SHORT TERM TENDER NOTICE
INVITING EVENT MANAGEMENT COMPANY
Chandigarh Adventure Sports Carnival - 2015
Tourism Department, Chandigarh Administration is celebrating Chandigarh
Adventure Sports Carnival from 22nd to 26th, 2015 at Exhibition Ground, Sector-34,
Chandigarh. Sealed Tender (Technical & Financial in separate envelopes) is invited from Event
Management Companies/Corporate/ Institutions along with earnest money of Rs.50,000/- in the
shape of demand draft in favour of Director Tourism, Chandigarh Administration. Event
Management Companies/ Corporate/ Institutions having minimum three years experience in
organizing such events and minimum 1 year of experience in organizing event with
State/Central Govt. should submit the tender. Event Management Companies may submit
tender for following events:1. Rock Band Evenings (Live Performance) by two Regional Rock Bands to perform on
22nd April 2015 and 23rd April, 2015.
2. Musical Evening (Live Performance) by one of the upcoming Artists i.e. Sanam Puri,
Sonam Kalra, Jasleen Royal, Ashish & Gurdeep Mehndi, Astitva Band, Nasha Band,
Ehsaas Band, Hari Sukhmani on 24th April 2015
3. Musical Evening (Live performance) by one of the Punjabi/Bollywood Eminent Singers
i.e. Babbu Maan, Daler Mehndi, Mika, Sukhwinder, Satinder Sartaj, Atif Aslam, Shaan,
Kailash Kher, Sonu Nigam, Sunidhi Chauhan, Shreya Ghoshal, Shankar Ehsaan Loy,
Arijit Singh who will perform on 25th April, 2015 (Live performance).
4. Rock Band Evening (Live Performance) by one of the Eminent Band i.e. Parikrama,
Indian Ocean, Agnee, Sushmit Sen Chronicles, Louis Banks, Prem Joshua Band, Rabbi
Shergill Band to perform on 26th April, 2015.
The event management company which will seek minimum contribution
from Chandigarh Tourism and manage maximum sponsorship for Musical Nites to bear
the expenditure shall be preferred.
The tender should reach in the office of undersigned on or before 15th April, 2015
by 11:00 AM. The Technical Bids will be opened on same day at 04:00 PM in the presence of
interested representative. The Financial Bids will be opened in the presence of Event
management Companies qualifying the Technical Bid on same day or on the date & time
intimated by Tourism Department. The Expression of Interest received without earnest
money/prescribed experience shall be rejected outrightly. The Director Tourism reserves the
rights to reject any/all bid(s) without giving any reasons. For detailed terms and conditions

Terms & conditions:1.
The offers will be accepted for complete 05 days event which would include
Artist Fee, light and sound, backdrop, stage setup, to and fro of the artists,
transportation, accommodation for the artists, gen set, barricading, license fee of
IPRS & PPL etc.

The Event Management Company should have Service Tax number. The
proof for the same should be submitted in the Technical Bid.
3.
The agency will quote rate of the artists as mentioned in the advertisement
subject to their availability.
4.
The Committee constituted for the purpose shall analyze the credential of the
bidders based upon technical bids as mentioned in tender the technical & financial
bid should be submitted in separate envelopes, the decision of the Committee shall
be final for short-listing of firms for opening of financial bids.

It is not obligatory on the part of Administration to accept the lowest
bidders Administration can give preference to the agencies offering more
sponsorship and repute/fame of artists named for performance. If any agency
ready to organize entire Musical Event of sponsorship rights shall be preferred.
5.
The committee, after analyzing the technical bid of all the bidders will open
the financial bid of eligible/qualified bidders and after that competent authority will
decide/select the artists.
6.
The tender/EOI submitted by the bidders will be straightaway rejected, if
Technical & Financial bids will not be submitted separate envelopes.
7.
The successful bidders will furnish Bank Guarantee amounting to Rs.04.00
Lac for five Nites in favour of Director Tourism, Chandigarh Administration within 5
days from issue of the offer letter. Validity of Bank Guarantee is required till 31st
May, 2015.
8. Financial contribution be given through agreement which will be final & binding
the Event Management Company.
9.
Immediately on receipt of approval, the successful Event Management
Company will submit package confirmation including confirmation by the concerned
artist along with amount mentioned in the bids.
10. Regarding Payment, 50% advance will be released to the agency or artist and
balance 50% will be released after successful completion of the event/Musical Nites
to be undertaken by the firm.
11.
The TDS will be deducted as per rules applicable.
12.
The successful Event Management Company will ensure the whole event for
rain, fire or other natural calamity and will submit the insurance cover to the
undersigned before commencement of the Chandigarh Adventure Sports Carnival.
13.
The agency will submit the license from IPRS & PPL etc. to the undersigned
before five days of the event date.
14.
In case, the successful Event Management Company fails to arrange the
artist mentioned in their quotes/or selected by the competent authority, the
company will be blacklisted for three years.
15.
The Bank guarantee & earnest money given by the agency shall liable to be
en-cashed in case the firm does not provide the artists as per agreement or fails to
perform in the events as per schedule conveyed by the Tourism Department,
Chandigarh Administration. And if the agency violates any of the terms & conditions
contained in this offer. The agency will also black listed for 3 years.
16.
The Tourism Department will provide the venue, seating arrangements,
security & traffic arrangements, permissions to put up the publicity material at
designated places, sound permission to the successful Event Management
Company.
17.
The name and logo of Tourism Department and sponsors on publicity
material i.e. banners/hoardings/newspapers/advertisement etc. will be displayed at
the designated places should be got approved by the Director Tourism.
18.
Sponsorship rights for Musical/Rock Band Evenings to be given successful
Event Management Company by Director Tourism.
19.
In case of dispute of any kind, the jurisdiction shall be Chandigarh only.
