An updated statement will be e-‐mailed to your primary and secondary unit contact in April. 2. At least one adult leader should attend the Pre-‐Camp Leader’s Meeting in April. Our Camp Director will conduct the meeting, and it is a good opportunity to ask any questions you may have. After the Leader’s Meeting begin planning by considering each Scout’s interests and advancement needs. The Online Merit Badge worksheet for Scouts is filled out. Your unit’s primary contact will receive an email with a link to register your Scouts and Adult Leaders for classes and programs online. TWO MONTHS BEFORE CAMP 1. Ensure that each Scout and adult leader has made arrangements for completion of the medical form including a full physical examination. 2. Supply each Scout with a personal equipment list. 3. Finalize program planning, considering each Scout’s wants and advancement needs. 4. A final statement will be e-‐mailed out to all units. Your deposit will be applied to your final balance. ONE MONTH BEFORE CAMP (30 days prior to camp) 1. Finalize Camp program plans and advancement needs. 2. Pay balance of fees to San Diego Imperial Council sixteen days prior to your departure at the latest. Please make sure parents are aware of this deadline. 3. All physical examinations for Medical Form should have been completed at this point. 4. The unit leader should collect individual Scout forms and medicals to be brought to Camp. 5. Unit Committee finalizes transportation needed to and from the camp. A FEW DAYS BEFORE CAMP 1. Hold a personal pack, gear, and uniform inspection. 2. Unit and Patrol equipment should be ready for packing. 3. Update online merit badge class signups as needed. 4. Make a final check on transportation. CFI Leaders Resource Guide 2015 San Diego-‐Imperial Council 2 REGISTRATION -‐ PRE-‐CAMP As you prepare your troop for resident camp this summer, here are a few points to keep in mind while going through the registration process. 1. Always keep a copy of all receipts and forms related to camp for your troop’s records. 2. Keep all your camp related receipts and forms together and have them with you any time you go to the Scout Service Center to make arrangements and payments for camp. 3. Always take all of your camp related receipts and forms to camp when your troop attends. 4. If whomever handled all the pre-‐camp registration will not be going to camp with the troop, then make sure that the leader who will be going to camp has all the necessary copies of receipts and forms. Make sure that they understand what the receipts and forms mean and are prepared to complete the registration process at the camp office. A few points to consider in regards to reservation deposits from the Council Camping Committee: 1. If your troop’s number of paid campers exceeds the number of available spaces in the campsite that you requested, then your troop will be relocated to a larger campsite to accommodate your increased numbers. If your troop brings more campers than our largest campsite can accommodate they will be allocated in neighboring campsites as best facilitates their size 2. If your troop’s number of paid campers does not fill the available spaces in the campsite that you requested prior to your arrival at camp, then it is possible that a) to accommodate a larger troop, your troop may be moved to a smaller campsite that will still hold your entire troop or b) your troop may have to share a campsite with another small troop. Submit Parent’s Night reservations and payments CFI Leaders Resource Guide 2015 San Diego-‐Imperial Council 4 Troop Forms Merit Badge Sign-Up: A form, available online, is provided to help Scouts plan their merit badge week. Once completed, Scouts give the forms to the adult leader responsible for registration who enters the information online. Registration is to be done before coming to camp. Attendance Roster: The new attendance roster needs to be filled out and brought to camp. It needs to have the up to date information on who is in camp. It will be collected at the Trading post with the other paperwork upon your arrival to camp. Troop Tour Plan: Any out of council troop attending camp needs to make sure they file a troop tour plan with their council. All SDIC troops do not have to worry about this. Insurance: All Scouts and leaders who attend our camp must be covered by unit accident insurance and must provide SDIC with the name of the unit's health and accident insurance policy, the policy number and expiration date. Individual Forms Health Forms: All campers, adult and scouts, must provide completed Annual Health and Medical Records forms. A school sports physical is not acceptable. Parts A, B, and C must be filled out, with a physical having been completed within the past twelve months. These forms can be found online at http://www.scouting.org/scoutsource/HealthandSafety/ahmr.aspx Youth/Adult Permission Form: This is a double sided form that includes permission to treat minors, permission for full program, and permission to use firearms. This form needs to be filled out and brought to camp by both youth and adults. Please remember to check for all signatures. Merit Badge Prerequisite Form: This is needed to show that your Scouts have successfully completed the requirements needed for their merit badge classes. Individual Scout Activity Form: Please make sure that each scout has the proper permission waivers completed for activities that are offered during camp and on Wednesday. Arrive as a troop at camp by at 2:00pm • According to City Regulations no campsites will be assigned prior to 2:00pm • Wait in the parking lot with your troop until the whole Troop arrives • All vehicles must be returned to the camp parking lot after unloading in designated areas only • Insure that all Troop members are wearing swimsuits under their field uniform ____2. Check-in with Camp Director and meet your First Mate at the Quarterdeck Verify all troop members have arrived and are ready to check-in ____3. Check-in at the Youth Aquatic Center with the following items: • Speedy Check-in Form (from the Leader’s Guide) • All camp related receipts and any last-minute registrations and payments • Updated copy of Scout & Adult Roster Forms • Tour Permit • Council insurance documentation • Permission waivers for all required activities ____4. Monday check-in is at 6:00 a.m. Although the check-in procedure is mostly the same, it is imperative that the Camp Director has all unit information in advance: roster, medical forms, scout/leader information forms, and fees. Failure to arrive by 6:00 a.m. could result in swim checks being delayed until free time (4:00 p.m. - 5:00 p.m.). Swim checks are required to participate in any waterfront activity. A log book will be available at all times for this purpose. Every time they sign-in to camp, they will be issued an ID bracelet that they must wear the entire time they are in camp. If your troop will be using different leaders throughout the course of the week, make sure that the rotation schedule is clearly indicated on the Adult Roster Form when turned-in. Scouts must have twodeep adult leadership at all times. Scouts Youth members of your troop may not leave camp without the permission of a parent or legal guardian and a troop leader. A leader to make sure that the Scout is leaving with the right person must accompany the Scout wishing to leave to the camp office. Any Scout leaving camp with anyone other than a parent or guardian must present a Scout Release Request Form (See Forms Appendix) completed and signed by their parent or legal guardian and be approved by the troop leader. The Scout must also sign-out and sign-in the log book at the camp office. Parents taking their Scout home before the end of a session must sign their Scout out. All absentees or “no shows” will be verified with the troop leader at the camp office during check- in. The Camp Director will request that the troop leader for each absent or “no show” member provide a reason. Reason(s) for each absence may be verified, as necessary, by telephone with the parent or legal guardian. The Camp Director, who will take action, as appropriate, and will promptly notify the Scout Executive, will document irregularities. VISITORS Visitors are welcome throughout the week at camp. Please inform anyone from your troop who is planning to visit camp that they must first report to the camp office where they will sign-in the logbook; giving their name, the name of the Scout and/or campsite they’re visiting and/or the purpose of their visit. At that time, they will be issued a colored wristband that they must wear the entire time they are in camp. Once their visit has concluded, they must stop by the camp office again and sign-out and surrender their colored wristband. If a visitor is planning to join your troop for any meal, please have them pay (if they haven’t already done so) at the trading post and pick up their meal ticket. Check Merit Badge blue cards for their scouts at the Dining Hall on Saturday morning. •Please ensure that each Scout has all of their blue cards. •Directors will be present to answer any questions. 2. Pack up all Troop gear to be prepared to load and go on Saturday Morning. 3. Attend Breakfast. 4. Head back to the Campsite for Scouts to prepare personal and troop gear. 5. Meet your First Mate to go through the site check out process. *Wipe down, wash, and rinse off picnic tables. *Pick up all trash in and around your campsite. *Clean out your fire ring 6. Drive safely and enjoy wonderful memories of another great Summer at CFI Saturday Morning Schedule Breakfast-7: 45am Camp Inspections- 10am CFI Leaders Resource Guide 2015 San Diego-‐Imperial Council 11 General Information Meals -Meals are catered and served by the staff. Dining tables are set up on the “Bay View Terrace.” -Meal tickets for guests can be purchased at the Trading Post at a cost of $9.00 each. -As a courtesy to other campers, we ask that hands are clean before entering the food line. -Hand sanitizer is available on the Bay View Terrace. -Shirt and shoes must be worn at all meals. The Field Uniform is required for dinner. -The designated service troop(s) will remain after dismissal to assist with clean-up. Clean Up Duties Each troop will have a cleaning assignment every day. Copies of these assignments will be distributed on the first day of camp in addition to being posted on the Bayview Terrace. Your First Mates will be available to assist and instruct your unit with its duties each day. Additionally, every troop is expected to be present during camp wide clean-up (at the waterfront) each day at 5:00 p.m. Trading Post Our trading post will be open throughout the day for many of your camp needs. Campers will find souvenirs, Scouting accessories, snacks, class materials, and other goods for sale. The average amount of money a scout brings to camp is $30 to $50. Trading Post hours are as follows: Sunday: 8:00 pm- 9:00 pm Mon-Fri: 8:30am - 9:00pm Sat: 8:30 am - 10:00 am CLOSED DURING MEALS Uniform and Dress Code The official field uniform is appropriate to wear to and from camp, during evening flag ceremonies and dinner. A more casual uniform such as Scout Shorts and a T-Shirt may be worn during most other activities. Activity appropriate footwear is required at all times in camp except when in or entering the water to swim. Campers are encouraged to bring shoes, which will cover the entire foot as well as beach footwear such as water shoes or sandals. Shoes and shirts are a requirement for all meals. CFI Leaders Resource Guide 2015 San Diego-‐Imperial Council 12 Health and Safety Health Lodge A qualified Health Officer is on duty at all times and trained in dealing with the emergency and non-emergency medical needs of the camp. In the event of serious accident or illness, transportation will be arranged to the closest, most appropriate medical care facility. A unit leader must accompany any Scout leaving camp property to obtain medical assistance. Parents will be contacted immediately in any case where the scout must leave camp property to obtain further medical care. Medical Forms Each Scout and leader at camp must have a health examination prior to arrival at camp. Please bring 2 copies of medical forms to camp. Campers include a photocopy (front and back) of their health insurance card with the medical forms. Parts A, B and C is required for camp. These forms are available in the back of this guide and for download on the council website: http://www.scouting.org/scoutsource/HealthandSafety/ahmr.aspx Prescription Medicine Pursuant to National BSA regulations, all prescription medication must be kept locked up. Medications needing refrigeration will be collected during check-in. Emergency medications i.e. rescue inhalers, epi-pens, etc. should be kept with the camper. Furthermore, Camp Fiesta Island medical staff is not responsible for ensuring that a Scout takes his/her medicine, this responsibility resides with the scout and the unit adult leaders. Pursuant to State regulations all medications must be in the original prescription container with the pharmacy label attached. Every troop must complete an “In Camp Medication Form” (available in the appendix of this leaders guide) that explains which scouts require medication. A copy of this form may be collected during check-in and stored at the health lodge. Dietary Restrictions Our caterers will work hard to accommodate any dietary restrictions that Scouts or leaders may have. Be sure to let us know before arriving at camp what special dietary needs people have, then check with the Camp Director once you arrive at camp to make sure he understands the situation. Please email camp dietary needs to Charles Jezycki ([email protected]) at least 30 days before camp. CFI Showers and Bathrooms A Scout is Clean. Personal cleanliness should be maintained. Leaders should ensure that Scouts wash their hands before preparing food or eating. The camp provides showers for leaders and for scouts. In accordance with BSA National Policy, Scouts and leaders found in possession of items such as alcohol, illegal drugs, tobacco (if under age 18), firearms of any type, fireworks, slingshots/wrist rockets, and pornography will be immediately removed from camp. CFI Leaders Resource Guide 2015 San Diego-‐ Imperial Council 15 Statement of Camp Policies & Procedures 1. The camp will be operated on the chartered unit basis (troops and packs under their own leadership), which is recognized as the ideal method for Scout Camping. 2. The camp program will be organized on a troop/pack basis and administered on the principal that it is a camp being operated and maintained for the benefit of all units and the youth members of the Susquehanna Council, Boy Scouts of America. 3. Unit leaders will deal directly with the Scouts. The services of the camp staff are counseling, coaching and of a supervisory nature. The purpose of camp is to provide experiences for the units that will make them better able to conduct their own program. 4. The program of the camp will be based upon the needs and desires of the units to the greatest possible extent that camp resources will permit. 5. Unit leaders should see to it that all new campers are properly oriented and assisted to get the most out of the camp facilities and to assure the Scouts of a positive experience. 6. Each youth camper must be a registered member of the Boy Scouts of America to attend these camps. Boy Scout camp participants must be registered as Boy Scouts or Varsity Scouts. It is not permitted because of health, safety and insurance reasons for younger children of unit leaders or other non-registered youth to stay in campsites during camp. 7. There shall be a minimum of two adult leaders in each unit campsite. The unit leader or anyone serving as a unit leader must be at least 21 years of age and a registered member of the Boy Scouts of America. The second adult may be a registered Scouter 18 years of age or older, or a registered parent of a participating youth member. Registration must be paid registration with a unit, district or the council. The sharing of qualified leaders between units in the same campsite is permitted under a mutual agreement between chartered organizations in that each accepts the other’s unit leader. Such agreements must be stated in writing. Beyond the minimum of two registered leaders, any third or fourth leader would not need to be registered as long as they are the parents or guardians of a participating unit member. 8. Each participant will be provided accident and sickness insurance by the Susquehanna Council as long as they are currently registered with the Susquehanna Council. Participants who are not members of Susquehanna Council units must provide evidence of their own accident insurance as they are not covered by the council policy. 9. The buddy system is used at all times. The adult leader is responsible for carrying out this regulation. Whenever a Scout leaves his group for any reason, his buddy must accompany him. This applies also to the necessary trip to the latrine at night. 10. Hazing, initiation or any type of physical or emotional abuse to any person in camp will not be tolerated at any time. Immediate action will be taken to correct these occurrences should it be necessary. 11. Any emergency in camp will be handled quickly and effectively. All campers are asked to go immediately to the parade field upon hearing the long rings of the siren located at the dining hall. Unit leaders should take roll call of their Scouts and await further instructions from a staff member. These steps should be followed regardless of the type of emergency. The Boy Scouts of America have some firm policies regarding situations, which could occur in camp. Any camp staff member, adult leader, Scout, or visitor unwilling to abide by these policies is unacceptable in camp. These are not negotiable. illegal, Immoral or Unacceptable Acts As a character-building organization caring for other people’s children in camp, any illegal or immoral activity has no place in the Boy Scouts of America. 13. Possession, use or being under the influence of narcotics or dangerous drugs (including marijuana) will not be tolerated on the properties of the Boy Scouts of America. This does not involve the proper use of prescribed medications by a patient under the care of a licensed physician. 14. Possession, consumption or being under the influence of alcohol (including beer) will not be tolerated on the properties of the Boy Scouts of America. Action Taken on Above Violations 15. The San Diego Imperial Council observes the Smoke Free Policy of the Boy Scouts of America which prohibits smoking in all facilities of the council and of the Boy Scouts of America. Therefore, tobacco use is not permitted in any building, storage shed, program area or other facilities for general use of Scouts, leaders and visitors. An adult who must use tobacco is asked to use discretion and not smoke around Scouts and other youth in camp, as well as not in any enclosed facility, which includes tents. Fiesta Island is a smoke free zone. When an individual is suspected of having committed an act of an unacceptable nature, the following steps will be taken: 1. The Camp Director is to be notified immediately. If the matter is of a serious nature, the Scout Executive will be immediately notified. 2.All inquiries will be undertaken in a careful and confidential manner by the Camp Director or Scout Executive. The Boy Scouts of America supports all local laws, ordinances and codes of government bodies in whose territory we operate our facilities. In order to be eligible for the prestigious Camp Fiesta Island Honor Troop Award, you must have an overall average of 90 points. Please plan ahead and think about what you might need to fulfill some of the requirements. Additionally, we recommend that international troops fly the flag of their country. 2. Unit numbers may be displayed by using a Troop Flag, signs, rocks, sticks, seashells, etc. 3. Gateways must have two free standing poles with guidelines or two tripods; additionally, a cross section of wood, rope or a banner must be attached. 4. Flagging may consist of duct tape, flagging tape, brightly colored yarn or aluminum foil. 5. All tent flaps must be closed, when not in tent, due to the aggressive mammals we have in camp. 6. A bulletin board can be made of cork, wood, plastic, medal, or cardboard. Place all pertinent information pertaining to your troop on the board, include this campsite inspection sheet. 7. A fireguard chart must be filled out completely. Rakes and shovels should be placed next to the fire ring. 8. Each campsite has a trash can; don’t throw trash on the ground or in the FIRE RING. Stow all gear in your tent and hang wet clothes on your clothes line or canopy 9. A camp improvement project or camp decoration needs to be completed daily prior to the inspection. Some examples might include; but are not limited to; gateways, clotheslines, weather rocks, sun dials, monkey bridges, decretive raking, designs made from shells or rocks, and Zen gardens. (Violators will be cited) -‐There is no parking or stopping in the red zone for loading or unloading. (Violators will be cited) -‐No vehicles are allowed on the turf and dirt areas within the campsites at any time. (Violators will be cited) -‐All vehicles must park in the Main Parking Lot only. Parking overnight in the loading zone is prohibited. (Violators will be cited) -‐No RV’s / or 5th wheel trailers are permitted at the youth camp-‐only tents and / or sleeping bags are permitted. Fires -‐All unused firewood brought into the youth camp must be taken home. -‐Only clean wood. Any wood with nails, paints or chemicals, which include pallets is not permitted. No tree clippings and / or cardboard are allowed in the fire pits. Misc. -‐No bikes are allowed within the campgrounds at anytime. -‐NO ALCOHOL, NO SMOKING, NO GLASS CONTAINERS, NO ANIMALS of any kind are allowed at the Youth Camp. All Group Use participants must be accompanied by a SolidRock Gym instructor during their below listed use of the SolidRock Gym (hereafter referred to as SRG). This waiver is only valid for a supervised Group Use of the SRG. Return visits as an individual will require completion of the overall Release, Acknowledgement of Risk, Waiver of Liability, and Indemnification Agreement. THIS AGREEMENT IS LEGALLY BINDING. If any aspect of this agreement requires clarification, have an SRG employee fully explain, before signing. In signing this document, you are waiving the right to bring a court action to recover compensation or obtain any other remedy for any personal injuries, damage to property, accident of any kind arising out of use, supervised or unsupervised, of the SRG facilities, climbing walls, equipment, participation in classes, or activities sponsored by the SRG. I hereby, agree to release, indemnify and hold harmless the landlord of the SRG, any persons who have designed, manufactured, or installed the facilities, climbing walls, or equipment at SRG. I agree to release, indemnify and hold harmless all persons at SRG; officers, agents, employees, volunteer assistants, other climbers, visitors, or persons who may be present, from any cause of action, claims, or demands whatsoever. This agreement is binding even if the released persons have contributed to injuries through their individual or collective negligence. This agreement is binding on me, my heirs, next of kin, assigns, and personal representatives. ! Rock climbing, as a sport, has inherent risks. There is an assumed risk of injury rock climbing; this also applies to the controlled environment of SRG. I hereby acknowledge and agree the sport of rock climbing and the use of SRG™’s facilities, equipment, climbing walls, taking of classes, and/or participating in activities sponsored by SRG has inherent risks. Risks include, but are not limited to: injuries resulting from; patrons negligent misuse of the facilities, climbing walls, or equipment; cuts and abrasions resulting from ropes or skin contact with the climbing wall; failure of the facilities, climbing walls, or equipment of SRG; slips, trips, falls, or other, in using the facilities, walls, or equipment of SRG; personal health problems, physical conditions, or other personal areas of concern; individual or collective negligence of the owners, employees, or volunteer assistants, other climbers, visitors, or persons who may be present acting in an individual capacity; negligence or lack of adequate training of any person(s) who seek to assist with medical or other help. ! ! ! I have been warned and am aware of these and numerous other inherent risks in using the SolidRock Gym facilities, climbing walls, and equipment. I fully and voluntarily assume complete responsibility for those risks and for the injuries that may occur as a result of those risks even if injuries occur in a manner that is not foreseeable at the time I sign this agreement.
