Pre-booking
This feature has been activated for all sessions. It allows prospective EDD15
participants to indicate their intention to attend a specific session.
Be aware that booking a session will not guarantee participants space for that
session. This feature is more a barometer than a real pre-booking.
Pre-booking - Purpose
Pre-booking is a feature that can help session
organisers anticipate the likely attendance for their
session.
Pre-booking - Before
Participants can pre-book a session by:
1.  Clicking on the agenda in the app’s main
menu to access the list of sessions;
2.  Selecting a session by clicking on it;
3.  Clicking the check symbol at the top of
the session description (see visual);
4.  On the participants agenda overview, the
session will appear in green. It will also
appear in their profile.
Pre-booking - Tips
•  Session organisers are invited to boost registration to
the forum and their specific session by sending an
email to their own contacts.
•  The maximum capacity of the room in which the
session takes place will be indicated on the session
page in the app. Even when the limit is reached,
participants will still be able to pre-book that session.
Survey
The survey is the only feature which can be used to interact with EDD15
participants before the forum. Session organisers can invite participants
to answer their survey linked to their session before it starts. Thus, the
debate can start on the basis of preliminary results.
Any participant can answer the survey before the deadline through the
EDD app by clicking on survey in the app’s main menu or by clicking on
the specific session through the agenda.
Survey - Purpose
Surveys are another feature to promote your session
before the forum. It allows session organisers to gather
feedback from the prospective EDD15 participants who
want to register for their session or who attended their
session.
Survey – Before 26 May 1/2
1.  Session organisers send the survey to the
EDD15 app team at [email protected]. You
can include open questions, multiple
choice polls or a rating from 1 to 5.
2.  This survey will be directly attached to your
session in the agenda and be put in the
survey inbox.

3.  The EDD15 app team loads the survey into
the system.
4.  You will be able to check the results of
survey(s) while participants answer (a
personalised link will be provided to you).

5.  At the end of the forum, the EDD15 app
team will send you a detailed export of the
survey including raw participant’s data.

Survey - Tips
1.  You can create surveys to promote your session by
asking participants what they wish to talk about
during the session.
2.  Session organisers can create in advance a survey
by asking participants what they thought about
the session.
Live voting
This feature enables information and opinion gathering from the
audience during your session.
Live Voting – Purpose
This feature allows session organisers to include a
vote in their ppt presentation or during the session
itself, and invite the audience to provide an
immediate feedback. It allows also to have the results
in real time and use these results to steer the
discussion.

voting screen in their app and tap the
number corresponding to their answer.
5.  A countdown (usually 15 seconds) keeps
the session moving briskly.

8.  Once the discussion ends,

Live voting - Tips
1.  Make sure to discuss the
results so that participants can
see the impact of the poll
immediately.
2.  Highlight the correct answer
(if applicable) after you show
the results.
3.  Keep the length of questions
and answers short for easy
reading. The average person
reads 3 words / second on a
screen.
4.  Use when:
•  There is a clearly defined
objective to asking the
question.
•  Responses will shape
your presentation.
•  Results will be valuable
or interesting to
participants and speakers
Word cloud
This feature allows session organisers to know what the audience has in
mind by asking an open question.
Word cloud - purpose
This feature allows session organisers to summarise
the thoughts of participants regarding one question
and highlight the most recurrent words.
Word cloud – before 26 May
1.  Session organisers should send prepared, open-ended
questions to the EDD15 app team at [email protected]
which can be answered with only one word. They also have
to send a list of blacklisted words to the EDD15 app team.
2.  The EDD15 team will load the question into the system.

3.  Invite your audience to submit their

their device. They can write as
many words as they want but they
have to send them one by one. The
more the popular the word is, the
larger it will be displayed.
5.  The cloud grows in real time as
words are submitted.
6.  A maximum capacity of 40 words

the most frequent entries will be
displayed.

Word cloud – Tips
1.  Allow enough time for participants to submit their entries and
for the cloud to grow – two minutes is a minimum.
2.  Make sure to discuss the results – you can start discussing them
as the cloud is still forming.
3.  Use when:
•  You are brainstorming or trying to deliver a message that can
be communicated with a specific set of terms.
•  Your question can be answered succinctly in a single word
4.  Do not forget to send a blacklist of words that you do not want
to appear on the screen.
Q&A
This feature facilitates interactive moderation. Participants can use the Q&A
function to send questions for speakers to the moderator throughout the
session.
This feature is particularly useful for auditorium session where the size of the
audience does not necessarily allow everybody to voice his or her question.
Nevertheless, there will also be microphones for traditional Q&As.
If this function is used during the session, session organisers and moderators
will receive a dedicated ipad from the organisers to moderate incoming
questions.
Q&A - purpose
This feature allows moderators to get feedback from
the audience in real time without being interrupted.
The moderator can steer the session and act as
intermediary between the audience and speakers.

1.  Participants use the Q&A function to send
questions to the moderator throughout
the session. They may send them
anonymously if they wish.
2.  Session organisers will receive 2 ipads
with the module for the moderation of
Q&A pre-installed. The second one will be
for the moderator.

1.  Remind the audience at the very beginning of the session, and
occasionally during the session, that they can submit questions
at any time.
2.  Acknowledge, for example, that a question came through the
app to encourage other participants to join the discussion.
3.  A good idea is to use posted questions as a jumping-off point
for further discussion: ask for clarification, more detailed
questions, or new suggestions.
