The task of selecting the best candidate for a job requires conscious

decisions about applicants. We will also examine the value that cultural
differences bring to a campus and share important strategies for
increasing the diversity of a workforce.

C.1 VA Transitions and Leadership to Effective Processes
(Past, Present, and Future)
Cascade B
VA resources at our campus have been structured to address issues that
impact the success of veteran students and students with VA benefits.
These resources include certification of registration and course
completion; advising regarding the benefits available and where choices
are available, what the best option is; counseling; career services;
academic success; and other areas. The staff and functions to address
these areas have evolved from the time when veteran students
numbered several hundred to our current level of approximately 1,100
veteran students and students with veteran benefits. A fall term visit
from consultants with nationally recognized expertise and experience in
the area helped our university to define more precisely and implement
the most effective processes and resources for students with VA
benefits.
Tom Watts, Associate Registrar, Oregon State University
Rebecca Mathern, University Registrar, Oregon State University
C.2 Moving Study Abroad to the Registrar's Office
Cascade C
UO recently took over the registration and articulation of coursework
for study abroad students. There are unique challenges surrounding this
process, and we will discuss what we've done to facilitate the programs
shifting to our office. We will also give a tour of the website we've set
up to help students better understand how their credits will articulate
once they've completed the program.

C.3 A Registrar Carol...The Ghosts of Registrars Past, Present and Future
Cascade D
We will provide ideas, strategies and a laundry list of important
considerations that we have discovered in our journey of revamping
processes and Registrar department functions and services. Recognizing
and understanding the past is an important first step to help us evaluate
our present state of the department, from which we will create a better
future. This session will be helpful to new professionals in the
Registrar's office as well as seasoned professionals looking to make
meaningful change. There will be time for idea sharing/discussion.
Melissa Frey, Director of Enrollment Services/Registrar,
Chemeketa Community College
Amy Clark, Enrollment Services Coordinator, Chemeketa Community College
C.4 Student Planning Tool Plays Major Role in Graduation Initiatives &
Student Success
Cascade H
Imagine a single solution that improves the student experience,
academic advising, and increases credit hours. Many institutions are
challenged to raise graduation rates and increase service to their
students. College Scheduler provides a web-based schedule planner for
use by students and advisors when planning for an upcoming term.
Mike Ayers, Director of Operations with College Scheduler will speak of
the programs in place to support students with the common goal of
preparing them for their futures. Integrates with Banner, PeopleSoft,
Colleague and more! Used by over 135 institutions around the world.

D.2 Successfully Reacting, Recovering and Responding to Emergencies in the
Registrar's Office
Cascade C
In Fall 2013, a major snowstorm resulted in two days of final exams that
had to be rescheduled, a total of 700 exams impacting 18,000 students.
The Registrar's office had to recreate an entire final exam schedule in 48
hours; the process usually takes about two weeks. This session focuses
on the process of how to respond to emergencies as they happen but
doing so in a strategic way that takes into account the bigger picture
rather than the micro-tasks that needed to be accomplished. This
involved assessing the landscape and then assembling the appropriate
team to respond. With the large number of factors involved, while the
reaction needed to be quick, it could not be kneejerk. The institution
was relying on the Office of the Registrar to deliver an immediate yet
comprehensive solution for our students and faculty impacted.
Rebecca Mathern, University Registrar, Oregon State University
Cindy Lehto, Master Scheduler, Oregon State University
D.3 The Three T's of Transfer Evaluation: Techniques, Tricks, and Technology
Cascade D
The Registrar's staff at the Univerity of Oregon evalutate more than
18,000 transcripts annually, and usually within their 3-5 day service
agreement timeframe. Come and hear how UO uses technology to
accomplish this feat; learn about techniques used for tracking our work;
and tricks and tips for making and storing equivalencies then using them
in house, as well as serving them to the public. We'll also touch on the
OrACRAO Template for sharing curriculum changes and our new "HandsFree Reverse Transfer" process.
Sue Eveland, University Registrar, Assistant VP for Enrollment
Management, University of Oregon
Brian Lowery, Associate Registrar for Operations, University of Oregon
D.4 What's New at the Clearinghouse
Cascade H

E.1 Too Much Information - Should we re-think processes and structures to
Cascade B
empower our students?
For many undergraduate students, navigating through higher education
is somewhat like entering a jungle without a map: we expect them to
take responsibility for their own education, yet we may fail to provide
adequate tools to achieve this. Sometimes this is just a case of not
giving our students the information they need in a straightforward and
accessible way. So this presentation will take a fresh approach to how
we provide information to students. We will look at not only whether
we give them the right information, but more importantly how we
provide it, including the essential role of changing technology and
whether institutions are being left behind by other 'service providers' in
daily life. Come to this presentation to learn about some basic ideas we
might use in this area, to improve progression and success rates for our
learners.
George Olden, Assistant Registrar, Operations, Oregon State University
E.2 First Generation Learners: Common Themes at Four Oregon
Community Colleges
This PhD Dissertation explores the experiences of first generation
students at four Oregon Community Colleges. Through interviews and
focus groups the experiences of these students were grouped into
common themes that delve into their experiences both on and off
campus, and how those experiences relate to persistence.

R.7 The Registrar's Office and Transition
Cascade H
The work of a Registrar's Office is difficult enough in the best
circumstances. Unfortunately, the best circumstances are elusive and
even when they can be found, they are almost certainly ephemeral.
Internal turnover and turnover in the academic units, particularly when
the timing is difficult, can turn deadlines into nightmares. Initiatives
driven by institution leadership - partnerships, graduation rate pushes,
advising intervention, etc. - sometimes come with unrealistic
timeframes, and can mean a tilting of priorities. System (or project)
implementations and process improvements provide great benefits to
the institutions and can at the same time take time, attention, and staff
away from day-to-day operations. Are there strategies to address those
situations? Absolutely, and though they are never perfect and vary in
situation to situation, being nimble and expecting the unexpected can
put any Registrar's Office in a better place to deal with circumstances
that sometimes are not the best.
