GUIDELINES FOR THE USE OF GIN GIN SHOW GROUNDS FOR EVENTS 1. Your organisation must have proof of public liability insurance for the event. 2. Identify, and give contact details of, a designated event coordinator who can be contacted before, during and after the event. 3. A hire agreement should be completed prior to the event. 4. A copy of the event management plan shall be made available to the Gin Gin AP&I committee prior to the event. 5. Areas designated on the map shall remain free of all animals apart from domesticated, unless prior arrangement has been made with the AP&I committee or the caretaker. Camping however is permitted in these areas. 6. All bailing twine shall be removed from the grounds. 7. All manure and straw etc. shall be shoveled up as best as practicable in all areas, apart from the ring, and removed. 8. All dogs shall be on leashes or be secured in some way to prevent straying. 9. Horse stalls should be cleaned and free of manure at the conclusion of the event. 10. All rubbish shall be picked up and placed in bins. For large events extra bins may be required. 11. Toilets will be cleaned and left serviceable at the conclusion of the event. Please see caretaker for consumables. 12. The function center shall be cleaned (arrangements can be made to have the caretaker complete this) a. All benches and counter tops wiped with disinfectant. b. Floors moped c. Fridges cleaned out and switched off if possible. d. Urns & Bain Maries are emptied and turned off e. Oil drained from deep fryers (see caretaker to make arrangements for this) f. Toilets cleaned, replenish consumables and rubbish bins emptied. g. Cold room emptied as soon as practical and turned off. 13. ALL noise from functions shall cease by 1.00am. 14. The hirer shall comply with all WH&S requirements and legislation. GUIDELINES FOR THE USE OF GIN GIN SHOW GROUNDS FOR PERSONAL USE While the use of the grounds by the public is encouraged, as managers of the facilities, the AP&I needs to be aware of all activities that are being conducted on the grounds. There may be situations, in wet weather for example, where areas of the grounds are closed to the public and therefore should not be used. Please note the following guidelines: 1. 2. 3. 4. 5. 6. 7. 8. 9. Alert the caretaker to your presence when using an area of the grounds. Ensure that all gates are left as they were found. When using the cattle yards, ensure that animals have access to water. Do not move other animals around within the yards. If you discover any problems with animals in the yards, or the grounds, please alert the caretaker. Avoid conducting activities near camp sites eg. Bike riding, remote control planes/vehicles etc. Do not conduct activities which might scare or cause distress to animals which are in the grounds. Do not engage in dangerous behavior. Storage of vehicles is permitted but must be arranged through the caretaker.
