PRODUCTION COORDINATOR - POSITION DESCRIPTION AND SELECTION CRITERIA Ensemble Theatre is a not-for-profit arts organisation producing an annual season of plays at its home venue, the Ensemble Theatre located in Kirribilli, Sydney. The company produces between 8 - 10 productions each year at Ensemble Theatre. Productions regularly tour direct from the season to other venues in NSW/ACT as well as periodically undertaking national tours. Ensemble Theatre is seeking a highly skilled and motivated full time Production Coordinator to commence work as soon as practical. The successful applicant will have substantial production experience, and a commitment to the implementation of work health and safety regulations. SELECTION CRITERIA Production coordination and/or substantial stage management experience within a professional Performing Arts or Entertainment venue. Demonstrated construction skills in a theatrical context, with the ability to understand and interpret construction plans. Demonstrated technical skills in a theatrical context, including the interpretation of lighting and technical plans. Proficiency in the use of Microsoft Office and other relevant software packages (e.g. Vectorworks) and a practical understanding of/or experience with QLAB and ETC EOS software. Excellent communication and interpersonal skills including conflict resolution, negotiation and facilitation skills. Demonstrated ability to work effectively both within a small team and autonomously. Demonstrated ability to meet deadlines and successfully manage priorities in a high pressure environment. Excellent time management, planning, financial and administrative skills. Sound knowledge of Workplace Health and Safety principals relevant to the position and experience in risk assessment of projects and tasks. POSITION DESCRIPTION Position: Production Coordinator Reports to: Production Manager Responsible for: Coordination of key production elements for annual season of plays Planning and supply of Set, Set furniture, Props, Wardrobe Building and equipment maintenance Main areas of responsibility: Set, Set furniture, Props, Wardrobe Organise set builders, painters / scenic artists and other relevant service providers when specialist skills are required. Undertake basic set painting, building, maintenance and repairs when required. Purchase set furniture & props in consultation with the Stage Manager, Designer and Director. As directed by Production Manager, provide assistance with technical requirements of each production. Provide support to Stage Management during performance times. Liaise with and support the director, designers and contractors involved in each production. With Production Manager, create & distribute production schedules including rehearsals, bump-in & bumpout. Arrange archival filming for each production. Attend all pre-production, production meetings, white cards etc. ensure the Stage Manager is taking minutes and distribute. Complete a risk assessment for each production in consultation with the Production Manager. Maintain accurate records for each production. With Production Manager, supervise Production Department staff including casuals and contractors. With Production Manager, ensure that designs comply with licensing and health and safety regulations, that the theatre always provides a safe working environment and that the theatre’s health and safety policy and procedures are followed, in conjunction with the Front of House Manager. With Production Manager, maintain props / set storage & wardrobe. With Production Manager, provide support and advice for outside hirers or theatre users. Assist Production Manager with maintaining and adhering to production budgets as set by the Company Managers and Financial Controller. Assist the Production Manager to maintain technical venue equipment. Assist Production Manager with regular stocktake of disposable items. Attend technical, dress rehearsals and previews where required. Attend alternative venues if required. Attend appropriate courses as required. Any other reasonable duties as required to support the Production Department and the needs of the business.
