Those Guest Groups that do not have tax-exempt status are also responsible for all applicable taxes. RESERVATION REQUIRMENTS ______________________________ Guest Group attendees based on the above listed buildings/locations and fee schedule is agreed to by Cathedral Ridge and the Guest Group. The Guest Group is responsible for paying a Guaranteed Minimum Fee of at least 80% of the Total Cost (Reservations Booked) stated on this Agreement (see cancellation policy below). The Guest Group is expected to pay by the Departure Date the balance due of the Total Cost for all reservations not cancelled within seven (7) days of the Arrival Date. The Guest Group may increase the number of its attendees based on space availability. The Guest Group must give Cathedral Ridge adequate notice of at least seven (7) days in order to adjust the food orders and staffing to accommodate additional guests. Cathedral Ridge reserves the right to book additional groups or individuals during these dates and to manage meeting and accommodation locations, meal times, activity scheduling, and use of the property. CANCELLATION POLICY • Canceling more than 6 months out = Refund of deposit minus the $100 administrative fee. • Canceling 2-6 months out = ½ of the Guaranteed Fee amount (80% of the Reservations Booked) is due. • Canceling 8 weeks or less out = Full payment of the Guaranteed Fee amount (80% of the Reservations Booked) is due. • Canceling 7 days or less out = Full payment of the Reservations Booked is due. DEPOSIT/PAYMENT A deposit of $500.00 is due with this signed agreement. This deposit includes a non-refundable administrative fee of $100. A second deposit of ______________________________ is due on __________ , 30 days prior to the Arrival Date. The full balance of charges is due before departure on the final day. All payments must be received by check from the Guest Group payable to “Cathedral Ridge”. Cathedral Ridge does not accept cash. GENERAL REQUIREMENTS 1. The Guest Group must bring a payment check with them and settle up before departing Cathedral Ridge. NO CASH, PLEASE. 2. The Guest Group will be expected to pay for all damages to the property and equipment beyond normal wear and tear, including graffiti. There is a minimum charge of $50.00 to the Guest Group for each incident of graffiti. Page 2 V T011815 3. The Guest Group is expected to leave the property and individual rooms in a generally clean condition. Excess mess and dirtiness may be charged a cleaning fee of $100 per area/room. 4. The following are not permitted on the property: pets, weapons, illegal drugs, firearms, dangerous knives, fireworks or explosives. Alcohol is only permitted for use by persons of legal consumption age. 5. Smoking is only permitted in designated smoking area(s) on the property and never indoors. Occasional local fire bans prohibit smoking outdoors. 6. The Guest Group must provide a Certificate of Insurance naming Cathedral Ridge as additional insured. (Exempt: Episcopal Diocese Congregations/Groups/Committees covered under Diocese umbrella.) 7. The Guest Group must adhere to the guidelines of Cathedral Ridge as stated above and as may be posted on the grounds. INDEMNITY AGREEMENT The Guest Group and its sponsoring organization agrees that they will release ECCM, d/b/a Cathedral Ridge for any loss, damage, or injury to person(s) or property arising from their use of Cathedral Ridge property under this Agreement except if such loss, damage or injury results from the gross negligence or willful act of ECCM, its agents and employees. The Guest Group hereby agrees to indemnify and hold harmless ECCM from any liability for loss, damage, injury or claim resulting from or arising out of or in any way related to Guest Group's negligent use of the Cathedral Ridge property under this Agreement, and the negligent use of the Cathedral Ridge property by any individual participant of the Guest Group, including all costs and reasonable attorney fees. Any changes to this Agreement must be in writing and must be signed by the authorized representative of the parties hereto.
