Building Security: General Access The John Hancock Center’s concourse lobby entrance is open to the public daily from 7:00 a.m. to 10:00 p.m. The Delaware Street lobby entrance is open to the public Monday through Sunday, from 7:00 a.m. to 7:00 p.m. and the main lobby entrance on Chestnut Street is open to the public twenty-four hours a day, seven days a week. Normal business hours to the Commercial side of the building are Monday through Friday, 8:00 a.m. to 6:00 p.m. and 8:00 a.m. to 1:00 p.m. on Saturday, excluding Sundays and Holidays. Building Security: Tenant Access The Tenants will present the keycard to the Security Staff for picture and “active status” verification at Chestnut Street lobby each time the Tenant enters the building. Tenants with active keycards will not be required to submit to having their possessions searched. However, the building reserves the right to search the contents of any bag or parcel at any time. All elevators are programmed in a locked-down position and require keycards for activation. Tenants must swipe the keycard across the card reader that is located in the lower left hand corner of the elevator cab and then press the floor number they wish to access for elevator activation. Keycards are programmed for each Tenant based on the Tenant’s management authorization. Tenants are required to display the photo identification keycard on their clothing at all times, throughout the building. Building Security: Guest Access Tenants must register their guests at the building website: http://www.johnhancockcenterchicago.com/tenant.html Steps taken to register a guest are as follows: Select “New Visit” Enter the required information Click “Save” Click “Done” Guests of Tenants are required to complete a guest registration card. The name of the guest will be verified with a list of guests registered by Tenants of the Building. Building Security: Keys and Keycards Two (2) suite keys and one (1) set of restroom keys will be provided. Photo identification keycards for all employees on staff at the time of move in are provided to each firm upon moving into John Hancock Center. Photo identification keycards require the following for implementation: Each employee must complete a Photo Identification Keycard form. This form must be signed by your company’s authorized management representative. An online work order must be submitted through http://www.johnhancockcenterchicago.com/workorder.html requesting the badge to be completed. Click here to download a Photo Identification Keycard Form The authorized management representative must designate the hours of access to the Tenant suite and building. The completed form is required in order to receive a keycard. It is important for Tenants to keep an internal list of the names of each employee in order to report lost or stolen cards as well as new hires and terminated employees. Tenant employees who later transfer into John Hancock Center or are hired after the move in date will be charged for their keycards. New keycards and replacements for lost, stolen and broken keycards cost $17.00 each. Pictures are taken on Tuesdays 9:00 a.m. - 11:00 a.m. and Thursdays 2:00 p.m.- 4:00 p.m. ONLY. No appointment needed during these times. Please remember to collect all keys and keycard passes from terminated employees and immediately contact the Office of the Building to deactivate keycard passes. Building Security: Parking Garage Access Tenants who purchase monthly parking privileges are provided a parking garage access card. When entering the parking garage, the access card is provided to the security guard for active status verification. Upon approval by security staff, the access card is swiped and access provided to the parking garage. Tenants with active keycards will not be required to submit to having their vehicles and possessions searched. However, the building reserves the right to search the contents of any vehicle at any time. All daily parkers who do not have monthly parking privileges are required to submit their vehicles to a full inspection, including the trunk and any possessions within the vehicle. Upon entering the building from the parking garage via the garage elevators, Tenant monthly parkers and Tenant daily parkers may proceed directly from the parking garage to their suite without checking in at any of the building entrances security desks. Tenant guests who park daily in the parking garage must check in at the Chestnut lobby for access to the tower floors of the building. Tenants can contact the parking garage manager at 312.944.5994 for rates and services. Building Security: Property Removal Please have all personnel removing items such as office furniture and equipment from the premises obtain a Property Removal Pass, a supply of which can be obtained in the Office of the Building. This form is necessary when removing any items from the building and must be signed by an authorized employee. All Tenants must submit to the Management Office a Property Removal Authorization Form. Please fill out and return to the Office of the Building with the authorized names. The Property Pass Authorized Signature Form is a safeguard form kept on file at the Office of the Building. Building Security: General Office Security Security Personnel enforce building regulations, maintain order, investigate building alarms, screen personnel entering and exiting the building and are on the alert for any unusual activity within the building on a 24 hours per day, 7 days per week basis. Security within a Tenant's space is the responsibility of the Tenant, although security personnel will provide assistance when requested. This Electronic Tenant® Handbook lists the building rules, regulations and procedures for various emergencies that will hopefully never occur in your suite or at the John Hancock Center. Building Security: After Hours Security There are often times when Tenants are required to work after hours, frequently alone. In an effort to ensure Tenant security, we ask that all Tenants working after hours call the security desk (312.751.3695) and inform the officer of your presence in the building. Building Security: Security Reports In order to provide an efficient system in reporting security problems (i.e. in need of an ambulance, disorderly person, etc.) the following sequence should be used for reporting a problem. For emergencies dial 9-1-1 first, and then follow up with call to security. For non-emergencies during normal business hours, contact the Security Desk at 312.751.3695 When calling security, make as detailed a report as possible and give the following information: Your name. Your company and suite number. Report the problem, be brief but accurate. If the call is due to an incident regarding a strange person or solicitor, give security a description of the person and the direction the person went after making contact with you (i.e. to an up or down traveling elevator, to a stairwell, to the Tenant next door, etc.) Building Security: Tenant Office Security Building Management and Security will make every effort to provide a safe and problem-free environment for its Tenants. Individual Tenants are responsible for their demised space. The following is a list of suggestions which will help secure your office: Keep corridor doors closed. Receptionist and other personnel nearest your corridor doors should be alert for unauthorized visitors. Make sure that the corridor door is closed and locked when leaving at night. Do not depend upon the door closer when leaving at night. When there is no one in the office, do not leave the door unlocked, even for a short time. Handbags, coats and other articles of value should not be left unguarded in reception rooms, even for a few minutes. Portable articles, when left on desks or in open drawers, or even in unlocked drawers are easy for the expert sneak thief. If your firm plans to close for a special holiday or plans an early closing on a particular day, notify the post office to discontinue deliveries. Delivered items outside the door are a sure tip off that the premises are unoccupied. Theft from within the building is possible. Also, please be sure to notify The Office of the Building. Special care should be taken during the times best suited for pilferage the 30 minutes just after opening, at lunch hours and before closing when there is maximum movement of personnel and absence from work areas and offices. Serial numbers of major office equipment should be recorded to aid police in recovering property in the event of loss or theft. All easily removable equipment should be kept in locked storage overnight. The following is a list of suggestions which will help secure your office (continued): Be sure to see that any combination is thoroughly mixed when closing a vault or safe. Do not leave a memorandum of vault or safe combinations on desks. Building Management is not responsible for loss of Tenants' personal property. Personal items should be locked in a secure area at night or whenever an employee is away from his/her desk for an extended length of time. Building Management will notify all Tenants in memorandum form of all holiday closings of the Management Office and other important information as needed. In addition, all personnel working after hours and on weekends must use their keycard upon entrance. Tenants should be sure that their personnel who work these off hours understand that they are to sign the building register, if no keycard is available to them. For added safety, please notify Building Security whenever someone will be working late in the office. Building Security: Lost and Found Contact the Building Security 312.751.3695 to claim items that have been lost or found in the building. Building Security: Solicitation For the convenience of our Tenants, John Hancock Center maintains a policy that solicitors are not allowed in the building. We would like to re-emphasize this policy because it is known that some solicitors conduct their solicitation merely as a pretext to survey Tenants' premises for possible theft. All Tenants, visitors and building contractors must openly wear their photo/visitor keycard. The "no solicitation" policy is intended to protect Tenants from exposure to theft and to prevent unwanted interruption of their business. Building Services: Cleaning Services Cleaning and Janitorial services at John Hancock Center are provided by Harvard Maintenance. Present within the building during the day are five Day Porters and one Day Matron to respond to Tenant’s cleaning needs. At night, after 5:00 p.m., a Night Cleaning Supervisor and cleaning staff are also on duty. Should you wish to request special cleaning services, please call the Office of the Building at 312.794.7777. If you need to have unusual or large items discarded by the evening janitorial staff, affix the multi-lingual orange stickers to the appropriate items to be discarded. Stickers can be received by placing an online work order at http://www.johnhancockcenterchicago.com/tenant.html. Building Services: Recycling Program John Hancock Center has successfully implemented a building-wide recycling program. The building currently recycles most paper. Blue recycling bins are distributed upon request. For more information, call the Office of the Building at 312.794.7777. Building Services: HVAC Service Hours Monday through Friday: 8:00 a.m. till 6:00 p.m. Saturday: 8:00 a.m. till 1:00 p.m. Sunday and Holidays: None Additional heating and air conditioning is available after hours upon request. Requests should be made prior to 4:00 p.m., Monday through Friday and submitted online through the Tenant Services Site. A charge will be made equal to the scheduled rate per hour. The Office of the Building will then dispatch the necessary personnel. Tenants are able to track the progress of their service request by selecting on the I.D. number provided and scrolling down to view the history. Immediately following the execution of your lease with John Hancock Center, it is imperative to return each of the signage request forms to the Office of the Building. Once received, the order will be processed and a mock-up will be returned to you for your review prior to placing the order with the signage vendor. Once the order is placed, delivery and installation will take approximately six weeks. Click here to download Building Signage Forms Normally, John Hancock Center provides the initial lobby directory, door signage and elevator directory signage. Additional signage may be added for a nominal charge. Please refer to the Building Service Price List for costs associated with additional orders for signage. Building Services: Postal Services All mail is handled by the U.S. Postal Service and delivered once daily to office suites. Mail can be deposited in the first floor lobby boxes for pick-up. For your convenience there is also a Post Office located on the Concourse level. Building personnel will not be responsible in any way for Tenant mail or packages. UPS, Airborne Express and FedEx will deliver their own packages to the Tenant suites. Delivery personnel will wear a building issued photo ID card or Approved Vendor tag. All deliveries to Tenant suites must be accepted by a Tenant employee. At no time are Tenants, vendors or overnight delivery personnel allowed to leave parcels in the common corridor. Building Services: Shipping and Receiving A loading dock and adjacent freight elevator for shipping and receiving is located in the rear of the building on the ground/lower level. Normal hours of operation of the freight elevator and loading dock are 6:00 a.m. to 6:00 p.m. Monday through Friday and Saturday 7:00 a.m. to 3:00 p.m. At no time are building employees allowed to sign for, or in any other way be responsible for Tenant shipments, mail or parcel pick-up or delivery. Loading Dock and Elevators: Trucks The door height when fully opened is 12' 8". The ramp slope is 17.54 degrees. Underhangs on rigs will scrape concrete because of the slope. The maximum length of rig allowed in dock is 38 feet without underhung racks. NO LO-BOY RIGS are allowed in dock. Chestnut Street. Your floor and suite #. The symptoms of the problem. 3. Call Building Security at 312.751.3695 and tell them to stand by for an ambulance. Give your company name and suite number. Security will have one of two elevators ready for the rescue squad upon their arrival and escort them to your office. Emergency Procedures: Emergency Safety Procedures After Hours Emergency Contact List In case of emergency, security personnel may be required to contact someone in your office. Please fill out the Emergency Contact Form and return it to the Management Office at your earliest convenience. On-line Fire and Life Safety Training Presentation The custom multimedia presentation includes life safety information that is specific to your building and geographical location. The objective of the presentation is to provide you with essential information that will help you during a crisis event. In an effort to maximize your learning experience, this presentation integrates digital images, 3D graphics, voice narration, and text. The duration of the presentation is approximately 30 minutes in length but you can pause, rewind and forward as desired. This presentation is available for your access 24/7. Office Census For reasons related to security, fire & life safety procedures and general building operation, the city of Chicago High Rise Ordinance requires a semi-annual census of the population of John Hancock Center. Please complete the Office Census Form and return to the Office of the Building at your earliest convenience. Click here to download an Office Census Form Emergency Procedures: Bomb Threats Because not all bomb threats are the same, good judgment and the cooperation of employees are especially necessary. A particular area or floor, a number of floors, or possibly the entire building may have to be relocated in the event of a bomb threat. In the event that a bomb threat is phoned into your office, it is imperative that the person receiving the threat not risk breaking the telephone connection by attempting to transfer the call. Have someone else call 911 to report the call. The call should be extended for as long as possible, gathering as much information as possible. Immediate arbitrary relocation or evacuation is not recommended. If the City Police or Fire Department suggest that you evacuate your area due to a bomb threat, it is important to have personnel first make a visual search of their own desks and surrounding areas. Since the employees are familiar with the workplace surroundings and what belongs (or doesn’t belong) there they are more likely to be able to identify any unusual items. Suspicious items could include boxes, cigarette packs, bags or purses, etc. If a suspicious item is located, do not touch it or cover it. In case of an evacuation due to a bomb threat, the elevators can be used. However, in the case of a bomb explosion or fire, you should not use elevators, unless specifically instructed by Fire Department or Police to do so. It is also good practice to assign someone to make a final inspection of the area to be sure everyone has been relocated. Building Management will quickly make a search of the public areas involved. Whenever possible, the Tenant should have representatives available to assist with the search of areas requested. Please be sure that all employees have the checklist handy at their desks. As much detail as possible should be recorded and all descriptions that apply should be checked off or circled. Click here to download a Bomb Threat Report Form Emergency Procedures: Medical Emergency If you, or someone in your area, need(s) immediate medical help, inform the nearest person to phone 911 for help; if no one is around, immediately dial 911 from the closest telephone. Be sure to give your name, the building name and address, your floor and location and your telephone number. Inform the Security Control Office (312.751.3695) or Security Personnel that you have called 911 and that an emergency team will be arriving; give them your name, phone number and location so they can recall an elevator and guide the response team to the correct place. Emergency Procedures: Toxic Hazards If there is a toxic spill or exposure, immediately get to an area where you are not exposed and call 911. Give the building address, floor and phone number and also what type of spill. Also inform the Security Control Office at 312.751.3695. Take action to contain the hazard; close doors behind you and always follow all safety procedures when working with toxic materials. Emergency Procedures: Civil Disturbance Do not go through an unruly crowd to exit or enter the building. If there is violence involved, call 911 and inform them of the situation and answer questions asked by the operator. Also inform the Security Control Office at 312.751.3695. Emergency Procedures: Elevator Malfunction Should the elevator stop while you are in it, be assured that you are safe. Use the emergency button to summon help and then communicate via the emergency intercom. Elevator equipment and performance are constantly monitored during regular business hours. Should you at any time experience any irregularity or difficulty with elevator service, please note the elevator car number and report it immediately to Lobby personnel or the Security Control Office at 312.751.3695. Emergency Procedures: Severe Weather When severe weather conditions become apparent, the U.S. Weather Bureau describes conditions by two (2) classifications, a Watch or a Warning. This applies to the reporting of severe thunderstorms, the approach of weather conditions favoring the formation of tornadoes, a hurricane condition, a winter storm condition, etc. A Watch becomes effective when atmospheric conditions are right to produce the particular weather phenomenon. A Warning means that the weather condition has been spotted and prompt action must be taken for safety. Except in very rare circumstances, the decision to evacuate the building based on the above weather reports will not be made by Building Management, but rather by each Tenant Company. However, in the event these conditions do exist, the following guidelines should be kept in mind: Move away from outside windows. If the windows in your offices are supplied with blinds, close the blinds (this will provide protection from broken glass). Do not panic. If evacuated, lock all desk drawers and take all items of value with you. If evacuated, use a route that is in the building interior and stay away from large expanses of glass and windows. Policies and Procedures: General Rules & Regulations Click here to download the General Building Rules and Regulations Policies and Procedures: Moving Procedures Telephone Service The coordination of the installation/relocation of your telephone system is the sole responsibility of the Tenant and is not included in any part of your premises construction costs. It requires a three-step process to be completed by the Tenant outlined below: Contact your local phone vendor Immediately following the execution of your lease document with John Hancock Center, contact your local phone vendor (i.e. AT&T, Cypress, etc.) and inform them of your desire to bring service to your new location. It is imperative to schedule a date as soon as possible to prevent any delays in telephone service. Local phone service providers can sometimes take up to two months to complete an installation. The service provider will bring the necessary telephone cabling up to John Hancock Center’s 16th floor (the “net-pop” room). Contact the Office of the Building Upon scheduling a date with your local phone vendor for cable installation to the “net-pop” room on the 16th floor, the Tenant must contact the Office of the Building to: a) inform the Office of the Building of your installation date with your local phone vendor and b) The Office of the Building will then contact the building’s cable management company; Infrastructure Management Group (IMG). IMG manages the risers for John Hancock Center and is the only vendor that is allowed to install cable to the Tenant suite from the 16th floor. There is a charge for the completion of this service. Click here to view the Building Service Price List Telephone Service (continued) Contact your service provider Once cabling has been installed by the local phone vendor and IMG, your telephone service provider can install your phone system and the individual phone units. Again, early contact will prevent any transitional problems. Pre-approved service provider With services located at John Hancock Center, Cypress Communications offers an easy and cost effective approach to providing Tenants telephone and internet services. If you are interested, call 312.759.3112. Cable Service Contact your service provider or Comcast at 1.888.824.8763. Electric Service All Tenants are required to contact Commonwealth Edison for establishment of electric service billing. Building Management is unable to establish new service for a Tenant in the building. Please contact the Commonwealth Edison Business Customer Service Center at 877.426.6331. Insurance Per your lease document, each Tenant is required to provide insurance coverage through the duration of the term of their lease. The specific coverage and amounts are detailed in the lease document. A certificate of insurance must be submitted to the Office of the Building prior to occupancy detailing the specific coverage. Additional insured information is needed on the certificate of Insurance as well as on a form CG2010 Insurance Endorsement provided by the Insurance Carrier. Major Deliveries and Moving A Tenant moving in or out and deliveries of any type requiring more than one hour dock time must be scheduled as an official move with the Office of the Building. All moves must be scheduled at least 72 hours in advance and certificate of insurance will be required for vendor assisting the Tenant. This is a four (4) hour minimum charge to the Tenant; a charge for elevator operator’s time will be invoiced to the Tenant. Commercial elevator times are from 5:00 p.m. to 9:00 p.m. No charge will be incurred for Tenants for their initial move into the John Hancock Center, unless otherwise noted in Tenant lease. A Certificate of Insurance indicating the extent of the moving contractor's coverage meeting Hearn's standards, naming “Hearn” and additional insureds, must be sent to the Office of the Building prior to the move date. Call the Office of the Building at 312.794.7777 for additional insured information. Hearn reserves the right to reasonably withhold approval of individual moving contractors. Moves by company employees are not permitted. Protection of the building carpets, walls and elevators is required and must be provided by the moving contractor. Loading Dock – Main Entrance (Mies Van Der Rohe) Vehicles making deliveries to the building will be stopped at the top of the loading dock ramp on Mies Van Der Rohe Street. Drivers will be required to present a valid driver's license with proof of vehicle insurance and have their vehicle and contents inspected. An “Approved Vendor” keycard will be provided in exchange for the Drivers License. The keycard will be designated for the Tenant floor to which the vendor will make the delivery. All deliveries are to be made using the building freight elevators only. All deliveries to Tenant suites must be accepted by an individual from the firm. At no time will vendors be allowed to leave parcels outside the door of a Tenant space. All deliveries must be scheduled through the Office of the Building 24 hours prior to delivery. Loading Dock – Seneca Street Entrance All walk-in contractors, caterers, delivery personnel (i.e. Tenant vendors), vendor staff (i.e. Building Security, Janitorial) and messenger delivery personnel will be required to enter through the Seneca Street (Mies Van Der Rohe) building entrance and proceed to the loading dock security office. Security staff will verify all vendor staff who have been provided photo identification keycards through picture and “active status” verification via a card reader. All contractors and delivery personnel will be provided a building issued “approved vendor” keycard in exchange for a state identification or drivers license. The keycard is to be worn at all times and will provide access to the required floors, only. Tenants are expected to look for the approved vendor keycards for verification that the contractor has been approved for access to their floor and suite. Tenants must schedule all contractors and delivery personnel access through the Office of the Building 24 hours prior to entering the building. Tenants must provide a Certificate of Insurance for all contractors and delivery personnel needing access to the building. Policies and Procedures: Construction and Repairs The following requirements are necessary when performing any work within John Hancock Center: The Office of the Building must be informed of any work being completed in John Hancock Center. Phone 312.794.7777. All contractors performing work in John Hancock Center must have a current Certificate of Insurance on file with the Office of the Building. John Hancock Center personnel must review all work completed in a Tenant’s suite. Phone 312.794.7777. All contractors must be signatories to a local collective bargaining agreement. Policies and Procedures: Insurance Requirements Certificates of Insurance for John Hancock Center should be sent to the below: JHTC Holdings LLC by and through its agent, The Hearn Company 875 North Michigan Avenue, Suite 4100 Chicago, Illinois 60611 Policies and Procedures: Smoking The Illinois Legislature amended the Clean Indoor Air Act, resulting in the prohibition of smoking in private offices unless properly designated as smoking areas. Consistent with this Act, some of our Tenants at John Hancock Center have chosen to completely prohibit smoking in their offices. The public's concerns about smoking in the workplace are well documented. The American Lung Association reports that on a national average, two out of three Americans do not smoke and that a vast majority of those individuals strongly prefer to work in a smoke free environment. We believe that John Hancock Center’s Tenants reflect the majority of Americans' desire to work in an area free from secondary or passive smoke. As a result of the above, John Hancock Center prohibits smoking in all common areas of the building. This no smoking policy therefore applies to all common areas on all floors including floor lobbies and restrooms. The no smoking policy also applies to the main lobby and all common areas of the ground floor, including restrooms. The John Hancock Center security personnel will remind individuals who smoke in common areas that such activity is prohibited. We are confident that this no smoking policy will serve the common interests of all of John Hancock Center’s Tenants. We ask for your cooperation in complying with the no smoking policy.
