YEARLY EUGENE TRYOUT & PLACEMENT INFORMATION Oregon Dream Teams make the placement process as low-stress as possible. During Team Placement Clinics, the athletes work side-by-side with other athletes in their age group. They will have plenty of opportunity to practice their skills. We want the athletes to be relaxed, so the entire process is much like a regular practice. Each athlete looking to be placed on a team will be assigned a number to eliminate bias and to make it safer to post team placements via a social media site. After our final team placements, the staff will meet extensively to assemble level groups for the upcoming month. After our meeting, we will list the athletes’ groups on our gym Facebook. The staff will then work together during the following month to come up with teams that will each have the best possible chance of a successful competitive season. Final teams will be set June 1st. We anticipate having a similar number of teams and similar divisions as the past season, however, we cannot determine that until after tryouts have been completed. The risks involved with such activity are fully understood. ENROLLMENT POLICY • Enrollment and Disenrollment of Teams (All-Star Cheerleading Teams) You must enroll your child for all teams. First months tuition, a yearly non-refundable registration fee, a yearly non-refundable insurance fee, a yearly USASF membership fee, and practice clothes fee is due upon enrollment. ODT team program is a 12 month program. Your child’s enrollment and ODT membership will continue for one year unless you disenroll your child in writing. This policy allows us to fill vacancies in teams as they occur. We cannot guarantee the same spot on that team upon your return. If you quit or are removed mid-season you forfeit all tuition, installment, and nationals payments made and will be required to pay a mid-season separation fee equal to three months tuition as well as tuition for the remainder of the season. Tuition Reminder o Tuition is due on the 1st of every month and late after the 5th. A $25.00 late fee will be charged after the 5th for all teams and classes. o All ODT team member parents MUST have a current credit/debit card or bank account on file with ODT in order to participate on a team. o A $25.00 fee will be charged on all returned checks. o ODT Tuition is based on 12 calendar months. Some months have 4 weeks, and some have 5 weeks; thus we do not prorate tuition for holidays or vacations. Time-off/Vacation time is already factored into tuition and will not be refunded or prorated for. o Tuition will not be prorated for injury, sickness, or required family visitation. The prevailing party in any dispute arising under this agreement, or any appeal taken there from, shall be entitled to his or her reasonable attorneys fees and costs. Anyone threatening to quit or attempting to recruit athletes from Oregon Dream Teams will be asked to leave immediately. A separation fee will be assessed and no refunds will be issued. If a Oregon Dream Teams’ athlete has a Facebook, Twitter, and/or any other social media account, it must be maintained with proper integrity at all times. If any athlete’s social media accounts are not maintained with proper integrity on photos, status updates and general comments it will be grounds for termination from the program. This rule also applies to parents. If anyone makes negative or hateful comments on social media about the gym, coaching staff, or athletes it will be grounds for dismissal. Please do not drop off your athlete more than 5 minutes early or pick them up no later than 5 minutes after the end of class. FACILITY GUIDELINES • • • • • • • • • • No gum chewing is allowed in the gym at any time. No running in the gym will be allowed except when participating in team or class workouts. Please keep the gym, lobby, and rooms clean. Throw away all garbage and take belongings with you. Please keep the parking lot area free of trash. Dispose of all trash inside the facility in appropriate trash receptacles. Oregon Dream Teams is not responsible for any lost or stolen items. Cheerleaders should not wait outside for parents, but should wait inside, in the designated seating area. Oregon Dream Teams will not be responsible for your child once he/she has left the building. Misuse or lack of respect for the gym or any gym equipment will not be tolerated and is grounds for immediate dismissal. A maximum of 2 people are allowed on the trampoline at one time. (example ‐ 1 instructor/1 student) Safety is our first concern. Dangerous or illegal maneuvers will not be tolerated. No stunt or use of equipment can be used without a staff member present and aware. All accidents and or injuries MUST BE reported immediately to the Oregon Dream Teams staff and Program Director, so proper actions can be taken. Should a child’s accident or injury cause them to miss practice for recovery time, a doctor note will be required to return to participate. PRACTICE GUIDELINES • • • • • • • • • Have a positive attitude! A good attitude is a must! All team members must agree to work hard in practice and conditioning exercises to improve performance and prevent injury. You must agree to maintain an aggressive, competitive attitude, to keep a good attention span, and to work toward the development of the team. All team members need to arrive 10 minutes before class begins to begin stretching. Competitive cheerleading is a team sport that requires regular attendance by all team members. Oregon Dream Teams works extremely hard to develop calendars that are workable for their teams. Once a calendar is published, the practice dates are firm, and all team members are required to attend. All scheduled practices are MANDATORY. Sickness, family emergency, or educational obligation are the only reason to miss practice. If you are sick, but not “bed‐ridden” or contagious, it is suggested that you come to practice and not participate, so that you do not miss out on important information and or changes. Commitment to your team must be a priority. All team members will not be allowed to miss any practices one week prior to each competition. Practice, one week prior to a competition/performance, is extremely important to the building, peaking, timing and execution of a routine. Absences during this time frame may result in position changes and/or the removal of the cheerleader from the competition team. Attendance is crucial to the team’s success. An “absent request” form must be filled out and signed by coaches one week prior to the missed practice. Unexcused absence is grounds for dismissal from your team per the discretion of the Program Director. Tuition pays for training. It does not pay for the RIGHT to compete. A member EARNS the right to compete through hard work and commitment. A member that Turn in with Registration Rules & Guidelines • • • • • • • • • does not follow the rules will not be allowed to compete per the Program Directors decision. If you are injured, you are required to attend practice and watch. If you must be late, call your coach directly, ahead of time. Cell Phones MUST BE turned off while at practice. There are no make‐up practices due to absence. Cancelled practices may be rescheduled. Refunds will not be given for a cancelled practice. Generally teams have additional practices throughout the year that will more than make up for a cancelled practice. Additional practices may be called by the Program Director as necessary during the performance/competition season. No additional charge will be assessed. Safety is our first concern. Parents, Family, Friends, Boyfriends, & Girlfriends are NOT considered a part of your team and are not allowed in the facility but are welcome to watch from the parent viewing area. Walking out of practice will also be considered quitting. No person who has quit the team may be reinstated on a team without approval from a Program Director. Removal from a team or class may be caused by, but not limited to, excessive absences or tardiness, misconduct that represents Oregon Dream Teams poorly in any manner, insubordination, failure to follow rules, or a parent’s “negative” interference. Your remaining season tuition payments will still be due when quitting or being removed from a team or class, as well as a separation fee. APPEARANCE GUIDELINES • • • • • • • Do not loan out any piece of your uniform at anytime, to anyone. All members must be dressed in proper practice clothes at practice including proper practice shoes and bow. If dressed incorrectly athlete’s accounts will be billed for new practice clothing. NO JEWELRY. It is a USASF & National Federation Guideline. Hair must be worn up in a “ponytail” at practice with practice bow and bangs clipped back. Nails must be kept short at all times for practice and must have clear polish or a white French manicure for competitions. “Performance” hair and make‐up are not an option if you are on a team that performs in any aspect. YOU MUST look the part when representing Oregon Dream Teams in any manner. All uniforms MUST BE clean and pressed, shoes clean and white, hair and make‐up done, when representing Oregon Dream Teams at any time. COMPETITION GUIDELINES • • • • • • • • • • All scheduled team competitions ARE MANDATORY. This is NOT OPTIONAL! Stay in uniform the entire day while at competition. Flip Flops, fleece pants, sweatshirts are NOT a part of our uniform, please do not change into them! You will be allowed to put Oregon Dream Teams warm‐ups on over your uniform at the discretion of the Program Director, however, when we start awards, you must be back in full uniform. Stay Seated during all performances. You must remain seated during any performance of other teams. It is just the polite thing to do. We do not want people moving around while we compete, and we should do the same for others. Stay on bleachers when not competing. All Oregon Dream Teams’ cheerleaders should be sitting politely, like young ladies and gentlemen, during the competition. You must stay with your team throughout the competition day. Your coach needs to know where you are at all times. No running. When leaving your seat for concessions, practice, etc. You should not be running. You should politely walk to your location. Be careful of what you say, you never know who you are sitting by, or maybe you are in front of the judges, and negative remarks will hurt others feelings. We wouldn’t want someone talking about us like that, so we shouldn’t either! Remember the “Golden Rule”….Do unto others, as you would have them unto you! Show good sportsmanship at all times. All team members will be responsible for transportation to and from all Oregon Dream Teams events unless otherwise specified. All team members will be responsible for all overnight accommodations at all Oregon Dream Teams events unless otherwise specified. EVENT GUIDELINES • • Summer Camp is mandatory for ALL TEAMS. The dates are pre‐set, current and potential team members are asked to plan around the determined dates. If you believe you have extenuating circumstances that would allow you to attend camp but would still like to be considered for a team, please contact a Program Director to discuss your situation. Oregon Dream Teams offers approximately 4‐6 fundraisers throughout the season to help offset the costs of the Oregon Dream Teams program. All fundraisers are optional but encouraged if you have financial hardship. Team expenses are the responsibility of the parents and cheerleaders. Funds earned by individuals will go directly into their own account managed by Dream Boosters, and can be used for items purchased for Oregon Dream Teams only, such as uniforms, nationals, and tuition. PARENT GUIDELINES • • • Parents are expected to have a current email and phone number on file with Oregon Dream Teams. Emailing is one of the ways we communicate on a weekly basis with updates, information, etc. It is a parent’s responsibility to stay informed. Check your email and website regularly. If you are not receiving emails contact the Program Director ASAP. Every month you will receive a monthly newsletter and an invoice/statement for your account. Parents are always welcome and encouraged to attend events locally and nationally, but are expected to attend as spectators and not extra coaches. If for some • • • • • • • • • • • reason you disagree or are unhappy with a philosophy or decision of Oregon Dream Teams, judging at a competition, etc. please talk to your child’s coach or Program Director first. Talking negatively amongst each other as parents, or to your child, can only hurt the program and is not tolerated. Please remember that Oregon Dream Teams events need to be the first priority. We ask that you do not plan family events during Oregon Dream Teams events. Your child needs to be involved in the team atmosphere during such events. Please help your child be organized and time efficient. Missed practices due to oversleeping, procrastination of homework/other responsibilities are not excused absences. Withholding your child from a practice as a form of punishment hurts the team and it’s progression toward a successful season. We need every athlete at every practice. All parents will be expected to conduct themselves in a professional, mature manner whenever they are representing Oregon Dream Teams. Showing respect for the program director, coaching staff, other teams, and hosting organizations is crucial in representing Oregon Dream Teams and setting the best possible example for all of the team members. Failure to do so may result in your child’s dismissal from the Oregon Dream Teams program. All parents must agree to discuss any and all problems or concerns related to the program, staff, cheerleaders, or other parents directly with the staff, and not to publicly air grievances, should any arise. Parent meetings will be held periodically. It is strongly recommended that at least one parent attend each meeting. Important information and asked questions are always a big part of parent meetings. Parents are allowed to watch practice from the front lobby only and must remain in that area the entire time. Parents are never allowed on the floor without permission from the Program Director. Parents must keep their noise level down. Parents, may not call meetings, hand out letters or flyers, send Oregon Dream Teams emails, schedule a fundraiser, or purchase wearable items for the teams without the direct permission of a Program Director. Parent/guardian opinion for routine construction and practice is not needed. The staff makes all of the decisions. All parents must agree to accept staff decisions as Final and in the best interest of all parties. A participant removal from a team or class may be caused by, but not limited to, excessive absences or tardiness, misconduct that represents Oregon Dream Teams poorly in any manner, insubordination, failure to follow rules, or a parent’s “negative” interference. I understand that there is a financial obligation and commitment as well. The following are financial terms and conditions that I agree to and accept: 1. 2. 3. 4. 5. 6. 7. 8. 9. 10. This is a financial contract that begins on May 9, 2015 (or date of joining the program) and ends on April 30, 2016. This is the regular season for Oregon Dream Teams. Monthly Tuition. I shall be responsible for my child’s monthly tuition for the full term of this contract. (12 months) • First month’s tuition is due at time of joining ODT. Tuition is due on the 1st of every month and pays for that month. • Tuition is late after the 5th of each month. There will be a $25.00 Late Fee charged to my account if tuition is not received by 5:00pm on the 5th of the month. • Regardless on which day the 1st- 5th falls on, I am required to have my payment in, on time, or I will be charged a late fee. If mailing in a payment, payment still must be received by the 5th, this does not mean it should be postmarked by the 5th, this means it MUST BE in prior to the 5th. • After 15 Days, team members will be required to sit at practice until balance is current. • Tuition is based on 12 calendar months. Some months have 4 weeks, and some have 5 weeks; thus ODT does not prorate tuition for holidays or vacations. Time-off/Vacation time is already factored into tuition and will not be refunded or prorated for. Tuition does not fluctuate based on the number or duration of practices in any month. • Tuition will not be pro-rated for injury, vacation, sickness, or required family visitation. Credit/Debit Card or Bank Account on File. I MUST have a current credit/debit card or bank account on file with ODT in order for my child to participate on Oregon Dream Teams. Should tuition or associated costs not be received by the 5th of the month at 5:00pm, my credit/debit card or bank account will be billed to prevent further late fees and suspension of my child’s participation. This is considered notice should that arise. Returned Checks, Declined/Expired Credit/Debit Cards. I shall be responsible for a $25.00 fee that will be charged on all returned checks, NSF checks (nonsufficient funds), declined credit/debit cards, expired credit/debit cards regardless of reason. It is my responsibility to update my information with ODT if my information changes. (card number, exp. Date, etc.) Required Uniforms; Competition Fees; Choreography Fees; Camp Costs; and Nationals. In addition to the regular monthly tuition, I understand that my financial obligations will include an annual registration fee, and annual USASF/Insurance fee, required practice clothes, all required uniform items and accessories, shoes, summer camp, competition fees, choreography fees, and travel/accommodations to local, regional, and national competitions, including the Cheerleading Worlds, that ODT participates in. I understand and agree to pay any and all costs and fees associated prior to the actual event and/or upon the dates determined or demanded from ODT. I understand that after a deposit is paid, uniform/merchandise is ordered, or travel accommodations made, I am responsible to pay the balance regardless of my child’s participation on the team or participation in the event. I understand and agree that I am responsible to pay all costs incurred during my child’s participation on Oregon Dream Teams. Accounts must be current in order to receive any uniform items. Uniforms items will be purchased by me and will remain my property. Uniform orders/travel accommodations of any kind cannot be cancelled and refunds cannot be given. Should there be a balance owing all uniform items will remain property of ODT until such balance is paid in full. Scholarships, Allowances, Payment Arrangements. I understand that any scholarships, allowances or payment arrangements are determined at the discretion of ODT. I understand that all arrangements must be in writing and agreed upon by the parents, participant, and ODT. If for any reason, my child is no longer on the team, I understand that all arrangements are voided and I must pay back any monies ODT invested into my child’s cheerleading career. Payment arrangement & scholarship forms must be on file in order for any agreements to be valid. Mid-Season Separation Agreement & Fee. I understand that ODT charges a Separation Fee if a team member chooses to stop participating on a team at any point mid-season. If I, or my child wishes to drop the team at any point mid-season, regardless of any and all reasons, a 30-day written notice on the 1st of the month is required, and no refund will be given for any tuition paid. If I, or my child, quits or is removed at any point mid-season, for any reason, I forfeit all tuition payments, installment payments, national payments, and any other associated costs made as well as any items that have been purchased by ODT and will be required to pay a mid-season separation fee equal to three months tuition as well as tuition for the remainder of the season. (example – if Dream Team Tuition is $125.00 per month X 3 = $375.00 separation fee). Outstanding Balances. Interest shall occur on overdue balances at the rate of 18% per annum after 60 days regardless if payment arrangements are made. In the event my child does not continue through the end of the season, the balance is due immediately. Refunds. In general ODT has a NO REFUND policy for any and all deposits made or items purchased, tuitions paid, installment payments, national payments, travel expenses, etc. Violations of this Agreement. If suit or action is instituted, or any appeal taken there from, in connection with any controversy arising out of this agreement, the prevailing party shall be entitled to recover, in addition to costs, such sum as the court may determine reasonable as attorney fees. This agreement and all transactions there under, and all rights of the parties hereto, shall be governed as to validity, construction and all other respects by the laws of the State of Oregon. In the event of any action commenced by either party against the other, such action shall be commenced and tried in a court of competent jurisdiction in the County of Washington, State of Oregon. • This agreement, although drawn by ODT has been carefully read by me, and shall be construed fairly and reasonably, and not more strictly against one party than against the other party hereto. As a Parent/Legal Guardian/Participant, I understand that I am fully responsible for paying all expenses incurred by myself or my child. • Any cheerleader, who makes the Oregon Dream Teams competitive team, has a financial obligation to ODT regardless of their team position. As a Parent/Legal Guardian/Participant, I am obligated to pay tuition during the 12-month season in which I enroll. Tuition is non-negotiable. Please understand that ODT will not make exceptions for injured participants or for absences. I must fully commit to the ODT program, being injured or absent I am still a part of the team. By signing the Financial Agreement Form, I am giving my full commitment to ODT and the financial obligation that comes with participating in its competitive program for the full season as stated above. • The invalidity or unenforceability of any provision of this agreement shall not affect the validity or enforceability of the remaining provisions. This agreement shall not be modified except by written agreement executed by both parties hereto. • The prevailing party in any dispute arising under this agreement, or any appeal taken there from, shall be entitled to his or her reasonable attorney fees and costs.
