Job Title: Employer: Reports to: Hours of Work: Salary: Gallery Assistant Chisenhale Gallery, 64 Chisenhale Road, London E3 5QZ Deputy Director Part time (3 days per week – Monday, Tuesday & Thursday), 10am – 6pm including one hour’s unpaid lunch break per day £19,000 pro rata The purpose of the post is to assist the Development Coordinator, Deputy Director and Director in all areas of gallery operations, development and administration. This includes day-to-day maintenance of the gallery’s facilities and office systems, supervision of volunteers, helping to maintain the gallery’s online presence through the website, collating and analysing visitor data and supporting the Development Coordinator with administration of the benefactors programme, including recording payments and drafting correspondence. In addition a key element of the post involves administrating earned income streams, (particularly limited edition production, promotion and sales) but also event ticket sales and gallery hires. The Gallery Assistant works closely with the Deputy Director, Development Coordinator and Director, as well as liaising with artists and all staff members, particularly Front of House staff (FOH), and Trainees. Key tasks and responsibilities Gallery / Office Administration - Administrates office equipment and IT systems as well as general building, gallery and office maintenance, with support from the Deputy Director - Manages the general upkeep of the office, kitchen, bathroom and storage areas (tidying / recycling / re-stocking / stock taking etc.) - Maintains and updates the Database - Administrates the Audience Agency project – oversees FOH staff and volunteers to conduct surveys and input questionnaire data. Generates reports and analyses data, disseminates outcomes to gallery staff and Trustees - Edits and updates the website (including the News posts), maintains a regular overview of the whole website – liaising with the Exhibitions & Events, Curator and Offsite & Education, Curator as appropriate. - Administrates Board meetings: Sets up the meeting room and prepares documents - Assists the Director in personal administration including; booking travel and accommodation (producing itineraries as required), preparing expenses claims, and managing RSVP’s Event support - Researches and engages catering from various sources for gallery-based and offsite events - Manages front of house for events including catering provision and coordinating and overseeing FOH staff and Volunteers Finance - Is responsible for cashing up FOH and bar floats, as well as regularly emptying and counting the donations box - Pays in cash and cheques at the bank - Orders consumables for the FOH PDQ machine Development and Earned Income - Supports the Development Coordinator in edition research, production and promotion - Administrates earned income streams, including managing sales, storage and packaging of limited edition prints (liaising with FOH staff), ticketing for events and gallery hires - Supports the Development Coordinator with the organisation of events on and offsite (including art fairs), including drafting and sending invitations, collating RSVP’s, organising catering, volunteers and FOH staff - Manages the delivery, sales and returns of publications - Supports the Deputy Director, Exhibitions & Events, Curator and Education & Offsite, Curator with research and production of funding applications - Supports the Deputy Director, Exhibitions & Events, Curator and Education & Offsite, Curator with reporting to funders General - Some weekend and evening work will occasionally be required - Actively participates in the London contemporary art world – networking with artists, gallerists, collectors, funders and other institutions supporting the work of contemporary artists, to develop working relationships beneficial to Chisenhale Gallery. - Supports the Director, Deputy Director and Development Coordinator with all other relevant tasks as may be assigned Person Specification Qualifications - At least one years’ experience in a relevant role Essential skills and attributes - Pro-active, highly motivated and enthusiastic team player with a desire to develop a career in the contemporary art world through contributing to Chisenhale Gallery’s continued success - Excellent verbal and written communication skills. Reliability and punctuality are essential, as is attention to detail in carrying out administrative tasks - Experience of maintaining websites and social media platforms - Demonstrable and informed interest in contemporary art and visual culture - Knowledge of public and private, national and international exhibition spaces and production agencies, especially those at a similar level to Chisenhale Gallery - Experience of working as part of a small team and demonstrated ability to forge mutuallyrespectful and effective working relationships with a diverse range of personalities in a collegial and cooperative manner, including members of the Board, volunteers, staff - Flexible self-motivated approach to working and experience of multi-tasking, an ability to prioritise and plan under pressure - Good IT skills, particularly in web content management, social media, MS Word, Excel, Filemaker Pro, Photoshop and InDesign.
