Brighton Marine Health Center Security Department General Directive 00-00 Key Control Key Access Entrance into the Buildings and Offices is designed to provide adequate building security for persons and the property, to assure appropriate access to work areas by employees and tenants of Brighton Marine Health Center and to allow unrestricted Access by BMHC Security and selected maintenance personnel to all areas for reasons of security, safety, and health. All other issuance of keys and Access Card Keys is based upon current BMHC Policy and Procedures. Key Policy Basics: All employees and tenants will be assured access to their workspace. As key holders, individuals will assume responsibility for the safekeeping and eventual return of keys and access card keys. Keys and key access card keys will not be normally issued to employees or tenants without proper authorization. Damaged, lost or stolen keys and access card keys will not be replaced until a report has been filed with the Security Supervisor. Chargeable/Non-Chargeable keys and access card keys: Original keys and access card keys issued to an employee is not chargeable. Damaged, lost or stolen access card keys will be replaced with a chargeable fee of $10.00. Original parts of damaged/broken access card keys must be returned to the Security Supervisor. Replacement of lost/stolen access card keys or failure to return assigned access card keys will result in charges to the person identified as the access card key assignee. Damaged, lost, stolen or additional keys will be replaced or issued with a chargeable fee of $5.00. Employees or Tenants who refuse to return keys or access card keys will be subject to the same fee listed above. Key and Access Card Key Issuance: All employees and tenants will be issued keys and access card keys as needed to access office and/or work areas. All requests must be submitted through the Tenant Request Website under the Key Request form. Only authorized BMHC personnel or authorized Tenant personnel can access the Tenant Request Website. In addition, a signature of the authorized personnel must be submitted on a hard copy of the form at time of key pick up. The authorized Tenant who Brighton Marine Health Center Security Department General Directive 00-00 submitted and signed the key request must properly distribute the key. The Tenant will be responsible for submitting the key to the appropriate personnel. The authorized personnel should ensure they note on the key request the proper person who will be issued the key. Only one access card key may be active for an individual at a time. If a key or access card key is lost or stolen, please notify the Security Department immediately so that the card can be deactivated. Please do so even if there is a chance the card will be found. It is easy to reactivate a card that turns up later. If your key or access card key does not work when it is supposed to, please inform the Security Department of your access difficulties as soon as possible so that this may be fixed. Please do not punch holes in the access card keys. Appropriate holes will be punched for you upon receipt of your access card key. Punching holes in the wrong place will render the access card key to be inoperable. Please do not wash, write on or affix anything to the access card key. Any damage to access card keys will result in a chargeable fee of $10.00. All keys and access card keys are considered the property of Brighton Marine Health Center. Keys or access card keys are not to be left unattended on desks, in door locks, or carried in such manner as to be susceptible to loss or theft. Keys and Access Card Keys Return Issues: Keys and access card keys are to be returned when an employee terminates campus employment, retires, transfers, or changes room assignments. Keys and Access Card Keys Transactions and Forms: Key Request Form Requests for key and access card keys are submitted by filling out a Key Request Form. Forms may be obtained on the Brighton Marine website, www.Brighton-Marine.org. Only authorized personnel have access to fill out a key request form. Once a form has been completed it will be sent to the Security Supervisor. Key Access Authorization Form A Key Access Authorization form must be filled out by each Department head. Forms may be obtained on the Brighton Marine website, www.Brighton-Marine.org. Each form will authorize the appropriate access to each employee working in the Department. Any changes to the form will require a new form to be submitted. No Duplication or Unauthorized Transferring of Keys or Access Card Keys No person may duplicate a Brighton Marine Health Center key or access card key. No person may transfer any Brighton Marine Health Center key or access card key from an individual entrusted with the key or access card keys possession to an unauthorized person, or be in unauthorized possession of a Brighton Marine Health Center key or access card key. Brighton Marine Health Center Security Department General Directive 00-00 Keys and access card keys in the possession of an unauthorized person may be confiscated. No person shall replace without proper permission, damage, tamper with or vandalize a Brighton Marine Health Center lock or security device. Office Access Employees or Tenants who request access to a locked room must contact the Security Department. The Security Department will refer to the Key Access Authorization form provided to the Security Department via the Brighton Marine Website. Any person(s) requesting access to a locked room without proper authorization will not be granted access. It is imperative that forms are kept up to date in order to prevent the best Customer Service from our Security Department.
