Trip Information
Discipline Policy and Conduct
You are an ambassador of MHS, SES and the Morristown Bands representing your community, family and yourself. You are
expected to conduct yourself in an exemplary manner at all times. The following guidelines and procedures will be followed by
all participants of this trip without exception.
• All Morristown Jr./Sr. High School rules and SES School Board policies will be enforced for the duration of this trip.
• Luggage is subject to search by band director and appointed chaperons at any time before, during or after the trip.
• Your room is subject to search by band director and appointed chaperons at any time throughout the duration of the trip.
• You are expected to obey all Indiana State and federal laws at all times.
• Absolutely no alcohol, illegal drugs, cigarettes, tobacco products including use or possession of.
• Absolutely no one is allowed in your room except your roommates, band director or chaperons.
• You may not leave your room after bed check (11:00pm). There will be a Night Security Guard in the hotel and chaperons will
be available in emergency situations. 11:30pm will serve as “Lights Out” when sleep should take place.
• You are required to report to your chaperon at the appointed check-in times without exception.
• You may not leave the bus or venue without a band director or chaperon accompanying you.
• You are expected to report any violation of rules, policies or state/general laws to the band director or a chaperon.
• Violation of any of the above will result in a disciplinary action by the band director during the trip and/or Morristown
Administration upon return of the trip. Such action could included, but is not limited to: 24 hour adult supervision on the
trip, suspension from school, expulsion, community service, dismissal from band with automatic failure, loss of a leadership
role and/or loss of all extracurricular privileges.
General Information and Policies
• Read all details in this handout prior to departure. It may seem trivial, but most questions and concerns you may have will be
addressed in the handout.
• After departure you will receive a trip handbook to use on the trip. This is a necessary tool for knowing the daily schedule
and other important information throughout the trip. Keep close and refer to the handbook often.
• Listen carefully to directions throughout the trip from the director and adult chaperons. Never believe schedule changes
unless you hear them from a director or chaperon directly.
• Caution is advised with strangers and “newly acquired friends” on the trip. Do not tell others outside of our Morristown
group your hotel, hotel room number or share details from the itinerary.
• NO PUBLIC DISPLAYS OF AFFECTION (PDA) are permitted throughout the duration of this trip. There is a time and a
place…this trip is neither. Any couples overstepping the boundaries will be separated at the discretion of the director or
chaperons and may face disciplinary action. Hand holding is acceptable; anything else is a lack of class and unacceptable.
• Wear sunscreen or a hat while outside for long periods of time. Don’t ruin your trip by suffering from painful sunburn.
• Everyone eats EVERY meal…NO EXCEPTIONS! This is for your health and safety.
Bus Rules and Etiquette
• Only students, chaperons and trip personnel will be allowed to ride the bus. This is for safety and liability reasons.
• Students are not to load anything on to or in the luggage compartments of the bus without instructions from the director,
bus driver or chaperon.
• Attendance will be taken on the bus before initial departure and again after every stop the bus makes during the trip.
• Small pillows and lap blankets are allowed, as long as they fit in your carry-on luggage.
• Be courteous and respectful of others on the bus at all times.
• No screaming or shouting; use inside voices.
• No loud music; headphones must be worn when listening to music.
• DVDs for the bus trip are allowed; HOWEVER, they must be G or PG ONLY!
• Quite hours begin at 11:00pm and end at 7:00am. Be considerate of those who wish to sleep.
• Treat the bus, bus driver and tour guide in addition to others with the utmost respect.
• Clean up after yourself using the trash bags provided. No one will leave the bus until the bus is spotless.
• Cleanliness is a MUST in the bus lavatory and should ONLY be used in an emergency situation.
• Use the rest stops wisely. The toilet on the bus will have its limit. Once it is full, it cannot be used again until emptied.
• Do NOT flush foreign objects down the toilet.
• Public displays of affection are not allowed on the bus at any time. This is a band function, not a date!
• For disciplinary reasons the director and chaperons may reassign students to different seats at their discretion.
• Thank the bus driver and tour guide.
Medical Information
• All individuals going on the trip must have completed a Medical Release Form which is signed by a legal guardian, if under 18.
These will be taken to every location we visit.
• An appointed chaperon will be in charge of giving prescribed medicine for student travelers and to oversee any minor health
related issues that may arise.
• It is the responsibility of the student and parent/legal guardian to supply any medication to the appointed chaperon.
• All medical information must be provided even if the student has permission to take medicine on own.
Medicine Requirements
• All prescribed or over the counter medicines shall be brought in the original packaging or prescription bottle.
• No more than 4/5 days worth of medicine shall be brought on the trip (depending on when medicine is taken).
• Each student’s medicine shall be placed in a Ziploc bag with the student’s name in permanent marker on the bag. In the bag,
the following information shall be included a post card: Student’s name, type of medicine & any special storing instructions,
schedule for taking, reason for medication, the prescribing MD’s name & phone number, pharmacy name & phone number.
• Only director and chaperons may dispense general medication: Tylenol, aspirin, ibuprofen, antacids. Students: DO NOT share
or distribute medicine!
Trip Security
• Every student will be required to check-in with their assigned chaperon at predetermined times during the day. Failure to do
so will result in a disciplinary action.
• No student is permitted to leave the bus or destination without the director or chaperon accompanying them. Failure to do
so will result in a disciplinary action.
• Hotel night security will monitor and patrol the hotel at night to for the safety of the students.
Dress Code
• Please keep in mind that you are on a SCHOOL TRIP. At the discretion of the director and chaperon, any student wearing
attire deemed too revealing and/or unacceptable will be asked to change clothing. Be smart with what you pack.
• Wear comfortable, yet respectable clothing for the weather.
• Be smart and prepare for any and all weather…Washington, D.C. weather is similar to Indiana weather.
Performance Attire
• All students must wear appropriate under uniform items: black marching band shoes, black calf-length socks, comfortable
mesh shorts, and black t-shirt for the band; tan marching shoes, nude tights, and appropriate under-garments for the guard.
• The FULL marching band and guard uniforms will be worn for the parade.
Luggage
• Each traveler is allowed and responsible for their own:
o One Suitcase: not to exceed 62 inches or weigh more than 50 pounds. You must be able to carry it on your own.
o One Carry-On Bag: not to exceed 45 inches and will fit either in an overhead compartment or under a seat.
o Instrument: must go in instrument cargo compartment under the bus.
• All items (suitcase, carry-on and instrument) MUST have tags with the following information: Name, Address, Telephone
Number, and Morristown Jr./Sr. HS Band.
• For security purposes, put labels inside each case/bag with the same information.
Hotel Guidelines
• ASSIGNED ROOMS – At no time may a student be in another student’s room, male or female. NO EXCEPTIONS!! Any student
caught in the room of the opposite gender will be subject to discipline action given by director during the trip and SES
Administration when we return.
• HOTEL CHECK-IN – Report any damages in the room to your chaperone or the Director immediately so that our group is not
charged for repairs and missing items.
• BED CHECK – Students must be and remain INSIDE their room after 11:00pm.
• ROOM CHECK – Chaperons will check assigned room(s) each night at 11:00pm. All room members must be accounted for at
this time, and no one may leave the room for any reason (ice, drinks, snacks, etc).
• LIGHTS OUT – 11:30pm will serve as “Lights Out” time; students are to be in their rooms, quiet and encouraged to sleep.
• WAKE UP – All chaperones will wake up their student rooms by knocking on the door at the designated wake up time, even if
the student say they have a wake-up call arranged.
• BREAKFAST – All students and adults will eat breakfast together each morning at the hotel. Students should be dressed,
showered and ready for the day’s activities.
• HOTEL CHECK-OUT – Monday morning, students will need to have their room checked and inspected by their assigned
chaperon. Keys will be turned in at this time.
