to CARE staff, students and parents
 in consultation with the Year 7 teaching team and Gifted and Talented COD, oversees
curriculum development and delivery (eg: Thinking Time program at SMS Senior School)
 in conjunction with CARE staff, assist in the organisation and running of special events
and oversees maximum student involvement.
Year 8
Exploration
The Year 8 COD is required to:
 liaise with Humanities and Science HODs or teachers to organise Great Ocean Road
curriculum, staffing, bookings, parent information, risk management etc.
 liaise with Head of Outdoor Education re- Year 8 Outdoor Ed camp. Support in the
dissemination of information to CARE staff, students and parents
 where possible, is part of the Year 8 Lifeskills team of teachers
 in conjunction with CARE staff, assist in the organisation and running of special events
and oversees maximum student involvement.
Year 9
Journeys /
Endeavour
The Year 9 COD is required to:
 liaise with Head of Outdoor Education re- Year 9 Outdoor Ed camps. Support in the
dissemination of information to CARE staff, students and parents
 coordinate the Year 9 City experience
 support civics teacher in organisation of Canberra experience
 Where possible, is part of the Year 9 Lifeskills team of teachers
 in conjunction with CARE staff and student leaders, assist in the organisation and running
of special events and oversees maximum student involvement.
Year 10
Challenge
The Year 10 COD is required to:
 liaise with Head of Outdoor Education re- Year 10 Outdoor Ed camp. Support in the
dissemination of information to CARE staff, students and parents
 in consultation with the Presentation Ball committee, assist students in their social and
emotional preparation for the Presentation Ball
 play a lead role in the development and organisation of the annual Year 10 Conference
 where possible is one of the Year 10 Futures team of teachers
Year 11
Insight
The Year 11 COD is required to:
 play a key role in the development of the student leadership program (One day during
Sydney Conference and one day in May when Year 12 students go to TIS)
 play a key role in the development of the Year 12 Leadership program/trip (at the end of
Year 11), working with the Executive Assistant who make all bookings
 oversee the election of Year 12 student leadership team (Term 3)
 where possible, to be part of the Year 11 Futures teaching team
 take the lead role in the organisation of the Year 11/12 formal (with the assistance of the
Year 12 COD, Year 11 and 12 student captains and CARE staff)
Year 12
Vision
The Year 12 COD is required to:
 work with Careers Department and CARE teachers to ensure students have Individual
Pathways plans and where possible, be part of the Year 12 Futures teaching team
 support the student leadership team
 coordinate the Mentor Program with the Junior School
 support Year 11 COD in the organisation of the Year 11/12 Formal,
 help review, update and distribute school policy documents related to Year 12 students
o permission to study at home during spares
o permission to drive to school
 organise, coordinate, control Year 12 functions including;
o Speech night,
o Valedictory dinner,
o Year 12 Final day breakfast and final assembly.
