INTERNAL/EXTERNAL COMPETITION – DEADLINE Friday, May 1st , 2015, 4pm EST Job Posting: Programs and Operations Manager (Sudbury) REPORTS TO: Executive Director HOURS AND REMUNERATION: Full time, 35 hours per week, Mon-Fri weekday with some evenings and weekends. Remuneration based on skills and experience POSITION SUMMARY: Reporting to the Executive Director, the Programs and Operations Manager is responsible for the general operations of NISA, including some human resource and financial management. DUTIES AND RESPONSIBILITIES: Provides operational management of NISA: Manages day-to-day operations of the NISA location. Manages, supervises and mentors Coordinators. Provides direction to the organization during Executive Director’s absence Provides general Program Management at NISA: Monitor all program needs and ensure quality service; be available and provide on-going hands-on direction and guidance to all NISA programs; participate in all daily programs as needed and ensure their smooth and efficient operation. Assist the Executive Director in producing program administrative reports as well as grant applications as required. Oversee training for all staff, bring forward training needs and take responsibility for seeking out relevant training opportunities. Coordination of meetings with staff members: preparing agendas and training topics in consultation with Executive Director, taking and disseminating minutes. Conduct program evaluations. Participate in the evaluation of program goals and objectives, making recommendations on changes to current program activities for improved service delivery. Research and draft reports on NISA’s programs, including qualitative and statistical components in consultation with Executive Director. Input and verify statistical entries for the organization. Human Resources and Financial Management Overview and manage all human resources needs of the organization, in conjunction with the Executive Director. Prepare financial reports as directed by Executive Director. Assist Executive Director in performance management of employees. Develop and/or maintains organizational policies including health & safety and employee handbook. Ensure that monthly, annual, and other required reporting documentation are completed. Ensure all file management and reporting functions are maintained in a comprehensive and timely manner: Ensure individual’s contacts are recorded appropriately and in a timely manner utilizing CRMS database program. Ensures that monthly, annual, and other required reporting documentation of all staff are completed for review by Executive Director. Provide assistance to Coordinators with community networking and additional tasks Participate in scheduled meetings with the Executive Director. Promote NISA’s mission, vision and values to the membership and to the community. Represent NISA in a professional manner. Maintains up-to-date knowledge of the Mental Health Act and related legislation, the structure and personnel of local social agencies, government departments and trends and developments in the community that could affect the provision of mental health services. Forwards the concepts of peer support practice and understands and implements a recovery-oriented philosophy in all job duties. Avails self of opportunities for professional development: Bringing forward training needs and takes responsibility for seeking out relevant training opportunities Participates in workshops and seminars as required Participates in Coordinators meetings and staff meetings Participates in the performance review process Works within the Policies and Procedures of NISA/Northern Initiative for Social Action ESSENTIAL RESPONSIBILITIES AND DUTIES: Carrying out all duties of the Programs and Operations Manager in a moral and ethical manner Being present at the scheduled time of the day ready for the performance of duties Being ready emotionally and physically to perform duties Be available to work varying shift days Other duties as assigned QUALIFICATIONS Have personal lived experience of mental illness. Familiar with the goals and objectives of NISA/ Northern Initiative for Social Action. Have working knowledge of mental health service agencies, including consumer/survivor organizations in Ontario. A diploma, degree or Canadian equivalent in management, health, social service work or a related discipline. Masters degree is preferred. A minimum of three years’ experience working in volunteer management or program planning is preferred. Minimum of 3 years’ experience in human resources with knowledge of relevant employment legislation including Employment Standards Act , Ontario Human Rights Code & Occupational Health & Safety Act. Minimum of 3 years’ experience in financial management. Minimum of 1 year experience in volunteer management or program planning Experience writing community and government grants. Completion of Wellness Recovery Action Plan (WRAP), Applied Suicide Intervention Skills Training (ASIST), and other Peer Support training is strongly preferred. Completion of Standard First Aid with CPR, WHMIS, Workplace Accessibility and Prevention of Violence and Harassment in the Workplace Training is preferred. Advanced Computer skills, including an ability to use Word, Excel, PowerPoint and email/internet technologies Written and verbal proficiency in both official languages is considered an asset.
