BOARD OF DIRECTORS ANNOUNCEMENT Background Arlington Neighborhood Villages (the Villages) is a startup charitable 501(c)(3) organization established to provide Arlington County seniors the option of remaining in their homes and communities as they age – safely, independently, and with an enhanced quality of life. Village membership is available to all residents of Arlington County who are 55 years of age or older – regardless of where they live or their ability to pay the annual membership fee. The Villages is a volunteer-based organization with a parttime Program Manager who is the only paid staff member at this time. After two years of planning the Villages began full operation in April 2014. As we approach our first year anniversary we have 107 members and 89 volunteers. The Board of Directors Challenge The Board of Directors is a hands-on board charged with growing the Villages into a mature organization. Board members chair or co-chair one of the nine operating committees that develop and implement policies and strategies for their respective subject areas. These committees do a significant amount of the organization’s work. See committee descriptions below, starting on page 3. Board members identify, analyze and resolve corporate issues as well as establish overall organizational strategy. Director Responsibilities The Board meets monthly and serves without compensation. Directors serve staggered terms of 1, 2 or 3 years and are eligible for one additional three year term. Each Director chairs or co-chairs one of the nine operating committees. Represent and promote the Villages in the community. Build a multicultural organization. Raise funds and develop strategic partnerships. Assess the effectiveness of the Villages programs and monitor progress. Manage the budget. Hire and evaluate the Executive Director. Ensure operations are in compliance with bylaws and other applicable laws and regulations. Qualifications 1 Applicants must have at least a Bachelor’s degree and experience in one or more of the following areas: nonprofit management, working with startup organizations, strategic planning, business development, fundraising, communications, performance metrics and evaluation, member recruitment, services for aging in the community, and senior health and wellness. Prior membership on an active Board is preferred. If eligible for Villages membership, Directors are expected to join and maintain village membership during their tenure. If not eligible for membership, Directors are expected to make a minimum annual financial contribution of $500. Directors must have a passion for our mission of providing seniors the option of aging in place, and be willing to commit their time, talents and resources to ensuring the success of the organization. For more information about Arlington Neighborhood Villages and its activities and programs, visit www.arlnvil.org. 2 ARLINGTON NEIGHBORHOOD VILLAGES COMMITTEE DESCRIPTIONS 11/18/2014 Finance Committee This committee is responsible for: preparation of an annual budget for approval by the Board of Directors; recommending and monitoring financial and investment policies, fundraising plans (including Financial Aid Fund) and insurance coverage; ensuring that all financial and tax filings are accurate and timely; arranging for internal and external audits as necessary; and providing oversight and assistance to the Treasurer as deemed appropriate. Fundraising/Strategic Partners This committee has the lead for ensuring there are adequate funds to meet the organization’s financial needs. Members should have direct experience with, and interest in, nonprofit fundraising in areas such as gifts, grants, and corporate sponsorships. Committee scope also includes identifying strategic partners who can assist Arlington Neighborhood Villages in providing member services. For example, Habitat for Humanity and Rebuilding Together are potential partners for providing home repair assistance. Strategic Futures and Measurement Responsible for developing and implementing the Strategic Plan and the Evaluation Plan, periodically assessing these plans, and making recommendations to Board of Directors and Program Manager for organizational and program improvements. Specific activities include: Develop Strategic Plan to implement the Vision Statement Chart progress toward meeting longer term goals with evidence-based outcomes to support grant applications and to be well-positioned to solicit other funding sources Evaluation of program activities to improve service delivery and improve processes for members, volunteers and local villages. Develop performance metrics for Program Dashboard Local Villages Committee Develops and executes a plan to roll out and support multiple local villages to encompass Arlington’s diverse socio-economic and cultural communities. Specific activities include: Conduct local village workshops Develop budget recommendations for financial support for local village activities and programs Ensure local villages take part in corporate governance and contribute to policy development Build momentum throughout Arlington County by rolling out local villages – key to recruiting and renewing members Communications and Marketing 3 Develops and implements a plan for getting out the message to all audiences: prospective members and volunteers, county agencies, other nonprofits, other stakeholders. The plan should include the overall village communications function which includes member and volunteer communications as well as public outreach. Work with other committees to publicize Villages events and activities. Specific activities include Develop elevator speeches regarding mission, pitches to prospective members, volunteers (direct service and committee/leadership positions), donors, media, strategic partners, thought leaders, and others Prepare standard marketing materials such as brochures and fact sheets Prepare newsletter Keep public website up-to-date Investigate use of social media for engaging members and volunteers Manage media placement Identify special event opportunities for publicizing Villages, such as Home & Garden Show, Taste of Ballston Coordinate with OSAP 55+ Program on getting Villages workshops, etc., offered through the 55+ Guide Volunteers Responsible for creating and executing a program to recruit and effectively engage volunteers. Work with other committees, such as Membership and Services, to keep volunteer program responsive to evolving Villages requirements. Specific activities include: Recruit and retain volunteers Provide oversight and planning for initial training, specialized training, and occasional development training Develop volunteer recognition programs Develop volunteer activities to engage a diverse range of volunteers (including e.g., intergenerational, corporate groups, and faith community groups.) Enhance volunteer recruitment to find people interested, capable, and available to serve on committees, assist with special projects, offer pro bono services and/or assist with program evaluation. Membership and Services Responsible for developing and implementing an outreach program for the general 55+ population as well as strategies for reaching various senior population segments: e.g., 75+ seniors living alone, Hispanic and other ethnic/cultural groups, high density neighborhoods, single family neighborhoods. Process member applications and address membership questions and concerns. Make recommendations for membership-related policies. Also responsible for identifying member service needs and interests and developing new Villagesprovided services and/or identifying other providers to meet these needs. Work with Volunteer Committee to identify where volunteer training may be needed as new services are defined. 4 The committee will continuously look for ways to improve and tailor service offerings through direct service volunteers, preferred vendors, and partnerships. Objective is to create a one-stop shop for members: to help members navigate existing programs and services countywide through information and referral and to fill gaps in existing services using Villages volunteers and strategic partners. Specific activities include: Work with Communications and Marketing and Local Villages Committees to coordinate implementation of membership outreach strategies. Work with Strategic Futures and Measurement Committee to assess member satisfaction with delivery of current services and opportunities to offer new services. Create a Preferred Vendor program by researching opportunities for group discounts with local vendors Monitor member satisfaction with Washington Consumer CHECKBOOK, Arlington 55+ programs, and other partnership offerings Develop integrated packages of services to cover the continuum of member needs. On the topic of housing, for example, to build on the currently offered home safety assessment service to supply assistance in developing contractor statements of work for home safety and accessibility modifications, providing information about vetted building contractors, helping with evaluation of bids, help with overseeing work and ensuring all punchlist items properly completed. Prepare “just-in-time” advisories tailored to current happenings, such as the emergency services advisory prepared for last year’s polar vortex and the Heartbleed IT advisory. Health and Wellness Responsible for developing a robust program of health and wellness-related services and programs that help members maintain their health and better cope with health crises while continuing to live in their neighborhood. This includes: Organizing classes and support groups to encourage and help members set and pursue their personal wellness objectives. Identifying services, health care technology tools and telemedicine programs to help members with chronic health conditions remain safely in their homes. Developing strategic partnerships with health care providers, hospitals, etc., to support their community-based health care initiatives, such as the Washington Hospital Center’s Patient Support Network program for discharged patients. Sponsoring educational programs, e.g., a continuum of care series of workshops to educate members on the spectrum of available lifestyle choices ranging from independent living at home through assisted care options at home, nursing homes, assisted living residences, and hospice services. Identifying high quality in-home health care providers and other organizations that can augment the supportive services provided by Arlington Neighborhood Villages. Social Events and Programs This committee complements the Membership and Services Committee by identifying member interests and needs for social events and programs – activities that members participate in themselves as contrasted with services delivered to them by a volunteer. The objectives are to enhance member quality of life, promote community engagement and reduce social isolation. Offering social events and 5 programs is an important Villages function that contributes significant value to village membership. Specific activities include: Work with Measurement team to assess member interest and ability to access events offered county-wide and through local villages. Create county-wide opportunities for social and cultural events and run these regularly Support local villages in their offerings, establish policies for eligibility such as “open to all,” “members only” and/or “members and volunteers” and “local village members only” Variety of socialization opportunities – local and county-wide Educational programs tailored to membership needs/interests Work with Membership and Services Committee to develop special programs geared to senior interests such as housing and health care that are complementary to service offerings Identify opportunities for civic engagement and input to county and state policymaking on senior issues, e.g., Commission on Aging, Northern Virginia Aging Network 6
