The Administrative Associate serves as the first line of engagement for our public space,
directing visitors and assisting the public with their requests and needs. This position
provides office and facilities support to Ecology Center staff, assists in coordinating
volunteers, and supports the operations of the Education and Engagement Program. The
Information Services Program Associate reports to the Education and Engagement Program
Manager.
Primary Responsibilities:
● Receive, greet, and direct visitors to the Ecology Center; receive and direct incoming phone calls, emails, and mail. ● Research and respond to environmental Info Requests from the public. ● Serve as Store backup, operating cash register and assisting customers during staff breaks and other occasions while working on duty in the EE Program; assist with library item checkout. ● Maintain and organize a variety of administrative records, supply inventories, and storage areas including brochures/materials, kitchen and office supplies, BASIL seed library, jobs binder, and others; maintain office machines, fire extinguishers, first aid supplies, and emergency packs. ● Manage volunteer coordination. ● Attend weekly staff meetings and keep meeting minutes. ● Compile bi­monthly board reports; acquire food and prepare materials for board meetings, keep meeting minutes. ● Staff Ecology Center events; table at outside events for the Ecology Center, as needed. ● Observe safe operating practices and comply with organizational safety policies; maintain familiarity with, and follow, all Ecology Center policies and procedures in the performance of daily duties. ● Perform other duties as assigned Minimum Qualifications:
● Experience and interest in working with the public; possession of a warm, friendly approach and a clear communication style. ● Exceptional accuracy and attention to the quality of one’s work, particularly with regard to data. ● Strong organization skills, including a drive to make spaces organized, attractive, and efficient. ● Ability to work in a lively group atmosphere and contribute to the creation of a positive community space. ● Punctual and on­time for work shifts. Dependable and responsive to deadlines. ● Interest in the Ecology Center’s work and the topics that we emphasize, including food & farming, waste & recycling, climate change, and equity issues. ● Ability to use and troubleshoot AV systems and problems; willing and able to learn about and troubleshoot office machines. Education and Experiences
● High school diploma or GED ● One year of experience working in an office setting Hours
25 hours a week, typically Tuesday through Saturday. Must be available for flexible scheduling for staffing frequent evening and weekend events, generally on Tuesdays, Thursdays, and Saturdays. Schedule to be arranged. Wage
