Eynsham Hall is a magnificent Jacobean style building set within 3000 acres of
Eynsham Park Estate. Located just 12 miles from Oxford, this beautiful mansion
with its landscaped gardens provides the perfect setting for the most
important day of your life. Whether you are looking to hold a large, small,
formal or informal event, you will find a package to suit you.
The Green Room
Is a particularly impressive venue for your Wedding Breakfast, with its Oak
paneled walls, ornate ceiling and large arched windows leading onto
landscaped gardens. The largest of our private rooms, it accommodates
from 80 up to 100 guests for the wedding breakfast seated at round tables,
and up to 170 guests for an informal standing buffet.
The Red Room
A bright, lively room, with light wood finishes, and décor to complement. The
adjoining Library may also be reserved for your guests both before and after
the wedding breakfast. Suitable for seating 80 guests at round tables and up
to 120 guests for an informal standing buffet.
The Oak Room
This private room boasts many of the original features, which include the large
Roman styled windows and high ornate ceiling. The Oak Room has its own
small reception area incorporated into a side room and is ideal for small,
intimate wedding receptions. Suitable for 70 guests seated at round tables
and up to 100 guests for an informal standing buffet.
The Library
For an intimate affair for up to 50 guests, the Library, adorned with Oak
paneling and bookcases, complete with antique books and journals, adds a
touch of timeless class to your special day. The Library is also available for
your private bar and lounge when weddings take place in the Green and
Red rooms.
Civil Ceremonies & Partnerships
Room hire for the ceremony is £420.00 with a complimentary flower display for
the registrar’s table. The Wedding Specialist will liaise nearer the time on your
preferred colours and flowers.
We have the Library, Red Room, Oak Room and outside Terrace licensed for
ceremonies and would offer one of these rooms to suit your numbers.
Exclusive Use
Want to have your very own country estate for the day? Eynsham Hall is
available to you exclusively (11.30 am on the day – 10.30am the following
day) for you and your guests to enjoy this magnificent Jacobean style Hall all
to yourselves. Eynsham Hall includes 20 Main Hall bedrooms with the exclusive

Wedding Etiquette & Duties
Etiquette dictates that normally the Top Table has a set “Seating Format”, as
illustrated below. However, the remaining relatives and friends are normally
seated as you desire, with close relatives nearer the top table.

Best Man; Chief Bridesmaid; Groom’s Father; Bride’s Mother; Groom;
Bride, Bride’s Father; Groom’s Mother; Bridesmaid
Prior to dessert service, the Master of Ceremony will announce the cutting of
the cake, which will be served along with the Champagne/Sparkling Wine in
preparation for the toasts & speeches.
The toasts will normally take place in the following order:1. The Bride & Groom, This toast is usually proposed by the FATHER of the
Bride or Close Relative or Friend of the Family.
2. The Bridesmaids, Proposed by the BRIDEGROOM, following his response to
the first toast.
3. Response to the Bridegroom On behalf of the Bridesmaids. This will be
proposed by the BEST MAN, whilst congratulating the “Happy Couple”. He
may also read telegrams and selected cards of good wishes.
Wedding Etiquette & Duties
The Bride & Groom The Bride selects the type of service, decides on her dress
and the bridesmaids’ attire, whilst the Bridegroom selects the best Man and
ushers. He also purchases the ring and pays the church fees. He may also buy
presents for the bridesmaids, best Man and ushers as a gesture for their help.
He buys flowers for his Bride, for the bride’s mother, the bridesmaids, and
buttonholes for himself and the best man. He arranges and pays for transport
for the best man and himself to travel to the ceremony and for the Bride and
himself to travel to the reception.
The Best Man The best man is the Bridegroom’s right hand man, who keeps
the ring and ensures the Bridegroom gets to the church on time. He pays the
church fees on behalf of the groom. He checks the transportation for all the
guests to the reception and that any travel arrangements for the honeymoon
are in order. At the reception, it is the best man’s honour to read any
congratulatory telemessages and, of course, make a speech.
The Chief Bridesmaid The chief bridesmaid assists the bride to dress, holds the
bouquet during the ceremony and organises other bridesmaids.
The Bride’s Father The Father gives the Bride away and receives guests at the
reception. Traditionally he pays for the wedding dress, bridesmaids’ dresses,
cars, photographs, church and reception flowers, invitations & press
announcements (if any). In this day and age, often the costs are split with the
Groom’s family.
The Brides Mother The Bride’s mother is traditionally in charge of all the
proceedings. She decides on the guest list, together with the Bridegroom’s
mother and the venue for the reception. She handles any catering
arrangements and ensures the wedding cake is ready. After the Wedding
Ceremony, the Bride’s mother and father, together with the Bride and
Bridegroom and his parents, greet the guests at the Wedding Reception.

In these Terms the following expressions shall have the following
meanings:
means this Agreement between the Operator and the Client
incorporating these Terms whereby the Operator has agreed to
provide the Services for the Wedding at the Venue in return for
the Client paying the Price;
means the persons engaging the Venue to provide the
Services for the Wedding;
means the confirmation form, contract note and any
correspondence issued to the Client by the Venue in
connection with the Wedding;
means the date of the Wedding as specified in the Contract.
means Eynsham Hall Limited (company number 5404900)
(trading as ‘Eynsham Hall’) whose registered office is situated
at St Thomas’ Church, St Thomas Street, London SE1 9RY;
means the Price payable to the Operator by the Client as set
out in the Contract or as may be adjusted from time to time in
accordance with these Terms;
means the Services for the Wedding set out in the Contract or
as may be agreed in writing between the Venue and the
Client from time to time;
means Eynsham Hall and its associated facilities and premises;
means the wedding booked and specified in the Contract.
EXCLUSIVITY OF USE
Throughout the day and evening of the Wedding the Client will have exclusive
use of the function rooms as detailed in writing and set out in the Contract.
The Operator reserves the right to use other rooms at the Venue for other events
unless booked and paid for exclusive use.
The Operator guarantees that the Venue shall not be used for any other
wedding on the day of the Wedding.
ACCOMMODATION
All of the bedrooms available at the Venue benefit from direct dial telephone,
television, hairdryer and tea and coffee making facilities. There is also a
manned Health and Fitness Club at the Venue with indoor heated swimming
pool, sauna and gym; separate terms and conditions of use apply and are
available on request.
The following special accommodation rates are available to the Client and

The Operator will hold a maximum of 15 Main Hall bedrooms on the night of the
Wedding which can be released without charge 30 days prior to the Wedding.
Any additional bedrooms held would be stated on the contract and would be
subject to a cancellation fee of 100% if unused on the night.
Check in time is 14.30 and check out time is 10.30.
All accommodation booked must be guaranteed by credit or debit card
number and booked by individuals.
Rooms must be cancelled by 14.30 on the day prior to planned arrival to avoid
cancellation fee.
PRICES
Prices quoted are guaranteed until 31st December 2013.
Children are charged as follows:
4.2.1
0-5 years, free – an alternative menu can be provided;
4.2.2
6-12 years, £45.00 per person;
4.2.3
Children over 12 years, full price.
Civil ceremony room hire is an additional charge of £420.00. This price includes
a long and low flower display (colours and flowers to be chosen by the bride).
This price does not however include the use of this room in the evening.
In the event of cancellation the following charges will be made:
4.4.1
Cancellation of a confirmed booking at any time will result in a loss
of the deposit set out in clause 6.1;
4.4.2
If cancellation is received within 6 months of the date of the
Wedding the Client will be liable to pay 100% of the Price to the Operator
including the full price of the wedding package per person for the minimum
number of guests as specified in sub-clause 8.1.
In all instances, notification of cancellation must be made in writing and will be
effective on the date received by the Operator.
The Operator reserves the right to increase any prices in line with any increase in
VAT.
Staffing costs are included within the package price.
PAYMENT
Once the Client has provisionally booked the date of the Wedding with the
Venue a letter of confirmation, along with a non-refundable deposit of £3,000 is
required from the Client within 14 days to secure the booking.
The balance of the Client’s account for the Price must be settled 14 days prior
to the Wedding. A final sundries invoice must then be settled on departure.
The Client agrees to pay all of the Sums due to the Operator on the due dates,
failing which a 10% surcharge of the total amount will be added to the
account.
5.4
If there are any queries on any part of the invoice, the Client will pay the
undisputed balance of the sum owing on the date due and the remainder on
resolution of the query.
6.
CANCELLATION BY THE OPERATOR
6.1
The Operator may cancel the bookings under the following circumstances:
6.1.1 If the Venue or any part of it is closed due to circumstances outside its control;
6.1.2 Sale of the Venue;
6.1.3 If the Client becomes bankrupt;
6.1.4 If the Client is more than 30 days in arrears with any payment to the Operator;
6.1.5 To avoid a breach of these Terms;
6.1.6 If it might prejudice the reputation of or cause damage to the Operator;
6.1.7 If the Venue is to be used for any sale or auction;
6.1.8 It the Venue is to be used for any political meeting rally or other allied purpose
which in the Operator’s opinion is likely to cause controversy locally or
nationally;
6.1.9 If the Operator is requested to cancel the event by any government regulator
or other authority;
In any such event the Operator will refund any advance payment made but
will have no further liability to the Client.
6.2
Notwithstanding anything contained in these Terms, the Operator will not be
liable for any losses incurred directly or indirectly from any failure to perform it's
obligation to the Client in whole or part as a result of any of the following
circumstances: an act of God, war, insurrection, riot, civil commotion, act or
threat of terrorism, lightning, earthquake, fire, flood, storm or extreme weather
condition, legal action against the Operator, not resulting from it's negligence,
preventing the supply of Services or any other event or circumstance to the
extent it is beyond that party’s reasonable control.
6.3
In the event of any of the aforementioned circumstances occurring, the
Operator shall use its best efforts to offer the Client alternative
accommodation if it is available; failing which the Operator may cancel the
Agreement and refund the deposit.
The Operator's obligation to compensate the Client will be limited solely to the
obligation to repay the deposit.
6.4

NON-ARRIVAL
The Operator reserves the right to charge the Client for any loss of
profit/revenue due to the non-arrival or substantial reduction in the numbers
confirmed for the Services that the Operator is unable to re-sell or re-use.
8.

GUESTS
The minimum number of guests required for the Wedding is 80 or such lower
number as agreed by the Venue and set out in the Contract. Should the
number fall below this minimum number the Client will be charged for 80 guests
(or such lower number set out in the Contract).

The final number of guests and the table plan must be confirmed in writing by
the Client to the Operator no later than four weeks prior to the Wedding. The
final number provided will be catered and charged for. If the number of guests
increase from the final number provided the Venue will endeavour, if practical,
to provide the Services for the increased number and additional charges will
be made and shall be payable in full at the time of confirmation.
The Venue reserves the right to escort any guests from the premises that in the
opinion of the Venue’s management are causing a disruption.
FOOD/BEVERAGES
All food and drinks must be supplied by the Venue. Wine lists are subject to
change.
75% of the total day and evening guests must be catered for in the evening by
means of a buffet menu supplied by the Venue. The buffet menu is not
included in the Ruby or Diamond package prices and will be priced separately.
The Venue reserves the right to withdraw any items from the menu without prior
notice.
10. DECORATIONS
10.1 The Venue will set the tables for the Wedding with white linen and napkins.
10.2 Place name cards, menus and a table plan can be produced by the Venue on
request and are included in the package price.
10.3 Confetti, candles and sky lanterns are not permitted anywhere at the Venue.
10.4 Fireworks are not permitted anywhere at the Venue.
10.5 Bouncy Castles are not permitted anywhere at the Venue.
11. CLIENT’S USE OF THE VENUE
11.1
The Client and persons attending the Wedding shall:
11.1.1 Comply with all licensing and health and safety regulations relating to the
Venue.
11.1.2 Not carry out any electrical or other works at the Venue, including
amplification and lighting without the Operator’s prior written consent.
11.1.3 Not bring any dangerous and hazardous items into the Venue and remove
any such items promptly when requested to do so by a member of the Venue
management or other authorised person.
11.1.4 Not consume any food or drink at the Venue not supplied by the Venue
without the Operator’s prior written consent.
11.1.5 Not act in an improper or disorderly manner and shall leave promptly at the
appropriate time and comply with any reasonable requests by the Venue
management or other authorised person.
11.2 Any person or item in breach of these conditions may be refused admission to
or be removed from the Venue.
12. LIABILITY
12.1 The Operator will be liable to the Client and/or persons attending the Wedding
for injury to persons or loss or damage to property only where and to the extent
that it has been negligent but otherwise will be under no liability to them
whatsoever.
12.2 The Client will be liable for any loss or damage to the Venue including walls,
light fittings and equipment (including items hired for their use) or injury to any
person including the Venue staff and shall indemnify the Operator against any
loss or liability (other than the Operator’s liability in clause 12.1 above) arising
from the Wedding.
12.3 The Client agrees not to enter into any contract for music or other forms of
entertainment or other services or accommodation in connection with the
Wedding without the prior written consent of the Operator, such permission not
to be unreasonably withheld.
12.4 Where such contract as set out in sub-clause 12.3 is entered into for music,
entertainment or other services at the Venue or work is carried out in
accordance with sub-clause 11.1.2 the Client must ensure that the contractor
appointed has third party liability insurance in place which should be supplied
to the Operator on request.
12.5 The Client agrees to begin and end the Wedding at the scheduled times. The
Operator reserves the right to charge and the Client agrees to reimburse the
Operator for any overtime wage demands or other expenses howsoever
incurred by the Operator due to the Client using the Venue outside of the
scheduled times.
12.6 The Client shall not set up any display within the Venue (including the car park)
without the prior written consent of the Operator. Any display material used
must conform with Local Government and Fire Regulations.
DATA PROTECTION
Any information held by the Operator about the Client will be dealt with in
accordance with the Operator’s legal obligations under the Data Protection
Act 1998.
13.2 By accepting these Terms the Client acknowledges that the Operator has
permission to add the Client’s details to the Operator’s general marketing
database.
13.3 The Operator may send the Client newsletters and information about activities
which it believe may be of interest to the Client. If the Client would prefer not
to receive this information please let the Operator know.

SMOKING
Under the Health Act 2006 it is a criminal offence to smoke in a place of work as
from 1st July 2007. Designated areas at the Venue are available for smokers.
Offenders may be liable to prosecution and/or a charge for the cost of
cleaning all soft furnishings to remove the odour of tobacco.
15. GENERAL
15.1 The Client appoints the Operator to supply the Services at the Venue on the
Event Date.
15.2 The persons signing for and on behalf of the Client warrants to the Operator
that he/she has the authority to do so. In the event that he/she is not so
authorised he/she will be personally liable for the completed performance of
this Agreement.
15.3 The persons signing this agreement as Client shall be jointly and severally liable
for the obligations and liabilities of the Client arising under the Agreement.
15.4 The Client shall provide, on request by the Operator, all such information which
is available in relation to the Wedding as may be necessary to enable the
Operator to make a fully informed assessment of it’s obligation to provide the
Services.
15.5 The Operator will take all reasonable steps to fulfil the reservation to the best of
its ability and in accordance with the details provided. However, it reserves the
right to provide alternative services of at least an equivalent standard at no
additional costs to the Client.
15.6 The Client shall not be entitled to assign the booking to any third party nor utilise
the Venue facilities other than for the Wedding without the Operator’s prior
written approval.
15.7 Whilst the Operator has taken all reasonable steps to ensure that the
information contained in its brochures, tariffs, leaflets and advertisements is
accurate, it reserves the right to alter, substitute or withdraw any service,
facility or amenity without notice if necessary.
15.8 No variation of these conditions shall be effective unless in writing and signed
on behalf of both the Operator and the Client.
15.9 This agreement shall be subject to the law of England.
16.
ACCEPTANCE OF CONDITIONS
Unless otherwise expressly agreed in writing by the Operator, all bookings
accepted by the Venue are subject to the foregoing Terms and Conditions.
