1. Introduction
The purpose of this document is to provide an overview of EvoTm system, how to use it and
how it can be useful for you. All functionalities of the software are described in details.
2. Process Setup and Activities
2.1. Basic Steps to Get Registered to EvoTm
2.1.1.
New User Registration
a. Go to http://evotm.com
b. Click on “Create Account”
c. Fill the form and click on 'Register'
The above steps will create a ROOT account with full access to the system. This type of
account can manage the whole evaluation system of the registered company. It allows you to add
employees, departments and positions and also complete evaluations.

Forgot Password
a. Go to http://evotm.com
b. Click on “Forgot Password” option
c. Enter the valid e-mail which your account has been registered with.
d. Click Send
You will receive an automatically generated password you can use to log in EvoTm
2.1.3.
Change Password
The temporary password or the current password can be changed at any time by using the
“Change Password” option located on the top right hand side of the “Evotm” main window, after
successful login.
and
a. Go to http://evotm.com and logged in.
b. Click on 'Change password'
c. Enter your new password in “Password” and “Confirm password” fields
submit it.
The password will be changed
2.2 . EvoTm Activities
2.2.1.
Navigation
a. Log in EvoTm on http://evotm.com
b. You will be presented with the main menu of the EvoTM
The main menu contains 'Home', 'Statistics', 'Evaluation', 'Settings' tabs.
Home – Every employee has access to this page and he/she can see the
main menu and the logo of the company (if it is uploaded.)

Statistics – This menu can be opened from every employee. Depending on
the role of the employee, they will see a list with different employees or their own statistics.. If they
are using a ROOT account they will see all employees of the company. If they are with
EVALUATOR role they will see all employees with positions lower than theirs assigned with roles
EVALUATED and all positions 1 level below theirs with role EVALUATOR (e.g. Director will see
all entry level positions (evaluated) and their Manager (evaluator). If the user is with role
EVALUATED they can see only their results.
There is a search form which you can use it to filter the employees.

When you click on an employee you will see personal statistic for them. Their evaluations
will be presented in chart and bellow the chart there is a detailed information for every evaluation
period.
In Statistics menu there is submenu 'By position' where you can choose a certain position
and check the average evaluation results for chosen position.

Evaluation - This menu can be opened from employee with role ROOT or
EVALUATOR. Depending on the role of the logged user they will see a list with different
employees. If they are using a ROOT account they will see all employees. If they are with role
EVALUATOR they will see and all positions 1 level below theirs with role EVALUATOR
(e.g. Director will see all entry level positions (evaluated) and their Manager (evaluator).
There is a search form which you can use it to filter the employees.
Logged employee can see these statuses in operations column:
 No criteria found. Please add criteria from here –
 This status means that you should first add criteria for the employee`s position
 Cannot be evaluated yet –
 This status means that the evaluation period is not finished
 Evaluate –
 This status means that you can evaluate the employee
When you click on the 'Evaluate' link you will see a screen with title and two sections.
In the title you will see who you are evaluating, for which position and the period for which you
evaluate them
In the left section you will see the groups of criteria. When you click on every last group (lief in the
tree) it will open all criteria for the chosen group. When you fill all criteria in all existing groups

you will see the evaluation result for the chosen employee.
If you want to change it, it is possible. You can just change the criteria fields before you
click on the evaluation button. If you click on it the results will be saved and added to statistics. The
employee will receive the email informing them for the evaluation and he can log in the EvoTm and
check their results.
Settings – The access to this menu is allowed only for ROOT account. At this
menu you will see six submenus

 Departments
 Positions
 Company Structure
 Criteria
 Company information
At Employees submenu you can see a list of all added employees in to the company
There is a search form which you can use to filter the employees.
Every employee can be deleted or you can edit the information for their profile.
If you want to add a new employee you can click on button 'Add Employee' which you can
see below the search form.
When you click on 'Add Employee' button you will see an additional page where you
should fill the information for the employee who you want to add to the company.

Every employee can belong to more than one department and position. Also you should
choose a role for every position of the employee and you should choose from which date to start the
evaluation period for him.
There are two options for role – EVALUATOR or EVALUATED. The evaluators often
represent the team leader in most companies. The EVALUATOR can evaluate the employees with
role EVALUATED reporting to them and all positions 1 level below theirs with role EVALUATOR.
He has access to Statistics menu for the same group of employees and he can see the statistics for
the position who he belongs. The EVALUATED has only access to him personal statistics.
First evaluation date field is used to indicate the first evaluation date for the employee.
When you click on Save button you will add the new employee and he will receive an email
with automatically generated password which he can use it to log in the EvoTm.
At Departments submenu you can see a list of all added departments in to the company and
you can add new department when you click on 'Add Department' button

At Positions submenu you can see a list of all added positions in to the company and you can add
new position when you click on 'Add Position' button

At adding position page you can fill the information for the new position. One position can
belong to more than one departments.
If you want to add a bonus system associated with the evaluation result you can add the
minimum result that would qualify the employee for a bonus in “Over” field and the amount in the
respective field. You can add more than one condition. For Example you can add for more than 90%
the employee to receive 100$, for more than 95% the employee can get 150$ and etc.
The “period” field describes the evaluation period for the position. It can be 3, 6 or 12
months. When you click on Save button the new position will be added.
At Company structure submenu you can see list of all added positions in to the company in the
same line.

When they are in the same line this means that the company uses flat structure. If the
company is using a hierarchical structure the ROOT user can change it using drag and drop
method. With this method the ROOT user describes the dependencies between the positions in the
company. They will be saved automatically.
Criteria submenu you can choose department and position for which you want to add or edit the

criteria for evaluation. On the left side you will see the form from where you can add the group of
criteria.
To every group you should add percent which defines the weight of the group. From
“parent” dropdown list you can choose to which group you want to assign the selected group. If you
want the new groups to be parent just leave this field empty.
When you click on Save button you will add the new group and you can see it below the
form.

On the right side you will see the form from where you can add criteria.
You can describe the weight for the new criteria and to which group it belongs. The weight
cannot be more than the weight of the group which it will belongs. When you click save button you
will add it and you can see it below the form. Below the form you will see all criteria added to the
chosen group.
If you want to see all criteria added to another group just click on the group you want check

At Company information submenu you can see added information for the company and you can
edit it. Also you can upload company`s logo which will appear at home page and the employees can
see it. When you click Save button the changes will be saved.
The ROOT account will see VALID TO date located on the top right hand side at the
“Evotm” main window, after successful login.
This date shows is the expiration day of the license for your company.. If you want to extend
this period you can do this when you click on Upgrade account in the same place. You should
choose which plan you want to use and pay for it. You can pay via Paypal or just write to the
support team via contact form if you want to pay using different way. You can see the link to contact
form at the right site on the footer.
