The Bumbershoot Festival would like to cordially invite you to apply for a booth in the Festival’s Vendor
Village.
Bumbershoot, currently in its 45th year, is one of Seattle’s most talked-about and best-attended cultural events.
Your participation in the festival will expose your business to approximately 85,000 attendees throughout Labor
Day weekend this year.
Please submit a completed application, along with a photo or rendering of your vendor setup (including signage
and canopy) by July 3, 2015 to: [email protected]. You may also submit questions about your

Exhibitor hereby applies to rent ________ 10’ x 10’ booth(s) with 5’ of work area at the 2015 Bumbershoot Festival (the “Festival”).
Exhibitor hereby requests _________ staff credentials each day for entry into festival grounds.
1. Terms and Conditions
Exhibitors are expected to operate from 1 p.m. until 11:00 p.m. on all days of the Festival, but are encouraged to stay open until the
music concludes on both nights. Should you decide to close early, please take precautions to protect your booth and inventory against
theft. While security will be visible on the grounds, the Festival is not responsible for securing unmanned vendor booths.
Booths are only available for the full weekend. Booths cannot be purchased for a single Festival day.
The Festival is not liable for any loss or damage to any property or artwork/products of Exhibitor resulting from fire, theft or any other
cause.
The Festival is a rain-or-shine event. No refunds or rain dates.
Exhibitors are responsible for providing their own signage and canopies, which are subject to Festival approval. If you do not own a
canopy, please let us know when submitting your application and we can provide a quote for providing a canopy on your behalf.
Exhibitor parking will be provided within close proximity to the Festival grounds.
Bumbershoot with withhold and remit all sales tax due from Exhibitor sales.
Insurance: Exhibitors must have $1,000,000 commercial general liability policy covering personal injury and property damages.
2.
Selection
Selection of Exhibitors for the Festival will be made by a jury based on applications submitted.
The Festival reserves the right to dismiss any applicant for any reason.
The Festival reserves the right to limit the number of exhibitors and to limit the number of exhibitors selling the same product(s).
Participation in previous Bumbershoot Festivals does not guarantee inclusion in 2015 Bumbershoot Festival.
3.
Indemnification and Insurance
Exhibitor agrees to indemnify, defend and forever save and hold harmless the Festival, its affiliates, and related entities, and their
respective parents, employees, representatives, tenants, agents, contractors and volunteers, from and against any and all damages,
claims, losses, demands, costs, expenses (including attorneys, fees and costs), obligations, liens, liabilities, actions and causes of
action, threatened or actual, which any one of the indemnities may suffer or incur arising directly or indirectly out of or in connection
with the exhibit.

Calendar
July 3, 2015: Postmark deadline for receipt of entry (Note: if all exhibiting spaces are not filled, Bumbershoot Festival will continue
to accept applications on a rolling basis until all such spaces are full.)
Week of July 13, 2015: Notification by email of acceptance to the festival
August 3, 2015: All paperwork and payment of booth due (space will be granted only after payment and paperwork is received and
processed). Late paperwork subject to penalty fees. Payment to the Festival should be by certified check or money order. The Festival
does not accept credit cards. Checks and money orders should be made out to AEG Live. In the memo line, please write BUMBER
FOOD VENDOR. Food vendors will be required to submit the following:
• Insurance: Exhibitors must have $1,000,000 commercial general liability policy covering personal injury and property damages.
• All licenses, applications, permits and fees required by City of Seattle and King County (packets to come from Festival upon
notification of acceptance to the festival)
• Extra power requests/payment for power
September 4, 2015: Set up (exact times will be communicated as the festival draws closer)
September 5-7, 2015: Bumbershoot Festival Dates
September 8, 2015: Tear down

Fees
Base Fee: $3,000 (includes all three days of event) plus ten (10) meal vouchers per day to be provided to Bumbershoot for festival use.
Commission: In addition to the Base Fee, each vendor will be charged a fifteen percent (15%) commission on gross sales above
$3,000 (after sales tax is deducted).
** Bulk rates are available for vendors who reserve more than one space.
Items Included in the Base Fee
• 10’ x 15’ footprint including work area (no tent/canopy provided; all vendors must provide their own tent or canopy or
coordinate with Bumbershoot to provide for you for an additional charge)
• Exhibitor wristbands (quantity to be mutually agreed upon by Bumbershoot and Exhibitor)
• 1 Exhibitor Parking Pass per booth
• Trash removal
• Overnight security of festival grounds
• Power: One 20 Amp, single phase, 120-Volt circuit. You are responsible for supplying your own power cords. If you require
more power than this, send us your request, and we’ll send you a quote. Generators will not be permitted.
**Bumbershoot will not supply chairs, cash boxes/registers, tip jars, etc. Tents/canopies and tables, as well as refrigeration, can be
provided by Bumbershoot for an additional fee (TBD – please ask for quote). All vendors are responsible for their own signage
(subject to approval by the Festival).
All other costs of exhibiting – including, without limitation, shipping, crating, drayage, hanging/set-up, hotel, food, travel, etc. – are
the responsibility of Exhibitor.
6.
Menu Selection and Sales Policies
As part of the selection process, vendors will be asked to present 1 to 4 individually priced and unique items. Vendor food items
should be able to be prepared quickly, and efficiently, in order to accommodate the large amount of traffic. The Festival’s goal is great
food, friendly service, and low patron waiting time.
Selected vendors will not be permitted to sell any items not approved the Festival. The Festival also reserves the right to remove
specific items from your menu in accordance with our policies listed in the vendor packet, which will be provided upon acceptance to
the festival. Restrictions may apply for the sourcing and brands of water, soft drinks, and energy drinks, based on exclusivity
agreements with Seattle Center and existing sponsors.
Exhibitors are NOT permitted to sell or use any Festival related or recognizable logos, including bands/artists at the festival. No
“hawking” or roaming sales are allowed.
No alcohol sales are allowed by Exhibitors under any circumstances.
MENU
The main goal of our food courts is to serve our patrons quality menu items by professional, friendly staff--with wait times kept to a minimum.
Make sure your menu selections can be served in a timely manner. Critical to efficient turnaround (and more sales!) are points of service. 10 x 10
booths should have 2-4 points of sale. 10 x 20 booths should have 4-6 points of sale. All menu items and pricing subject to approval.

All vendors will be limited to 1 to 4 items. Please provide a brief description of each item with pricing. Prices need to be in full dollar amounts
and are subject to approval. Exhibitors are required to use compostable serving products per City of Seattle regulations. Description of items and how
they are served, IE: paper plate, wrap, cone etc.

INCOMPLETE AND/OR UNSIGNED / UNINITIALED APPLICATIONS WILL BE DISCARDED. APPLICATIONS
RECEIVED PAST THE DEADLINE WILL ONLY BE CONSIDERED IF SPACES ARE STILL AVAILABLE.
I represent and warrant that all information in this application is true and correct. I hereby authorize Bumbershoot Festival to use our
name and visuals in Bumbershoot Festival publicity materials and advertisements. I have read, sought counsel regarding, and

send the information via US Mail please note that on the application form. Please address any questions you may have in
writing and enclose with your application form. All proposals will be reviewed, and a letter will be emailed to you
indicating whether or not you have been accepted.
