Introduction
Each year schools are required to submit teacher assessments and test results for pupils at
the end of their Key Stage and/or for other significant occurrences such as the phonics
screening check.
This process can be managed through the Key Stage wizards in SIMS, ensuring that this
important data is maintained within SIMS and that an accurate picture of a pupil’s statutory
assessment record is compiled.
Course Objectives
The course will cover:

importing Key Stage wizards

setting up the wizards with appropriate pupils

using the various marksheets available to record the teacher assessments (TAs)

recording test results

using additional features on these marksheets

producing standard Key Stage reports for parents

exporting the results

uploading reports to the document server so that they can be easily viewed within SIMS.
Overview
The course is an introduction to recording the statutory Key Stage results in SIMS using the
Key Stage wizards. It will also cover creating reports for parents and exporting results to the
required agency.
It will address Key Stages 1 and 2, the early years foundation stage (EYFS) and the Phonics
Screening Test.
Course Requirements
An understanding of how SIMS is used to maintain and update pupil information is desirable
but not essential.
No prior knowledge of SIMS Assessment is required.

Chapter Introduction
If all the KS1 and KS2 pupils, with whom you are concerned, are in years 2 and 6
respectively, then this chapter can be ignored.
For all key stages, if there are also pupils assigned to other year groups, a user defined
group should be created to be used in the wizard.
Log in to SIMS using the following details:
User Name

NOTE:

Neither the User name nor the Password is case sensitive.

Staff need to be reminded to change their passwords regularly.
Step by Step – Creating a User Defined Group
1.
Select Focus | Groups | User Defined Groups.
2.
Click the New button to create a new group.
3.
Insert a suitable name and code for the group, for example, EYFS 2015, Yr1 Phon
2015, Yr 2 Phon 2015, KS1 2015 or KS2 2015.
4.
Select Active from the Active Status drop-down list.
5.
Add some notes if required, and then click the Save button.

If required, select a supervisor by clicking the Current Main Supervisor browser after
which the Manage Group Supervisor screen appears. Click the Action button, and
then click Add Supervisor.
7.
Click the Search button.
8.
Select Jennifer Boswell, and then click the OK button.
9.
Make the person a main supervisor by selecting Main Supervisor from the Supervisor
Title drop-down list. Click OK.
10. Move on to the Membership section.
11. Click the browser to the right of Effective Date Range.
12. Choose Custom Dates and enter the date appropriate for the Key Stage timeframe.
13. Click the Action button, and then select Add student to add pupils to the group.

14. Select the Year Group – Year 2, and then click the Search button.
15. Select the pupils required by selecting individuals or in multiples.
16. Click the OK button. The names of these pupils will appear in the field below.
17. Click the Save button.
For other pupils who are being assessed for KS1 or KS2, but have been allocated to other
years, select the appropriate year and pick those pupils out to add to the relevant group
which has just been created.
18. Select a few Year 1 pupils by selecting individuals or in multiples.
19. Click the OK button. The names of these pupils will appear in the field below.
20. Click the Save button, and then click the Close button to close the group.

Chapter Introduction
As part of the Spring Upgrade, the 2015 Key Stage resources will be available. These
resources can be imported in bulk using the automated Import Assessment Manager
Resources process.
Ensuring the Spring 2015 Release has been Applied
Before continuing with this process, SIMS should be upgraded to version 7.162 or higher.
To check which version is currently installed, select Help | About SIMS on the menu bar.
This should be version 7.162 or higher.
If the correct version is not being used you will need to contact your local support team.
Step by Step – Initiating the Automated Import Process
The Assessment Manager Resources process screen is initiated when you first enter the
assessment area.
1. Select Focus | Assessment | Marksheet Entry.
2. Ensure that at least the AMPARK Resources box is ticked and select Yes. This will
ensure that the 2015 Wizards and Templates are available for import into SIMS. This
process may take some time.
NOTE: If you choose to import all resources available please be aware that the
process will take a considerable amount of time to complete.
3. On completion, an Activity Log is displayed. Use the scroll bar to check the import and
click Close. You can also print and save the log for reference.

Step by Step – Check that all Wizards have been Imported Correctly
The automated import will ensure all necessary key stage processes are imported. We need
to check that all necessary wizards are in place to manage the key stage processes.
1. From the SIMS Home Page select Tools | Performance | Assessment | Wizard
Manager.
2. All primary schools should see each Wizard for 2015, as shown in the graphic displayed
below.
NOTE: The Filter will display Incomplete wizards by default. Therefore, if you fail to
mark previous year wizards as complete, they may also be displayed.
Step by Step – Manually Importing the Wizards
If a school failed to initiate the process to automatically import the AMPARK Resources, then
the import will need to be completed manually for each key stage wizard one at a time.
We notice at the time of checking that the EYFS Wizards failed to import. We, therefore,
need to complete the following process
1. Select Routines | Data in | Assessment | Import.
2. Click the field browser button.
3. Navigate to C:\Program Files\SIMS\SIMS.net\AMPA.
NOTE: Schools who have a 64bit workstation will find the AMPA directory at the
route of C:\Program Files x86\SIMS\SIMS.net\AMPA.
4. Double click the England Primary (and Middle Deemed Primary) folder.

5. Select Assessment Manager and click Open.
6. Highlight EYFS Profile Wizard 2015
7. Click Open.
8. Ensure you have the Overwrite with Default Values box checked.
9. Select Finish, and then Yes to process with the import.
10. On completion, an Activity Log is displayed. Use the scroll bar to check the import and
click Close. You can also print and save the log for reference.
NOTE: You would need to repeat the above process for each key stage
wizard as required.

Chapter Introduction
This chapter covers the process from beginning to end for the early years foundation stage,
including, entering results, printing the reports and exporting the results.
SIMS contains Key Stage wizards that enable schools to enter their Key Stage results onto
marksheets to:

record and save each pupil’s attainment at the end of each key stage

export their results to the LA and other schools via a CTF

use the results as part of a tracking system within SIMS Assessment

produce individual reports for each pupil showing their Key Stage results

upload copies of these reports to the document server

print comparative reports to give to parents.
Identify the Early Years Foundation Stage Pupils
If all pupils being assessed are in reception year, continue as below. If, however, pupils in
other year groups are being included with year R, then a user defined group should be
created for use in the wizard – as described in Chapter 1.

Step by Step – Using the Early Years Foundation Stage Wizards
The EYFS profile wizard enables the entry of results for each assessment section of the
Foundation Stage Profile. It is recommended that schools use this wizard to enter results.
1.
Select Tools | Performance | Assessment | Wizard Manager.
2.
Leave the filter on Incomplete, and then click the wizard which is going to be worked
with – in this case EYFS Profile Wizard 2015.
3.
Click the Next button.
4.
From the Select Group screen, click the browser button to display the Selector dialog.

5. Click the + icon next to Year Group and select Year R or the + button next to User
Defined Groups to select the user defined group that was created earlier, and then click
the Apply button. This places this group on the Select Group screen.

7. The following screen appears listing the single marksheet available, as shown in the
graphic displayed below.

Step by Step – Results Entry
1.
Either double-click the marksheet or highlight the marksheet, and then click the Edit
Marksheet button.
A marksheet with the year R pupils or the EYFS 2015 group that was created earlier is
displayed and columns relating to the seventeen assessments that need to be entered.
2.
Type a 3 (Exceeding), 2 (Expected), 1 (Emerging) or A (Unable to access or exempt)
for each pupil in the appropriate white cells.
3.
A quicker method of entering grade results is to right-click in the first cell and Select
Grade for Cell from the drop-down list, as shown in the graphic displayed below. Drag
the View Select Grade dialog box so this can be viewed with the pupils’ names and the
Result column. Double-clicking the result for the first pupil places that result on the
marksheet and moves to the next pupil. Click the Close button to close the dialog box
and return to the marksheet.

4.
Each of the white columns without ƒ enables the entry of the EYFS level (3, 2, 1 or A as
described earlier).
5.
Once all these columns are completed click the Save button. The columns with ƒ in their
header will be completed.
6.
The Data Check column is used to check there is an entry for each area for each pupil.
7.
Make sure levels are entered for all pupils.

Where a missing result is found, the Data Check column will return a value of Missing
and colour red, as shown in the graphic displayed below.
9.
To correct a result (even if the result has been saved) just overtype with the correct
number, and then click the Save button again so that the calculations are based on the
most recent result.
Using the Wizards for Reporting to Parents
Once all the results are entered on the marksheets, reports can be produced. The wizards
will produce an individual report for each pupil.
Step by Step – Reporting to Parents
To access and use the reports:
1.
Select Tools | Performance | Assessment | Wizard Manager.
2.
Select the EYFS Profile Wizard 2015. Click the Next button.
3.
The group selection may be left as it is. Click the Next button.
4.
When presented with the list of marksheets click the Next button.
5.
Select the EYFS Profile Pupil Report 2015 report. This will produce reports for all the
pupils selected from the list below.

Step by Step – Previewing Reports
1.
Make sure only one of the pupils is selected, and then click the Preview Report button.
The report will show the pupil’s results.
2.
As Word opens, if prompted, select Enable Macros.
3.
When the preview is displayed, click the Close button to close Word and return to the
wizard. Click No if asked to save the report.
Step by Step – Printing Reports
1.
If reports for all pupils are required then Select All. If not, go through the list and choose
those who are required by selecting the check boxes.
2.
Click the Print Report button. Reports will be created in Word for those pupils selected.
3.
Close Word without saving.
Step by Step – Uploading Reports
A copy of each pupil’s report can be saved in the document server. This can then be viewed
at any time.
1.
Once reports have been generated they can be uploaded, either individually or in bulk,
by clicking the Upload Report button.
2.
To view the copy open the Pupil Details screen for the pupil and select Linked
Documents in the Links panel on the right. The report will open as read-only.

Exporting Results
Early Year Foundation Stage results need to be sent to the Local Authority (LA). The LA may
ask for results in a CTF or as a results file that is produced by the assessment wizard. The
procedure for transferring the results will vary from one LA to another.
Step by Step – Exporting the Results in a CTF
1.
Click the Close button to close the wizard, and then select Routines | Data Out | CTF |
Export CTF.
2.
Select the CTF export type of Early Years Foundation Stage data (FSP).
3. The default view displays all current pupils including those that have previously had a
CTF created. Ensure that the default of Include students already exported is active
4. All pupils within the school will be displayed. Click the down arrow to the right of Year
Group, and then select Year R.
5. Right-click in the Destination LA/Other cell for the first pupil in the list.
6. Choose Select All to highlight all pupils.

7. Left-click in the Destination LA/Other cell for the first pupil, and then using the down
arrow scroll to your LA Name. Each child will now be marked with the relevant LA.
8. Click Export.
9. You will receive a message related to address tidy. Select Yes to continue.
10. Check the Exception Log file.
11. The file is now ready to send via your preferred method of secure transfer, as defined by
the LA.
12. Close the export CTF page.

Step by Step – Exporting the Results Using the Key Stage Manager Wizard
To use the Key Stage Manager wizard to export the results to a XML file:
1.
Click the Next button repeatedly until after the section that produced the reports.
2.
The group membership dates display the current date by default. If these dates need to
be changed click the Refresh button to display the pupils who are on roll between the
selected dates for the particular group.
3.
Deselect the check boxes adjacent to any pupil(s) for whom results do not need to be
exported.
4.
Click the Export button, enter a Name for the results file and navigate to the location
where the file needs to be saved.
5.
Click the Save button.
6.
A message is displayed at the bottom of the Export screen: The XML file has been
successfully created.
7.
Click the Finish button to exit the wizard.
8.
Export using a secure file transfer routine.

This chapter covers the process from beginning to end for the Key Stage 1 (KS1) results,
including entering results, printing the reports and exporting the results.
SIMS Primary Tracking
Schools already using the CES/CAS primary tracking templates and grids supplied by Capita
SIMS may have already entered their teacher assessments (TAs) for the autumn and spring
terms. Once the TAs for the summer term 2015 have been entered on the marksheets in the
normal way for tracking purposes, another marksheet can be used to convert those TAs into
the official KS1 TAs for 2015. These results will then be displayed and used in the KS1
wizard; you will not need to enter the results again.

There are tracking marksheets available for import to record maths, science, and writing,
speaking and listening and reading for year 2.
Above is an example of the year 2 tracking progress in reading levels for year 2 marksheet:
Above is an example of the marksheet that can be used to convert the summer term TAs for
English and maths year 2 summer results into the validated results for KS1.
These results will then appear in the imported Key Stage 1 wizard.
Details of the 2015 Key Stage requirements can be found in the assessment and reporting
arrangements 2015 for each Key Stage from the DfE website.
Identify the Key Stage 1 Pupils
If all pupils being assessed for KS1 are in year 2, continue with the next Step by Step Using
the Wizards – Entering Results. However, if there are also pupils assigned to other year
groups then a user defined group should be created to be used in the wizard. This was dealt
with in Chapter 1.

Select Tools | Performance | Assessment | Wizard Manager to display the screen
shown in the graphic displayed below. If other wizards have been imported in the past
they will also appear in the list.

For KS1 there are five marksheets:

a) Enables entry of teacher assessments in each of the core subjects, creates validated
results and ensures no pupils are missed.

KS1 B. P Scale Data Entry 2015
b) If a pupil is recorded as W within the KS1 A Teacher Assessment marksheet, the
recording of NOTSEN or P scale data is statutory. P scales are used to record the
performance of pupils with SEN where they are working below level 1 (W) of the
national curriculum. P scales or NOTSEN should be recorded in English,
mathematics and science for relevant pupils.
NOTE: If pupils are working at P scale level or are not accessing the National
Curriculum because of EAL their results should be recorded as a W on the KS1
teacher assessments 2015 marksheet and given the appropriate P scale
level/NOTSEN level on the KS1 P Scale Data Entry 2015 marksheet.

KS1 C. Test Outcomes 2015
c) Enables entry of optional test scores.

KS1 D. Broadsheet (Review) 2015
d) Displays all the results for each pupil that were entered through marksheets A and B.
Marks cannot be entered on marksheet D.


e) This enables the average point score to be calculated for tracking purposes without it
needing to be done elsewhere in SIMS Assessment.

Results Entry
From the list of marksheets that are shown, select the one required by highlighting it, and
then clicking the Edit button.
For example, to enter results for KS1 A. Teacher Assessments 2015, highlight the
marksheet, and then click the Edit button on the right of the screen.
A marksheet with the year 2 pupils (or the user defined group created earlier) is displayed,
and columns that relate to the assessments which need to be entered. If required, this
marksheet may be printed by clicking the Print button.
NOTE: If the school has decided to convert year 2 summer 2015 grades entered
into the CES primary tracking templates to end of KS1 levels, using the CES
convert to KS1 year 2 template, marksheets may already be populated with levels,
which would need to be checked.
Enter a level and use the down arrow on the keyboard to move to the next pupil.
Instead of typing the level you can select the appropriate level from a list. Right click in the
first cell and Select Grade for Cell. This displays a dialog box which can be dragged so that
the pupils’ names and the result column may be seen.
The appropriate level can be selected by double-clicking the Level for each pupil in turn.
Click the Close button to return to the marksheet.

Step by Step – Entering Key Stage 1 Teacher Assessment Levels
1.
Enter the levels for all pupils in the white columns. If an invalid grade is entered, you will
be alerted. Results show in red until they have been saved - when they turn black.
2.
Each of the columns with the label Key Stage 1 validated result (a result set) will contain
the results that will be sent to the LA as the end of Key Stage assessment.
3.
All pupils’ assessments should be entered.
There are two grey columns. Both are formula columns. The first will calculate the overall
teacher assessment Science grade from the four results entered in the white Science
columns. The second will display fail if pupils do not have the full set of results.
4.
Click the Save button to save the results.
5.
Exit from the marksheet by clicking the Close button at the top right. This will revert to
the screen from where you originally selected the marksheet.
Entering Optional Results
The KS1 C. test outcomes 2015 marksheet is available so that schools can enter the
test results if they wish. These are not sent to the LA but may be useful for future
tracking purposes.
Once all results are entered, they may be viewed as all TAs and test results on the KS1
D broadsheet (review) 2015.
When opened, any of the marksheets can be printed; click the Printer icon.
Step by Step – Using the P Scale Marksheets
NOTE: The entering of P scale results and NOTSEN is statutory for relevant pupils.
1.
Select the KS1 A. Teacher Assessments 2015 marksheet.
2.
Pick any pupil on the marksheet and enter W in all the columns. This pupil will also be
given P scale assessments.
3.
Click the Save button.
4.
Open KS1 B. P Scale Data Entry 2015.

Find the same pupil.

Enter the P scale results for each of the associated columns.

To find out what P scales are available for a particular cell, right-click in the appropriate
cell, and then Select Grade for Cell. Double-click the mark to select it and click the
Finish button to close the screen.

Click the Calculate button when the results are complete. Click the Save button.
9.
Click the Close button to close the marksheet.
Step by Step –Analysing the Results

Select the KS1 A. Teacher Assessments 2015 marksheet.

Click the Summary button. This displays the mean grade and the average points score
at the bottom of each column.
3.
Right-click the header of one of the columns that is full of results. Select Show Grade
Distribution. This gives the number or percentage of pupils attaining each grade or the
percentage of results. The results can be displayed as a graph by clicking the Graph
button. Different types of graph can be selected by double right-clicking the graph and
selecting Gallery.

Viewing All the Results
Select the KS1 D. broadsheet (review) 2015 marksheet. This will show a summary of all
the results entered. The columns are read-only.
Using the Wizards for Reporting to Parents
Once all the results have been entered on the marksheets, reports can be produced. Reports
can only be generated on a computer with Word 2003 or above.
The wizards will produce KS1 P1 - an individual report for each pupil.
Step by Step – Using the Wizards for Reporting to Parents

to the wizard. If asked to save the report, click the No button.

Uploading Reports
A copy of each pupil’s report can be saved in the document server. This can then be viewed
at any time. You do not need to print a second copy to keep with the pupil’s records.
Step by Step – Uploading Reports

Once reports have been generated they can be uploaded, either individually or by
selecting all pupils, and then clicking the Upload Report button.
2.
To view the copy, open the Pupil Details screen for the relevant pupil and select Linked
Documents in the Links panel on the right. The report will open as read-only.

1.
Ensure that there are results entered for one of the pupils who has both level W and
entries in the P Scale marksheets as in Step by Step – Using the P Scale Marksheets.

Exporting Results
KS1 results need to be sent to the LA. The LA may ask for results in a CTF or as a results
file that is produced by the assessment wizard. The procedure for transferring the results will
vary from one LA to another.
Step by Step – Exporting the Results in a CTF
1.
Click the Close button to close the wizard, and then select Routines | Data Out | CTF |
Export CTF.
2.
Select the CTF export type of KS1. The CTF will contain export files including KS1 data
plus the pupil UPN, surname, forename, DOB and gender.
3. The default view displays all current pupils including those who have previously had a
CTF created. Ensure that the default of Include students already exported is active.
4. All pupils within the school will be displayed. Click the down arrow to the right of Year
Group and select Year 2.

5. Right-click in the Destination LA/Other cell for the first pupil in the list.
6. Choose Select All. This will highlight all pupils.
7. Left-click in the Destination LA/Other cell for the first pupil, and then using the down
arrow scroll to your LA Name. Each pupil will now be marked with the relevant LA.
8. Click Export.
9. You will receive a message related to address tidy. Select Yes to continue.
10. Check the Exception Log file.
11. The file is now ready to send via your preferred method of secure transfer as defined by
the LA. Close the export CTF page.
Step by Step – Exporting the Results Using the Key Stage Manager Wizard
If it is required, you can use the Key Stage Manager wizard to export the results to a XML
file:

The group membership dates display the current date by default. If these dates need to
be changed, click the Refresh button to display the pupils who are on roll between the
selected dates for the particular group.

Deselect the check boxes adjacent to any pupils for whom results do not need exporting.

Click the Export button, enter a name for the results file and navigate to the location
where the file is to be saved.
5.
Click the Save button and a message that The XML file has been created
successfully will be displayed at the bottom of the Export screen.

Chapter Introduction
The phonics screening check is designed to confirm whether individual pupils have learnt
phonic decoding to an appropriate standard. Pupils who do not achieve the appropriate
standard should receive support from their school to ensure they can improve their phonic
decoding skills. These pupils will then be expected to retake the phonics screen check the
following year.
If all pupils in year 1 are not being assessed, a user defined group should be created for use
in the wizard – as described in Chapter 1.
Step by Step – Using the Year 1 Phonics Screening Wizard 2015

Leave the filter on Incomplete and click the wizard which is going to be worked with – in

2015, a phonics grade will then be associated to the mark.
The ‘phonics mark’ will be the mark from 0-40 for those children who have taken the phonics
screening check.
NOTE: For those children who are; absent, did not take the check or have left, the

report (as a Word document) into an appropriate area where you will be able to
easily locate it again. It is suggested that you save the file with a name such as
School Y1 Phonics Results (2015).This will enable you to have a report
containing the correct pupils quickly, without having to recreate it via the Wizard.

Step by Step – Exporting the Results Using the Key Stage Manager Wizard
If it is required, you can use the Key Stage Manager wizard to export the results to a XML
file.
1.
Click the Next button on the Individual Report screen.
2.
The group membership dates display the current date by default. If the dates need to be
changed, click the Refresh button to display the pupils who are on roll between the
selected dates for the particular group.
3.
Deselect the check boxes adjacent to any pupils for whom results do not need exporting.
4.
Click the Export button, enter a name for the results file and navigate to the location
where the file is to be saved.
5.
Click the Save button and a message that The XML file has been created
successfully will be displayed at the bottom of the Export screen.
6.
Click the Finish button to exit the wizard.

SIMS Primary Tracking
Schools already using the CES/CAS primary tracking templates and grids supplied by Capita
SIMS may have already entered their TAs for the autumn and spring terms. Once the TAs for
the summer term 2015 have been entered on the marksheets in the normal way for tracking
purposes, another marksheet can be used to convert those English TAs into the official KS2
TAs for 2015. These results will then be displayed and used in the KS2 wizard without the
need for entering the results again.
There are tracking marksheets available to record maths, science, and writing, speaking and
listening and reading levels for year 6.

An example of the marksheet that can be used to convert the summer term TAs for English
into the validated results for KS2.
If the conversion marksheet is used, these results will then appear in the KS2 wizard.

If a child is recorded as W within the KS2 A Teacher Assessment Marksheet, the recording
of NOTSEN or P scale data is statutory. P scales are used to record the performance of
pupils with SEN where they are working below level 1 (W) of the national curriculum. P
scales or NOTSEN should be recorded in English, mathematics and science for relevant
pupils.
NOTE: If pupils are working at P scale level or are not accessing the National
Curriculum because of EAL, their results should be recorded as a W on the KS2
teacher assessments 2015 marksheet and given the appropriate P scale
level/NOTSEN level on the KS2 P scale data entry 2015 marksheet.
Details of the 2015 Key Stage requirements can be found in the assessment and reporting
arrangements 2015 for each Key Stage on the DfE website.
Identify the Key Stage 2 Pupils
If all pupils being assessed for KS2 are in year 6, continue. However, if there are also pupils
assigned to other year groups then a user defined group should be created to be used in the
wizard. This was dealt with in Chapter 1.
Entering Results
Step by Step – Creating Marksheets from the Wizard
1.
Select Tools | Performance | Assessment | Wizard Manager.
The screen shown in the following graphic is displayed. If other wizards have been imported
in the past they will appear in the list.

Leave the filter on Incomplete, highlight the Key Stage which is going to be worked with
– Key Stage 2 Wizard England 2015 in this case, and then click the Next button.

Click the + next to Year Group, select Year 6 or the + next to User Defined Groups,

For KS2 there are eight marksheets:

KS2 A. All Subjects TAs 2015
a) Enables entry of TAs for all core subjects, calculates the overall level, creates
validated results and ensures that no pupils are missed.
NOTE: It is recommended that more detailed information on a pupil's attainment
should be provided to parents and secondary schools and that schools should
provide information to parents on the component parts of all subjects (that is to say
for each attainment level). The KS2 A. All Subjects TAs 2015 marksheet provides
the format for this level of data to be recorded.

KS2 B. Minimum Subject TAs 2015
b) Enables entry of scores for English and the overall levels for maths and science,
creates validated results and ensures no pupils are missed.

KS2 C. P Scale Data Entry 2015
c) The recording of P scale data is now statutory. These are used to record the
performance of pupils with SEN where they are working below level 1 (that is to say
level W) of the national curriculum. P scales can be recorded in English, mathematics
and science.
NOTE: If pupils are working at P scale level then their results should be recorded
as a W in KS2 A. All subjects TAs 2015 or the KS2 B. minimum subjects TAs 2015
marksheets and should be given the appropriate P scale level on the KS2 C. P


KS2 D. Test Summary Data Entry 2015
d) Enables recording of the test results for reading, grammar, punctuation and spelling
(GPS), maths and an overall English level when they are received from the marking
agency. The results can be entered manually or imported.

KS2 E. En Test Results Data Entry 2015
e) Enables the recording of marks and levels from the English tests.

KS2 F. Ma Test Results Data Entry 2015
f)

Enables the recording of marks and levels from the mathematics tests.
KS2 G. Broadsheet Review 2015
g) Will display the results entered on the other marksheets. Results cannot be entered
here.
NOTE: Statutory end of KS2 test results and externally marked level 6 test results
should be available in an electronic format and may be used to import results
directly into SIMS to populate the Key Stage 2 Wizard 2015.

KS2 H. Average Point Sc Calc (From 2013)
h) Calculates the KS2 Average Points Score using the rules defined in 2013.

Step by Step – Entering Results
From the list of marksheets that are shown, select the required one to work with by doubleclicking it or by highlighting it, and then clicking the Edit button.
1.
For example, to enter results for KS2 A. All Subjects TAs 2015 highlight the marksheet,
and then click the Edit button to the right of the screen.
A marksheet with the year 6 pupils and columns that relate to the assessments to be entered
is displayed.
2.
Enter the levels for all pupils in the white columns. If an invalid grade is entered you will
receive an alert. Enter a level and use the down arrow on the keyboard to move to the
next pupil.
NOTE: If selected to convert year 6 summer 2015 English grades entered into the
CES primary tracking templates to end of KS2 English levels, using the CES
Convert to KS2 year 6 template, results may already exist for English which would
need to be checked.
Levels are displayed in red until they are saved when they turn black.
Instead of typing the marks you can select the appropriate level from a list.
3. Right-click in the first cell and Select Grade for Cell. This displays a dialog box (this can
be dragged, so that the pupils’ names and the result column are visible).

4. The appropriate level can be selected by double-clicking a result for each pupil in turn.
Click the Close button to return to the marksheet
5. Click the Save button to save the results.
NOTE: The grey columns are formula columns. They will calculate the overall
result from the preceding white column. All pupils must have an assessment
entered. If not a fail will be displayed until all results are entered.
6. Click the Calculate button. The calculated results will appear in the grey columns and
any missing results will be shown as failed in the last column.
7. Click the Save button to save these.
8. Exit from the marksheet by clicking the Close button at the top right. This will revert to the
screen from where the marksheet was originally selected.
Any marksheet can be printed by clicking the Print button.

Step by Step – Using the P Scale Marksheets
NOTE: The entering of results and submission of P Scales or NOTSEN is
statutory for all pupils who have a W in the marksheet KS2 A All Subjects TAs
2015.
NOTE: NOTSEN replaces the code EAL that was used in previous years for a
pupil working below level 1 of the National Curriculum who does not have a special
educational need.
1.
Open the KS2 C. P Scale Data Entry 2015 marksheet and locate the pupils with a W.
2.
Enter the P scale results for each of the relevant columns.
3.
To find out what P scale entries are available for each cell right-click the cell, and then
Select Grade for Cell.
4.
Click the Calculate button when the results are complete.
5.
Click the Save button.
Submitting Key Stage 2 Teacher Assessment to NCA Tools
Sending Teacher Assessments Via NCA Tools
As stated in the Teacher Assessment Statutory Guidance, Teacher Assessments and P
Scale Assessments (if applicable) must be submitted electronically.
They must be submitted no later than Friday 26th June 2015. Early returns are encouraged.
The method of transfer is via the KS2 Common Transfer File (CTF).

Step by Step – Creating a KS2 CTF
1. From the SIMS Home Page, go to the route Routines | Data Out | CTF.
2. Select Export CTF.
3. Highlight the option KS2. This will transfer Key Stage 2 Teacher Assessments.
4. Click Select.
5. Ensure that the tick is activated in Include students already exported and Refresh
Students.
6. Choose the year group Year 6.
7. Right-click in the Destination LA/Other cell of the first pupil. Click Select All. This will
highlight all pupils.
8. Left-click on the down arrow in the first cell and a list of agencies will appear. Scroll
down to the National Assessment Agency (now referred to as NCA Tools).
9. Select Export CTF and confirm that you wish to continue with the export.
10. Make a note of the file name for your reference, and then click OK.

Submission of KS2 Common Transfer File (CTF) To NCA Tools
The following process is for reference only.
More information on the submission of Teacher Assessment and P Scale data can be found

Schools must submit all attainment target levels and the overall core subject levels as per
the DfE rules for 2015. These should be submitted via NCA Tools no later than Friday 26th
June 2015.

Please note the instructions relating to passwords and so on.

Recording Test Results
In order to report the statutory reporting requirements before the end of the summer term to
parents, (if schools do not import the electronic version of the KS2 results, which will be
available on the pupil results section of NCA tools at: https://ncatools.education.gov.uk/)
you must be prepared to manually enter the result levels into SIMS Assessment. As
indicated the marked test scripts and results will be made available by Tuesday 7th July
2015 to carry out this process.
Step by Step – Entering and Analysing Test Results
There are separate English and Maths Test result marksheets: - KS2 E. En Test Results
Data Entry 2015 and KS2 F. Ma Test Results Data Entry 2015. These marksheets can be
used to enter the overall test levels in Reading, GPS and Maths.
1.
Select the KS2 E. En Test Results Data Entry 2015 marksheet.
2.
Enter levels for each of the Reading Final Level and GPS Final columns.

Click Save to save the results.
4.
Click the Summary icon. This calculates the mean/median grade and the mean/median
points score for each column. These are displayed at the bottom of each column.
5.
Right-click the header of the Reading Final Level column and select Show Grade
Distribution. This gives the number or percentage of pupils attaining each grade or the
percentage of results. The results can be displayed as a graph; click the Graph button.
Different types of graph can be selected by double right-clicking the graph and selecting
Gallery.
6.
Repeat the above process for the GPS Final Level column.
Activity
Repeat the above process for the marksheet KS2 F Ma Test Results Data Entry 2015 by
entering results for the Maths Final Level.
Level 6 Test Results
Schools can also administer optional level 6 tests in reading, grammar, punctuation and
spelling and mathematics to high attaining pupils.
Head teachers should take into account pupils’ expected attainment prior to entering them for
these tests as they should already be demonstrating attainment above level 5.
Pupils will be required to achieve both a level 5 in the end of KS2 test and pass the level 6
test in the corresponding subject, in order to be awarded an overall level 6 test result in that
subject. Pupils will otherwise be awarded the level achieved in the end of KS2 test.
Pupils entered for level 6 tests are subject to the same statutory national curriculum
assessment as other pupils and are required to take the statutory national curriculum tests.

Step by Step – Entering Level 6 Test Results Into the Key Stage 2 Wizard 2015
1. From the key stage wizard, open the marksheet KS2 D. Test Summary Data Entry 2015
into which level 6 test results are to be recorded.

The main level column is used to record the level achieved by pupils in their
statutory end of KS2 test

The level 6 level column is used to record the outcome level for those pupils who
have undertaken the optional level 6 test in reading or maths

The final level column is used to record the level which will be reported on the
individual KS2 pupil report.
NOTE: The final level column should reflect the level recorded for a pupil’s
statutory end of Key Stage test (main level) or where a level 6 test result outcome
has been achieved, a level of 6.
2.
Enter the level achieved by pupils in their statutory end of KS2 test main level column
Maths Main Level.
3.
For those pupils who have taken the optional level 6 tests in reading, GPS and maths,
the outcome of that test should be recorded into the appropriate level 6 column. Enter
some Level 6 data in the Maths Level 6 Level column.
4.
Finally, the corresponding final level should be recorded in the appropriate column (if not
already done so in the KS2 E marksheet). Change the final level in Maths Final Level to
show a level 6 for those pupils who achieved level 6.
The easiest way to do this is to right-click the maths main level column heading and select
Copy Column, right-click the Maths Final Level column heading, and then select Paste
Column.
NOTE: The CTF will include results for statutory end of Key Stage tests and
optional level 6 tests where they exist and, in the case of reading, grammar,
punctuation, spelling and mathematics, will transfer results found in the main level,
level 6 level and final level columns.
Activity – Viewing All the Results
Select the KS2 H. Broadsheet Review 2015 marksheet from the Key Stage Wizard. This
will show a summary of all the results entered. The columns are read-only.

Using the KS2 Wizard for Reporting to Parents
Once all the results are entered on the marksheets, individual and comparative reports can
be produced.
Reports can only be generated on a computer with Word 2003 or above.
The wizards will produce KS2 P1 Student England 2015 individual reports for each pupil.

Step by Step – Previewing Reports
1.
Select one of the pupils in the bottom half of the screen, and then click the Preview
Report button. The report will show this pupil’s results.
2.
As Word opens, a security warning may be shown, click Options and choose to enable
this content.
3.
When the preview is no longer required, click the Close button to close Word and return
to the wizard. If asked to save the report, click the No button.
Step by Step – Printing Reports
1.
If all pupils are required then Select All. If not, go through the list and select those
required by selecting the check boxes.
2.
Click the Print Report button. Reports will be printed from Word for those pupils
selected.
Close Word without saving.

Step by Step – Uploading Reports
A copy of each pupil’s report can be saved in the document server. This can then be viewed
at any time.
1.
Once reports have been generated they can be uploaded, either individually or in bulk,
by clicking the Upload button.
2.
To view the copy, open the Pupil Details screen for the pupil and select Linked
Documents in the Links panel on the right. The report will open as read-only.
Exporting Results
KS2 results are automatically included in the CTF that should be sent to the receiving
secondary school. Results can also be exported from the wizards if required but they will not
be in CTF format.
KS2 Teacher Assessments have to be submitted to the NCA Tools website electronically.
This should have been completed by the due date.
Submitting the Completed CTF to Secondary Schools
